Dear Dixie Youth AA Machine Pitch Visitors,
It is my personal pleasure and honor to offer you a warm welcome to the
City of Troy for the 2016 Dixie Youth AA Machine Pitch State
Tournament. On behalf of our citizens, our recreation staff, our many
volunteers and governmental officials, we hope your stay in Troy is
memorable.
Troy offers many amenities usually found in cities much larger, while
maintaining the warmth and friendliness of small town Alabama.
Although much of your time will be spent at our recreation facility, we
encourage you to explore the City of Troy. Discover our warm
atmosphere. Witness our progressive future built upon historic roots.
As the parent of three boys, I too have spent many hours at the ballpark
and at tournaments such as this and I know that many unexpected things
will occur while you are here and away from your own homes. It is our
goal to make your trip to Troy and the 2016 Dixie Youth AA Machine
Pitch State Tournament the best experience possible. If we can assist you
in any way, please don’t hesitate to ask.

AA STATE TOURNAMENT INFORMATION
Congratulations on earning the right to participate in the Alabama Dixie Youth Baseball AA State
Tournament. Hopefully this event will be the highlight of your summer and one that will be
remembered for years to come. We are sure that there are questions in the minds of the players,
coaches, parents and your supporters. The purpose of this information packet is to try and answer
those questions in advance and remove as much of the anxiety as possible, and hopefully
contribute to a smoother tournament.
The Host Committee has been asked to have a local couple assigned to each team as your Team
Parents to help you during your stay. The Host Parents are here to assist you in finding your way
around town and let you know the when, where’s and how’s of the state tournament and the
community.
The Host has blocked motel rooms for each visiting team. Immediately after learning that your
team will be coming to the AA State Tournament your team manager should follow the hosts’
instructions in this packet to reserve the rooms blocked for your team and confirm the number of
room reservations your team will require. It is very important that you follow the motel instructions
in this packet. The Host will be releasing the room block before your team arrives so please note
that time is of the essence for your team to secure their lodging before you get into town for the
AA State Tournament.
Please note that each team and/or their league will be responsible for paying for the costs of their
teams lodging, food and other costs incurred by the team during their stay at the State
Tournament.
At the State Tournament Coaches & Credentials Meeting the Tournament Director and the Host
Committee Chairperson will cover the specifics of this weeks play.
Required Paperwork
At the Credentials & Coaches Meeting each team manager must have the following paperwork to
submit 1. Tournament Affidavit;
2. Birth Certificate or Certification of Birth documentation for each player;
3. Medical Release Form signed by each player’s parent or legal guardian;
4. Proof of Insurance.
5. Proof of Manager/Coaches completing on-line CDC Concussion Awareness Training.
Note: No team will be allowed to participate in an Alabama Dixie Youth Baseball State Tournament
if they do not have an Excess Accident policy with a Medical Limit of at least $50,000 and a General
Liability policy with an each occurrence limit of at least $1,000,000 combined single limits for bodily
injury and property damage. If the policy is not purchased from Sadler, Inc. it is required that the
team’s General Liability policy name Dixie Youth Baseball, Inc. as an additional insured.
Please take a few minutes before you leave home to come to the State Tournament to make sure
all of your paperwork is in proper order. Doing so in advance may alleviate problems and/or delays
at the meeting.
Dress Code for Players and Coaches for Opening Ceremonies and Games
Players - must be dressed in full uniforms (belts, shirts, pants, leggings, shoes, patches).
Managers and coaches - must be dressed alike in long pants (no shorts, cutoffs, blue jeans, sweat
pants or wind pants) or baseball pants matching the players.
Tournament Play
The theme for the week’s play is GOOD SPORTSMANSHIP. The bottom line is that we are here to
watch our children play a game, so please enjoy the games for what they are and let the
participants do the same. Good sportsmanship is expected and required from all in attendance.
Since rain is always a possibility, there may be times when games have to be delayed or
rescheduled. There may be cases where your team is required to play two (2) games a day to finish
the tournament. Hopefully the weather will be favorable but should it not cooperate every
reasonable effort will be made to complete the State Tournament on time. The Tournament
Director has the authority to waive rules and make exceptions to get the tournament completed. In
the event your game is cancelled or rescheduled, make sure you get the word from your District
Director or the Tournament Director.
Time to Play Ball!
You have turned in your line-up, both teams have taken their infield warm-up and we are ready to
announce the players and coaches. We will announce the players and coaches prior to the
beginning of every game. When they are announced the players will go to their defensive position
on the field, coaches to their respective base line. With all 24 players and 8 coaches in position the
Umpires will be announced. If it is the first game of the day we will have the Invocation and the
National Anthem. The players and coaches will be asked to shake hands and play ball.
The twelve (12) man continuous batting order will be used in the tournament and we will play all
games to conclusion unless the run rule(s) prevails.
With good planning the tournament should progress without any major problems. There will be
questions as the week progresses but there will be Dixie Youth officials and the members of the
Host Committee on-hand to provide answers. As mentioned earlier, your District Director is a good
source of information, so use them as your first line of communication.
As the week progresses we will determine a champion on the final day of the tournament by
playing one (1) or two (2) games if necessary. If we have three (3) teams remaining in the State
Tournament with one (1) loss each, that have all played the SAME number of games in the State
Tournament, we will use a drawing out of the hat process to determine who has to play and who
receives the bye into the Championship game.
The State Champion and the Runner-up will receive individual trophies and a team trophy.
Alabama Dixie Youth Baseball will furnish the State Champions with t-shirts, a state championship
flag and a check for $750 to defray the expenses to go to the Dixie Youth Baseball World Series.
One of the participating teams will be awarded the State Tournament Sportsmanship Award.

