2015 XTERRA America Tour Rules THE BASICS The Technical
2015 XTERRA America Tour Rules THE BASICS The Technical Details are located in the back of this Section. The concept of the XTERRA America Tour is to provide amateur multisporters with a bona-fide championship to compete for within his or her geographic region against other athletes the same age. 1.1 Choose your XTERRA Region Of Residence - as determined by your primary residence at the time of your first race of the 2015 season. Version 002 3.3.15 2015 XAT Rules 1 1.2 Determine your Age Group – How old you are on December 31, 2015 is your XTERRA Age. 15-19, 20-24, 25-29, 30-34, 35-39, 40-44, 45-49, 50-54, 55-59, 60-64, 65-69, 70+ (f), 70-74 (m), and 75+ (m). Athletes with an XTERRA Age under 15 cannot earn XAT Points. 1.3 Physically Challenged Division – athletes who are physically challenged and do not wish to compete as an Age Group athlete may compete in the XTERRA Physically Challenged Division. XAT Points are awarded as detailed in Section 1.5. There are two (2) Physically Challenged (PC) Age Groups - based on XTERRA Age: 15-39 and 40+. In addition, athletes in the Physically Challenged Division will be scored/ranked by the following XTERRA PC Categories: ♦ Severe Leg Impairment ♦ Moderate Leg Impairment ♦ Arm Impairment ♦ Visual Impairment/ Legally Blind ♦ Les Autres 1.4 Plan Your Schedule – Enter as many races as you want. Your best four (4) finishes count. You must compete in at least one (1) race in your XTERRA Region of Residence and count at least two (2) races in your XTERRA Region of Residence. See Schedule. Example: John finishes 2nd in one regional race. He gets injured and cannot compete in another regional race. He can simply count a © 2015 TEAM Unlimited, Inc. Version 002 3.3.15 2015 XAT Rules 2 zero for his second regional race and use his one regional finish and any other two finishes for his final ranking. 1.5 Accumulate Points – Points are awarded to the top fifteen (15) finishers in each Age Group at each XAT race. You can earn more points at the XTERRA Regional Championship Series Races (XCS) because, generally, participation is higher and the courses are tougher and longer. If you race at more than one XCS points based race, only your best finish counts at full XCS points – any other XCS finishes earn points at the same rate as XTERRA Point Series (XPS) events. Version 002 3.3.15 2015 XAT Rules 4 2015 XTERRA America Tour Rules TECHNICAL DETAILS THE TECHNICAL DETAILS: 1.8 What is the XTERRA America Tour (XAT)? The XTERRA Point Series (XPS) is a collection of independently produced offroad events owned and operated by local promoters. The XTERRA Championship Races (XCS) are bigger races with pro purses on full length XTERRA courses operated by XTERRA staff. The XTERRA EPIC (XE) events are considered an “iron” distance off-road event. These three categories of races represent the nation’s best off-road events and are combined to form the nationwide juggernaut of multi-sport madness known as the XTERRA America Tour 1.9 When is the XAT Season? What is the competition year? The 2015 XAT season begins on September 1st 2014 and ends on August 31st 2015. XAT events will only be held between these dates. 1.10 How does the XAT work? Competitors compete in XPS, XCS, and XE races. Points are awarded to the top 15 finishers in each Age Group by gender. At the end of the season - the athlete with the most points – by gender, by Age Group, and by XTERRA Region Of Residence - earns the title of XTERRA Regional Champion. Regional Champions, along with other points scorers from each Age Group from each XTERRA Region Of Residence are invited to compete in the XTERRA USA Championship. The winners at the USA Championship race are crowned XTERRA National Champions. 1.11 Determine your XTERRA Region Of Residence: The United States has been divided into eight (8) XTERRA Regions Of Residence (See Below) An athlete’s XTERRA Region of Residence is determined by his/her primary residence at the time of his/her first race of the 2015 XTERRA season. Should a competitor move to another XTERRA Region Of Residence during the 2015 XTERRA Season and after they have accumulated 2015 XAT points, the athlete must petition for a change of Region – in writing – to TEAM Unlimited, Inc. A determination will be made as to whether XAT points can be transferred to their © 2015 TEAM Unlimited, Inc. Version 002 3.3.15 2015 XAT Rules 5 new XTERRA Region Of Residence. Note: XTERRA Region transfers will not be permitted past the Series mid-way point of the Region the athlete is moving to. 2015 XTERRA Regions Of Residence ♦ Northeast: (NE) = Maine, New Hampshire, Vermont, Rhode Island, Massachusetts, Connecticut, New York ♦ Atlantic: (AT) = Pennsylvania, New Jersey, Delaware, Maryland, Virginia, West Virginia, Washington D.D. ♦ Southeast: (SE) = Tennessee, North Carolina, South Carolina, Georgia, Alabama, Mississippi, Florida, Puerto Rico, US Virgin Islands ♦ Midwest: (MW) = Minnesota, Iowa, Wisconsin, Illinois, Indiana, Michigan, Ohio, Kentucky ♦ South Central: (SC) = Texas, New Mexico, Oklahoma, Kansas, Missouri, Louisiana, Mississippi, Arkansas ♦ Mountain: (MT) = Montana, North Dakota, South Dakota, Nebraska, Colorado, Utah, Wyoming ♦ Northwest: (NW) = Washington, Oregon, Idaho, Alaska ♦ West: (W) = California, Nevada, Arizona, Hawaii, Guam, Northern Marianas