NotifyLink Web Console Configuration 1) Open your Web browser and navigate to https://notify.sdsu.edu/client. 2) A pop up window appears. 3) Type in your username (SDSU complete e-mail address) and password provided in the confirmation e-mail and click the Submit button. Under Client Login Information enter a new password for the client Web interface. Click Apply Changes. Click Close. (Required) Page 3 of 35 Enterprise Technology Services Rev2.1 2011.08.10 10) Select the PIM tab from the top. 11) A popup window appears. 12) By selecting Calendar, Contacts and Tasks, you can choose which types of items will be synched. The ETS Help Desk recommends that you begin by synching the Calendar only. Default is sync all services, we will instruct you to deselect Contacts and Tasks. If you make no choice, all your contacts, tasks and calendar items will be removed on your mobile device and replaced with what is in Meeting Maker by default. (Not all devices mobile devices support task synchronization. That option might be grayed out based on your device type.) 13) Click on Contacts. 14) A popup window appears. 15) Uncheck Synchronize contacts with the device. 16) Click Apply Changes. 17) Click Close. (Not all devices support Task synchronization, your option to Synchronize tasks with this device might be grayed out.) 21) Click Apply Changes. 22) Click Close. (Please skip to the section that pertains to your mobile device.) Page 6 of 35 Enterprise Technology Services Rev2.1 2011.08.10 BlackBerry Installation and Configuration Note: Backup mobile device calendar, contacts and tasks, as the installation process may remove these items. 1) Open the Internet Browser on the mobile device and select Go To… from the browser menu. Enter the URL http://notifylink.notify.net/ota.asp and select OK. 2) Select the BlackBerry Devices link. 3) Choose the Notify BlackBerry Installer software and select the Download button. A bar showing the download progression displays. 4) Open the Notify BlackBerry Installer located on the BlackBerry device. 5) Select Check for Updates to access the server and check for the latest versions of the NotifyLink applications. 6) Enter your NotifyLink registration e-mail address and select OK. This is the address associated with your e-mail account on the server and the address with which you will register the device after installation. 7) You need your ETS confirmation e-mail to continue. Page 7 of 35 Enterprise Technology Services Rev2.1 2011.08.10 8) Your NotifyLink user account, which references this e-mail address, must be registered and active on the server before you can download. 9) Registration e-mail can also be updated by choosing the Advanced option on the Notify BlackBerry Installer menu. 10) Place a check in the box beside the application(s) you wish to download and install. 11) Select Continue from the installer screen or Perform Updates from the menu to begin downloading. 12) When the download is complete, reset the device. The device can also be reset by removing the battery. 13) You are now ready to register the device. Registering Your Device Until a device is registered, the NotifyLink application will not synchronize Email and PIM. The registration process identifies you as a valid user on the NotifyLink Enterprise Server and allows you to begin using NotifyLink to synchronize the data between your device and your computer. Registering the device consists of: • Entering your Email: address and an Authentication Password: The Authentication Password is a case-sensitive password assigned by the administrator from the NotifyLink Server. • Choosing a Network Setting appropriate for your device. Network Setting is the network protocol used by your device. The setting will depend on your device model and the carrier you use. • Performing an initial PIM synchronization. The initial sync will remove all existing PIM items on the device and replace them with items from the server. If there are PIM data on the device that are not on the server, you should back up prior to carrying out this step. Where to find your Authentication Password: You can check the authentication password for your account from the client web. From the NotifyLink Client Web, choose General > Device. 14) Open the NotifyLink application. The screen will say “Unregistered” in the header until registration is completed. 15) Select Register from the menu. 16) Enter your Email: address and Authentication Password: as they appear on the server. 17) Use the space bar or scroll bar to place a check in the box beside any/all of the items to be synchronized. (Warning, checking all boxes will remove existing Calendar, Contacts and Tasks from the device and replace it with information from the Meeting Maker server.) 18) Select Register from the menu. 19) Allow the HTTP connection on the pop-up screen. This is a very important step, as the registration will fail if you deny the connection. Follow the directions below carefully: a. Under Don’t ask this again for: use the space bar to place a check beside the box that reads all http connections. b. Select the Allow this connection option. 