2017 Maintenance Fees At the May 25th meeting of the Board, the 2017 Budgets were approved with increases to the maintenance fees. The increases vary from 2.4% to 3% and are necessary due to increases in the cost of insurance, propane gas, payroll and anticipated capital expenditures. Every effort has been made to control these increases, and we are careful to continually insure that we remain competitive with other timeshare communities. An example of our sound budgeting ability is the fact that no increase is used to offset budget shortfalls from the preceding year, as there are virtually no such shortfalls. Our aim is to maintain the standards you have come to expect of your home away from home, and to plan ahead for needs and improvements of the Resort to avoid special assessments, unpleasant surprises, or a lessened experience. As a reminder, accounts must be paid in full no later than October 1st. Late payment fees are levied thereafter ($50 per week), and finance charges of 1 1/2% per month are also assessed. Payments may be made by check or by VISA and MasterCard. A convenience fee of 2% of the total is assessed if VISA or MasterCard are used. Mahalo for your continued support! Board of Directors Nomination Nominations are now being accepted through September 23, 2016. Lawai Beach Resort Timeshare Association has three positions (one representative for each building) for a three year term up for election. You must be an owner in the building you wish to represent and you may not represent more than one building. Lika Lani Timeshare Owners Association has one position for a three year term up for election. Elections will be held at the annual meeting on January 25, 2017. If you haven't received your statement by the end of July, please contact Malia Freitas at m.freitas@lawaibeach.org the upper and lower lobby. We are working with the contractor to have this project scheduled within the next couple of months. In August, projects scheduled to date are the retiling of the Coral spa and renovation of the Alii pool restroom. If you have not been home recently, a pool wristband policy was instituted on May 19th due to the many instances of outside guest(s) at our pools; this will easily identify our registered owners and guests. Summer is here, you can feel the change in the air (hot and humid). The ocean swells moved from the north back to the south, so SURF’s up! 2007 to present: We continue to have Spalling concerns. These repair costs have been in excess of $800,000. 2010: Purchased Genie Lift for $15,650 – this is used for tree trimming, high cleaning and painting by our staff. In the past, we rented one for 4 to 6 weeks annually at a cost of $1,200 per week. Our vendors also use it when needed, thereby decreasing our overall cost of the project. Savings to date is $81,500. 2011: PPA for photovoltaic solar with no out of pocket cost $5.5 million. Lika Lani was just completed. Energy savings since it came on line in August 2013 is $219,000. 2011: New roofs on all buildings included in the photovoltaic solar project, savings $1.6 million. 2011 – 2014: Completed a $3.1 million renovation to Alii timeshare units. But don’t forget to check the progress of current projects on the website, www.lawaibeach.org. In the Alii units, we removed the area rugs as it was stained and could not be cleaned. A sample has been installed in a unit to measure how well it wears. At the September meeting, the Board members will make a decision based on the condition. The Executive Suites in the Banyan building will be getting new entertainment centers in July. The existing center will be removed from the wall; followed with repair and painting. The new center will then be installed with larger TV sets mounted on the wall. Later this year, these units will also have the tile replaced in the entry through to the kitchen and in the bathrooms. Bathroom renovation will include a walk in shower in the master bath (removing the Jacuzzi), new counter top with under mount sink, comfort level low flow toilet and new plumbing fixtures throughout. In the guest bath, tub and tile surround is also being replaced, new counter top with under mount sink, comfort level low flow toilet and plumbing fixtures throughout. Over at the Coral building, the units are getting new drapes and sheers soon. The Board members chose a Papaya color scheme, which works well in both the living room and bedroom(s). The lobby will be refreshed with the removal of the wall paper behind the registration desk. No. We are a sold out property and do not have excess inventory. You should check with your exchange company if their inventory has this availability. You may also check if another one bedroom is available for rent through HTSE as another option. How many people can sleep in a one bedroom? And a two bedroom? The maximum occupancy for a one bedroom is 4 people and 6 people in a two bedroom. Does the Resort have an onsite babysitting service? You may contact the Concierge Desk for recommendations by phone at (808) 742-1732 or by email at biba.lbrmarketing@outlook.com. -3- SUMMARY of the JOINT MEETING of the ASSOCIATION OF APARTMENT OWNERS OF LAWAI BEACH RESORT and the LAWAI BEACH RESORT TIMESHARE OWNERS ASSOCIATION BOARD OF DIRECTORS May 26, 2016 Call to Order Jerry Stewart, President called the meeting to order at 9:00 a.m. on Wednesday, May 25, 2016 in the Rooftop Center at Lawai Beach Resort, 5017 Lawai Road, Koloa, Kauai, Hawaii. without