Make sure that the controller PC is turned on and ready for use.

Perform the start of day cleaning (see Chapter 2).

Turn on the system power switch (Item 1 in the scanner picture.)
In this system, the encoder is disabled.

Listen for the usual startup tests from the system:
a
Motors turn on
b
The scanner lights turn on for approximately 2 seconds
c
The LED on the encoder flashes during startup and download for approximately 30 seconds.

A beep sounds when USB connections are established with the PC controller and the
system is ready
At the PC controller, start your application program.

Preparing Documents for Processing
Preparing Documents for Processing
It is important to prepare all documents properly before processing them on the workstation.
Otherwise more document jams may result and document throughput may be reduced.
If possible, create batches of work that contain documents of similar lengths as batches of similar
lengths will likely run with fewer jams.
Running documents longer than 8.5 inches will increase the likelihood of document jams.
Removing Staples, etc.
Remove staples, paper clips, rubber bands, pins and other foreign objects from all documents.
Repairing Damaged Documents
It is especially important to fix all documents before processing them. Unfold any folded documents,
repair dog ears, repair any tears or ripped edges. If an item cannot be repaired then use a carrier
document. This will help alleviate jams.
Jogging Documents for the Feeder
Before loading a stack of documents into the feeder, you must jog them first. Otherwise, documents
may misfeed slowing down throughput.
Use a mechanical jogger set to its highest setting for about 15 seconds.
If documents of different sizes are being processed, then it is very important to jog the documents
for a longer time.

Inserting and Removing Documents
This section tells how to insert and remove documents from the following parts of the workstation:
The feeder
The pockets
For instructions on removing jammed documents from various parts of the workstation, see “Clearing
Document Jams” later in this chapter.
Feeder
To ensure the feeder feeds documents, read the following instructions carefully.
To load a stack of documents into the main feeder, follow these steps.

Remove staples and paper clips
2
Check for dog ears on the bottom lead edge by fanning the documents. Remove the dog ears
by straightening them as they may cause track interrupts.
3
Fan the documents, from both sides, to be sure they do not stick to one another.
4
Jog the documents before placing them in the feeder. Turn the jogger on its highest setting for
about 15 seconds, run your fingers over the documents to create gaps and help the documents
settle to the bottom.

Take hold of the documents to be loaded in the feeder in one hand such that your thumb is on
the first document. Push the document presser (item 3 in the feeder picture back with the same
hand. Use your other hand to support any documents already in the tray. Keep a steady pressure
on the documents already in the tray. (be careful not to pull up on the documents already in the
tray)
NOTE: Do not fill the feeder over 2/3 full for optimal feeder operation.

Make sure all documents are right side up and facing toward you.

Place the documents into the tray in a vertical manner ensuring they do not lean forward or
misfeeds may result. The lead edge of the documents should be against the right wall of the tray.

Allow the document presser to move forward gently against the bundle of documents.
Pockets
To remove documents from or put documents back into a pocket, simply hold the paddle open with
one hand and handle the documents with the other.

Clearing Document Jams
Document jams are a part of item processing. You can diminish jams by careful document
preparation, and by making sure the documents are dry and clean.
If a document jam occurs:

Click on the continue button (displayed on the monitor). This will attempt to flush the documents
to the reject pocket. If this fails then:
Starting with the downstream document, carefully work each document up and out of the
transport.
Where possible turn the rollers by hand to help clear the jam.
Stack the documents in sequence as you remove them.

If a metal object caused the jam, make sure that:
a
The scanner camera-covers are not damaged.
b
The endorser stamps do not have embedded metal or damage.
c
There are no metal fragments on the scanner heads.
Follow the application prompts to reprocess the items that were removed, in the order the
application requests them.

Power Problems
Momentary power outages can result in the encoder not running, while the other system modules
remain running. In this instance, documents jam at the encoder entrance.
Turn the scanner power off, wait ten seconds, then turn the scanner power on again; the system
should now operate normally.
Document Feeding Slows Down
Document throughput drops to 90 DPM from the normal 200.
Clean the track sensor in the feeder.
Ensure the new Double Feed sensor kit has been installed. NCR part number 877-0233180
(See picture below of new sensor) If the sensor does not look like this, get your CE to order one and
install it for you.

If feeding problems persist and the feeder is operator accessible:
remove the top cover as shown earlier in this book
the picker roller and retard roller are replacable by lifting them straight up.

Encoding Dropouts
If the encoding shows dropouts (voids) check the expiry date on the encoding ribbons. Expired or
improperly stored ribbons can cause this problem.
Order no more than a six-month supply of fresh encoding ribbons, and store them in a cool place
away from cleaning solvents.

