Welcome to the 2013-2014 Texas Dreams Season! and Working Together to Support Our Gymnasts Welcome Texas Dreams Families, Since 2002, the Texas Dreams Parent Club (TDPC) has made a commitment to support athletes, Texas Dreams Gymnastics and the sport of gymnastics. Accomplishing these goals is done by raising funds, volunteering on behalf of our team athletes, developing team spirit and communication. TDPC is a 501-C3 non –profit organization. The dues that Parent Club members pay and the fundraising profits that are earned are used for: • • • • • Coaches Fees and Travel Expenses End of the Year Banquets & Awards Team Building Parties Back-to-School Pool Party Coaches gifts In addition to the activities listed above, TDPC supports Texas Dreams Gymnastics by hosting various level meets at or around our gym, volunteering at the Texas Prime Meet, as well as, other fun activities throughout the year. The Parent Club has regularly scheduled meetings and offers a wide variety of ways to get involved and support the gym and its athletes. Member’s participation is structured into one of two options. The offering of options is to allow members to best match their time and resources with the needs and guidelines of the TDPC. Note: All active team members are required to either join the Parent Club or “Opt-Out” to support Texas Dreams Gymnastics. The pages to follow outline the two options. We realize that this is a personal decision for each family, and the Parent Club is available to answer any questions that you may have regarding membership or “OptingOut”. If you decide that you would like to be a Member, please fill out the membership form stating you wish to be a member of the Parent Club and commit to fulfilling the obligations of the Parent Club. If you would like to “Opt-Out” please fill out the membership form stating that you are choosing to “Opt-Out” and pay a fee directly to Texas Dreams Gymnastics. All TDPC dues or “Opt-Out” fees will be billed in two installments. The first will be July 15, 2013 and the second August 16, 2013. All payments are due in full no later than August 16, 2013. Thank you for your encouraging your child’s aspirations as a gymnast and your support and trust of our club to guide them. In 2013-2014, we project this line item to be more $90,000. These fees include: • • • Coaches Fees Travel Expenses such as mileage, airfare and hotel Meals • Athlete Banquets and End of Year Awards • Team Building Socials: • Dream Big Party • Pool Party • Texas Dreams Gymnastics End of Season Staff Appreciation • Spirit wear for parents to display gym pride and support TDPC Membership Two Options Texas Dreams Gymnastics and TDPC are working together so each family can choose to cover their portion of expenses in a way that works best for them. Below are the two option plans available. Option #1 Active Parent Club Member: Pay a per athlete membership fee to Texas Dreams Parent Club. Participate in fundraising events to off-set your athlete’s portion of group competition expenses. Volunteer at Level Meets and various other events to meet your volunteer hours. Option #2 Opt-Out Parent Club Member: Pay Texas Dreams Gymnastics for your athlete’s group competition expenses. May choose to participate in additional fundraising or volunteer opportunities for the benefit of all athletes at your discretion. TDPC Membership Two Option Details Below are the details for each or the two plans. In each plan, the rates and requirements are based on an athlete’s level: Intermediate or Advanced. Active Parent Club Member Opt-Out Fee Fundraising Volunteer Requirements Fee Intermediate • Levels 3,4, & 5 (Girls) • Levels 3,4, & 5 (Boys) • TAAF Team $280 Participate in fundraising efforts (greenery sales, gymbucks, etc) and earn $$ toward your dues for next year. You can earn up to 50% of your fees. 2 shifts at each meet hosted & 2 shifts at the Prime Meet $600 Advanced • Levels 6, 7,8,9 & 10 (Girls) • Levels 6, 7,8,9 & 10 (Boys) • Elite $320 Participate in fundraising efforts (greenery sales, gymbucks, etc) and earn $$ toward your dues for next year. You can earn up to 50% of your fees. 2 shifts at each meet hosted & 3 shifts at the Prime Meet $720 Additional details: Fees: You may pay your parent club fees in two installments. The first installment is due July 15, 2013. The second installment is due August 16, 2013. All fees must be paid in full by this time. (or within two-weeks of joining Texas Dreams) Fundraising Goal: Purchasing Gymbucks, selling greenery and other various fundraising items (Notice it is profit , not sales amount on these items) Volunteer Requirements: Members will need to work all meets hosted by TDPC as well as the Prime Meet Opt-Out Fee: Calculated on a dollar per dollar basis for fees and fundraising and $20 per hour for volunteer hours. Sessions will be calculated at 4 hours per session. VOLUNTEER REQUIREMENT Unless otherwise stated, volunteer assignments occur at Texas Dream Gym sponsored meets. During these meets, volunteers are needed for a variety of tasks and requirements: set-up, take-down, check-in, judge support, concessions, etc. All volunteer requirements will be assigned by the Parent Club. If a volunteer is unable to work their assigned shift, they may "trade with" or find a substitute. There will be "open" opportunities for volunteering throughout the year. These will be available on a first come first serve basis and will qualify as “1 shift”. Intermediate - Level 3, 4, and 5 (Girls & Boys) and TAAF: Required to complete two volunteer shifts at each meet hosted by TDPC Required to complete two volunteer shifts at the Texas Prime Meet hosted by TDG Advanced – Level 6, 7, 8, 9 &10 (Girls & Boys) and Elite Team: Required to complete two volunteer shifts at each meet hosted by TDPC Required to complete three volunteer shifts at the Texas Prime Meet hosted by TDG Additional details: Volunteer Requirements not completed will be billed at $20 per hour and will be billed immediately following the hosted meet or Texas Prime Meet. All fees are due by due dates, and are not refundable for any reason. Fees are defined as parent club dues and payment for any missed volunteer hours. FUNDRAISING Fundraising is absolutely necessary for the success of our program. All fundraising efforts that families participate in help keep our parent club fees down and will support all athletes in our gym. As families fundraise, they can earn money to assist in payment of their dues for the next season. Families may earn up to 50% of their dues toward the next fiscal year. (No more than 50% of profits can be applied toward the dues for the next year. We appreciate ALL fundraising efforts, and again, realize these efforts control our billing costs to the families). This is a new venture for our organization, so please do not hesitate to contact any member of the executive board with any questions you may have. Communication Today the TDPC is a thriving organization with hundreds of families and individuals working together toward advancing its mission. From the executive board down to the single shift volunteer all have contributed in this success. Perhaps more than any other quality, communication has facilitated this growth and brought about the effectiveness TDPC now holds. Communicating with and within TDPC has many forms. Below are the various forms TDPC communicates. View your account online: You can view your account online at anytime. This will show you all payments you have made and volunteer hours you have completed for the fiscal year. You can also pay your account fees with paypal online. Website: www.texasdreamspc.com – This is the most comprehensive source of information. Find out about upcoming events, share photos, read gymnastic news, OR advertise a product or service. Facebook: Share and celebrate team spirit with comments and photos Email: Executive board members, general board members, level representatives and other TDPC members can be contacted via email. Monthly Meetings: Once a month, a TDPC General Meeting is held at Texas Dreams Gym where the executive board presents status reports, proposes new agendas, takes votes and hears direct input from its members. Unless otherwise stated, meetings are held on the second Monday of the month at 6:30 in the back classroom. Television Screens: Located in the gym, here TDPC communicates social news; monthly athlete birthday, coach awards, staff recognition, gymnastic news, up-coming events and advertising. No single person has made TDPC. We value your ideas and concerns. Please utilize any or all the methods of communication.