20) The screen will say “Registering” in the header until the registration is complete. When it is finished, registration messages arrive on the device and the application will setup your mailbox information and place you in the Inbox. 21) The initial NotifyLink sync after the NotifyLink Enterprise Client setup may take up to twenty (20) minutes. Installation Complete. You will find your appointments, e-mail and contacts by selecting the corresponding application on your mobile device. Page 9 of 35 Enterprise Technology Services Rev2.1 2011.08.10 Palm OS Installation and Configuration Note: Backup mobile device calendar, contacts and tasks, as the installation process may remove these items. 1) From a Web browser on the device, browse to the NotifyLink Over-The-Air Client Installation page, http://notifylink.notify.net/ota.asp 2) Click on Palm OS Based Devices. When prompted, save the file, “nlinstall.prc” to your device. 3) Once the download is complete, you will be prompted with the message: “Do you want to accept ‘nlinstall’ into Applications?” Select Yes to accept this. 4) Open the NotifyLink Install application located on the Palm device’s desktop. 5) Choose Scheduled Push and select Install. It may take a few minutes to install all of the files needed for NotifyLink to run. 6) When the download and installation has completed, you will be prompted to reset the device. (NotifyLink may not function correctly if you do not reset your device after installation.) 7) You are now ready to register the device. You will find your appointments, e-mail and contacts by selecting the corresponding application on your mobile device. Use Non ActiveSync for accounts created before 6/1/2010. For accounts created after 6/1/2001, please use the ActiveSync method. 1) From a Web browser on the device, go to the following site: http://notifylink.notify.net/ota.asp 2) Select the Windows Mobile Devices link. 3) At the download prompt, select Yes to begin the transfer. NOTE: If you wish to change the save location, click Save As… and select a new location. If the file does not launch automatically, launch it from the saved location. 4) If you are prompted with a security warning, click Yes to continue the installation. 5) Installation is complete. The NotifyLink icons appear on the Start/Programs menu. Proceed to instructions for registering your device. From the NotifyLink Client Web, choose General > Device. 1) Select Start > Programs > NotifyLink Preferences > Registration NotifyLink Preferences menu prior NotifyLink Registration Screen 2) Type your Email Address: and Authentication Password: as they appear on the server. 3) Select Register. 4) Answer Yes to check for registration messages. A welcome message is sent to the device Inbox and you’ll be prompted to perform the initial synchronization for the device. Perform the Initial Sync: NOTE: An initial sync will remove all existing PIM items on the device and replace them with items from the server. If there are PIM data on the device that are not on the server, you should back up prior to carrying out this step. 5) Place a check in the box beside any/all of the items to be synchronized: □ Calendar □ Contacts □ Tasks 6) Select Send. Items will begin to appear on your phone after 15 to 20 minutes. Installation complete. You will find your appointments, e-mail and contacts by selecting the corresponding application on your mobile device. Page 15 of 35 Enterprise Technology Services Rev2.1 2011.08.10 Windows Mobile Installation and Configuration (ActiveSync) Note: Backup mobile device calendar, contacts and tasks, as the installation process may remove these items. Use Non ActiveSync for accounts created before 6/1/2010. For accounts created after 6/1/2010, please use the ActiveSync method. Before You Begin Have the following information ready: • NotifyLink server address use notify.sdsu.edu • Your e-mail address that you provided in the NotifyLink account request • Your Authentication Password found in the NotifyLink Client Web PIM items existing on the device prior to account setup remain on the device after the initial synchronization. Existing items for any PIM item type (calendar, contacts, tasks) that you choose to synchronize will also be sent down to the ActiveSync server. This could result in duplicates on the device and server if you maintained the same events, contacts or tasks in both places prior to creating the ActiveSync account. If you remove your ActiveSync account or disable the synchronization of a particular PIM type, all associated PIM items, even those that existed on the device prior to the account creation, will be removed from the device. Troubleshooting Issue: Registration fails to complete – see NotifyLink Technical Support article Knowledge Base article #1159 Setup Your ActiveSync Account on the Device 1) Select Start > Programs > ActiveSync 2) From the text on the ActiveSync screen, click on the link: set up your device to sync with it or select Menu > Add Server Source. 