v1.2 Eclipse.Net Hosted Librarian Guide – Everything the librarian needs to know to get started. Installing Silverlight: It is a requirement of the application for you to have Silverlight installed on any machine on which you wish to run Eclipse.Net Hosted from. A link to install Silverlight becomes available as soon as you access Eclipse.Net Hosted; alternatively, should you wish to download this manually beforehand, please enter the following URL into your web browser http://silverlight.net/getstarted and click on the Silverlight Runtime link to Install Silverlight. Click Run when the File Download – Security Warning box is displayed. If you have multiple machines to install Silverlight on, you may want to click Save and save the Silverlight.exe to an easily accessible network location. Click on Install now to being the installation of Silverlight. You will be informed once the installation has been successful. Micro Librarian Systems LTD Page 2 of 15 Support: www.microlib.co.uk/MyMLS Loading the Eclipse.Net Hosted Home Page: Once you have successfully installed Silverlight, you will be able to load Eclipse.Net Hosted. The URL for your Eclipse.Net Hosted website is based on your MLS User Number; please see examples below 1. If your user number is 2447 the URL would be https://U002447.microlibrarian.net 2. If your user number is 12 the URL would be https://U000012.microlibrarian.net The User Number is always padded out to be 6 characters long, by using ‘0’s, prefixed by the letter ‘U’. Logging into Eclipse.Net Hosted: Please note that your default username and password for Eclipse.Net Hosted will NOT be the same as that for your Eclipse.Net / Eclipse2 software. Each site is allocated its own, unique login credentials, which will be emailed to each individual site. These credentials must be kept confidential. Enter the Administrator login credentials provided to you by Micro Librarian Systems into the My Account box and click Log On. Micro Librarian Systems LTD Page 3 of 15 Support: www.microlib.co.uk/MyMLS Changing Your Eclipse.Net Hosted Passwords: We recommend you change the Librarian and Administrator passwords supplied to you as soon as you have gained access to your Eclipse.Net Hosted system. Once logged in, click on Management From the menu bar at the top of the screen, select Security and then Change Password. Type in the Old Password for the Administrator account (the password supplied to you by MLS); followed by the New Password you would like to set for the Administrator account. From the menu bar at the top of the screen, select Security and then User Manager. Click User Manager There are two default users already set up for you; these are the user accounts for which you have been provided passwords. You have just changed the Administrator password; now you need to change the Librarian password. Highlight the Librarian account and click Edit. The Administrator Group should only really be used for changing permissions or settings within the software, not every day use. Click on the Change Password button. Click on the Change Password button Type in the Old Password for the Librarian account (the password supplied to you by MLS); followed by the New Password you would like to set for the Librarian account. Once complete, click Ok and Save. For further information on User Manager please refer to the Eclipse.Net Hosted User Guide, available in Management / Help / Help Topics. Micro Librarian Systems LTD Page 5 of 15 Support: www.microlib.co.uk/MyMLS Setting Password Strength: Password Manager is the area in which the password strength for Borrower’s user accounts and User Management user accounts is set. To enter, click on Settings / Password Manager. Click on Settings / Password Manager The Password Manager window displays three options each for both the Borrower and User Manager accounts. The requirements for each option are listed below: Weak = Minimum of 5 characters in length Strong = Minimum of 8 characters in length, containing at least 1 number Complex = Minimum of 8 characters in length, containing at least 1 number and both upper / lower case characters. If you only use a Barcode Reader, and do not use Active Directory Linking, you are now ready to use your Eclipse.Net Hosted library system. If you do use Active Directory Linking or use an Identikit or RFID Hardware Device, or Security Gates at school, please continue reading. Micro Librarian Systems LTD Page 6 of 15 Support: www.microlib.co.uk/MyMLS Installing the Hardware Plugin: Please Note: We suggest that installation is carried out by an ICT technician. Installation should only be performed at the PC where you issue books. Ensure you are logged on as Administrator with full permissions. If you are using an Identikit device, plug it in before you begin the installation. Enter the below web address into your Internet Explorer Address bar: http://supportfiles.microlib.co.uk/ieplugin.exe A Security Warning box will pop up asking if you want to run or save this file. Click on Run. Once the file has successfully downloaded, another Security Warning box will pop up; this time giving you the options to Run or Don’t Run. Click on Run. Click Next on the first and second screens of the Wizard Once the installation has completed, click Finish. You may be prompted to restart your computer. Please Note: This installer automatically adds *.microlibrarian.net to your Internet Explorer Trusted sites. Please ensure that there are no Group Policy Settings on the Domain Controller which could override the changes you have just made. Please also ensure that your Proxy Server is not blocking the Eclipse.Net Hosted URL. If you are unsure of any of the above, please ask your IT Technician. Micro Librarian Systems LTD Page 8 of 15 Support: www.microlib.co.uk/MyMLS Configuring Identikit for use with Eclipse.Net Hosted: