Komen Evansville Tri-State Race for the Cure®. Year after year, Team Captains have proven to be incredible leaders, making the Race more successful in furthering our mission to end breast cancer. Your hard work and dedication save lives and for that, we cannot thank you enough. Race teams help Komen Evansville Tri-State ignite the inner strength of individuals to take on and overcome breast cancer. Team fundraising represented 87% of the overall fundraising revenue for the 2015 Race. Teams raised nearly $104,000 and team members made up 64% of the 8,901 Race Participants. This Team Captain Guide is a resource to help you create and manage a successful team. It will serve as an excellent tool as you recruit team members and lead them in their fundraising efforts. In addition to the guide, each team captain will be assigned a Team Liaison, they are here to help motivate you, answer questions and help with fundraising ideas. Please let your Team Liaison guide you through Race season, they have volunteered time to help make 2016 Race for the Cure® the most successful in the Affiliate’s history! What You Do Matters Komen Evansville Tri-State is the local source for funding breast cancer detection, support and educational awareness in the Tri-State area. Since it was founded in 1998, Komen Evansville Tri-State has invested more than $7.8 million in local breast health agencies and organizations. Susan G. Komen Evansville Tri-State is making a difference by fighting breast cancer on all fronts. The way we use donated funds is a compelling and unique part of our story because it pairs a dedication to individuals in our community with a commitment to deliver advancements in research. Funds raised here help us save lives here. The greatest part of the money we receive remains in the community as a source of help for those in need. It goes to pay for services (including screenings, biopsies, ultrasounds, assistance with treatment, education, and survivor support) that benefit local women and men. Funds raised here fuel groundbreaking breast cancer research at home and abroad. Komen dollars have touched every major advancement in breast cancer research for the last 34 years. A meaningful portion of the money we receive in the Evansville Tri-State is dedicated to research that happens in our community, across the United States, and all around the world. This money supports the very best research endeavors. 3 Team Captain’s Job As the captain of a team, you will be the primary point of contact for your team members. It is your job to create the team, invite people to join, and keep members motivated, inspired, and informed of the team’s progress. You will be responsible for assuring that every team member is registered and ready to help your team raise funds. Team Captain’s Checklist I have distributed informational materials to team members, friends, family, & coworkers, I encouraged team members to register for Sleep in for the Cure® if they cannot attend the Race. I am monitoring my team’s progress and continuing to recruit and encourage fundraising. I have encouraged every member of my team to raise more than they did last year. If my team has more than 10 participants, I have marked my calendar for Packet Pick-Up. You will be able to pick up your teams Race packets at Race Headquarters, Woodland Center 1314 N Green River Rd. beginning 09/16/16 4pm-6pm, 09/17/16 10am-1pm and Mon 09/19/16 until Sat 09/24/16 10a-6p. If my team has 50 or more members I have scheduled a delivery date and time by emailing teams@komenevansville.org. I have let every team member know they must wear their Race bib on Race day. I have established a meeting area on Race day for my Team, and I have let them know where and when to meet. New for 2016 Any team that raises $2,500 or more will be invited to the Old National Bank “Team Tailgate” Area. The Top 3 Fundraising teams will be invited to the Old National Bank “Team Tailgate Tent” They will receive an area to decorate and gather team members before and after the Race. The fundraising deadline for the team Incentives are 09/16/16. Motivate Your Team Fundraise. Inform your team on the importance of fundraising. Remind them that their registration fee gets them to the start line, but their fundraising dollars get us to the finish line. Educate. Provide your team members with a background of Komen Evansville Tri-State and our mission. They will be motivated knowing that their dollars make a difference. Set Goals. Come up with a fundraising goal as a team. Encourage each team member to set their own individual goals and share the tools to help them succeed. Organize. As Team Captain, keep track of each team member’s progress. Play. Create an activity that brings your team together to bond. Throw a team potluck or a family picnic. Have a bowling competition, wine tasting, bike ride or team walk. Theme your team. Come up with a meaningful team name so that your team members can talk passionately to donors. Design team t-shirts to wear with pride. 