3) Depending on the OS version of your device, you may be prompted for your e-mail address. Enter the address and tap Next. This is for the purpose of auto-detecting the Exchange Server and although this is not supported, you must make an entry. 4) Enter the following information. The order in which you enter it may vary by OS version: Server address: – Enter the address of the NotifyLink server use notify.sdsu.edu User name: – Enter the full email address of your mail account Password: – Enter the Authentication Password Domain: – Leave blank Save password – Mark this check box 5) Tap Next to continue. 6) Mark the SSL check box then tap Next. 7) Place a check in the box beside any/all of the items to be synchronized: □ Contacts □ Calendar □ E-mail □ Tasks Page 16 of 35 Enterprise Technology Services Rev2.1 2011.08.10 8) Tap Finish. A status bar appears indicating that the device has started synchronizing. You will see information about the data that is synchronizing. 9) Note: As synchronization begins, a pop-up dialog informs you that the server must enforce security policies to continue synchronizing. Tap OK. If you tap Cancel, synchronization will stop and you will not be able to continue the account setup process. Installation complete. You will find your appointments, e-mail and contacts by selecting the corresponding application on your mobile device. See Figure 1 Email – E-mail address of your SDSU e-mail account (e.g. username@mail.sdsu.edu). Domain – Leave blank. Username – E-mail address of your SDSU e-mail account (e.g. username@mail.sdsu.edu). Password – Authentication Password as it appears on the NotifyLink Enterprise Client General Tab > Device (See Figure 2). Description– Accept the default or type a descriptive name for the account. Figure 1 Figure 2 4) Tap Next. 5) In the Server field, enter notify.sdsu.edu 6) Tap Next. 7) If your device had contact and calendar data on it prior to registration, Contacts and Calendars synchronization will default to OFF to prevent existing data from being removed. • Turn Calendars ON. Optionally, if you would like to sync Contacts, change the setting to ON and then tap Done. Installation complete. You will find your appointments, e-mail and contacts by selecting the corresponding application on your mobile device. Use Non ActiveSync TouchDown Installation and Configuration instructions for accounts created before 10/1/2010. For accounts created after 10/1/2010, please use the ActiveSync method. TouchDown™, by NitroDesk, Inc., is a device application for Android that: • Connects Android devices with compatible ActiveSync-supported servers for retrieving e-mail, contacts, calendars, and tasks • Equips the Android with essential mobile device security features A certified NotifyLink connection with an Android device requires that the device be equipped with the Touchdown™ device client. A TouchDown license can be purchased from Notify Technology Corporation and the application downloaded from the NotifyLink Enterprise Client page. Follow the steps outlined below for equipping devices with TouchDown: Requirements: • Supported Android devices (Listed at http://notifylink.notify.net/Android.asp) • Supported Android Operating System versions: 1.5, 1.6, 2.0, 2.01, or 2.1 • Touchdown version 5.1.0021 Prepare Android devices for the TouchDown application A. Enable the ‘Allow installation of non-Market applications’ option on the device This is required since you are obtaining the application from the NotifyLink Enterprise Client page instead of the Android Market. Important! When you complete the installation of TouchDown, you should return to this setting and disable it (uncheck the box). • From the device Home screen, tap Settings, Applications • Tap the Unknown sources option and accept the terms by tapping OK. The box next to the Unknown sources option will display a green check when enabled. Page 21 of 35 Enterprise Technology Services Rev2.1 2011.08.10 B. The device’s Android operating system version will determine which TouchDown edition you download • From the device Home screen, tap Settings, About phone • Scroll down to Firmware version and note the value. Android OS 1.5 and 1.6 – Download TouchDown v5.1, Exchange by TouchDown Edition Android OS 2.0 and above – Download TouchDown v5.1, Exchange for Android 2.0/2.1 Edition Download and Activate the TouchDown application If you have a version of TouchDown on your device that you obtained from another source, you must remove it and download the edition provided on the NotifyLink web site. There is no purchase required in this case. Simply use the license you already have to activate the NotifyLink copy. To remove TouchDown from your device: • From the device Home screen, tap Settings, Applications, Manage applications • Select TouchDown, then tap Uninstall Step 1: From your device’s browser navigate to http://notifylink.notify.net/Android.asp Depending upon which firmware you have Select TouchDown for Android OS 1.5/1.6 or Page 22 of 35 Enterprise Technology Services Rev2.1 2011.08.10 TouchDown for Android OS 2.0/2.1. Tap the downloaded application. At the product information screen, tap Install Step 2: TouchDown will download and install in a few seconds. A notification displays when it is complete. Tap the Open icon to open TouchDown. Step 3: Tap I Accept to accept the End User License Agreement. Step 4: You can use a copy of TouchDown for a 30 day trial period or activate the product by entering the license number.