It supports database searches, provides reports in useful formats, and serves as a communication and convenience service for our subscribers. WFRMLS subscribers are actively licensed real estate agents and brokers, and designated office assistants. The entries they make are commonly called “listings” which describe real property that is available for purchase. The information they enter is searchable by all subscribers, and it is searchable on a limited basis by the general public. The most common use of our service is to provide visibility for property that is for sale, and thus help persons looking to buy property to find what they are looking for. The data is also used by appraisers as they determine accurate estimates of the value of property and by real estate agents/brokers for opinions that help them suggest listing prices for sellers. The WFRMLS is a for-profit company. We charge for the service we provide and make every effort to delight our customers. We are constantly improving and adapting our service so that we can meet the needs of our customers. The WFRMLS is: Not affiliated with the Government. Like all businesses, there are laws that we must follow and some of those regulations affect our subscribers, but we are not a government agency. Not a branch of any Association or Board of Realtors. We work closely with the boards and associations so that our services don‟t conflict with each other, but there is no formal affiliation between our company and the boards/associations. Not a regulatory organization. We do regulate the way our database is used and the content of listings, but we do not regulate the actions of real estate agents, brokers, appraisers, etc. The WFRMLS is the primary MLS in the most populous regions of Utah. Typically, there are well over 10,000 active listings in our database at any given time, and over 110,000 new listings are created each year. We use this database to populate both the MLS website and our Public website. Getting Started Login to the MLS site: www.utahrealestate.com www.utahrealestate.com is the portal for WFR subscribers to: Search for properties using several new map and sorting tools Connect with clients with a robust client management system Build packets of online forms that allow populating multiple forms at once Input, edit, and update all listing data And much, much more WFRMLS Basic Browser 1 4/13/2010 Wasatch Front Regional MLS Searches - the Search Process Flow The purpose of the MLS Searches feature is to help you find data and information on properties of all types quickly and easily – and then to provide several reports styles for saving, presenting, and printing your search results. The general strategy for property searches is to begin a broad search with few criteria then tighten the search by adding selective criteria. Remember that the criteria you enter depend on the data entered by the listing person for accuracy and completeness. “Less is more” when doing general searches. Here is a guide to the search process using the MLS search tools: 1. Select the property Search Type from the Searches tab 2. Enter minimal search criteria using the Quick Search, Full Search or your own Custom Search Form (see Appendix) 3. Use the Map tools or location criteria to define your search area Refine the search as needed 4. Perform the search and view the results. You can Save Searches anytime 5. Select properties for reports 6. Print the report(s) to PDF for saving, emailing or printing Step 1 Select the Property Search Type a. Or select your own Custom Search form (See Appendix B) WFRMLS Basic Browser 2 4/13/2010 Step 2 Enter Search Criteria Residential Full Search Example Wasatch Front Regional MLS The system searches for results automatically whenever you‟re doing a search. You can enter criteria in the lower, upper, or both fields. Search criteria are displayed as entered during the search. With dropdown menus, click each choice to select – click again to deselect. Click the Close button (or outside the menu) to close down the dropdown menu. Click the white „-‟ minus sign to clear the menu field. Search Menu Bar Layout View Results takes you to the Search Results and Reports Clear Search Criteria – clears all data from fields. Save Criteria keeps these search items for later retrieval. WFRMLS Basic Browser 3 4/13/2010 Search Using the Map Tools Wasatch Front Regional MLS Step 3 You can search using any of the location fields: County, City, Area, Zip, or Quadrants. You can also search using only the Map Tools. Select „Make Default View‟ so that the map will always relocate to the current location view Jump to - Relocates the map to an address or MLS # Clears the area already selected by a map tool Load a map area saved previously OR Save a selected map area as One of your own saved areas A public school district or A subdivision You can select Hide Map to return to the input fields for any search. Select this icon to move the map by clicking and dragging with the left mouse button. Note: More than 200 properties will not display pinpoints Step 4 View Search Results The search results are presented in a brief column list format Select at least one (or all) of the results to view in Reports Select the top box to select ALL properties. When you select at least one property result, the Search Results dropdown menu appears. You can select up to 200 properties per page for viewing. WFRMLS Basic Browser 5 4/13/2010 Wasatch Front Regional MLS Create Hotsheets You can create a hotsheet from the View Results selection Create Auto Hotsheet Select Create Auto Hotsheet anytime - this allows you to save the criteria for retrieval later as a Hotsheet. Select the address on any report to show the location with Map Satellite view Street view (where available) WFRMLS Basic Browser 6 4/13/2010 Step 5 Description of Reports All reports are convertible to PDF for printing, saving, and emailing. Here is the list of reports with examples. Step 6 Wasatch Front Regional MLS Select Print Report to PDF – This will start the PDF conversion – this may take a few seconds to start the PDF program. This screen appears next . . . Save File Icon – click this to save this file in PDF format, which can be printed or emailed. Print icon – click this icon to use your local printer. Select Forms for the new Packet and Create a Packet 3. Populate forms with Common Fields 4. Save Packet Step 1 Create New Forms Packets Select „Create New‟ from the Forms list. Select Individual Forms to Include In the Packet & Create a Packet Step 2 & 3 When finished, Create Packet then enter information for this packet. Select one or more forms to include for this Packet. Enter date to be populated in all selected forms. 3. Then Select „Fill/Update Fields’ then Save the Forms Packet. When finished, click „Save Packet‟. First click Show/Hide Common Fields to reveal the common fields to populate Save Packet Show/Hide Common Fields Enter date to be populated in all selected forms. Then Select „Fill/Update Fields‟ Now enter the Packet name and the client from the address book. Now enter the packet name and client to attach to this packet. Last – select „Save Information‟ to complete the new forms packet. WFRMLS Basic Browser 12 4/13/2010 Email and Print Forms in PDF Wasatch Front Regional MLS You can print any of your saved Form Packets to Adobe PDF or email Form Packets as PDF attachments. Select „Saved Form Packets‟ from the Forms menu. Next, select the packet that you want to email or convert to pdf. Select a Packet then select „Email Packet‟ from the „More Actions‟ list. Then, you can choose which forms to email, and fill in the email address and message. Select one or more forms to email. Then complete the email message and send the email. From here you can add, edit, or delete clients. Important: You must send an Invitation to all clients that you want to receive Property Alerts (hotsheets) or Property Selections (one time property list). Click on Add New Client to bring up the client input screen Add a New Client When finished, select Cancel or Save The Client First and Last name are required fields. Include the client‟s email address If you want to make a connection or To send property information. Address and Phone information is optional. From here you can change any of the Client information. Send Connections Invitations Select clients to send invitations. Then select „Send Invitations‟ Send Invitation Form Email Complete email invitation message then select „Send Invites‟. You can also request „Exclusive Connection to encourage your client. Access depends on the level of access allowed by each broker (i.e., Add / Edit Listings, Edit Status, Edit Photos, Edit Virtual, Tours, Edit Open Houses) The new system includes several key features to improve listing input: 1. 2. 3. 4. 5. 6. 7. All Remarks must follow Fair Housing rules and must not contain any commissions information The Fine Policy is the list of violations which will result in the violating subscriber being assessed a monetary fine. Such infractions would result in the MLS being less accurate or less current. They may also threaten the security of our data or place the WFRMLS in a position of liability. 13. All subscribers are required to keep confidential information confidential, and never share their passwords. A fine of $1,000 for the first offense and $5,000 for the second offense will apply for violating this policy followed by a possible termination under the Policies and Procedures The amounts of the fines vary from $10 per day up to $1000 (for privacy/security violations).