4 Building Your Team Potential team members are everywhere and you’ll most likely find team recruitment is easy. Our community is full of people who would be happy to join you in the fight against breast cancer. Corporations, places of worship, organizations, schools, hospitals, friends, family members, and neighbors can join your team. Here are some tips for recruiting new team members: Set up your company team and have a friendly competition for participation between company departments, family members, or schools. Publicize your team in a company or club newsletter. Customize your Race Participant Center to share a personal story and photo. Email friends and family a link to your team’s web page, asking them to read about your participation and consider joining your team. Host a Team Kick-Off Party where your guests can learn about the Race and join your team. Recruit co-captains to help spread the word about joining your team. Host a registration table at your work, school, or place of worship. Ask your Team Liaison about how to set-up a registration blitz with the Komen Office. Include a link to your Race Participant Center on all of your social networking sites. Post team registration flyers everywhere you go: your gym, coffee house, medical office, and around the neighborhood. Inform your team about registration discounts. The Komen office occasionally offers a discount on registration fees. These discounts are only available online. The best deal of Race season is the Early Bird discount, starting June 29th until July 31st receive a $5.00 discount. Use code: EARLY16 (excludes Kids for a Cure® and Sleep in for a Cure®). Race Participant Center The Race Participant Center houses your team page and personal fundraising website. Access your Participant Center by going to komenevansville.org/race and clicking on Race Participant Center on the upper-right corner of the page. There you will find e-mail templates to make sending e-mails to your friends and family members as easy as can be! From the Race Participant Center you are able to set up your personal web page (customizing your story and personal photo), send e-mails to friends, co-workers, and connect with friends on Facebook. Be sure to check your Race Participant Center often for new donations and messages. 5 Be a fundRACER As the leader of your team, and a leader in the fight to end breast cancer, it is important for you to know and share the impact of fundraising. Funds raised for the Komen Evansville Tri-State Race for the Cure battle breast cancer on all fronts. A donation is more than dollars. It’s a real difference made through the people in our community, and for the women of our community. Beginning close to home, we use donated dollars wisely, and in ways that directly benefit women, men and families in the Tri-State who are dealing with the costly challenge of breast cancer in our community. We also empower local dollars to serve beyond our community as they fund a significant portion of the best breast cancer research around the world. Tips for Success Lead by example: Excitement is contagious. It is crucial that your teammates see and feel your dedication and enthusiasm. Fundraising yourself is the best way to inspire your team members to raise funds. Ask: Ask anyone and everyone if they will donate. Send an email to everyone you know encouraging them to make a pledge. In most cases, people donate their time or money simply because they were asked. Never miss an opportunity: Now is not the time to be shy! Let every person know that you are participating in the Race for the Cure. Inform everyone of your fundraising goal and let everyone know your purpose is to eradicate breast cancer. Who to Ask Everyone is a potential donor. Ask people that you see every day. Go through your phone list/address book, email lists, work rolodex, etc. Think of EVERYONE you know who might support you in this great endeavor. By adding the Komen Race for the Cure fundraising application to your Facebook page, you can easily extend your fundraising efforts to your network of friends on Facebook. You may connect to the app thru the Race Participant Center. 6 Special Access to the Official Team Logos Does your team have spirit? Use one of the four Official Team Logos below, to create team t-shirts and fundraising promotions. Over the past years, we have seen a steady rise in popularity for teams opting to design custom t-shirts for Race day. Creating a one-of-a-kind shirt for your team gives you an opportunity to represent yourselves in a unique way for a wonderful cause. Please keep in mind when picking a color for your Team T-Shirt, we reserve Komen Pink to celebrate our Survivors. Please email info@komenevansville.org to request the official team logos. Megan’s Rack Pack 2015 2nd Place Fundraising Team $18,374.00 *Due to branding regulations, teams are not permitted to use the standard Komen Evansville Tri-State, Komen Race for the Cure logos or the pink ribbon logo. 7 Team Awards Are you looking for bragging rights? We have several team awards up for grabs; Largest Team Road Warrior Team (team that travels the farthest) Largest 1st Time Team High School Challenge, Team Raiser Award (given to the top fundraising team as of 09/16/16) Team T-Shirt Contest Be creative! Anyone wishing to be considered for this award must present a Team T-Shirt to the Komen Evansville Tri-State office by Thursday, September 15, 2016. Voting will be held at Race Headquarters during Pack pick-up / Late Registration, the week prior to the Race and in the Team Tailgate area on Race Day. One vote is $1 so have your team members bring their wallets! New for 2016 Any team that raises $2,500 or more will