This guide shows you how. Site Manager Quick Guide Livelink WCM Server 2 Main Changes for Current Users Main Changes for Current Users This section briefs current users on the main changes and improvements. Purpose 2.1 For Users who used to log in with ?login With recent versions of the Livelink WCM Server, users often logged in with “?login”, as this allowed them to perform most tasks, but did not introduce any new user interface concepts. Purpose Recommended upgrade path While the old login is still supported, we recommend that you log in with ?edit and use the new menu-style user interface. This still looks very much like the user interface you are familiar with, but offers more functions, should you need them. And what’s more, several functions are now much easier to use than before. For example, you can move pages around using drag-and-drop, much like you move files around your computer, or like the way you manage your emails. 2.2 Purpose For Site Manager Users The Site Manager is Livelink WCM Server’s tool to edit content. You can modify texts and images on a page, as well as create new pages and change the navigation structure of your Web site. Site Manager Quick Guide 7 Main Changes for Current Users Livelink WCM Server Recommended upgrade path We recommend that you move to the new user interface, which makes several tasks easier and more like what you are used to from your desktop computer. Depending on your preference, you can use a menu-style user interface, or a ribbon-style one. The ribbon offers more direct access to most functions, but it takes up more space on the screen and may be confusing if you are not familiar with the functions on it. If you prefer the menus The menus contain the same functions as the side bar of the previous user interface, plus a few that were on special overview pages. So all in all, the functions are more accessible and better grouped. You can now leave the Search window and the Site Explorer open while you work on the Web site. In the new Site Explorer, you can move pages around using dragand-drop, and you can even drag pages from the search results directly into the Site Explorer. The new Mode menu contains the view modes from the side bar: Edit page, Preview and Live view. The new Workflow menu gives you direct access to workflow tasks. 8 Site Manager Quick Guide Livelink WCM Server Main Changes for Current Users If you prefer the ribbon The “My Home” group contains most of the useful functions that were scattered over the previous user interface. The “Current page” and Content groups contain all the functions to create and edit pages and page content. The “Current Page” menu also contains the view modes from the side bar: Edit page, Preview and Live view. In the Main group, you can open the Search and Site Explorer windows. Now, you can leave them open while you work on the Web site. In the new Site Explorer, you can move pages around using drag-and-drop, and you can even drag pages from the search results directly into the Site Explorer. The Main group also gives you access to the Workflow menu. Site Manager Quick Guide 9 Using the New User Interface 3 Livelink WCM Server Using the New User Interface Purpose This section describes how you switch to the new user interface and how you use it to more efficiently work with the Site Manager. 3.1 Switching between the Interfaces Purpose The Site Manager offers the new user interface along with the old one. The new user interface comes in two flavors: - A menu-style interface, which mirrors what users of traditional desktop computer software are familiar with. - A ribbon-style interface, which mirrors the user experience that is found in current versions of Microsoft Office. Switching to the new user interface From the classic Site Manager user interface, click the Switch button. The Site Manager switches to the new user interface. 10 Site Manager Quick Guide Livelink WCM Server Using the New User Interface Switching to the ribbon When you are in the new user interface, you can switch to the ribbon as follows: 1. In the Actions menu, click Switch Toolbar. The Site Manager now displays a ribbon on top. The ribbon uses some more space than the menus, but it displays all the available options at one glance. We recommend it for frequent users of the Site Manager. Switching to the menus When you are in the ribbon mode, you can switch back to the menus as follows: 1. In the Control group, click Switch Toolbar. The Site Manager now displays the menus. The menus use less space, but require more clicks to operate. Switching to the classic user interface You can switch back to the classic user interface any time: Site Manager Quick Guide • If you use the menus, then click the Actions menu, and then click Switch to Classic. • If you use the ribbon, then click Switch to Classic in the Control group. 11 Using the New User Interface 3.2 Livelink WCM Server The Status Bar and Quick Launch Button Purpose The new Site Manager contains a status bar at the bottom. It works much like the Windows status bar: It contains the Quick launch button and can hold minimized windows. Minimizing Windows You can minimize the Site Explorer and the Search window. If you do, they are displayed here in the status bar. Quick Launch The Quick Launch button gives you access to several frequently used functions, such as Search, Logout and the Site Explorer. As a rule, the new and significantly improved features are listed here. 12 Site Manager Quick Guide Livelink WCM Server 3.3 Using the New User Interface Context Menus Purpose LiveLink now shows you a context menu that displays actions that are common for the type of content that you click. Click with the right mouse button onto any item in the Site Explorer do display it. The context menu makes several