Islands, Pacific Territories 1.12 Determine your XTERRA Age and Age Group For the 2015 XTERRA Season – all athletes will compete based on their age on December 31, 2015. This is known as your XTERRA Age. An athlete will use his/her XTERRA Age throughout the entire 2015 XTERRA Season. Athletes compete in the following Age Groups – based on his/her XTERRA Age: • 15-19, 20-24, 25-29, 30-34, 35-39, 40-44, 45-49, 50-54, 55-59, 60-64, 65-69, 70+(f), 70-74(m), and 75+(m). • Athletes with an XTERRA Age under 15 cannot earn XAT points • Athletes with an XTERRA Age under 15 may not participate in XTERRA Regional Championship Races, XTERRA USA Championship or XTERRA World Championship events. • At the discretion of the XPS Race Director athletes with an XTERRA Age under 15 may participate in an XPS event. But they will not earn points. 1.13 XAT Points: Points are awarded to the TOP FIFTEEN FINISHERS in each XTERRA Age Group, by gender, at each 2015 XPS and XCS races. See Points Chart below. Greater points are awarded at the XCS races because, generally, participation is higher, and the courses are tougher and longer. See Points Chart below. © 2015 TEAM Unlimited, Inc. Version 002 3.3.15 2015 XAT Rules 6 Note: XAT Points are not offered at XTERRA Sprint or Short Course races, duathlon, or XTERRA Trail Run races. 2015 XAT Points XTERRA Regional Championship Series (XCS) Place Points st 1 100 2nd 90 rd 3 82 4th 75 th 5 69 6th 63 th 7 58 8th 53 9th 49 th 10 45 11th 41 th 12 37 13th 34 th 14 31 15th 28 XTERRA EPIC (XE) and XTERRA Point Series (XPS) Place Points st 1 75 2nd 67 rd 3 61 4th 56 th 5 51 6th 47 th 7 43 8th 39 9th 36 th 10 33 11th 30 th 12 27 13th 25 th 14 23 15th 21 1.14 Physically Challenged Division: Those athletes who are physically challenged may choose to compete in the XTERRA Physically Challenged Division. The points will be the same as individual athletes. The XTERRA Physically Challenge Age Groups will be 15-39 and 40+. There are five (5) categories within the PC Division: Severe Leg Impairment, Moderate Leg Impairment, Arm Impairment, Visual Impairment/Legally Blind, Les Autres. Physically Challenged athletes do NOT have to compete in the XTERRA PC Division. Athletes must choose at the time of the start of their first race of the season whether to race as a Physically Challenged or as an Age Group athlete. Athletes will remain in this category, score points, get ranked, and be invited to the XTERRA USA Championship for the entire season. Athletes may not switch back and forth during the season. © 2015 TEAM Unlimited, Inc. Version 002 3.3.15 2015 XAT Rules 7 1.15 Race as many as you want: Athletes may enter as many XPS, XE, and/or XCS races they want. Athletes must compete in at least ONE (1) and can count TWO (2) races in his/her XTERRA Region to be eligible to compete for their Regional Championship. • If an athlete does not participate in at least one (1) race in his/her XTERRA Region of Residence that athlete will not be included in the Regional Championship ranking of that XTERRA Region. • Question: How can an athlete be included in the Regional Rankings if he/she has not raced in his/her Region? He Cannot. • Example: Mike races 1 XCS race and 2 XPS races but none are in his Region of Residence. Mike will not be eligible for to be the Regional Champion regardless of his XAT point total. Athletes DO NOT have to compete in ALL the races in their XTERRA Region to become champion or qualify for the XTERRA USA Championship. Athletes DO NOT have to compete in FOUR or MORE races to become champion or qualify for the XTERRA USA Championship. 1.16 How to count XAT Points: Athletes can count points from their best four (4) races. Athletes must count points from at least two (2) races in their XTERRA Region. • Example: If an athlete does not finish (DNF) in a race he/she enters in their XTERRA Region - he/she must count zero (0) points for one of their four races. • Example: If an athlete does not score points, i.e. finishes lower than 15th place in his/her Age Group in each of his/her XTERRA Region races he/she must count a zero (0) points for those races. Athletes can count only one, their best, XCS finish. If an athlete races more than one XCS race, only the best finish counts at full XCS points – any other finishes earn points at the same rate as XTERRA Point Series (XPS) events. An XTERRA Regional Championship (XCS) race will only be counted as a Regional Race for the Region that the race is physically in. If an athlete races in MORE than four (4) races – his/her points would be scored as follows: 1. The best finish of two (2) races in his/her XTERRA Region of Residence even if those scores are zero (0) 2. The two highest remaining point scoring races regardless of XTERRA Region. © 2015 TEAM Unlimited, Inc. Version 002 3.3.15 2015 XAT Rules 8 1.17 Everyone is welcome to race: Everyone is welcome to race, however, only citizens of the United States, U.S. Territories, or resident aliens will be awarded XAT Points. Only citizens of the United States, U.S. Territories, or resident aliens can become Regional or National Champions. When counting XAT Points, should a foreign national finish in the top 15, anyone finishing behind will get only overall points. Example: Jean-Pierre from Montreal races at Richmond and finishes 3rd in his Age Group. Bill finishes 4th. Bill gets XAT Points for 4th