As was the case last year, this performance is made possible from the contributions of many ballet families, patrons and area businesses. The Nutcracker demands a large commitment from the families, teachers, and dancers to make this wonderful annual production a successful one. We thank you. Please take time to read through this booklet carefully. It contains rules, expectations and other specific and helpful information needed before the first rehearsal at the VBC Concert Hall. We are asking for volunteers, and many of you have already signed up. The organization and assignment of volunteers has changed due to the number of dancers, as well as the professional union crew working at the VBC. This booklet of information should address most of the questions and concerns you may have and help you understand what will be required of you during “Nutcracker Week” at the VBC. Dressing Room Notes: *Be courteous of your fellow cast members privacy and ALWAYS KNOCK when entering a dressing room. *Only cast members and parent volunteers will be allowed in the dressing rooms. *Party-Scene Dressers will be trained during Tech Week. *Party girl moms will be allowed in the dressing room to fix hair and makeup, and will leave once the dressers come in to help dress. Dancers need to bring: Be sure your shoes and tights are clean and presentable! All make-up required for character Make-up remover Deodorant (even for the youngest children because costumes are shared) Box of tissues or cotton balls Face cloth and towel Hair Supplies: See page 12 & 13 Clean leotard, tights plus an emergency pair of tights Homework, books, cards, quiet games, maybe even some- NOTES: If you have any questions, please feel free to call Kristy Maples, Volunteer Coordinator, 256-599-1005 at any time with your concerns and questions. All of your questions during the performance should be directed to the Volunteer Coordinator, Kristy Maples. Mr. Otto and Ms. Butler will be concentrating on the on-going production. Rachel Butler, Ballet Mistress—will be working backstage for the entire performance. Stage Manager and Crew—Are made up of VBC union employees and some volunteers. They will expect a professional atmosphere in which to focus on all production matters.—Props -Handle props only if it is part of your role to do so. If you have any issues, questions or problems with a prop, please tell one of the backstage crew members, and they will take care of it. Parent Liaison/Volunteer Coordinator—Kristy Maples is the volunteer coordinator and will float around the entire dressing room, wardrobe and backstage area. If you have any issues, problems and questions that cannot be answered by other volunteers, please see Kristy. Lisa Ordway, Costumer—will be in attendance in the Wardrobe/ Sewing area of the VBC, see map pgs 10-11. Volunteers in the maintenance, repair and distribution of costumes will assist Lisa. If you have a problem with your costume, please bring it to Ms Ordway’s attention. Check-In Desk—located in the Ballet Room. Dancers, as well as all volunteers, WILL BE REQUIRED TO CHECK IN at the desk. Check-In volunteers will receive pre-printed volunteer badges. For security purposes, NO ONE WILL BE ADMITTED TO THE DRESSING ROOMS without a Huntsville Ballet badge. This means you will not have access to the backstage area unless you are a volunteer for that particular performance. The volunteers are responsible to account for all dancers and will need to call alternates, if necessary. They will also be able to answer any questions or direct your questions to the right person. Scene Runners—Three or four volunteers will assist in calling scenes and helping dancers to get to their proper places on stage. These volunteers will need to have knowledge of the production and Tchaikovsky’s score. Special nametags will be issued to scene runners for stage access. Mr. Otto insists that scene runners are the only volunteers to be allowed in the backstage wings. Cast members who do not rehearse will have the opportunity to watch and learn from the audience. This also ensures that you are present for any changes that may occur and to receive any information given. Parents will be responsible for their All dancers are expected to behave in a professional and responsible manner during all rehearsals, performances and while observing. There will be no running around the building! Dancers agree to follow directions of those conducting rehearsals and volunteers supervising backstage area. REHEARSALS: Dancers must be on time, properly dressed and ready to dance at every rehearsal for which they are scheduled. It is the responsibility of each dancer to check the rehearsal and performance schedule frequently. NOTE: Dressing Rooms are very crowded. If you are not in ACT I, do not use the dressing room until your check-in time. Do not bring friends, relatives or siblings to dress rehearsals. ABSENCES: Planned absences need to be in writing or called in to the office, 539-0961. Illness and family emergencies are the ONLY acceptable excuses and must be explained in writing. NO EXCEPTIONS WILL BE MADE TO THIS RULE! If a dancer is ill and cannot perform, please let the ballet know as soon as possible. Call the office at 539-0961 when rehearsals are at the studio and call Kristy at 256-5991005 when rehearsals are moved over to the VBC. TRANSPORTATION: Plan ahead. Plan on how, where and when you will be dropped off and picked up for rehearsals and performances. Remember, all rehearsals will start promptly. PARKING: The parking near the