Welcome to Fairbrossen Thank you for your enquiry regarding to hold your special function with us here at Fairbrossen. We would be very pleased and honoured to work with you to ensure that your wedding is designed to meet your own unique requirements and style. This wedding package will provide you with information regarding the venue, areas for hire, wedding hire, food and beverages as well as additional notes for your consideration. The Venue Fairbrossen is set in a lovely rural area in the Perth hills, only 30min from the city. With a peaceful ambiance, our cafe boasts views across the vineyard to the state forest. We also have a wonderful outdoor wooden decking area which overlooks the vineyard that connects to the winery and cellar door. We can cater for small intimate gatherings, cocktail parties and sit down functions. Wedding Venue Hire The ceremony We have two wonderful areas available for you to hold your romantic wedding ceremony. Saying I Do under the big gum nut tree with direct views of the vineyard and the valley, surrounded by a rustic tractor and native plants. Or saying I Do on the lawn by the wishing well with the vineyard in the background. Our ceremony hire includes hire for 1 ½ hour, 20 chairs (without chair covers & sashes), cream aisle runner, signing table with 2 chairs (or wine barrel), and musician area (power point available if needed). The Pre-Reception Upon your announcement of husband and wife you can join your guests for celebratory drinks and canapés on the lawn by the wishing well over viewing the vineyard or on the outdoor wooden decking at the winery. Whilst you’re away with the photographer, your guests will be in good hands with our friendly and experienced staff enjoying drinks and canapés. Some canapés will be kept aside for you and served when you get back. The pre-reception is part of the reception hire and includes a trestle table (with black table cloth), service of the champagne of your choice as well as soft drinks and water. Wedding Reception Join us as husband and wife celebrating the rest of your evening in our cafe venue that overlooks our vineyard which also captures an amazing sunset over the hills and into the valley. We can cater for a buffet, a cocktail style evening or for a more formal affair, a sit down 2 or 3 course meal. Please refer to the attached wedding menus for our options which can be personalised. We have a number of wonderful decorations that can be hired to enhance the aesthetics of your venue room. From a beautiful ceiling chiffon drape that covers the outer area ceiling, to white lanterns that can used to enhance the surrounding trees or paths and chair organza’s. Please make sure you ask about what we have to offer at your enquiry meeting. You are also welcome to bring your own decorations but please note this must be discussed and signed off on at the final agreement meeting with the Function Manager so we can avoid any misunderstandings or confusions. By working closely with our Function Manager you can also design the floor plan on how you wish the bridal and guest tables, dance floor (if viable), cake and gift table etc placed in room. We highly recommend you contact our Function Manager who can become your personal wedding planner for your special day, assisting you with not only the ceremony and reception venue to providing you with floral specialists, photographers, wedding singers and celebrants contact details. Whether it is a cocktail or a sit down reception, the hire includes 6hrs for your function (finishing at midnight), the bridal and guest tables with table linen and cloth napkins, up to 80 chairs (cane or white plastic chairs; chair covers & sashes are not included), gift and cake table, and decoration set up (includes table arrangements, placement cards, bonbonnieres and table plan display which is all to be provided by wedding party). Wedding Venue Hire Venue capacity We can organise weddings for a minimum of 40 people, up to 80 people for sit down functions and 100 people for cocktail style evening (in summer season only). Hire fees Options Fees Ceremony only Available from 4pm only, for 1 ½ hr maximum. $500 Pre- Reception & Reception only 6 hrs maximum hire, finishing at midnight $800 Ceremony, Pre-reception & Reception $1300 The ceremony hire includes: 20 chairs (without chair covers & sashes), cream aisle runner, signing table, musician area (power if needed) and our beautiful staff to assist with drinks & canapés. The reception hire includes: the bridal and guest tables with table linen and cloth napkins, up to 80 chairs (cane or white plastic chairs, chair covers & sashes are not included), gift and cake table, decoration set up (table arrangements, placement cards, bonbonnieres, table plan display which is all to be provided by wedding party) and music player. Winter Special For the couples who book both their ceremony and reception at Fairbrossen Estate during the winter months (June, July & August), we are happy to offer a 75% reduction on the Ceremony Hire Fee. Every couple who gets married at Fairbrossen will beneficiate from reduced prices on Leanne’s beautiful French vintage chairs (white or wooden). Menu Options To complete your beautiful wedding reception, we offer you the choice between the following packages. Our chef is also able to cater for special dietary requirements (vegetarian, gluten free…). If any, please confirm them with the function manager during the final meeting (4 weeks before the function date). No food may be brought into Fairbrossen with the exception of a wedding cake. Kids Options Kids options are available upon request for kids between 3 and 10 only. Wedding Cake Following