place, not third as Points are earned for overall position in the Age Group – not USA citizen position in the Age Group. Athletes who hold a current 2015 USAT Elite Off-Road License may race in any XAT events but will not be awarded XAT Points nor will they block Age Group athletes from earning XAT Points. Elite athletes will earn points in the XTERRA U.S. Pro Point Series (Vegas, Bama, Richmond, Beaver Creek & Utah). Elite (Pro) and Age Group athletes can, as per the USAT Elite Membership rules, win prize money at any XAT event that offers a prize purse. Should an Age Group athlete change his/her status to an USAT Elite Off-Road athlete during the 2015 XTERRA Season and after they have started in one 2015 XTERRA America Tour event , the athlete should notify the XPS HQ in writing of their decision. Any XAT Points earned up to that date will no longer show in the XAT standings, nor will they affect the XAT standings. • Example: Joe races in May as an Age Group athlete and finishes in 1st place and Bob gets 2nd place. In June Joe turns Elite (Pro). Joe’s 75 points for winning no longer show in the XAT standings, but the points are still held by him. Bob still has 67 points from that race – he does not move up to 1st place. 1.18 What if there is a tie? Ties at the conclusion of XTERRA Regional racing will be broken in the following order: 1. Whoever has the most age group wins, from within his/her XTERRA Region of Residence. 2. The highest placing at the last race within the athlete's Region of Residence where they competed together. Note: The term "last" does not necessarily mean the last event held in the Region. 3. Should all the tied athletes not have competed head to head in their Region, then the highest placing athlete at the last race in their XTERRA Region of Residence that either or any participated in will break the tie. Results from XTERRA Regional Championship (XCS) and XTERRA EPIC (XE) races WILL NOT be used to break ties. © 2015 TEAM Unlimited, Inc. Version 002 3.3.15 2015 XAT Rules 9 1.19 Who goes to the XTERRA USA Championship race? The 2015 XTERRA USA Championship will be held on Saturday, September 19, 2015 in Ogden, Utah. To qualify to race at the XTERRA USA Championship, amateur and physically challenged athletes must finish in the top 15 in their division at an XTERRA America Tour race. Invitations to the 2015 XTERRA USA Championship will be made via e-mail. For those not qualified to participate in the XTERRA USA Championship we will host XTERRA Utah short and long-course off-road triathlons on the very same course, and on the same day, but with a different start time. Anyone can enter XTERRA Utah. Contact the XTERRA Point Series HQ with any questions. The XPS Hotline number is 828.669.6753. © 2015 TEAM Unlimited, Inc. Version 002 3.3.15 2015 XAT Rules 10 Section 2: What does an XTERRA Points Series Race Get? Say “XTERRA” and anyone involved in multisport knows you mean “Offroad Triathlon”. XTERRA virtually owns the sport worldwide and our goal is to get more people involved. It takes everyone to make this happen – you, your athletes, our series sponsors, and XTERRA HQ. To help build your race and make the series successful we will provide you with the following benefits package: 2.1 SPREADING THE WORD: Last year, 1.4 billion publicity impressions were created in the U.S. alone in support of the XTERRA brand…plus advertising, television programs, grass roots marketing, publicity, and social/e-marketing. Your XPS Race is an integral part of the XTERRA Marketing Program. However, marketing your race locally is your responsibility. You know your market place better than we do and have established relationships. XTERRA’s role is to support you and impact a broad, national audience. It is not a substitute for targeted local efforts. How do we get word out about your race? How do we drive athletes to your event? How can you take advantage of this program? The answers are here: 2.1.1 Editorial: The major multisport publications Triathlete, Triathlon Life and Lava regularly feature XTERRA stories, and ensures that triathletes who are thinking of racing off-road triathlon, will choose an XTERRA race. In addition, we aggressively pursue special interest stories “home town heroes” that appear in local newspapers and magazines. 2.1.2 Advertising: Triathlete magazine will carry advertising supporting all events of the XTERRA America Tour in 2015. 2.1.3 Race Application/Flyer Distribution: Your race applications/flyers will be put directly into the hands of XTERRA athletes by XTERRA Ambassadors or by the other REDs via the race packets at each of the XPS and XRC races on the schedule before your event. Cost to you is cost of printing the flyers at Kinko’s. The XPS HQ can wrangle sending them to Kinko’s all around the country and having folks pick them up to hand them out. Be certain to get your race application/flyer to the XPS HQ soonest. And then send the XPS HQ a note with what events you want to put your applications out at! We actively search for ways to facilitate these efforts by sending your race applications/flyers, the XAT calendars, and/or brochures out to athletes so they can XTERRAize their tri club meeting, local tri/bike shops, multi-sport expos, training group, etc. The 50+ Team XTERRA Ambassadors are a select group of amateur athletes from across the US. Through their daily