Aviator Sports Summer Camp 2016 Parent Manual Welcome! Greetings families! We are excited to have you join our Aviator family this summer 2016. We have both familiar and new activities, programs, themes, and events happening this year. This manual is meant to help fully prepare you and your campers for all we have in store! Our staff this year ranges from certified teachers, coaches, dancers, actresses, athletes and much more to ensure this summer will be a wonderful memory afor your camper. And don’t worry! We are well aware that camp can be a scary experience especially if this is your child's first time at camp or they don’t have any friends at camp (yet). Please be assured that we are prepared to ease your children into the camp process and make them feel at home here at Aviator Sports. Camp will soon become a home away from home and the staff and campers here will be considered family before you know it. We encourage you and your children to speak with us about any con- cerns, issues, fears or problems they may face at camp. We’re also very open to praise and compliments! What NOT to have at camp: • CELL PHONES! • Portable Games • iPods/iPads • Electronics • Weapons (dangerous objects) • Toys or Valuables. Aviator Sports will NOT be responsible for any of the above items if lost or broken while at camp. If we see any of these items out during camp, they WILL be confiscated and locked in the camp office until dismissal. Please leave valuables at home! t 10 nn iversa r 3 Everyday Camp Packing Checklist Campers are encouraged to bring a small backpack to carry around their towel and swimsuit • A Swimsuit, flip flops, goggles, and a towel All campers will be using the swimming pool at least four days a week, (weather permitting). • Sun Block Please try to apply to your child before camp. We will be spending time out in the sun and we want your kids to be protected. Wearing sun block outdoors is mandatory for all campers. • Hat We spend a lot of time outside. Please make sure to send your child in with a hat to protect them from the sun. • Warm Clothes When we go ice skating it will be a little chilly in the rink. Send your child with warm clothes and gloves. SOCKS EVERY DAY! • Sneakers! We will be doing a lot of activities every day that require your children to have sneakers. *Please note that flip flops and open toed shoes are NOT to be worn to camp!* • Comfortable Clothes Campers must be dressed weather appropriate and ready to participate in all activities. Again, camp is very active; please prepare your kids. • Change of Clothes It doesn’t hurt to prepare an extra set of clothes in case of anything. Kids get dirty, they have accidents, you never know. • Water Bottle In addition to water fountains, we will have water coolers throughout our facility. We encourage the kids to stay hydrated all day and a water bottle is a great reminder. Please send your campers with their camp t-shirts on all trip days. You will be charged $10.00 for any extra shirts. Note: Please put your child’s name on EVERYTHING that you send with them to camp. This makes everyone’s life a lot easier as things are bound to get lost or left behind. We will have a lost and found area set up for camp. t 10 nn iversa r 4 Drop Off Procedures Morning Check-in begins at 8:45am and ends at 9:00am. Cars will be able to park adjacent to the drop off area. Parents will not be allowed to remain next to the groups for an extended period of time. Please drop off your child with a camp staff member and allow them to enjoy the camp day with their friends. Parents will be notified before the start of camp the group their child has been assigned to prior to the week they start camp. If you arrive late, please check in at the camp office and someone will direct you to the right location. BUS KIDS: If your child is going to be late or absent, you must notify the camp office. Dismissal Procedures Dismissal Line Up begins at 4:30pm. Anyone picking up campers must be on the authorized pick up list that was submitted with the registration form. (Please be prepared to show ID.) Please notify the camp office if... • Someone is coming to pick up your child who you did not indicate on your application. • You are going to be picking up your child early. • You are going to be late to pick up your child (Please see late pick-up policy on page 6 for details.) THIS IS A DROP OFF PROGRAM. Parents are not permitted to be on-site during camp hours. t 10 nn iversa r 5 Diagram of Drop Off and Pick Up Procedure 7:30am and 6:30pm parents will need to park their cars and drop off/pick up their campers inside Aviator Sports. t 10 nn iversa r 6 Bus Kids Children going home on the buses will start loading at 4:40pm with their assigned bus counselors. When you pick your child up from their bus stop, you must sign them out with the bus counselor and have ID for verification. PLEASE BE ON TIME! Late Pick Up Policy Unless you are enrolled in our extended day program, your child must be picked up by 5:00pm! Starting promptly at 5:10pm, all children remaining at Aviator will be charged $10.00 until 6:00pm. After 6:00pm, you will be charged $15.00 per hour per child after that. This policy wil be strongly enforced and you will be billed upon pick up. AFTER 7:00PM, CAMPERS WILL BE CHARGED $15.00 FOR EVERY 15 MINUTES. DON’T BE LATE! If you are going to be late for any reason, please notify the camp office. If you notify us before 2:00pm on that day, we can put your child in the extended day program for only $15.00 per day. Camp Office Phone Number: (718) 758 - 7518 t 10 nn iversa r 7 Policies Every Parent Should Know: Permission for a child to leave camp unsupervised: If your child is over the age of 12, you can authorize them to leave the facility on their own, but we must know in advance. Please send us a signed note or your child will only be