INTRODUCTION
Business cards are the most direct and personal method of giving out
contact information to potential and current clients. This document outlines
the standards and guidelines for agent and staff business cards.
When an agent requests an alteration to the business card beyond the
set standards (unapproved logos, titles, artwork, etc.), managers should
encourage the agent to use other personal marketing pieces to convey that
information.
Keeping our business cards consistent and user-friendly is an important
factor in supporting Windermere’s brand and marketing strength.
Approved vendor for
ordering Windermere
business cards
Business cards should only be ordered via the Windermere eStore, where
you can set up, proof and place your order online. You can reach the eStore
on the WORC > Marketing > eStore.
formerly Windermere Supplies
On the eStore site, click Customized Print on Demand and locate your
preferred business card setup. Standard designs include 2-sided photo
business cards and non-photo business cards.
Manager’s review
Managers will receive emailed proofs of their agents’ orders as the orders
are being placed. Agents are made aware of this as they place their orders
online via the eStore. While manager approval is not required to process
the order, agents should be encouraged to discuss their orders with their
manager prior to placing them. Managers can also advise their agents
in advance that they will see proofs of the orders and that if a business
card does not comply with guidelines, the agent will need to reorder the
business cards at their own expense.

Windermere’s preferred business card design is the non-photo business
card printed on #130 (heavy-weight) linen paper. The substantial thickness
of this elegant, high quality paper reflects Windermere’s commitment to
excellence and provides a tactile way for our clients to distinguish us from
other companies.

Agent photos
Only a professional headshot photo of the agent is acceptable on business
cards. We recommend that headshot photos be updated every 2–3 years.
Photos of agents pursuing a favorite hobby, or with their family pet,
are not acceptable. We encourage the use of these more casual photos
on other personal marketing materials, as it may generate new business
through a common interest. As an example, if the agent is a golfer, a casual
outdoor photo with their clubs would be appropriate on other personal
marketing materials, but not on a business card.
For your convenience, your headshot photo is stored on the eStore site,
ready whenever it’s time to place your next order.
Email versus
home page
address
Windermere business cards allow for the inclusion of an email address.
We prefer the inclusion of the agent’s email address as a prerequisite to
having a web page address for these reasons:
 Email is a form of direct contact with the agent—like a phone
or fax.
 Referring someone to a webpage is like referring them to a
personal brochure or any other marketing effort. It strays from the
concept that a business card is strictly a business communication
tool that tells the public (simply and succinctly) how to directly
contact the agent.
A web page address may be used on business cards if the agent feels that
it will lead to additional transactions and if it fits comfortably in the space
provided (32 characters or less).

Office common name
Your office’s common name is allowed on your business card. It is optional,
but it cannot be edited on the online ordering system.
Office legal name
(as licensed)
Your office’s legal name as licensed must be on your business cards
and is not editable. This field is auto-populated on the online system
and reflects the information associated with your office on the
Windermere.com online roster.
Office address
Your office address as licensed is auto-populated and can be edited.
We discourage editing of this field because the online data will always
reflect the most current address information associated with your office
as per the Windermere.com online roster. Any edits to the address line on
the cards should be to clarify the address or for aesthetic reasons such as
changing “#” to “Ste.” or “Suite”, etc.

Up to 2 symbols may be used on any card. Agents can choose from the
approved symbols shown below.

OPPORTUNITY
On occasion, a new Windermere office will request a symbol that they had
been using prior to joining the Windermere network. These symbols must
be approved by your regional Windermere Services office prior to being
added to the eStore online ordering system. The office must then supply
a high-quality digital file of the newly approved logo in .EPS format. Send
digital files to eStore@windermere.com.