activities, their love of the outdoors and their zest to Live More, these avid supporters define the XTERRA lifestyle. Each © TEAM Unlimited Version 001 1.20.15 2015 RED Book - Section 2 1 is provided electronic versions of your race application/flyer to distribute in their local area. There are multi-sport expos around the country that XTERRA or the Points Races may want to get involved with. We can help to organize a group of you to go in together for a booth and maybe even help out with an XTERRA Athlete to man the booth for the day. Cost to the XPS Race Director = split of the booth rental fee + cost of printing copies of your applications. We’ll explore any/all grassroots method to spread the word about your race. Let us know if you have an idea to get XTERRA into the hands of more/new people. If available and financially frugal – we’ll help to make it happen. 2.1.4 XTERRA News: a weekly e-newsletter generated by XTERRA HQ for newspaper, magazine, internet, and television media and industry professionals worldwide. The “News” is a great source for multisport insiders to get details and updates of all things XTERRA/ You’ll regularly see content from the XTERRA News in online magazines like TransitionTimes.com, XTRI.com, TriFuel.com, Triathlete.com, etc. Your media contacts (provided on your Contact Data Sheets) are added to the XTERRA News list. Again, your active involvement is important - call your contacts and give them any updates about your event, course descriptions, and story ideas = local athletes/celebrities /kids/oldsters/etc that you expect to enter your race. Get these guys involved early and help them to keep the XTERRA vibe about your race on their radar screens. If you have emails for other media contacts that you would like to receive the XTERRA News - please send their contact data to Trey Garman at XTERRA HQ for inclusion on the list. He is happy to help your media contacts with further XTERRA information and story ideas. 2.1.5 XTERRA Tribe News: also from the XTERRA mothership, is a weekly enewsletter for the XTERRA multisport athlete – and reaches 28,000 XTERRA triathletes. How to get your story in Tribe News – we need NEWSWORTHY information about your race – compelling reasons for a reader to care. You may distribute prizes to competitors in any of your XTERRA race formats (full distance, short distance, duathlon, teams etc). We track the shipments, so we know when they are delivered to the address you provided on your contact data sheet. You will have up to two weeks before your race to let us know if you are missing anything. If something has not been delivered, we must know by that time. After that time, we cannot be responsible for an open box of goodies at your home/office. If it is determined that the above number of prizes are not handed out to the athletes, you will be responsible for the retail value of those items listed. This charge will be included on your final XTERRA Fee. The sponsor prizes should be handed out, raffled off, given away to the athletes during the awards presentation. They are given to us from the sponsors to get their names/brands out. NOTE: It is important that there is NO deviation from this format. 2.3 POST-RACE: THE PLANET: As quickly as possible – usually Monday/Tuesday – all results from the previous weekend are posted on the Race Results page of the Planet. If provided, a RACE REPORT and PHOTO will be posted on the Planet as well. We will try everything we can to target an athlete prior to the event, to get them to work up a story for us, but please feel free to send us one as well. And of course - those race recap stories will appear in both the XTERRA Tribe News and XTERRA News that week. The XAT Points Report – a tally of all XTERRA Points earned - is also published on the US Standings page. © TEAM Unlimited Version 001 1.20.15 2015 RED Book - Section 2 5 Section 3: The SPECIFICS: What is required of an XTERRA Points Series Race? All XTERRA Points Series events are required to sanction with USA Triathlon (USAT) the National Governing Body of multisport in the United States. As such all XPS events and Race Directors are subject to the rules and regulation set forth by the USAT. Any/all details are available at www.usatriathlon.org. XTERRA is not a Sanctioning Body. However, we do have Series Rules, guidelines, and/or regulations set forth in this Section that all XTERRA Points Series events and XPS Regional Event Directors (REDs) are subject to. The rules/guidelines established by both the USAT and XTERRA have been designed to provide every athlete with a safe and fair race; maintain consistency throughout the XTERRA America Tour; brand each race as a quality event; and support all REDs in the production of the biggest/best event possible. While we do request that each event/RED follow these rules/guidelines – we welcome requests for adjustment and improvement. Please contact the XPS HQ with any questions. EVENT PREPARATION: COURSE DESIGN: 3.1 Swim – Bike – Run: Trail type and conditions dictate the speed one can travel on a course = a ten-mile flat fire road would take far less time to ride then an eight-mile section of gnarly single track. With this in mind and in order to maintain as level a playing field as possible for athletes competing in the XAT – we ask that each Points Series race meet the following time/distance