any special assessment to owners. Spalling occurs when the steel reinforcement in the concrete is exposed to moisture causing it to rust and expand, cracking the concrete. When these buildings were built in the 80’s, building codes didn’t require as much concrete over the rebar as it does now. We are working to address a few areas on property that was found, such as the garage and Alii lanais. Finance: (Michael Harrow, Chair) Financials: The Resort’ financial statements were reviewed at the Board’s preliminary meeting. Staff will provide the information further in the meeting. Roll Call & Introductions See complete meeting minutes. Capital Fund Update: The reserve funds and pending projects for each building were reviewed to determine the availability of funding for upcoming projects. Approval of the January 2016 Meeting Minutes (MSP: Kent/Goeldner): To approve the minutes of the January 2016 meeting. Hawaii Timeshare Exchange (HTSE) Sonya Halladay (Operations Manager): We have two locations, here at Lawai Beach Resort and at the Imperial Hawaii Vacation Club in Waikiki. We offer exchanges, rentals, bonus weeks, last minute specials and travel arrangements. You are able to place your week in the rental program, bank your week, book your exchange week or initiate a search for a specific week up to two years in advance. A new feature that just went live on our website is the ability to add a request in your account. Once logged in click Add Request and you will be able to add location, dates, unit type, etc. If you have any questions feel free to contact us Monday through Friday, 8:00 a.m. to 4:30 p.m. Hawaii Time. (MSP: Buck/Kent): To approve the 2017 budget. General Manager’s Report: (Noe Hookano) Property Overview: The Resort as well as the lawns are thriving. Financials: October 2016 – April 2016 AOAO: Total income is $2,045,896; total expenses are $2,085,395; with a shortfall of $39,499. Capital Reserve balance is $230,411. TSOA: Total income is $ 4,686,341; total expenses are $ 4,612,830; with a surplus of $ 73,511. Capital Reserve balance is Alii: $ 253,009; Banyan: $321,466; Coral $498,992. Receivables The receivable balance as of April 30, 2016 is $521,573 (Alii - $166,451; Banyan - $199,635; Coral - $155,487); compared to $321,612 in 2015 (38.34% variance). Write Offs (MSP: Harrow/Buck): To approve total write-offs of $193,168.24. Foreclosures and Liens: The foreclosure auction was held on April 27, 2016 with 22 intervals sold. The remaining 89 intervals will be returned to the Association. Unfinished Business AOAO Trash Chute Doors: This project is complete. Property Operations The Board of Directors and Management Staff met on Monday, May 23, 2016 at 10:00 a.m. Information Services: (Calvert de Coligny, Chair) The newsletter is a great way to keep abreast of what is happening at the Resort. It is printed three times a year with articles due for the Summer issue by June 13, 2016. It is distributed by email unless a black and white hard copy is requested. We have upgraded our cable programming but the Coral cable wires need to be replaced. The project will start on June 1, 2016 and should take 10-15 business days to be completed. Building & Grounds: (Jerry Stewart, Chair) Building Spalling: We discovered our first spalling issue at Alii in 2007; to date we have completed approximately $800,000 in repairs Solar Energy: This project is complete. Genie Lift: The lift was repaired. Golf Carts: The carts arrived and are in use. House Rules Wristbands: A wristband policy was implemented on May 19, 2016 due to an increased number of registered guests inviting others to utilize Resort amenities such as the pools. Banyan Spa Heat Exchange: Installation complete. The water level of the -4- spa has not decreased since installation. at a cost not to exceed $3,000. Variable Frequency Drive’s (VFD’s): This project is ongoing with one pump installed at the Banyan spa. VFD’s allow the pool and spa pumps to run at a lower rate while the pool is closed thus saving energy. Coral Spa: The Coral spa has been tiled over once and we feel it is time to remove both layers of tile and resurface the spa. (MSP: Harrow/Kent): To approve Pacific Island Pools at a cost not to exceed $27,000. TSOA Alii Appliances (Range, Range Hood/Microwave, Washer/Dryer, Dishwasher): All ranges, washers, dryers and dishwashers were replaced. The Over-The-Range Microwave/Hood will be replaced during the General Maintenance week as it requires more time to be installed. TSOA Alii Area Rugs: We have a sample in a unit and will be monitoring the wear and tear over the next three months. Banyan BES Entertainment Center: (MSP: Blohowiak/Kent): To ratify the purchase at $3,855 for both entertainment centers. (MSP: Blohowiak/Kent): To approve RB Construction at a cost not to exceed $2,200 for installation. Bedroom TV & Mount: This project is complete. Banyan Renovation Project: There are 42 units complete. BES Lanai Ceiling Fan: Their lanais don’t have a breeze like the other units do being that their entry doors within the commercial core. We are looking to add a ceiling fan on the lanai to create a comfortable environment. Drapes & Sheers: We are waiting for samples from vendors. Bedroom TV & Mount: This project is complete. Coral Wall Clocks: The wall clocks needed to be replaced. (MSP: Harrow/Buck): To ratify the purchase at $1,500. Coral Floor Tile: There are 16 units complete. Kitchen Light Fixtures: There are 35 