Agents may select titles from the approved primary and secondary
titles listed on the eStore online order form. Managers should call
their regional Windermere Services office if they have a question about a
title or have reason to believe that a title should be added to the approved
titles list. Your regional Services office will contact Windermere Services
Company to request that the title be added.
Marketing
and personal
slogans
A business card is a communication tool that should be used simply to
inform the public of the agent’s name, function and how they can best be
reached. Agents are certainly encouraged to promote their work experience
and other features/benefits on other personal marketing materials such as
brochures, postcards and websites.
Slogans are not allowed on business cards in the title field or anywhere on
the card.
Designations
Some agents select one title, but also want to list designations such as GRI,
CRS, etc. That is acceptable and agents can include as many as will fit on
the second title line. (Agents will still need to choose a primary title.)
Sometimes agents request a designation such as GRI, and a title that spells
out the designation, such as “Graduate REALTOR® Institute.” Since the
public generally doesn’t know what the designations mean, we discourage
spelling out the designation as a title because “Graduate REALTOR®
Institute” doesn’t describe the agent’s function, like “Sales Associate” does.
Instead, we encourage agents to use one of the titles from the approved
list, which more plainly describes their function or specialty.
Although we do not encourage the spelling out of designations, it is
allowed as a secondary title.

Fill-in-theblank titles
There are two options for fill-in-the-blank titles:
Fluent in foreign language
Agents fluent in foreign languages may include the title “Fluent in...”
No other form of this title is authorized. To use this title you must
enter in the language in which you are fluent.
Example: Fluent in Spanish (27 characters)
Licensed in another state
The online order form allows you to specify the states in
which you hold a license (if in more than one state). Only states
served by Windermere may be selected.
Example: Licensed in Idaho and Washington
Special title requests: Real
estate related specialties
If an agent truly specializes in a unique area, a manager can approve the
title as long as the word “Specialist” is used in the title. For example, an
agent in Kettle Falls sells only ranch land. So “Homes on Acreage Specialist”
would be appropriate, but only if the agent ONLY deals in ranch land.
Because custom specialty titles are not built into the online ordering
system, an order with an approved special title request would need to be
created offline, incurring an additional setup charge and production time.

When considering a special title request, a good rule of thumb to follow
is to ask whether that title will help an agent generate more transactions.
If it will not, then it’s probably best to save time and money by finding an
alternate solution within the existing title selection.
Some hazards with
specialties
If an agent conducts business outside his or her function as declared in the
title, it can be a legal issue. For example, if the agent’s title is “Buyer’s Agent”
and they occasionally represent a seller, they could be liable for damages.
The appropriate title would be “Buyers Agency Specialist”—as on the
approved list.
Geographic titles can be limiting to the agent. For example, does “Pierce
County REALTOR®” mean the agent can’t work with a buyer or seller in
South King County? The danger with titles is that they often confuse the
public, and limit business.

Multiple title requests
Windermere’s business card formats allow for up to two titles below the
agent’s name. If an agent would like two titles, both titles must be on the
list of approved titles.
Some states legally require licensees to choose from a set list of primary
titles, and the eStore online order form has been set up to comply with
these rules. If you have questions about required primary titles, contact
your regional Services office (see page 17 for regional Services office
contact information).
If your duties require more titles than our business card format allows,
perhaps you are in need of two separate business cards. For example,
a licensed real estate assistant who also works with an agent at Builder
Services has two very different jobs. That person may want two separate
business cards, one to use with her title as “Licensed Assistant to Jane
Agent” and her appropriate contact information for that role, and a
second business card with “Community Sales Manager” with the contact
information for the on-site office at the development site.
Business cards in a foreign
language
Printing an exact translation of your card in a foreign language is allowed,
but must be done as a separate, special order.
There is a check box on the online order form that allows for arrangement
of translation services. Please note:
 There will be an extra charge involved.
 There will be a longer turnaround time for these orders.

Standards for Commercial business cards are almost exactly the same as for
regular business cards. The main differences are:
 There is no agent photo option for Commercial business cards.
 The Windermere Commercial logo is used on both sides, instead of
the Windermere Real Estate logo.