* • From the TouchDown Home screen, tap the shopping cart icon and select the I have a serial number radio button. • Enter the license in the Serial Number box provided by the ETS Help Desk. Page 23 of 35 Enterprise Technology Services Rev2.1 2011.08.10 *Note: If you have a license from a previous purchase of TouchDown, you may use it to activate the edition you download from NotifyLink. Select the I have the License installed from Market option, instead of I have a serial number. Set Up an Exchange ActiveSync Account on the Device Account Setup Instructions Account Setup Instructions Gather the following information prior to setting up your NotifyLink account on your device. You may need to consult your NotifyLink administrator for the mail server name and authentication password. Mail server name Email address *Authentication Password This is the external address or domain name of the NotifyLink server e.g. notify.sdsu.edu Your full e-mail address. A password generated from the NotifyLink Enterprise Server identifying you as an authorized NotifyLink user. The password can be found by logging in to the following website: https://notify.sdsu.edu/client Select, General, Device to view the stored password. *Important! During the account setup process, TouchDown will prompt for “Password.” Though the field description reads, "Your Exchange password,” you must enter the Authentication Password assigned to you by your NotifyLink Client Web. Log into the NotifyLink Client Web at https://notify.sdsu.edu/client and select, General, Device to view the Authentication Password. Page 24 of 35 Enterprise Technology Services Rev2.1 2011.08.10 Setup Your NotifyLink Account on the Device Since the NotifyLink server has the ability to communicate via the Microsoft ActiveSync protocol, you use the Exchange ActiveSync account setup procedure on the device to create your NotifyLink account. Though field descriptions may be labeled “Exchange,“ keep in mind that you will always enter credentials associated with your NotifyLink account. Step 1: Open TouchDown and tap the Settings icon. Page 25 of 35 Enterprise Technology Services Rev2.1 2011.08.10 Step 2: At the Quick Configure? dialog, tap Yes. Quick Configuration is the best way to set up your NotifyLink account. If settings are already present in TouchDown you will not see this screen. Access quick configuration by tapping the “Quick Configuration” button on the first tab of the TouchDown Settings. Step 3: Check the UserID is same as email address option. The check mark will display green when ON. Enter the following information: User ID – Enter your full e-mail address. Domain – Leave blank. Password – Enter the NotifyLink Authentication Password obtained from the NotifyLink Client Web. Server – Enter the address of the NotifyLink server e.g. notify.sdsu.edu Tap Next Page 26 of 35 Enterprise Technology Services Rev2.1 2011.08.10 Step 4: Your server uses SLL encryption, mark the radio button labeled Yes. Tap Next Step 5: At the Protocols to check for screen, make sure the ActiveSync (Preferred) box is checked. You may leave the other boxes checked or uncheck them. Tap Next Page 27 of 35 Enterprise Technology Services Rev2.1 2011.08.10 Step 6: The Start Configuration? screen appears. Tap Next to complete the configuration process. Any existing data on the device associated with the TouchDown application will be deleted and replaced with email and PIM retrieved from the server. Step 7: Configuration results display in the Configuration Progress screen. If successful, tap Close to proceed to the main TouchDown screen. You may need to wait a few minutes while TouchDown updates your data to the device. Page 28 of 35 Enterprise Technology Services Rev2.1 2011.08.10 Step 8: The default Configuration uses a manual synchronization process. If you would like for it to check on a schedule perform the following steps: From the TouchDown screen select Settings, Advanced. Check the box Periodically check for changes. Under Polling Interval (minutes) set a reasonable amount of time keeping in mind that the shorter the interval the more drain it will place on your battery. Scroll to the bottom of the screen and tap Save. Now go to the Settings section to learn about selecting preferences and configuring your account. Use Non ActiveSync TouchDown Installation and Configuration instructions for accounts created before 10/1/2010. For accounts created after 10/1/2010, please use the ActiveSync method. There are many different Android OS versions your screen shots