Concert Hall (a.k.a. North Hall Parking) .is limited and the cost is $5/day. The schedule and any changes will be posted on the studio bulletin boards as well as the web. Ivory or Pale Peach shadow on lids White liner may be used between edge of eyelid and darker liner 15 VOLUNTEER PROCEDURES FOR REHEARSALS AND PERFORMANCES MAKE-UP APPLICATION (Soldiers—see info at bottom of page) ♦ Always start with a freshly washed face ♦ Moisturizer—with fingertips smooth on moisturizer (if desired) ♦ Concealer—gently put a small amount of concealer on dark circles around eyes and any blemishes (if necessary) ♦ Foundation—A MUST FOR EVERYONE—with a damp sponge, apply pancake foundation over entire face including under the jawbone until skin tone and coloring are even. ♦ Loose Powder—With a puff, powder is applies over the face to set the foundation. ♦ Eye Shadow— 1. White or Cream (highlight color) is applied to the eyelid and the area below the brow. 2. Pink, Rose or Wine (accent color) is applied to the space between the highlight color and eyelashes. 3. Brown (contour color) is applied to the crease, or the narrow space between the top of the eyeball and the bone above, to give the eyes more depth. 4. All colors should then be blended slightly upward and out to soften the look. ♦ False Eyelashes (follow package instructions) These should be worn by only Snow, Spanish, Chinese, Arabian, Russian, Shepardess and Flowers. ♦ Eyeliner—The liner should be applied on the eyelid above the lashes following as close to the lash line as possible. When using liquid liner, do the lower lash line first, then the top lash line and be sure that the eyes stay closed until the liner dries. Note: lines need not extend outward past the actual eye. ♦ Eyebrows—If eyebrows need to be darkened, apply a dark brown shadow with a brush applicator using short light strokes to keep a natural look or using an old tube of mascara, apply a light coat of mascara to the eyebrows again for a more natural look. ♦ Blush—Apply lightly on the cheekbone (from the apple of the cheek to the hairline) until twice as dark as an adult might wear for a night out. ♦ Lip Liner—Applied to outline the lips (on the lip line) so the color does not bleed when applied. ♦ Lipstick—Generally, the color should be a shade darker than your natural lip color. Once the lip color is applied, blot with a tissue to remove the excess. This will help avoid smearing. Note to Snow: do not wear red colored lipstick or else your lips will look purple under the blue lighting used for snow scene. ♦ Mascara—Black mascara is applied to both top and bottom lashes. ♦ Soldier Cheeks —Will be applied in the Green Room. ♦ Soldier Lip Color—Should closely match the check color. 14 1. 2. 3. 4. 5. 6. 7. 8. 9. All volunteers are required to check in and receive a badge before being allowed backstage. You have been asked to watch over a certain group of dancers. Please make sure they have checked-in when they join your group. We need to know if replacements need to be called. Dancers are to arrive with their hair in buns (unless otherwise instructed). Clara and Party Girls are to arrive in curlers. If any of your dancers need assistance, please help them. Check the hair and makeup required before they go on stage. All dancers will be responsible for their own hair and make-up. It’s suggested that one volunteer from each group check in with Wardrobe when they arrive to find out when and where costumes are to be put on. Wardrobe will instruct you when and whether they want to dress the dancers or if dancers are to take costumes to their dressing rooms. Make-up and hairspray is to be put on BEFORE the dancers put on their costumes. Once costumes are on, paper towels or cloths are to be tucked into the collars. No food is allowed once costumes are on. Please make sure all dancers have gone to the restroom before putting on their costumes. Dancers are required to wait in their dressing rooms until called. When the dancers are called, they will need to be lined up and brought to the outside of the backstage door. They will need to be kept quiet! Noise travels to the audience from backstage. It will be necessary for you to wait for the dancers and return them to their dressing rooms. When your dancers are finished (usually ACT I and II bows), the costumes and all pieces are to be returned to the dressing room rack on their hanger. Please check the dressing rooms for any litter or misplaced belongings. “Lost and Found” will be located in the dressing room. Volunteer is excused when all of the dancers in their group have been reunited with their parent. 10. Volunteers must check-out and return their badges. If you are returning to volunteer the next performance, return your badge and you will be issued a new one at the next performance. IMPORTANT REMEMBER TO CHECK ALL DANCERS BEFORE THEY DANCE! No personal jewelry/no nail polish. Check that strings are tucked into ballet shoes and Ribbons on Pointe shoes must be secured. Make-up and hair is neat and pinned. No sitting in costumes (sitting is allowed if costume is raised). 7 NUTCRACKER HAIR (Continued) THE RULES 1. 2. 3. Be quiet backstage, no running, yelling, slamming doors or rowdy (rough, disorderly) behavior. All dancers will wear stage makeup, with the exception of the mice. Huntsville Ballet will provide the makeup for the clowns and lambs, and the red cheeks and black brows for the soldiers and dolls. “Please encourage your children to get use to the idea of wearing makeup.” After rehearsals and performances: hang up your costume and clean up thoroughly after yourself . HBC will be charged a cleaning Hats and Headpieces: To secure tightly, use bobby pins and crisscross or interlock them. BUNS—4 Styles (Determine which one is for your part, pages 16-19) 1. Ballet Bun—If looking in the mirror, you would see the top of the bun. 2. Regular Bun—In the middle of the back of the head . 