be invited to the Old National Bank “Team Tailgate” . This will give your team a place together before and after the Race. Feel free to bring pop up tents, chairs, games and decorations for your area. (You will be allowed a vehicle in the area, detail will be given to the team captains once the $2,500 milestone is reached.) The Top 3 Fundraising teams will be invited to the Old National Bank “Team Tailgate Tent”. The winning Teams will receive an area inside the tent to decorate and gather team members before and after the Race. Chairs and tables will be provided. With the help of our Pledge Prize sponsors, we are able to support our community by granting local programs to fund; education programs, screening mammograms, diagnostic tests and treatment programs. In 2016 we granted $353,000 to local programs in our 28 county service area. In 2017 we want to fund even more programs. With your help we can find the Cures. TEAM REGISTRATION DEADLINE For paper entries please have all entry forms turned in to Race Headquarters no later than 4:00 pm Friday September 9, 2016. For online entries you may Register until midnight on Wednesday September 14,2016. Team registration is shutdown to insure we can pack the teams together. TEAM CONTEST DEADLINE For any team that wishes to participate in our 2016 Old National Bank Team Tailgate Contest all Fundraising must be received by 4:00pm Friday September 16, 2016. RACE DAY! Sunday, September 25th FINAL DAY TO TURN IN FUNDRAISING DOLLARS Friday, October 28, 2016 Race-Day Timeline The 2016 Race will be held Sunday, September 25th. The day will include opening ceremonies, the annual Survivor Parade, a 5K timed competitive run, a 5K non-competitive run/walk, a one-mile family walk and a Kid’s Dash and Color Station. 10 How to REGISTER your team Did you know that teams and individuals who register online typically experience more successful fundraising efforts? Step 1 Go to www.komenevansville.org and go to the top tool bar, hover over the events tab, Race for the Cure® will appear, click it. This will take you to the Race Registration Page. Step 2 From the Race Homepage, click on the REGISTER button. If you were the team captain last year choose Join a Team or Re-Form a Team. If you were not the team captain last year but, you are taking over an existing Team please contact the office. 812-962-2202. They will be happy assign you as the New Team Captain and help you with the registration process. Search for your team name. (if you are unsure of your Team name just type in the first few letters, it will bring up a list, don’t worry you cannot start a team if you are not the captain.) Once you locate your Name click Bring Team Back. If you are starting a brand new Team choose Start a New Team. If you have registered for the Race before enter your username and password. If not click First Time Registration, You will need to register yourself for the Race in order to start the Team. Now it’s the fun part, you get to be creative and pick a Team name! Please nothing inappropriate or potentially offensive. Step 3 Select your Participation Type, If you have a discount code, be sure to enter it on this page! Make an additional donation and decide your individual fundraising goal. If you would like to have your packet mailed, purchase a parking pass or be timed for the Race for the Cure® select these options on this page. Step 4 Enter Your Information. Please be certain your mailing address is correct. If you chose to have your items mailed we will send them to this address. Then click Next Step once you have answered the questions. Step 5 Review the waiver and check I agree then click Next Step. Step 6 Review your registration summary. If you need to register additional family members, you may do so NOW by clicking Register Another Person. You may register as many family members at once, but cannot log back into the same account to add registrations. If you do not register them at this time, you will need to create a new account with a different email address for their registration. Step 7 Enter your payment information. Click Process to complete. Step 8 Let your friends and family know you registered and are looking for Team Members and Donations by sharing that you registered on Facebook and/or Twitter. Step 9 Download the Fundraising App in the App Store or in Google Play Step 10 Download the Impact Fundraiser App on Facebook, this will allow you to schedule predesigned reminders to post on Facebook reminding your friends to join your team and to make donations. Step 11 Continue to the Participation Center. Follow the online steps to set-up your personal page, add contacts to your address book, send emails, Thank Donors and set your Fundraising Goal. This is an important step! A lofty but achievable goal is a great team motivator and there is no consequence if your team doesn’t meet its goal. Keep in mind any team that raises $2,500 of more will receive a spot in the Team Tailgate area on Race day. Congratulations! You have created a team and registered yourself as Team Captain. IMPORTANT Please do not opt out of email notifications! We want to keep you updated with essential Race and Team Captain info sent via email. Add us to your address book so important info isn’t marked as spam. We do not send many emails, so you do not have to worry about being bombarded. 11