units complete. Report of Executive Session There was no Executive Session. Drapes: We are waiting for samples from vendors. Financials October 2015 – April 2016 AOAO: Total income is $52,642; total expenses are $51,853; with a surplus of $1,853; Capital Reserve balance is $4,529. Receivables The receivable balance as of April 30, 2016 is $14,393 compared to $15,042 in 2015 (4.5% variance). The popularity of bocce in America has risen every year, it is a fun and challenging game for all ages. The bocce set and instructions are available at the Front Desk. Bocce can be played every day, on any of the lawns at LBR from 9:00am to dusk. -13- 30 Years of Dedication With great honor at the May 2016 Board of Directors meeting we were able to acknowledge three of our long term associates for their continuous service of thirty years. It was our privilege to present Noe Ho'okano, Patsy Shafer and Helenda Bueno with a plaque that displays their many years of dedication. It is our intention to display this plaque showing varying years of service for all our long term associates. This beautiful plaque will be proudly displayed in the main lobby of the Banyan building. It is unusual to have long term employment at the same resort in the time sharing industry. This 2.9-mile walk is a wonderful way to stay healthy and kokua (help) the community. Once again, Lawai Beach Resort sponsored an Aid Station handing out bottled water and homemade candy pretzels wrapped in ti leaf. With a total of 16 associates, their family members and board members, we cheered the walkers towards the finish line, where they enjoyed an ono (delicious) breakfast! All funds raised go toward 40 not-for-profit agencies on the Island of Kauai. Owners and Guests are encouraged to participate next May and can earn a Charity Walk tee-shirt with a $35 pledge. The only race of its kind on Kauai! Join 300 other swimmers from all the other Hawaiian islands as well as the mainland and international visitors, in one of four open-water races. In addition to two races held for the Keiki (kids) there will also be a 1,000 and 3,000 meter courses. Tradition of this race honors each Keiki who finishes the race with a ribbon, while in the adult races the top three swimmers in each category receive a medal. 7:00 AM to noon. KAUAI MOKIHANA FESTIVAL Kauai Mokihana Festival is a week-long celebration of Hawaiian culture and includes educational lectures, music and hula competitions at locations around the island of Kauai. -20- Sept 18-24 Monday, September 19th, 7:00 PM – Kauai Composers Concert & Contest (Kauai War Memorial Convention Hall) - Celebrating its 32nd anniversary as a founding event of the Kaua`i Mokihana Festival, this event encourages the composition of new music through its various categories including: Hawaiian (must be in the Hawaiian language), Contemporary Hawaiian, Open, Professional and Youth (13-15 years old). Trophies and cash prizes are awarded. Participants in this contest are inspired by sharing their personal musical creations with the Island’s people and visitors. Wednesday, September 21st, - Cultural Presentation (Location and Time: TBA) A cultural event related to this year's theme - The Year of Hawaiian Hospitality. Thursday, September 22nd, 6:00 PM - Hula Competition: Solo/Group Kahiko Nei (Location: TBA) - This event demonstrates a creative and unique idea in hula in the ancient style (kahiko) with a slight twist of Kaua'i flavor. Newer chants are encouraged by judges. Chants that are 10 years old or less get five bonus points. Bonus points are given to chants 20 years or younger. Friday, September 23rd, 6:00 PM - Hula Competition: Group `Auana (Location: TBA) - This is the second evening of hula competition and features hula ʻauana, or modern hula. This group competition allows the hula school (halau) to use traditional, borrowed or newly created implements to add a "contemporary" flavor to hula. This event encourages the ingenuity and creativeness of our kumu hula. Categories include: Kaikamāhine, Keikikāne, Wāhine, Kāne, Kūpuna and Hui/ʻOhana. Come early, as Kauaʻi's Aloha Festival's Royal Court will attend this event in full regalia with ceremonial entrance. Saturday, September 24th 12:00 Noon. - Hula Competition Solo 'Auana Finale (Location: TBA) - The finale cannot be missed. First, solo competition enchants the audience. Then, all the competing hālau and audience wait breathlessly to see the winners announced by the judges. This year, special solo awards are offered by Hawaiʻi Community Foundation. For more info: www.maliefoundation.org Oct 1-2 Oct 8 THE COCONUT FESTIVAL at Kapaa Beach Park. This popular community festival provides demonstrations about the many uses, by-products and history surrounding coconut, a vital staple among Polynesian cultures. The festival also provides continual entertainment, cooking demonstrations by Kauai’s signature chefs, a large gathering of Kauai artisans (featuring certified Kauai Made vendors), crafters and Polynesian products. In addition there will be kooky coconut games, pie-eating contests, a coconut cook-off contest and hands-on activities. 9:00 AM - 5:00 PM For more info: Tricia (808) 652-4988 EO E EMALANI I ALAKAI Festival Kanaloahuluhulu Meadow fronting the Kokee Museum. This is a free commemorative event honoring Queen Emma's ascent into Kokee in 1871. Day long hula and Hawaiian music, chant and oli. A royal procession on horseback at noon. 10:00 AM to 4:00 PM.
