Equipment for Hire 12 13-15 16 17-18 18 2 1. Weddings at Sunset Resort Weddings can be very difficult to plan and organise remotely. The staff at Sunset Resort are experienced in organising special events and will take care of all your arrangements from the wedding ceremony through to accommodation and the reception. With our local knowledge we can also help you and your guests with any other activities or services you may need while you are on our beautiful island. Our resort wedding packages are designed to fit with any budget and if you cannot find the right package for you we can customise the package to suit your requirements. The staff at Sunset Resort will work with you to create a wedding you are happy and comfortable with. We require the wedding couple to stay at the resort for a minimum of 3 nights and approximately 30% of your overseas wedding guests in order to hold the wedding at Sunset Resort. For marquee weddings one of the rooms booked should include a beachfront studio. Please check with our Wedding Planner for further information on accommodation and applicable group discounts. The resort facilities are perfectly placed to accommodate intimate and exclusive weddings whether on the beach, on the lawn overlooking the lagoon or in our spacious onsite openair restaurant catering for a couple and up to 60 guests (enquires welcome if you wish to cater for more than 60 guests). During our initial contact your wedding planner will send you a ‘wish list’ to complete and return. Once you have selected the items on your 'wish list' we can prepare a quotation and send this to you for your approval. Any changes that you make we revise and send an updated quotation so at all times you know what the services and costs are for your wedding day tailoring the costs to suit your budget. We then organise the booking and confirmation of your wedding package keeping in touch with you and providing any information you require. On arrival the wedding planner will meet with you to set up appointments with necessary suppliers in the days leading up to the wedding. The wedding planner will also liaise with the Reservations Manager and the Restaurant Manager to ensure all your accommodation and reception needs are taken care of. The Cook Islands have a very relaxed policy that allows international citizens to marry legally, only requiring the couple to reside three full working days in the country prior to their wedding. However, a waiver may be applied for (at an additional cost) if the couple require to get married in less than 3 working days. To apply for the wedding licence you only need to provide; Full Birth Certificate in English and Passport. Any variations to the above packages may incur additional costs. 4 1.2 Additional Wedding Services 1.2.1 Entertainment Cultural Show Cook Islands Cultural Show – entertainment for approx. 1hr Cultural Show & Fire Finish Cook Island Cultural Show – entertainment for approx. 45min – 1hr. Fire Knife Dance to wrap up the entertainment for the evening. Fire Show Fire Knife Dance performed by the Tamariki Manuia Fire Knife Dancers. This talented team will demonstrate individual, pairs and group routine using complex techniques which make them so unique. Not to be missed! String Band/Drumming Traditional songs can be played during arrival of guest and groom while waiting for bridal party then played when Bride walks down the aisle and also played after signing of the certificate. Wedding Serenade A single singer dressed in island wear will sing island serenades as the Bride walks down the aisle and after signing of the certificate. Duration: 30mins Drumming Only Drumming will be played before everyone arrives, when Groom makes his entry, when Bride walks down the aisle and after signing of certificate. Turou Warrior Traditional chants will be called to give blessing to the couple. A turou chant to the Groom first and the same chant will be performed when the Bride walks down the aisle. Performed in traditional costume. Female Dancer A female performer dancing to soft music after couple have signed the certificate papers. Performed in traditional costume. Solo Dancers A male and female dancer together with drummers. Performing a mixture of action songs and drum dances, performed in traditional costume. The warriors will bring a pair of Conch Shells that will be blown just before the Bride starts her walk and just as she arrives at the Groom. Performed in traditional costume. Warrior Escort #2 A trio of warriors will escort the Bride and Groom and wait on either side of the couple throughout the ceremony. Your Wedding Planner can arrange for the perfect Hair and Make-Up Artist for a consultation or trial run before your wedding day. This will also include personal assistance with dressing and hair accessories. The mother of the bride and even your bridal party can also be taken care of. 1.2.4 Beauty Treatments and Massage Enjoy a therapeutic or relaxing his and hers massage in the comfort of your own room. Pampering facial treatments or hand and foot indulgence also in the comfort of your own room. Also available on request–suntan application, body treatments, waxing and eye lash/brow tinting. 