released to an authorized adult. Until that time, they will be part of our extended day program for an additional charge. Spending Money & Food • All campers will be provided with lunch and snack every day. We also have cold water available all day. We will hae meal options including vegetarian and kosher choices for lunch each day. If a child is sent with money they will be able to purchase additional food during snack and lunch only. Aviator is not responsible for any money sent to camp! • Please don’t send your children with any food, candy or gum. Should your child have special diet needs, we must be informed ahead of time so that we can accommodate. Children are not permitted to have candy or gum during activity hours. • Children are not permitted to spend money at the arcade games or on gift store merchandise. Money should be stowed away during camp. • Should we go on a trip where the opportunity to buy something comes up, we will notify you before the trip. There will be a designated time on some trips where campers and counselors can spend money. Otherwise, there is no need for campers to have money with them at camp. t 10 nn iversa r 8 Illness and Injuries In the event of any incidents minor or major here at Aviator Sports, we have a registered nurse on site. Camp Managers along with select camp staff are both First Aid and CPR certified. An incident report is filled out and kept on file in all situations. The director will notify parents when necessary should anything happen or involve their child during the day. If a child needs to be picked up for any reason, we will notify a parent or emergency contact right away. Should a camper need immediate medical attention, they will be escorted by a staff member in an ambulance and a parent or guardian will be notified right away. Adding on More Weeks of Camp If you decide at any time that you would like to add on more weeks of summer camp, we will be happy to accommodate as long as there are spots available. Please let us know as early as possible so that we can ensure that we are prepared. Refund Policy Should you need to discontinue summer camp for any reason after June 1st 2016, as stated in the camp application, Aviator Sports will retain your $300.00 non-refundable deposit and a $50.00 processing fee. You will be refunded a prorated value for the time you did not attend minus $350.00. After June 17th, all prorated refunds will be in the form of an Aviator Credit; valid for any activities or programs in house. Please Note: there are NO MAKE-UP DAYS. Refunds apply only to an entire week, not for missed days of camp. t 10 nn iversa r 9 The Structure of Summer Groups Camper Groups will be distributed by age and will be co-ed. In some instances in a group may have a child 1 year below or above the average for the group. Each group will have approximately 15 campers with 1 head counselor and 1-2 assistant counselors. A division leader for each division will float around to oversee each group. In addition, there are several upper staff members that will help supervise as well. Each group will travel together to each activity scheduled in the day. The counselors will be with their same group for the whole day, every day. At many activity sites such as Ice Skating, Gymnastics, Arts and Crafts, Rock Climbing, Fencing and Science. We have trained specialists that will lead the class for that period with the assistance of our counselors. Even thought Aviator is a big place we have many procedures set in place to make sure all the kids are accounted for. There is constant supervision. t 10 nn iversa r 10 Trips Trips this year will be broken down into three different days based on your child’s division: Younger Division - Tursday Older Division - Wednesday Teen Division - Thursday It is important that your child wear their Aviator Camp t-shirt on all trip days so we can easily identify our campers. Children will not need spending money unless indicated (please see policies for more details). The Camper whose ‘costume’ is the most original/creative will win a prize! It can sometimes be a little overwhelming to prepare for camp. So relax for a minute and get excited for all the amazing things we have in store at camp! As always, we will offer vegetarian alternatives as well. t 10 nn iversa r 14 More About Our Staff Selecting the right staff to entertain, nurture and supervise your children this summer was not an easy process. We interviewed tons of qualified and eager individuals for the job and handed the honor to a select few. All of our staff members take part in several thorough weekend orientations and trainings in which they are trained in our procedures and policies, and learn our expectations in dealing with children. We want our staff to feel prepared to handle any situation that may occur. We do lots of role playing, problem solving and discussions facilitated by expert speakers. All upper staff members will have CPR and First Aid certificates before the start of camp. Many of our counselors have had experience with children and are subject to a background check before working for Aviator Sports. Our hired specialists are trained experts in their activites. Many of our staff spend the rest of the year as teachers, dancers, coaches and college students in a variety of disciplines. We also want our staff to feel excited to get to know their campers. All of our staff are eager and willing to have a fun-filled summer! Gratuity Policy Tipping your child’s counselors at Aviator is not mandatory. We do encourage parents to show appreciation towards our staff at your discretion. We reccommend about $10 per week, per counselor, or whatever you think they may deserve. A director can also help you decide an appropriate tip if you are unsure. The best opportunity for this would be at the end of your camp session. t 10 nn iversa r 15