Endorser Print Drum Print Quality
When a print drum begins to print too light (approximately 200,000 documents after a refill), the print
drum must be refilled. If after cleaning and refilling a print drum it still makes poor endorsements, at
approximately 1,000,000 impressions, it must be replaced.
Refilling Endorser Print Drum
Refill by pouring ink in holes A,B, and C, as per the following procedure:

Pour the ink into each hole until it is full
2
Wait until the ink is absorbed (about 10 - 15 min.) and then refill again
3
Repeat this sequence (3 - 4 times) until the roll-on stamp will not absorb more ink

Maintenance Procedures
This chapter details the operator maintenance procedures that are required to keep the NCR iTRAN
3000t operating at optimum performance.
Start of shift cleaning is required.
Supplies like the ink-jet cartridge must be replaced when they are used up.

Why Should The Workstation Be Cleaned?
Why Should The Workstation Be Cleaned?
In any document processing operation there is paper dust (from the documents). This dust, together
with small bits of paper, collects in the workstation. The workstation should be cleaned to avoid the
following issues
more documents may jam slowing throughput
feeder module may miss-feed or double-feed
more misreads and rejects may be generated
the codeline and document images displayed on the monitor are fuzzy and hard to read
the workstation may need service more often resulting in lost time
A Note about Paper Dust
During document processing small pieces of paper come off the documents. Paper Dust clogs the
sensors that tell the iTRAN 3000t where each document is. It also gathers on the scanner module,
making it difficult for the workstation to read the documents correctly
It normally takes less than 10 minutes at the start of shift to clean the paper dust from the track.
By cleaning the iTRAN 3000t, fewer track interruptions will be generated.
Each iTRAN 3000t should have cleaning materials (including a vacuum cleaner) close by.

What and When Should You Clean ?
What and When Should You Clean ?
You must clean certain parts of the workstation at least once every day. If the site is running more
than one shift, clean at the start of each shift. The section starting on the next page gives a complete
procedure for cleaning all of these parts.
Other parts of the workstation need cleaning less often. For instructions on cleaning each of these
parts, go to the section of this chapter that covers the module in question.
Note: These guidelines are for workstations with normal dust buildup. If the workstation is reporting errors
caused by dust, the workstation should be cleaned more frequently. It takes time to stop operations and
clean the workstation, but time will be saved by having fewer problems processing documents.
Caution: Don’t try to lift or remove any covers unless instructed to do so. Some covers are only meant for
service personnel.

Start-of-Shift Cleaning Procedure
Every day before starting the workstation, perform these cleaning tasks:
1
Clean the entire length of the track using a vacuum cleaner.
2
Clean the track sensors
3
Clean the camera covers
4
Clean the roll on stamp drums (if equipped)
How to Clean the Workstation
To clean the workstation follow the instructions below. While cleaning, check parts such as ribbons,
and rollers for wear or damage. If a part needs replacing and this book tells how to replace it, follow
the instructions carefully. Otherwise call for service.
Caution: When blowing air or vacuuming, avoid touching the encoder ribbon and the endorser cartridge.
Most cleaners won’t remove the ink from the endorser cartridge. It will wash off your skin gradually, but may
be permanent on clothing. The encoder ink is more easily removed.

Turn off the workstation.

Remove any documents that are in the feeder.

Remove the ink jet cartridge.
See the instructions for removing the ink-jet cartridge on Pg 30

Set the vacuum to blow air. Then use the crevice attachment to blow bits of dust from the
workstation.
If the vacuum is not equipped to blow air, a can of non-condensing compressed air can be used.
Keep the can upright and bend the plastic nozzle so the air can get into the track.
Caution: Only use compressed air which is intended for use on camera lenses. (Check the label).

Start cleaning, starting at the feeder, moving down along the inside of the track. Blow out any
dust you can see, but do not force the tool against any parts of the workstation. Do this for all
modules.

Repeat Step 5 with the vacuum set to suction.

Using the cleaning swabs (Systemedia cleaning swab #523396) Slide the swab down the side of
the track walls at the sensor locations (both sides) and gently move up and down to remove dust
from the sensors. See pictures on Page 24 showing the track sensor locations.
Cleaning the Image Camera Covers

Slide each image camera cover up and off the camera body, then clean it with soap and water,
then dry with a dry cloth. (see chapter 3 for ordering information). DO NOT USE ALCOHOL.
Ensure there is no build up of ink deposits on the cover.
Replace any cracked covers. (see Chapter 3 “Ordering Supplies”)

Feeder Cleaning the Feed Roller
Cleaning the feed roller should be done if the feed roller looks dirty or there is an unusual number
of double feeds or misfeeds.
The roller can be cleaned using a swab soaked with isopropyl alcohol.
If the document wiper appears to be glazed, the wiper can be turned by 1/3 of a turn to expose
another surface. This can be done twice (all three surfaces used). Once all three surfaces are used
the wiper should be replaced (see ordering parts in chapter 3 & replacing parts in chapter 4).