1.2.5 Wedding Cakes Cakes - Round (15,18,20,24,28 or 30cm) or Square (21 or 30cm) – 1,2 or 3 tier Types - Chocolate Mud, White Chocolate Mud, Banana, Lemon/Coconut, Lemon, Carrot Icing - Cream Cheese, Butter, Chocolate Ganache, Vienna Cream frosting. Fruit Cake - Fondant Icing (for fruit cakes only). Cup Cakes - Any of the above types, minimum 12. Crockenbush - also available. Decorations – Variety of locally inspired decorations and local flowers are available. 7 1.2.5 Photography/Video We will organise one of our professional and talented photographers/ videographers currently working on the island to contact you directly so you can discuss the level of coverage before the big day. Planning the shots from the preparation before the ceremony through to the celebrations at the reception or dinner afterwards. Fun photos with family, friends or shoot at other locations around the island and maybe drown the gown the day after. Don’t compromise when it comes to your wedding photography. You worked so hard, spend so much time and money to make your wedding exactly the way you want it and it is all over in few hours. Memories of that very special day can be with you forever to share with family and friends in years to come. Please note that photography/video services are not part of the Sunset Resort and we therefore cannot take responsibility for these services. Consultation directly with the photographer. 8 1.3 Wedding Package Terms and Conditions Weddings at Sunset Resort require approximately 30% of the overseas wedding guests including the wedding couple to stay at the Resort for a minimum of 3 nights. For marquee weddings one of the rooms booked should include a beachfront studio. Wedding Packages are valid until 31 March 2016. Any variations to the Wedding Packages may incur additional charges. Prices are subject to change without prior notice. All additional wedding service prices are subject to change at any time and can only be guaranteed upon booking. All prices quoted are in New Zealand dollars. Note: 15% surcharge applies to Sunday & Public Holiday weddings. 1.3.1 Deposits and Payment Terms A deposit of $500.00 is required within 10 days of Sunset Resort confirming the requested wedding date. If the $500.00 deposit is not received within this period Sunset Resort will be unable to guarantee the wedding date. A 50% deposit less the initial deposit of the Wedding Package and Additional Options are due 3 months prior to wedding date, with the remaining 50% payable due 6 weeks (42 days) prior to the wedding date. 1.3.2 Cancellation Policy The $500.00 wedding deposit is non-refundable for all cancellations at any time. For cancellations received within 14 and 42 days prior to the wedding date, Sunset Resort will refund 70% of all payments received (over and above the $500 administration fee). For cancellations received less than 14 days prior to the wedding date, no refund will be made. 9 1.4 Cook Island Marriage Registration and Requirements The marriage registration applies to couples intending to get married in the Cook Islands. 1) Section 23 of the Marriage Act 1973 provides as follows: “Notice of Marriage – (1) Where two persons intend to marry in the Cook Islands, one of them shall give notice in the prescribed form to the Registrar of marriages. (2) The person giving notice shall appear personally before the Registrar and shall make a statutory declaration in the prescribed form that the several particulars set forth in the notice are true, that he/she believes that the marriage is not prohibited by section 15 of this Act, and that there is no other lawful impediment to the intended marriage.” 2) Section 15 prohibits marriage within specified degrees of relationship. 3) Applicants 20 years and over can get married without consents. Any person under the age of 16 years is not permitted to marry. 4) Documentation required is current and valid: Passports; Full Birth Certificates; Decree Absolute in Divorce (if previously married); Death Certificate (if widow/widower). 5) Documents must be in English, or translated to English by another person other than the applicants, if the documents are in a foreign language. 