Hotels and Lodging
Room blocks have been reserved for all teams at many of our local hotels.
We have reserved fifteen (15) rooms for all teams and parents. Players may
stay with parents, that will be the decision of the coaching staff. Please see the page named “Lodging” in this packet for specific instructions
on reserving your hotel rooms. It is very important that you call the hotels
and make your reservations as soon as possible upon winning your District
Tournament.
It is the responsibility of each coach to call the hotels listed to locate
vacancies and make the TEAM reservation, inform your parents, and they can
make their personal reservations.
A follow up phone call may be made to Bart Pettus at 334-672-1788 if you
have questions, or email him at bart.pettus@troyal.gov We have negotiated
the best possible rate and blocked off rooms for each team and their families.
The recommended check in time will be Thursday or Friday at 2:00 p.m.
Opening Ceremonies
Due to games beginning Friday at 5 p.m., Opening Ceremonies will be held
on Friday, July 8, 3:00 p.m., at Field 1 of the Troy Sportsplex. All players and
coaches will be expected to be in full uniform.
Coaches Credentials Meeting
The Coaches Credentials Meeting will be held on Friday, 9:00 a.m. at the City
of Troy Recreation Center. The meeting is ONLY for the 3 coaches and all
Dixie Youth Baseball Officials. All credentials will be checked and reviewed at
this meeting, tournament rules will be discussed, and practice times will be
discussed.
Park Directions
The tournament will be held at the Troy Sportsplex on the Enzor Road, off
Highway 87. A map is located in this packet. The address is 701 Enzor Road.

Admission
Admission charges for tournament games are:
Daily Charges
$5 for everyone age 6-and-above
Free for children 5 years of age and younger
There will be two sessions on Saturday and two sessions on Sunday, with a
$5 charge per session. Please take into consideration this will enable the
tournament to end one day sooner and will reduce your expense on hotel
rooms.
Players and coaches in their tournament uniforms will be admitted free, BUT
MUST WEAR ID BADGES WHEN ENTERING THE PARK.
On the first day of the State Tournament, Friday, July 8, $1 of every ticket
sold will be contributed by Troy Parks and Recreation to the Dixie Baseball
Scholarship fund.
Lost or misplaced tickets can not be replaced. To enter or re-enter the
complex, you must have a pass/ticket.
Hospitality
The hospitality area will be located in the press box at the Troy Sportsplex. It
is open to Dixie Baseball officials, coaches and their spouses only. We
encourage you to enjoy light refreshments at your convenience. Proper
credentials must be presented upon entering the hospitality areas.
Host Families
A Host Family will serve your team as liaison during your stay in Troy. We are
here to accommodate you and make your time a pleasant one. The Host
Family will contact you prior to your arrival in Troy.
Sunday Worship Service
There are many fine churches in Troy and we encourage you to take your
team to the church of your choice prior to your first game on Sunday. In this
packet is a listing of many churches.
Park Policies
Personal coolers are NOT allowed in the complex and only ONE TEAM
COOLER will be allowed. If a cooler is brought into the park and it is deemed
a team cooler, it must be in the dugout. Any cooler not in the dugout with the
team will be subject to removal from the park.
Absolutely no air horns or artificial noise makers.
Every dugout will have a water cooler and cups that will be refilled
throughout the day. We will also be operating a full concession stand as well
as numerous satellite stands throughout the complex.
All 2016 Dixie Youth AA events and City of Troy regulations prohibit the use
of tobacco products and alcoholic beverages at its related events.
PETS ARE NOT ALLOWED IN THE PARK, NO EXCEPTIONS. There are two or
more veterinarians in Troy that provide boarding, but you must make your
reservations in advance as space is limited.
If you should need assistance during the tournament, please look for one of
the Troy Parks and Recreation staff members. We will be happy to do
whatever we can do to assist you.
All City of Troy facilities are also SMOKE FREE facilities.