Start-of-Shift Cleaning Procedure
Clean The Roll-On Stamp Drums
Check the Roll-On stamp drums for a build-up of ink and dust. This is not a frequent problem; you
only need to clean the roll-on stamps if the build-up lowers the print quality.
You need the following supplies:
A soft nylon brush (like a tooth brush)
Disposable gloves to keep your hands clean

Undo the retaining nuts that hold the print drums in place, then set them aside

Put on the disposable gloves, then lift a print drum up and off its shaft.

Hold the print drum inside the garbage can, then gently use a soft brush to remove all ink and
dust deposits.

Inspect the clean print drum for damage.
If the print drum is usable, reinstall it in the encoder module.
If the print drum is damaged, dispose of it, and install a new one.

Repeat steps 2 through 4 for the second print drum.

Replace the retaining nuts, and tighten them gently so that you can remove them as needed. n

Ink-Jet Cartridge
Note:
No warning messages will be displayed when the cartridge is empty.
While running the machine, occasionally check the ink-jet endorsement for quality and when the
cartridge needs replacement, proceed as follows:

Lift off the ink-jet cover.

Pull the latch (D) away from the ink-jet cartridge (C), then lift out the old cartridge.
3
Unwrap the new cartridge, and pull off the shipping tape.
4
Pull the latch out and insert the new cartridge, front first, then push down the rear of the cartridge
then release the latch.
If the cartridge is properly in place, the latch will fit snugly against the cartridge.
Note:

When properly installed the front of the cartridge will be slightly lower than the rear.

Encoder Ribbon
When the encoder ribbon needs to be replaced, your workstation stops moving documents and
displays a message on the workstation screen.
Get a replacement encoder ribbon, then follow these steps to replace the used ribbon:

Swing open the front encoder door.

Pull the end of the ribbon off the empty ribbon spool .

Lift out the empty ribbon spool.

Pull the empty core off of the supply spool Do not discard the paper core. Set both parts aside
for later use.

Roll the last of the ribbon onto the take-up spool (turn the take-up spool by hand), then pull the
take-up spool out of the holder.

Pull the used ribbon roll off the take-up spool. Discard the used ribbon roll, but SET THE SPOOL
ASIDE.

Unwrap the new ribbon, then push the ribbon, notched end first, onto the supply spool. Make
sure the notches lines up.
Align the notch and tab, then push the cardboard core until the ribbon is fully in place against
the wall of the feed spool.

Remove the tape from the new ribbon leader. SAVE THIS PIECE OF TAPE.

Snap the supply roll into the holder.
10 Gently push the green print-head latch to the right, then lift it up slightly to unlatch the print head.
11 Press down on the forward portion of the print head (closest to the track) so that it points down
at an angle.
12 Pull up on the end of the new ribbon until you have unrolled all of the ribbon leader.
13 Place the end of the ribbon leader over the top of the print head.
14 Push the leader forward over the print head with your fingers. As you push the ribbon leader
forward, wiggle it slightly from side to side to keep it from getting caught. Be sure that the ribbon
goes under the green lower guide bar.

Stop when you see the end of the ribbon leader appear under the ribbon holder.
15 Pick up the take-up spool and the empty cardboard ribbon core (saved previously).
Push the notched end of the cardboard core over the take-up spool. Align the notch and
tab, then push the core into place.
16 Hold the take-up spool over the encoder with the notch to the right.
Bring the ribbon leader under the take-up spool and wrap it around the take-up spool.

17 Align the ribbon edge with the core edge and tape the end of the ribbon leader to the core on
the take-up spool with the piece of tape you saved.
Make sure that the leader edge is not taped crookedly onto the core.
18 Turn the take-up spool until all the ribbon leader is wrapped on the core.
19 Snap the take-up spool into place on the ribbon housing.
20 Push straight down on the green latch. As it moves downward, the carriage will move down also.
When the latch stops moving, press down hard until the latch clicks into the operating
position.
21 Turn the take-up spool until the ribbon is tight.
22 Close the encoder door. n

If you see horizontal lines in your images, the plastic camera cover may be scratched from staples
or document jams.
The image camera covers are easily replaced:

Encoder
The encoder module holds two rotary stamps. You can replace these stamps when they wear out,
or if your processing work needs a different endorsement.
Caution: Use disposable gloves and store unused stamps in a self-sealing plastic bag. The ink is
difficult to remove from skin and clothing.
To remove and replace a stamp:

Using a disposable glove, unscrew the retaining nut from the top of the stamp.
Caution: Be careful not to drop the retaining nuts into the machine. If you do, call NCR for service

Lift out the stamp. Either dispose of it, or store it in a sealed plastic bag.

Unwrap the new stamp, then slide it over the shaft.

Align the notch in the stamp with the roller, then push the stamp down into place.

Reinstall the retaining nut, and tighten it gently so that you can remove it as needed. n