the cutting of the cake by the bride and groom, three distribution options are available: Options Prices Plates, Forks & Napkins (on the cake station) For your guests to help themselves to your wedding cake $1.00 pp Gift bags (to take away) The cake will be sliced and packed up into individual wedding bags. $2.50 pp Cake servings The Chef will slice the wedding cake, plate it individually and garnish each serving with coulis and double cream. $3.50 pp Tea & Coffee A tea & coffee station is included in all our function options. The station includes a jug of filtered ‘5 Senses’ coffee and a jug of English Breakfast tea that will be refilled at will. Terms & Conditions Tentative bookings Fairbrossen does not accept ‘tentative’ bookings. Once you have discussed all of your requirements with our Function Manager, to secure your booking you should complete, sign and return the Function Booking Form with the credit card details. No function will be considered booked until our Functions Manager has received the form and has confirmed it with you. Please note: Credit card details are required for security purposes only and need to be filled even if not paying by this method. Deposit For weddings, a non-refundable deposit of 50% of the venue hire will be required. The Wedding Booking Form must be completed, signed and returned to Fairbrossen with the deposit in order to secure your booking. A receipt will be issued. The balance of the venue hire as well as the food and beverage bill is to be paid 14 days prior to the wedding date. Please note: Prices are valid from 1st July 2015 to 30th June 2017. Whilst every endeavour is made to maintain prices as printed, some prices may be subject to change. All quoted prices will be fixed once the deposit is received. Cancellation Should you wish to cancel a confirmed booking, the notification must be received in writing as soon as possible. If the cancellation is made after payment of the whole bill (so within 14 days), we reserve the right to charge a fee of the estimated total cost of the function (venue hire, food and beverages) as follow: Time Fee Within 8-14 days 50% Within 7 days 100% Final Confirmation Final numbers, food and beverage selections as well as any special dietary requirements are to be finalised with our Function Manager at least 14 days prior to your wedding. Failure to do so may result in some food/ beverage options being unavailable. Should guest numbers on the day be less than the confirmed number, you will be charged at the confirmed rate. The total estimated food bill and 50% of the beverage bar tab amount is to be paid 14 days prior to the wedding by cash, EFT, credit card (Visa and MasterCard only) or debit card. The balance is to be settled on the day of the function prior to leaving the premises. Failure to make payment will result in your credit card being debited for the full amount of your bill (as authorised by the signature on the credit card details supplied on the Function Booking Form). Beverages We do not permit guests to bring their own alcohol. We practice the responsible service of alcohol and will not serve any guest who appears affected by alcohol. We are not permitted to serve alcohol to guests under 18 years of age. The management’s right to determine the responsible service of alcohol will be paramount. This may include the direction for affected guests to leave the premises. Entertainment Due to our rural location, we must maintain a control on sound levels from musical instruments or recorded music, especially after 10pm. We cannot permit instruments or recorded music likely to cause offence to our neighbours. Please discuss with our Function Manager before booking any entertainment acts for your function. Decorations Decorations may be set up prior to the event with approval from the Function Manager and must be removed prior to the next café service or a $50 storage fee/day will incur. Also, any assistance given by our staff will be charged at an additional cost of $35 per hour. No confetti or similar is allowed or a $100 cleaning fee will imply. Rose petals acceptable. For the list of decorations available for hire, please contact our Function Manager. Smoking Due to rural fire hazards, no smoking is permitted in the café, toilets or garden areas. A small dedicated area shall be made available on the lawn near the car park only. Weather Fairbrossen does not take responsibility for inclement weather. Should the weather be unsuitable for any of your outdoor event we would be restricted to the cellar door, the outside decking and the café area. All measures would be taken to avoid this ruining your function. However, if any marquee is to be set up, please note that it would be at your own cost. Damage/Insurance Any damage to the property, equipment, fittings or surroundings caused by your guests to Fairbrossen Winery & Café venue and vineyards will be the financial responsibility of the client. Costs of replacement, repair and/or extra cleaning (at the cost of $35 per hour) shall be added to your final account and must be paid within the 7 days following your function. Failure to make payment will result in your credit card being debited for any outstanding costs (as authorised by the signature on the credit card details supplied on the Function Booking Form). Fairbrossen Winery & Café will not be liable for any accidents occurring in the venue/vineyard or any damage or injury suffered to or by children, including if children leave the venue or are left unattended. Closing time The venue closes promptly at midnight. All music must end at this time and guests shall have departed. Regrettably, no extensions are permitted.
