Conference Staff Bios 2 May 2, 2006 Dear VACURH delegates, NCCs, and Advisors, This conference is all about trying new things, making an impact, and representing the school you come from. We want everyone to be willing to explore the vast ocean of resources surrounding them. VACURH is just the place to try something you might have thought “fishy” or to reel in some knowledge and experience. Often times at conferences we catch lots of useful tools and information, but what happens after we reel them in? Many delegates simply toss them right back into the great blue abyss. One of our biggest conference goals concerns what happens after VACURH. We want all delegates to take back their “catch of the conference” and to share the new things they have learned with their RHO. Everyone at VACURH is representing their school. You may be a small fish in a big pond or a small fish in a seemingly giant ocean, but we are all part of something bigger. Nothing resonates clearer at a conference than school pride. At this conference, we want you to show us what your pond is like in the midst of interacting with all the other schools of fish. Whether you are fishing for leadership, spirit, members, or fun, VACURH 2007 is just the place to make a splash! Hope you swim by soon! Fins and splashes, Meagan M. Callihan Jeyfe Sucgang Meagan Callihan Conference Co-chair Jeyfe Sucgang Conference Co-chair ….and the rest of your VACURH conference staff! 3 4 Virginia Tech The Virginia Polytechnic Institute and State University began in 1872 with 132 students and 2 programs of study. Currently it is popularly known as Virginia Tech and has evolved into a comprehensive university of national and international prominence. As Virginia’s largest university with over 25,000 students and one of the top 50 research institutions in the nation, it is an institution that firmly embraces a history of putting knowledge to work. That tradition is rooted in our motto, Ut Prosim: “That I May Serve,” and our land-grant mission of instruction, teaching, and solving the problems of society through public service and outreach activities. Our eight colleges (Agriculture & Life Sciences, Architecture & Urban Studies, Engineering, Liberal Arts & Human Sciences, Natural Resources, Pamplin College of Business, Science, and Virginia-Maryland Regional College of Veterinary Medicine) and Graduate School offer more degree programs than any other university in the state with 60 undergraduate and 120 graduate offerings. Virginia Tech is one of the nation's leaders in developing and using instructional technologies. The Residence Hall Federation The Residence Hall Federation of Virginia Tech serves as the governing and programming body for the Virginia Tech campus and its 9,000 residents. The RHF possesses one key mission—“to improve residence life in any manner possible.” The many volunteers who are committed to providing residents with a positive living and learning environment through legislation, programs, campus wide activities and community services carry out the Residence Hall Federation’s mission. The National Residence Hall Honorary The mission of the Virginia Tech NRHH is to serve the Virginia Tech community by recognizing leadership, providing resources, encouraging programming and giving service through a diverse organization of support on a local and national level. NRHH does so based on the foundation of the university motto, Ut Prosim: “That I May Serve.” 5 Conference Overview Conference Dates February 9-11, 2007 Location Virginia Tech Blacksburg, VA Housing Amerisuites 1020 Plantation Road Blacksburg, VA 24060 (540) 552-5636 Holiday Inn 900 Prices Fork Road Blacksburg, VA 24060 (540) 552-7001 Dining D2 all-you-care-to-eat dining hall Meeting Location Squires Student Center Email Address vacurh2007@vt.edu Website Address to be announced Conference Capacity 200 delegates Registration Deadlines Registration Deadline January 22, 2007 Late Registration Deadline/Alternate Notification January 29, 2007 6 Schedule Friday, February 9 3:00-6:00 PM 6:00-7:00 PM 7:00-7:50 PM 8:00-10:00 PM 10:00-12:00 AM Delegates Arrive at Squires Student Center Dinner—D2 Roll Call Practice Roll Call Activities—Breakzone Saturday, February 10 7:30-8:30 AM 8:45-9:45 AM 10:00-10:50 AM 11:00-12:30 PM 12:45-1:35 PM 1:45-2:35 PM 2:35-3:10 PM 3:10-4:00 PM 4:10-6:10 PM 6:10-7:30 PM 7:30-9:30 PM 9:30-1:30 AM Continental Breakfast General Session Programming Session I/NCC Meeting Lunch Programming Session II Programming Session III Break/Selection of Top 10 Programs Top 10 Programs State Meeting Break Banquet Dance Sunday, February 11 7:30 AM Continental Breakfast 7 Sleep HOTEL Total Capacity (# of rooms) Banquet spaces or meeting rooms? I am a member of a team of leaders planning to host the Virginia Association of College and University Residence Halls (VACURH) conference here at Virginia Tech in February 2007. The purpose of VACURH is to "design and facilitate programs