Enhancements
This section highlights new features and enhancements that have been added to BuildTopia. Each item is

Duplicate checking for new prospects

Description:
Duplicate checking functionality has been added for new prospects. The following data for new prospects
will be checked against existing prospects in that project for matches: First Name, Last Name, Address Line
1, Email address 1 or Email address 2. The matches will be shown before saving the new entry, and users
will be able to select an existing prospect, or continue with the new entry.

New source field for prospects, visible in Sales Rep > Prospects, and on the People >
Prospect and Buyer Information data set

Description:
A new field called Source has been added to track how new prospects are added. The field is visible in Sales
Rep > Prospects, and on the People > Prospect and Buyer Information data set. The values for this field are:
Manual: prospects added manually in the application (SR > Prospects > Add prospect)
Upload: prospects uploaded via the data upload wizard
WIK: prospect imported using the WIK functionality from a website
Feed: prospects imported via a 3rd party feed (e.g. BDX, NHG)

Consolidation of the Advanced Search and Cross Project Search for Prospects

The prospects advanced search and cross project search have been consolidated so that both functions can
be done on one screen. The ‘Address line 1’ field has also been added as a searchable field.

Microsoft Office Plug-in for BuildTopia tags

Description:
A Microsoft Office plug-in has been created that lists all of the BuildTopia tags for contracts and letters to
help make the process tagging documents easier. The plug-in can be downloaded from the HelpSystem
along with installation instructions (http://help.buildtopia.com/plugin/Release_BuilderTagPlugIn.zip). Once
installed it is accessible from the Add-Ins tab.

*Plans are hidden if their status is set to 'Archived' at the project plan level (Admin > Project > Plans > Edit)
*Base activities are hidden if their status is set to 'Archived' at the plan level (Data Library > Plans >
Activities > Edit)
*Option activities are hidden if their status is set to 'Archived' at the plan option level (Data Library > Plans
> Options > Edit > Edit Activities)

Description:
Message forwarding functionality has been added for the customer service messages. They can be set to
‘Forward’ or ‘Don’t Forward’ from Admin > Users > User View > Manage Message Forwarding. To add this
feature to your user profile you will need to re-save your BTService role. This can be done by going to
Admin > Users > View > Manage Permission Roles.

Added Self Service Features and Improved Messaging

Description:
Added new self-service features to BTAccounting so that you no longer need to contact BuildTopia support
when issues might arise.
- Added a ‘Tips’ link that will provide guidance on fixing any issues.
- Added a Skip button for getting past failed transactions that do not need to be sent since they might
have been done in Microsoft Dynamics SL already.
- The Restart BTAccounting button will allow builders to restart the processing after they have fixed any
issues on the Microsoft Dynamics SL side or skipped a transaction that has caused an error.

The application searches for matches when a new Mortgage Company is added.
The screen that shows results if matches are found has been updated to be more
user-friendly. The ‘Use this Record’ link has been replaced with a ‘View’ link to
view more details before making a selection. A ‘Cancel’ button was also added.