6) Applicants must provide details of the place of marriage, date of marriage and names of officiating minister or marriage celebrant before a Marriage Notice application is completed. 7) Applicants must attend the Marriage Registration Office on the island where the marriage is to take place, where the Marriage Notice is prepared by the registration clerk. 8) The Waiver fee of NZD$45.00 only applies when the applicants want to get married less than four (4) working days after the completion of the Marriage Notice and must apply in writing to the Registrar stating their date of marriage and reasons they want to be married less than four (4) days and the waiver must be approved by the Registrar before the licence is issued. 9) The Amendment Fee of NZD$20.00 applies where there are changes to be made to the place of marriage, or date of marriage or officiating minister or marriage celebrant, after the Marriage Licence is issued. The office of the Registrar must be informed of and complete any changes first before the marriage ceremony is to begin. Sunset Resort will not be held responsible for any additional legal costs regarding the authentication and registration of wedding documents in countries of residence. 10 2. Sunset Resort Wedding Receptions . 2.1 Reception Costs and Terms 2.1.1 Private Venue Hire The Anchorage Restaurant & Bar, our open-air restaurant is the perfect venue for that special day or function. Private venue hire of the Anchorage Restaurant & Bar is available for wedding guests at $600 Monday – Friday and $700 on Saturday, Sunday and Public Holidays. The Anchorage Restaurant & Bar is fully equipped to cater for groups of up to 60 people comfortably for a sit down a la carte or buffet meal. (Enquires welcome if you wish to cater for more than 60 guests). Out of respect for the resort guests all music must be turned down by 10.30pm and switched off by 11.00pm. 2.1.2 Beach Dining Available on request, our perfect setting for that special day to sit back and watch the sun go down is our Wedding Pergola. It’s just picture perfect! Venue hire is $15.00 per head with a maximum of 22 guests. Duration of your function would be 5 hours maximum. Beach Dining (depending on weather) includes transfer of tables and chairs from restaurant to beach, set up of small bar, serving tables, tiki torches and lanterns. Beach front area is to be vacated no later than 10.30pm. 2.1.3 Marquee Dining on Sunset Resort Beach front Section A romantic setting with a stunning outlook straight across the beach to the lagoon! The sunsets are amazing and the light near sunset is fantastic for photos on the beach and garden settings within the resort. We will cater for a selection of buffet menus for groups up to 60 people in the privacy of your own marquee. Marquee costs along with costing for tables, table dressing, chairs, chair covers and bows can be provided on application. 2.1.4 Set Up Fee: A set-up fee of $8.00 per head applies to receptions held at the Anchorage Restaurant and Beach Dining under the Pergola. A set-up fee of $11.00 per head applies to Marquee receptions. The above fees do not include floral centrepieces for the tables, extra decor, flowers, balloons or special requirements. These can be organised with our wedding planner. 11 2.1.5 Weddings and Functions Non–Private: For weddings & functions sharing the restaurant with regular diners, there will be a set-up fee of $8.00 per head. Please note that there cannot be any interruptions of any kind to our regular diners and in house guests. For groups of less than 20, we suggest that you choose from our a la carte menu. 2.1.6 Meal & Finger Food Options We have a selection of Wedding & Private Function menus available on request. Our menu selections can be tailored to suit your budget and taste. For Children 10 years and under we can tailor a menu to suit, or buffet at ½ price. No charge for children under 2 years old. 2.1.7 Bar Services We have a wine list available or if you prefer an open bar with a limit, please feel free to discuss this with us. We are only too happy to fit in with your budget. 2.1.8 Entertainment Can be arranged with our wedding planner. 2.2 Reception Payment and Cancellation 2.2.1 Payment Terms 50% of the total amount of function is to be paid 3 months prior to the function, except in the case of an open bar where the bill is to be settled at the end of the function or next morning. We require final confirmed numbers 14 days prior to your function. The final confirmed number of guests will be the number charged for, even in the event of no – shows or last minute cancellations. Prices are subject to change without prior notice. A 15% surcharge applies to Sunday & Public Holiday weddings. Please note: All reception and menu costs are to be paid directly to the Resort.