minimum standards: The winning time for an XTERRA Points Series race must exceed one hour and thirty minutes (1.5) hours. Don’t weasel out – go long! Each XPS race should meet or exceed the following distances: SWIM: 0.5 Miles (880 yards) BIKE: 10.0 Miles RUN: 3.1 Miles (5K) FYI: The XTERRA Regional Championship Series courses = Richmond, Beaver Creek, etc. are designed so that the winner’s time exceeds two (2.0) hours. To exceed the two hour mark – the “standard” or “full” XTERRA distance course is: SWIM: 1500 meters BIKE: 18-20 miles RUN: 6–7 miles A happy medium between the “minimum standard” and the “full” distance might be: SWIM: 1000 meters BIKE: 14-16 miles RUN: 4-5 miles © 2015 TEAM Unlimited v. 002 3.26.15 2015 RED Book - Section 3 1 3.2 Swim: The Swim must be held in open water = lake, ocean, river, etc. No pools. The Swim must be held first. Either the Bike or Run can follow the Swim. 3.3 Off-Road: Both the BIKE and RUN courses should be at least 85% off-road = unpaved. After all, this not a “road” event. Questions to ask yourself = “When I go for a training ride or run – is this the type of trail I would choose?” OR “Is this trail typical of what the majority of athletes would consider “off-road”. Example: 15 miles of gravel service road is not typically considered “off-road” or something I’d like to ride or run on. 3.4 Transition Area: USAT requires that a bike racking system and that only registered athlete and volunteers/race officials be allowed in transition area. Designs for both wooden and metal bike racks are available on request from the XPS HQ. 3.5 Course Marking: In the past there have been occurrences of athletes getting lost at XPS events during the bike and/or run segments. While certainly not intentional and often attributable to overly excited/tired athletes – it is a problem that causes major headaches for all involved. In an effort to limit these occurrences – we have standardized a worldwide XTERRA course marking system using colored arrows. BLUE Arrows for BIKE. RED Arrows for RUN. Each XPS event will be provided with forty (20 each) Blue/Red arrows. We require that each XPS Race use these arrows or any other Blue/Red marking method. We understand that forty (40) arrows may not be enough to properly mark the courses. We can provide the arrow JPG or PDF files so that additional copies can be made. Alternately, contact the XPS HQ to purchase additional arrows. Alternate methods: Paper arrows may not work on all courses. Example: In the desert - it’s hard to attach an arrow to a cactus. Some venues do not allow staples or signage. No worries – please mark the course via any means possible as long as it follows the Blue for Bike – Red for Run format. Survey flags or course tape work well. 3.6 Primary Event: The XPS Race must be the primary event on Race Day. Certainly your XTERRA event can be part of a multi-sport weekend or festival, but should hold a position of prominence on that weekend. The goal here is for the XPS event not to get lost in the shuffle. Please contact the XPS HQ to review as needed. © 2015 TEAM Unlimited v. 002 3.26.15 2015 RED Book - Section 3 2 3.7 Event Name The word “XTERRA” must be used first in the event name unless you have a title sponsor and the inclusion of that sponsor has been approved by TEAM Unlimited. This is not to take over, but to ensure that the title sponsorship does not conflict with any of the XTERRA Sponsors. Example: XTERRA Eureka Springs Example: Jiffy Pop XTERRA Eureka Springs Other offroad race formats offered in conjunction with your event should also carry the world ”XTERRA” first in the event name. Example: XTERRA Eureka Springs Sprint, XTERRA Eureka Springs Duathlon. When referring to your primary Point Series event and/or the relationship of your race to the XTERRA America Tour you may say it is: an XTERRA Points Series Race Other race formats held in conjunction may be referred to as: Part of the XTERRA America Tour. 3.8 Xterra vs. XTERRA? Always use XTERRA – ALL CAPS. 3.9 XTERRA Logos: Your XTERRA Race logo (example to the right) must be included in ALL marketing materials; including but not limited to: race applications, flyers, posters, T-shirts, advertisements, web sites, etc. The “XTERRA America Tour” logo (right) does not need to be used in all marketing materials, but should be included on your website, and link to http://www.xterraplanet.com/races/america-tour, where athletes can find information on how the Tour works, how to score points, etc. 3.10 Your Website: Using the XTERRA America Tour logo as a button - establish a link to the XTERRA web site http://www.xterraplanet.com/races/america-tour Establish a link to the other XPS races in your XTERRA Region. Help each race in your Region drive the XPS vibe! To reduce the number of questions you may receive about “how it works”, you may want to link to the official rules. http://www.xterraplanet.com/uploadedfiles/XAT_RULES.pdf © 2015 TEAM Unlimited v. 002 3.26.15 2015 RED Book - Section 3 3 3.11 XTERRA Content: While our goal is not to “take over” the management or marketing of your event – we do need to work with you to develop an appropriate XTERRA “presence” and/or “affiliation” with the XTERRA America Tour that is a WIN/WIN for you, XTERRA, and the XTERRA Sponsors. Who knows – we might find typos or errors. We request that when any XTERRA verbiage and/or logos are used that TEAM Unlimited is included in the content review process. We must approve XPS related usage or content before it is released to the public or printers. Please run anything that says “XTERRA” on it past the XPS HQ before you release it to the public. This includes, but is not limited to, press releases, race applications, flyers, websites, awards, advertisements, posters, designs, and newspaper and/or magazine articles. Likewise – we will work with you to ensure that we best represent your event in the manner that meets your expectations. When in doubt please contact the XPS HQ and/or Janet Clark. (See Section 6 for contact information.) 