Launch Internet Explorer, click on Tools and select MLS Hardware Configuration. Make sure that Identikit is selected within the Biometric Library tab, as shown below. Once selected, click Save If you have more than one Identikit device, contact the MLS Help Desk for further assistance. Micro Librarian Systems LTD Page 9 of 15 Support: www.microlib.co.uk/MyMLS Importing your Fingerprints from Eclipse2 or Eclipse.Net: These instructions are only relevant to you if you have had your Eclipse2 or Eclipse.Net data converted to Eclipse.Net Hosted and have been sent a .DAT (database file) file, along with your converted data files, which will contain the fingerprints from your old system. Please Note: you will only be sent a .DAT file if you were using the Platinum software for Identikit on your old system. Once you have completed the installation of the Identikit Software, please go to C:\Program Files\Micro Librarian Systems\MLS Hardware Support\bin and run MLS.Biometric.Config.exe. On the screen below, click on Browse to browse to the location of the .DAT file you were sent by us via email. Once you have found the file, highlight it and click Open to insert it into the location box. Then click Import. All of the fingerprints from your old Eclipse2 or Eclipse.Net system will now be imported into the new Eclipse.Net Hosted system, saving you hours of time! If you find your IDK still does not work despite everything being installed / configured correctly, then please contact the MLS helpdesk for further assistance. Configuring RFID for use with Eclipse.Net Hosted: Launch Internet Explorer, click on Tools and select MLS Hardware Configuration. Click here on this Tools menu Select the drop down arrows on the RFID heading and select the appropriate options. Click Save when you have finished. Make your selection here Click Save when you have finished Micro Librarian Systems LTD Page 11 of 15 Support: www.microlib.co.uk/MyMLS Installing the AD Plugin for use with Active Directory Linking: If your Eclipse.Net Hosted software is linked with Active Directory (i.e. borrowers are automatically logged into Eclipse.Net Hosted when you log into the computer), you will be prompted to install an AD Plugin when you enter the site. To install the AD Plugin ensure you are logged into the computer as an administrator before clicking on the relevant link (below) and following the on screen instructions. If you do not wish to install the AD Plugin, and you do not wish to be reminded about it again, click on the relevant link (above). Login details for My Account will be requested if – a) The user you are currently logged into the PC on is not Active Directory linked to your borrower account in Eclipse.net. b) You are accessing the Eclipse.Net Hosted system from outside the school network Please Note, the login details for My Account are not the same as the Active Directory login details. For further information on Active Directory Linking please see Chapter 13 of the User Guide. Once you have logged into My Account, click on the icon on the Home Page. The Light Bulb icon can be found here Clicking this will launch a PDF document detailing helpful information on using Eclipse.Net Hosted Micro Librarian Systems LTD Page 13 of 15 Support: www.microlib.co.uk/MyMLS Finding the Eclipse.Net Hosted User Guide: The Eclipse.Net Hosted User Guide contains detailed information on how to use the Eclipse.Net Hosted library system to its full potential. Once you have logged into My Account, click on the icon on the Home Page. Click on Help / Help Topics to launch the PDF copy of the guide. The guide can easily be searched by typing keywords into the search box; e.g. reviews. Enter keywords into the search field and press Enter Micro Librarian Systems LTD Page 14 of 15 Support: www.microlib.co.uk/MyMLS IdentiKit and Data Protection We strongly recommend that you contact parents/carers to advise them about the technology and your intention to use it before beginning the registration process, providing them with the opportunity to object. The actual thumb print image is NOT stored. The software calculates a huge number from the image and it is the number itself which is stored. This number is then encrypted for further security The number cannot be used to re-construct the original image. Any stored record can be removed easily by clicking [Delete] at the registration process. Pupils not allowed to use the technology can be given a barcode which will work at the same time. When a borrower is deleted from the system into the recycle bin (for example as a leaver) the biometric data is automatically deleted. Any responsibility for dealing with third party queries lies with the end-user and not MLS. We have demonstrated the technology to officials from the DfES, who had no issues with it other than the recommendation that informing parents/carers would be good practice. The Office of the Data Protection Commissioner has also scrutinised the technology and stated: “…I would encourage you to employ the system using fingerprint images. It seems to me that the use of biometric identifiers allows users to verify their identity without the risk of intrusions into privacy…I would certainly like to be able to point to it as an example of good practice.’’ Copies of the letters from the DfES and Information Commissioner are available from MLS upon request. MLS fully endorse the principle set out in the new Government’s Coalition Agreement (2010) that permission from parents should be sought before enrolling students in a biometric system. Our systems make use of a range of identification methods. When a school chooses biometrics as its preferred method of identification we recommend that they: Engage in a full consultation process with students, their parents or guardians, staff and governors before implementing a biometric system.
