Office Hours
Dietary Restrictions
• In the interest of providing a safe and enjoyable catering experience, it is important that our clients make
Bon Appétit Catering fully aware (in advance) of any guest dietary restrictions, food sensitivities and/or allergies.
• Clients or guests with serious allergies or sensitivities should be aware that we regularly handle and prepare
eggs, milk, wheat, shellfish, fish, soy, peanuts, tree nuts, and other potential allergens in all of our food
production facilities.
• Bon Appétit Catering office hours are Monday – Friday from 8:30am – 4:30pm.
Placing Your Order
• Catering orders may be placed via email (first preference), telephone, or in person. Email orders should be
sent to catering@willamette.edu. Telephone orders should be placed at 503-370-6711.
• Catering orders are not booked or confirmed until you are contacted by us with a confirmation.
• We require two business days notice for standard orders, three business days for banquet or served meal
functions, and five business days notice for all groups of 75 persons or more. Proper notice enables us to
adequately order, staff, and plan for your event.
Catering Client Responsibilities
Accessing and Reserving Buildings, Rooms & Event Space
• Event space must be pre-arranged through the Willamette University Office of Scheduling, Events and
Conferences at 503-375-5442.
• Rooms must be reserved a minimum of one hour prior to the event start time for standard orders and two hours
prior to the event start time for events requiring china plate ware and service.
• We are not able to provide full service to certain classrooms and campus locations due to access issues and
space constraints . Please contact us directly at 503-370-6711 if you are intending to order catering for a
classroom or other restricted space.
• Room cleanup will normally be done by Bon Appétit staff immediately following the event. Room cleanup for
late afternoon, evening and weekend events not requiring a catering attendant to be present will be scheduled
to the morning of the next business day..
Alcoholic Beverage Service
If you plan to offer beer and/or wine service as part of your catered event, please be mindful of the following:
• It is you responsibility to secure alcohol service approval from Willamette University prior to your event.
Questions regarding this process may be directed the Willamette University Office of Scheduling, Events and
Conferences at 503-375-5442.
• Bon Appétit must supply one (1) OLCC certified alcohol server for every seventy-five (75) guests at events
where alcoholic beverages are offered. We will charge a flat $50 fee for each OLCC certified alcohol server
that is required.
• Due to Willamette University regulations, we are unable to serve distilled spirits or other ‘hard alcohol’ at
catered events.
• Should a catering client wish to provide their own wine for an event, we will gladly serve it for a corkage fee
of $9 per bottle. We do not permit catering clients to provide their own beer or other alcoholic beverages.
China Usage
• Unless otherwise specified, sugar cane plates and disposable service ware is included in the our catered event
pricing.
• Formal service ware (china, silverware and glassware) is available for most catered events by client request.
A charge of $1.00 per person will be applied to events where such wares are requested.
• We are able to provide formal service ware for up to two hundred (200) persons at any one time. This formal
service ware is available on a first-come-first-served basis. Additional formal service ware may be rented at the
client’s expense (see Rentals & Special Needs).
Linen Usage
• Standard linen for food / beverages tables is ivory or black square tablecloths with a gold runner.
• Standard linen for seating tables is ivory or black square tablecloths.
• Standard color linen for all food / beverage tables is included with each catered order at no charge.
• Standard color linen for seating tables is provided included at no charge for all sit down meals.
• Standard color and rented fine linen for non-food / beverage tables is available by request at an
additional charge.

Menu & Guest Count Changes
• For parties of less than one hundred (100) persons – any cancellations or changes to menu selections, guest
counts and other event details must be confirmed no less than two (2) business days prior to the event date.
• For parties of more than one hundred (100) persons – any cancellations or changes to menu selections, guest
counts and other event details must be confirmed no less than three (3) business days prior to the event date.
• Event cancellations with less than the specified notice will result in the client being charged 50% of the total
contracted order price.
• Event cancellations occurring within 24 hours of the event will result in the client being charged 100% of the
total contracted order price (including any charges for rented equipment, linens, floral arrangements, et cetera.)
Onsite Deliveries / Service
• Delivery is included for all onsite orders of $30.00 or more. For orders not meeting this amount, items may
be picked up by clients at our kitchen for no charge, or delivery may be requested for a $15 fee.
• Served catered events for less than eight (8) guests may be subject to a separate service charge in addition
to our standard menu pricing.
Payment for Catering Services
• Bon Appétit must have a means of guaranteeing payment at the time an order is placed.
• Willamette University clients may meet this guarantee by providing a valid university account number
for charge.
• Third party clients must provide a minimum 50% deposit no later than three business days prior to
the event date.
• This deposit may come in the form of a valid credit card imprint, personal check, or cash.
• Payment in full is due (for all clients) at the time of the event.
Prices
• Menu prices are based on current market conditions and are subject to change.
• Price quotations cannot be guaranteed more than thirty (30) days in advance.
• Standard color linens, event appropriate staffing (for Willamette University sponsored groups), setup and room
cleanup are included in our menu prices.
Rented Goods & Charges
• Rented goods, service ware and equipment may be necessary for client events for a number of reasons.
These may include:
• Extensive use of Bon Appétit Catering’s own china and silverware at another, previously scheduled event.
• Client requests for specialty linen, service ware, flowers, or other décor items.
• In cases where such rentals are needed or requested by the client, Bon Appétit will provide such services to the
best of its ability at an additional charge.
Tables, Equipment & Room Setup
• Bon Appétit Catering does not supply tables or chairs. If your event requires specific seating arrangements or
room setup, we suggest that you pre-arrange for your needs by contacting Jeff Bolt with Willamette University
Facilities Support Services at 503-370-6549.

• In order to provide a safe environment for outdoor food service, rented tenting is required for all outdoor buffet
lines and food stations – this rental charge will be reflected as a separate item on the client invoice..