3.12 USAT Sanctioning/Insurance: Each XPS Race must be sanctioned by USA Triathlon - the national governing body for triathlon and duathlon in the United States. Any/all USAT information is available at www.usatriathlon.com. In addition to requiring that each race be USAT Sanctioned - we request that each XPS Race request a Class 1 Insurance Certificate in the name of TEAM Unlimited, LLC. and Event Mercenaries, Inc. There is NO CHARGE for a Class 1 Certificate. When completing this portion of the application – please use the following information: Name: TEAM Unlimited, LLC Address: 720 Iwilei Road, Suite 290 Honolulu, HI 96817 Relation to Event: Event Licenser/Sponsor/XPS Name: Address: Relation to Event: Event Mercenaries, Inc. 18 Seldom Home Drive Black Mountain, NC 28711 Event Licenser/Sponsor/XPS Please submit your USAT Certificate of Liability Insurance and the "Class 1” Insurance Certificates to the XPS HQ no less then two months prior to the date of your event. NOTE: USAT will not send any Insurance Certificates to TEAM Unlimited or the XPS HQ directly. NOTE: USAT has a late fee policy. Get it done now. Should you have any USAT Sanctioning inquiries - please contact them at = 719.955.2802 or sanction@usatriathlon.org. © 2015 TEAM Unlimited v. 002 3.26.15 2015 RED Book - Section 3 4 3.13 Wetsuit Rules: XTERRA follows the Swimming Conduct rules for Wetsuit Use1 established by the International Triathlon Union (ITU) at all XRC Races (Las Vegas, Richmond, Beaver Creek, Pelham), the XTERRA USA Championship (Ogden), all XTERRA Global Tour events, and the XTERRA World Championship. Here are the specifics of the ITU Wetsuit Use Rules: o o o o o o Wetsuits are mandatory for Age Group athletes if the water temperature is BELOW 57 degrees Fahrenheit (14 degrees C) Wetsuits are permitted for Age Group athletes if the water temperature is AT or BELOW 72 degrees Fahrenheit (22 degrees C) Wetsuits are forbidden for Age Group athletes if the water temperature is ABOVE 72 degrees Fahrenheit (22 degrees C) Wetsuits are mandatory for Professional athletes if the water temperature is BELOW 57 degrees Fahrenheit (14 degrees C) Wetsuits are permitted for Professional athletes if the water temperature is AT or BELOW 68 degrees Fahrenheit (20 degrees C). Wetsuits are forbidden for Professional athletes if the water temperature is ABOVE 68 degrees Fahrenheit (20 degrees C) XPS Race Directors may, in order to maintain consistency within XTERRA, follow the ITU Swimming Conduct rules for Wetsuit Use. If they choose to do so a request for exemption from USA Triathlon Competitive Rules more than 30 days before the event with any details that support the request to sanction@usatriathlon.org. Should the event not follow the XTERRA (ITU) Wetsuit Rules – they must, by virtue of being a USA Triathlon Sanctioned Race, comply with USAT wetsuit use criteria of 78 degrees – shown below. Note: If a race is governed by the USAT Article IV Swimming Conduct rules: Section 4.4 (above) the following statement “When the water temperature is greater than 78 degrees, but less than 84 degrees Fahrenheit, age group participants may wear a wetsuit at their own discretion, provided however that participants who wear a wetsuit within this temperature range shall not be eligible for prizes or awards.” Specifically: the athlete will not be eligible for XTERRA Points. 1 ITU Rule: D.2 Wetsuit Use © 2015 TEAM Unlimited v. 002 3.26.15 2015 RED Book - Section 3 5 Note: Physically Challenged Athletes: Wetsuits are allowed but not required at any water temperature.2 Regardless of Wetsuit Use policy is used – the criteria must be included in any/all race literature AND posted on the registration web site3. 3.14 Swim Caps: It is mandatory that athletes wear swim caps during the entire duration of the swim. To avoid confusion amongst swimmers it is recommended that the swim caps not be the same color as your swim course buoys. 3.15 Physically Challenged Division XTERRRA PC Categories, based on the athlete’s challenge, have been added to the Physically Challenged Divisions. The related details are found in the Technical Rules – see RED Book Section 1 and the 2015 XTERRA Competition Rules. All XTERRA Races must offer a Physically Challenged Division to any/all Physically Challenged Athletes. 