functions readily available that are scattered across multiple menus and screens. Site Manager Quick Guide 13 New and Improved Functions 4 Livelink WCM Server New and Improved Functions The Site Manager features several functions that were completely redesigned or vastly improved. Purpose 4.1 The Site Explorer Purpose The Site Explorer was completely redesigned. It now features a much leaner, more accessible interface, it better integrates with the pages you edit, and it supports drag-and-drop as well as context menus. Starting the Site Explorer To start the Site Explorer, click the Site Explorer button. The Site Explorer opens in a new window, which is displayed in front of the Web site content. Changing the window You can change the Site Explorer window as follows: Navigation 14 - Drag the title bar to move the Site Explorer window around. - Click the up arrow to reduce the Site Explorer to the title bar. - Click the Minimize icon to minimize the Site Explorer to the status bar. You can access the Site Explorer again by clicking on it in the status bar. - Click the Maximize icon to maximize the Site Manager so that it covers the entire browser window. You can click the icon again to restore the Site Manager to its previous size. - Click the Close Icon to close the Site Manager. To change to a different page of your Web site, click the page in the Site Manager. To unfold pages in the Site Manager, click the triangle to the left of the page, or double-click the page. Site Manager Quick Guide Livelink WCM Server Drag-and-drop New and Improved Functions You can move pages in the Site Manager using drag-and-drop. To do so, click and hold a page, and then drag it to the new location. While you move the page, the Site Manager displays the effect if you drop the page at the current location, as follows: You cannot drop the page at the location. If you release the mouse button, the Site Manager will do nothing. Adds the page as a child page to the page you are pointing at. Inserts the page between two other pages, on the same level as the two existing pages. Inserts the page before the page you are pointing at. Inserts the page after the page you are pointing at. Note that if you point to a folder for a second or two while you drag a page, the Site Manager opens the folder and displays the content. Context menu 4.2 Purpose The context menu holds several common operations for pages. You can access it by clicking the right mouse button on a page name or page icon. Search The search function was completely redesigned and now offers context menus and drag-and-drop much like the Site Explorer. Site Manager Quick Guide 15 New and Improved Functions Livelink WCM Server Searching To search for objects, proceed as follows: 1. In the Name field, type the name of the object (or the start of the name). 2. Click the Search button. The Site Manager now displays a list of all the objects that match the name. Note: When the Site Manager displays the result list, it hides the search fields. To display the search fields, click the down arrow in the top-right corner of the Search window. Limiting your search 16 The new search field offers several ways to limit your search. This is valuable as the complete database may contain thousands or tens of thousands of objects, so a search by name alone may return a large number of objects. Name Returns only objects that match the name. Group Returns only objects that belong to one object group. Language Returns only objects that have at least one instance of the language you have selected. Medium Returns only objects that have at least one instance of the medium type you have selected. Site Manager Quick Guide Livelink WCM Server New and Improved Functions Search types The Site Manager offers several different types of search for different types of content that is stored in the database. Each type contains special search fields that fit the type of content you are looking for. For example, the Document/File search allows you to search for only Adobe Acrobat documents (that is, for PDF documents). Search and Site Explorer If you have the Search window and the Site Explorer open at the same time, you can drag objects from the search results into the Site Explorer. This is a very efficient way to add new pages you have created to your Web site. Site Manager Quick Guide 17 New and Improved Functions Livelink WCM Server Search and Content Editing You can drag an item from the search results directly into an editing frame. The item then replaces the item that was in the frame. The item that is replaced is not deleted, it is still available and you can for example use the search to locate it and place it elsewhere on the website. This is a very efficient tool for maintenance tasks, for example when you have to move around large amounts of content, or when you quickly want to create new pages based on existing content. 4.3 Purpose Work with Several Windows Open In the new user interface, you can keep several of the new windows open. This allows you to better keep track of what you are doing. Usage A good way to use this new feature is to have the Site Explorer window open at all times. In this way, you can better see where you are on the Web site, and you can quickly perform tasks such as changing the page properties or moving pages around while you are editing. Depending on the layout of your Web site, you can resize and reposition the Site Explorer, so that it does not hide any edit boxes. 18 Site Manager Quick Guide Livelink WCM Server 5 Current Limitation Current Limitation Workflow Currently, the Workflow is not fully featured in the new Site Manager layout. If you use workflows, you may prefer using the old interface (or switching to perform your workflow tasks). Site Manager Quick Guide 19