and terminology may vary. From the Android Home screen, select Settings > Accounts & sync (or Accounts). Tap the Add account button. At the prompt to specify the type of account you want to set up, select Corporate Step 1: Begin configuring your account by entering the following information (some device models do not require this step): Email Address – Enter your email address. Password – Enter the NotifyLink Authentication Password given to you by your administrator. Tap Next to continue. Page 30 of 35 Enterprise Technology Services Rev2.1 2011.08.10 Step 2: The fields on the Server settings screen may be prepopulated with information obtained from the credentials you entered in the previous screen. Enter or edit the following: Domain – Leave the domain blank or enter ‘Notify’ if an entry is required. Username – Enter your full Email address for the Username Password – Enter the NotifyLink Authentication Password from the client portal web located at https://notify.sdsu.edu/client Server – Enter the address of the NotifyLink server e.g. notify.sdsu.edu Step 3: If your server uses SSL encryption, check the box beside Use secure connection (SSL) Tap Next Page 31 of 35 Enterprise Technology Services Rev2.1 2011.08.10 Step 4: Accept any security prompt that references NotifyLink or the NotifyLink server. Step 5: The Account options screen appears. Make the account preference selections. Please note that the options will vary by device model. Email checking frequency – choose direct push or a scheduled push option SDSU recommends 15 minutes or greater to extend battery life and reduce server load. • Automatic (Push) – the direct push setting • Every 10, 15, or 30 minutes – scheduled push options • Every hour – scheduled push options For Amount to synchronize – This is the number of days a message will be available on the device. This serves as message cleanup tool that manages email quantity on the device. • 1 or 3 days • 1 or 2 weeks • 1 month Check the appropriate boxes: • Send email from this account by default Check this to make your NotifyLink email account the default email account from which you send messages. • Notify me when email arrives Check this to receive a notification in the device status bar when mail arrives. • Sync contacts from this account Check this to synchronize contacts • Sync calendar from this account Check this to synchronize calendar events. Tap Next Page 32 of 35 Enterprise Technology Services Rev2.1 2011.08.10 Step 6: You can give the account a name if you wish or skip it and tap Done You will see your account listed on the Accounts and sync settings (Accounts) screen or an account activation screen may appear. Step 7: At the activation screen, tap Activate to complete your account setup. Note that existing data on the device will be selected and replaced with email and PIM retrieved from the server. If you followed the instructions to configure your account and register your device but synchronization is not proceeding, the account statistics can help pinpoint where the trouble is. 1) Use a Web browser on your computer to navigate to https://notify.sdsu.edu 2) Sign in using your e-mail address as your username and your client Web password. 3) Click on General. 4) Under General, click on Statistics. The User Statistics page has three sections: Email Statistics, PIM Statistics, and Device Statistics. Email Statistics In the Email Statistics section, two items will be of interest to you: Time Mailbox Last Checked and Result. If the Result: is Error Code:89, this is normal. Currently, SDSU is not utilizing the e-mail synchronization feature. PIM Statistics The PIM Statistics section deals with Meeting Maker data synchronization and is only of interest if you use NotifyLink to sync data between Meeting Maker and your mobile data device. In the PIM Statistics section, you are looking for the PIM Cycle End Time: and the Result items for each part of your Meeting Maker calendar that you sync via NotifyLink. If the Result for any enabled PIM part (Calendar, Contact or Task) is not Success, you may need to go back to page 3 of this guide and use the instructions there to help you re-enter your Meeting Maker user id and password twice for each unsuccessful part and Apply Changes. When you return to the Statistics page, click the Refresh button at the bottom of the page every half-minute or so until the PIM Cycle End Time: updates and you can see whether or not your Meeting Maker password was entered correctly and the check was, subsequently, able to complete. Device Statistics The Device Statistics section shows status information returned to the NotifyLink service by your device during its most recent sync, and the Last Sync: timestamp shows when your device last contacted the NotifyLink server. When iPhones and iPod touch register, only some of these items fill in, so look specifically for the Last Sync: time. If more than 30 minutes have passed since your device began registering, and there is no Last Sync, contact the ETS Help Desk for assistance.