3.16 2015 XTERRA Support Program 3.16.1 Program Requirements As described in Section 2 – TEAM Unlimited and the XTERRA Sponsors will provide each XPS event with an array of supplies, prizes, and support. In exchange for this support we ask that you promote the Sponsors and their products by following these guidelines: Each 2015 XPS race will include all XPS Sponsor logos in/on all race/marketing materials – including but not limited to applications, posters, flyers, website, Tshirts, advertisements, etc. Rule of Thumb: If non-XPS logos are used – the XPS sponsor logos must also be used. If NO logos, of any kind, are used – the Series Sponsor logos are not required. Your XTERRA Race logo, however, IS always required. See 3.9. NOTE: It is important that there is NO deviation from this format. In addition, each Sponsor logo should be installed on your website as a “button” link to the appropriate XAT sponsor website. Any/all materials provided will be included in the athlete packets. NOTE: It is important that there is NO deviation from this format. Each Sponsor will have the ability to exhibit/promote/or sell products at each XPS event. In the event that a vendor Expo is set up – we request that any associated fees be waived. Sponsor Optic Nerve Gatorade PowerBar XTERRA Wetsuits XTERRA Boards Paul Mitchell Muscle Milk Product Category Sunglasses Sports/Recovery Drink (Not Water) Energy Gel/Bar Wetsuits SUP (stand up paddleboards) Hair Care Products Recovery Protein Beverage To be specific – “Exclusivity” means that any/all product, signage, propaganda, personnel, and/or reference to a competitor(s) of any/all 2015 XPS Sponsor(s) and/or product category(s) is prohibited. This includes, but is not limited to, the event venue, tents, banners, buoys, press releases, race applications, flyers, websites, awards, advertisements, posters, designs, and newspaper and/or magazine articles. Specifically this means – as some examples: o No Hammergel® bags can be used for packet stuffing. o No Clif Shots® are allowed on the course and/or for prizes. o No Red Bull®. o No Vitamin Water®. o Should you have any questions please contact the XPS HQ. NOTE: It is important that there is NO deviation from this format. Where applicable, the Sponsors are named the “Official XYZ Sponsor” of your event. 3.16.3 Priority XAT Sponsorship At present there are no 2015 XAT Priority Sponsors. If any additional sponsor(s) were to come on board from this point forward, they would be considered Priority Sponsors for 2015. If you have another sponsor in that category, you would not be required to use this Priority Sponsor. If you did not, we would ask that you accept our sponsor and grant it exclusivity. RACE DAY 3.17 XTERRA Ambassadors: Our goal is to have one or two Ambassadors attend your event. In addition to racing, they will help out with awards if desired and to help out with any XTERRA questions that new athletes may have. 3.18 Course Tape: Each XPS race will receive one (1) roll of “XTERRA” course marking tape. The tape to be used in high traffic areas and on the course(s.) © 2015 TEAM Unlimited v. 002 3.26.15 2015 RED Book - Section 3 8 3.19 Registration Packets: Each 2015 XAT Sponsor and other XTERRA licensees will have the ability to place marketing pieces and/or samples in all athlete registration packets. See 3.16.1. Athlete Bags are required for all XPS event. The sponsors are paying to get the information provided out to the athletes, and it does not work when items are just placed on a table for athletes to pick up if they want. We have also provided an option for you to use Virtual Race Bags. In the event that virtual bags are used, XAT Sponsor and other XTERRA licensees will have the ability to place an offer in the bag. NOTE: It is important that there is NO deviation from this format. If requested – please include flyers/applications from other XPS races – particularly events in your XTERRA Region. POST RACE: 3.20 Point Series Race Results and Databases: As soon as the race results are complete and verified, please email your results and all databases to the XPS HQ within 48 hours of your event. This should be done by Sunday night or Monday at the latest. Note: We require ALL databases (including short course, all relays, duathlon, etc) – not just your XPS race. We require that your Point Series race results data contain the following data in Microsoft Excel: Bib/Race Number LAST Name FIRST Name Sex (M or F) Date Of Birth (MM/DD/YYYY) Age Address City State (Two Letter Abbreviation) Zip Finishing Time (H:MM:SS) Email (Please remove all hyperlinks) Phone (8885551212) or (888-555-1212) Physically Challenged (Which XTERRA Category – See Section 1, part 1.3)) Please also send an excel sheet with athlete data for any other races over the weekend – short course, duathlon, etc. (Not road events). THIS IS NOT OPTIONAL. NOTE: All results must be in a consistent format throughout the Points Series. Post event we will manipulate your results into XTERRA Age Groups. This is done by factoring in the athlete’s USAT/XTERRA Age (Age on December 31, 2015) and absorbing any “Special Division” categories – Overall, Military, Clydesdale, etc. Elite (Pro) athletes will be removed from the points data = this is an amateur series. © 2015 TEAM Unlimited v. 002 3.26.15 2015 RED Book - Section 3 9 NOTE: The XAT scoring system requires that athletes participate in at least one race in their XTERRA Region. “Participation” as defined by the 2015 XAT Rules, does not mean that the athlete must finish the race. They need only start it. Therefore it is EXTREMELY important that you capture the Did Not Finish (DNF) data. Please do not include any Did Not Start (DNS) data. NOTE: Athletes that race in divisions such as Clydesdale, Athena, or Military, will be scored with their respective Age Group and Gender. Subsequently it is extremely important that all required data be gathered for ALL ATHLETES – both Special Division and Age Group. A common error is not collecting the Date of Birth for Special Division athletes. PLEASE don’t make this mistake. Get ALL DATA for ALL ATHLETES!! Please note that we do however have a Physically Challenged Division. These athletes will be scored separately, so please let us know who they are and what XTERRA Physically Challenged Category they are in. Should there be any questions please contact the XPS HQ: 828.669.6753. 