and informational services to promote the educational goals of residence hall students through discussion groups, seminars, speakers, annual conferences, and other means of information throughout the year." VACURH is the state organization of NACURH (National Association of College and University Residence Halls), the leading national organization advocating for the interests and welfare of residence hall students, while also providing opportunities for their personal growth and development. It is an organization of students committed to developing leadership, honoring diversity, recognizing achievement, as well as stimulating engagement and involvement among students who reside in college and university residence halls. The dedicated conference team sees VACURH 2007 as an excellent opportunity to represent all that Virginia Tech and its student leaders have to offer. The theme of the conference is Go Fish! This conference is all about trying new things, making an impact, and representing the school you come from. We want everyone to be willing to explore the vast ocean of resources surrounding them. VACURH is just the place to try something you might have thought “fishy” or to reel in some knowledge and experience. We plan on making VACURH 2007 the best state conference ever through the implementation of innovative ideas by our talented team. In order for us to host a successful conference, we are asking distinguished companies to aid us in financial and/or product donations. In return for your support, you will obtain state-wide recognition, as more than twelve colleges and universities in Virginia send delegations of students and advisors to attend the conference. This provides you with both the opportunity to help a worthwhile cause as well as a way to gain recognition and support from the colleges and universities affiliated with VACURH. Thank you very much for taking time to read this letter and consider your future gains through sponsoring VACURH 2007 at Virginia Tech. If you would like to visit our website for more information, please do so at ????????????. I look forward to contacting you within the coming weeks to discuss any questions you may have. Since many fixed costs are associated with planning and running the conference it is unfeasible and unlikely that full refunds to conference delegations will be permitted unless weather related. Under no circumstances will individual refunds take place. In the unlikely event that the conference is cancelled, the Finance Committee will evaluate surpluses and reallocate funds evenly amongst delegations. In the event that an entire delegation is unable to attend due to weather, a 24 hour notification of the absence (or likelihood of absence) is required for any later refund considerations. Again, refunds will be allocated on conjectured budget surpluses. Due to the potential obstacle of inclement weather in Blacksburg, VA during February, there is a possibility that travel conditions may prevent the attendance of some or all delegations. Additionally, conditions on the Virginia Tech campus and its surrounding areas may be threatened if inclement weather presents. If this were to result in the closing of the University, a cancellation of the conference would be the outcome. I acknowledge the financial risk associated with VACURH 2007. I understand that no individual refunds will be allotted under any circumstances and that delegation refunds will only be permitted in justifiable situations and under unforeseen circumstances. I further understand that refunds can only be given in the event of budget surpluses and that they will be distributed through fair and efficient means. Indemnity: In signing this document, I agree to indemnify and hold Virginia Polytechnic Institute and State University harmless from any and all claims, actions, suits, procedures, costs, expenses, damages and liabilities, including attorney’s fees brought as a result of my involvement in VACURH and to reimburse them for any such expenses incurred. I further agree that the foregoing waiver and assumption of risks agreement is intended to be as broad and inclusive as permitted by the law of the State of Virginia and that if any portion thereof is held invalid, it is agreed that the balance shall, notwithstanding, continue in full legal force and effect. I have read this waiver of liability, assumption of risk, and indemnity agreement, fully understand its terms, and understanding that I am giving up substantial rights, including my right to sue. As a leadership organization that works largely with college students under the legal drinking age, it is recognized that alcohol is not needed for a good time or to promote positive growth. Illicit drugs can be lethal. Therefore, all events in which VACURH funds are used will be designated “alcohol and drug free.” The method of enforcement will be at the discretion of the Conference Staff, in consultation with advisors.