3.21 XTERRA FEE: The goals of the XTERRA America Tour are pretty simple: • Increase the quality and quantity of off-road triathlons nationwide. • Support XPS Race Directors and their XPS races. • Provide exposure for the XAT Sponsors. • Provide a means for athletes to showcase their abilities. • Have a ton-o-fun! Each year, we have met and exceeded these goals. XPS races help to support the management and marketing of the Series as a whole via an XTERRA Fee. Here are the specifics: The Series Fee is Seven dollars ($7) per individual athlete or relay that participates in an XTERRA Points Series race. The minimum Series Fee paid to TEAM Unlimited, Inc. is $700. o Example A: 85 individual athletes = $700 o Example B: 120 individual athletes = $840 o Example C: 100 individual athletes and 2 relays = $714 • This fee applies to all XTERRA individual athletes and relays, even ones you may have “comped” in. • Short course and duathlete XTERRA athletes are not currently included in the XTERRA Fee tabulation, but everyone who participates in any of your event offerings on XTERRA race weekend is considered family. • Fifty percent (50%) of the XTERRA Fee is due with the return of a signed RED Agreement to TEAM Unlimited, Inc. The balance ($350 plus $7 athlete over 100) is due and payable seven (7) business days after your event. You will receive a bill/letter from the XPS HQ with your remainder due. © 2015 TEAM Unlimited v. 002 3.26.15 2015 RED Book - Section 3 10 3.22 2016 XTERRA America Tour Schedule We want to get the 2016 XTERRA America Tour Schedule - complete with ALL 2016 XAT Race Dates - into the hands of the athletes and media as soon as possible. Please review the following Publication Schedule to ensure that your Race Date is included in all 2016 XAT marketing materials. Race Dates will not be added to the 2016 XTERRA Schedule until each Race Director contacts the XPS HQ with confirmation of race date, venue permits, land use permits and any other items that may require approval. Here are the key dates and the location/publication where all confirmed 2016 XAT Race Dates will be published: Rolling publication of your 2016 race – As we receive confirmed paperwork and have approved your website with updated logos and information, we will add your race to the website schedule. December 16, 2015 – Final 2015 XAT Schedule released. January 31, 2016 – Emergency Adjustments – name/date changes, cancellations, and/or additions to calendar (if deemed “critical”) may be made until this date. All bets are off with regard to publication schedules and/or the ability to get the new information out to the athletes by any means other than the Planet. Please avoid this situation. The 2016 XAT Schedule will be closed on January 31, 2016. Please keep the following guidelines in mind when confirming you your race date: The 2016 season will be a 12 month season. This means races may begin anytime after September 1, 2015 and go through August 31, 2016. The 2017 race season begins on September 1, 2016. XPS events may not happen on the same date as XTERRA Regionals in your region, XTERRA Nationals or XTERRA Worlds. In the past we have not allowed two events in the same region to happen on the same weekend without the consent of both RED’s. To continue the growth of the Series, we have come to learn that this needs to be adjusted as it does not always make sense. If two events are more than an eight (8) hour drive apart according to a Mapquest/Expedia we will allow them to happen on the same weekend. We do not feel that this will be a detriment to either event. We are reasonable people, and are open to discussion about this. XPS Races that have been with the Series for one or more years have “dibs” on their historic date/weekend. It is important to maintain as much schedule consistency as possible. All XPS Races must confirm their 2016 “dibs” on their date/weekend prior to November 11, 2015. After this date, the weekend will be released. Please send us your 2016 dates soonest! © 2015 TEAM Unlimited v. 002 3.26.15 2015 RED Book - Section 3 11 3.23 Hosting More Than One XPS Race A RED may host more than one XPS events in a given season based on the following criteria: The first event meets and passes all XPS standards and guidelines outlined in the RED Book. Is not at the same venue as the first event. It “fits” into the schedule. This may refer to location/date/etc. If all events do not meet all the guidelines in the RED Book, one or more event(s) will not be able to return the following year. Please discuss any/all plans with the XPS HQ prior to ANY press going out anywhere about it. We need to approve a second race first. © 2015 TEAM Unlimited v. 002 3.26.15 2015 RED Book - Section 3 12 Section 4. HOW CAN WE HELP YOU?