3. Low Bun—resting on the lower hairline. 4. High Bun—Even higher than the ballet bun, on top of head. Usually to accommodate a hat or headpiece. fee if theater is left a mess. Check all drawers and cabinets for personal items. 4. 5. 6. 7. It is absolutely ESSENTIAL that dancers arrive and depart the VBC on time! Please note that for safety reasons, the Ballet will post a guard by the Loading Dock doors so no cast members or parents will be admitted through that door. All dancers and volunteers must check in and out at the Check-in desk located by the Green room. If you are going to leave with someone other than your parents you must present a written note to Check-In Desk. Any dancer who wishes to leave the VBC must provide written permission from a parent. Dancers need to depart the VBC between performances on Thursday and Friday. Do Not “hang around” the backstage door area. Cameras and videos are allowed in the dressing rooms only. Special Info for Parents 1. 2. 3. 4. 5. Study time will shrink drastically in the days ahead. Please try to get your dancer to work ahead as much as possible during the Thanksgiving break. Dancers should arrive in street clothes and street shoes. Loose fitting, comfortable clothing that can be worn over tights and leotards are recommended. Shoes that will be worn on stage should never be worn outside. Dancers in Act I only need to be picked up at the check-in desk at intermission. The student will need a ticket if they plan on entering the house to enjoy Act II. Please be courteous to all Act II dancers and wait to be with your child when the performance is over. Intermission is extremely hectic backstage. The volunteers will take good care of your little ones. If you can’t wait, please be a volunteer. Rest: Try to ensure your dancer(s), regardless of age, get plenty of rest. Short naps are great but even some scheduled down time will help. If your dancer is in both Saturday shows they will behave and perform much better if they leave the VBC and get some rest. Please trust us on this as we’ve seen the good, the bad and the ugly for years! 8 How To Make The Classic Ballet Bun Materials List: ♥ Comb & bristled brush ♥ Hair Spray—strong hold. ♥ Gel or Spray Gel Wal-Mart Goody Brand ♥ Hairnets—same color as hair. ♥ Goody brand Bobby Pins ♥ Ouchless ponytail holders (thick ones, except for really thin hair) Sally Beauty Supply: ♥ Sta-Rite Jumbo Hair Pins for really thick or long hair ♥ Good Hair Days (French Hair Pins—work well for some) Instructions 1. 2. Use bristled hair brush to gather hair and smooth out rough or uneven areas. Form a ponytail by brushing up from the jaw line and back to the back of the head. Secure with ponytail holder. A tidy ponytail with hair drawn back snugly is the key to a good bun. 3. Twist the ponytail and hold tightly. Coil or wrap around ponytail at base into a tight circle As you coil insert a few hairpins around the coil to secure it to the rest of the hair. Hold in place with one hand. 4. With one hand, push against the bun to hold it flat against the head. Insert hairpins around bun, close to the scalp. To effectively insert a hairpin: slide each hairpin through the outer part of the coil and into the base (center of the bun). Angle the hairpin (bend is toward the center of the bun and ends are pointed toward the outside of the bun). Pick up a small amount of hair from the outside edge of the bun and into the hair which is close to the scalp. When you’ve gently touched the scalp, flip the hairpin to the total opposite angle (away from bun) and push in toward bun. Use as many hairpins as necessary,15-20 or until the bun is secure to the head. 5. With one hand holding the bun use your other hand wrap a hairnet over the bun. Twist hairnet at the bottom and cover (wrap) the bun again and again so that the hairnet tightly secures the bun, and then tuck any remaining hairnet under the bun and put more hairpins in it. 6. For extra hold, when the hair and bun are secure, put a small amount of gel on palms and glide them over the head, and then add hairspray. 7. Finished look. Bun should be centered on the back of the head with the top of the bun visible from the front, except when wearing a performance headpiece. Bangs or “Fringes” 1. Bangs or “fringes” should be pinned back to show the face clearly. Gel and spray. NUTCRACKER HAIR Hair must be clean and well groomed. Party moms, party girls plus those needing their hair braided or in buns, please do not cut your hair until after the last show. “RINGLETS 101” A Materials: B ♦ Hair brush ♦ Ponytail holder or clips ♦ Hairnet ♦ Rat-tail comb for sectioning C ♦ End papers ♦ Paul Mitchell “Freeze & Shine” or generic. ♦ Barrette: closure type “A” is easier to remove for touchups than type “B”. ♦ 3-4 Packages medium size (7/8”) SPONGE (foam) hair rollers, item C. Instructions: 1. Wash hair and dry thoroughly. 2. Secure hair away from face with barrette as in drawing D. 3. Clip section in barrette out of the way, and then part off the middle section, securing the underneath section with a clip or ponytail holder. 4. Section a strand, not wider than the curler. Note: long or D thick hair—don’t try put too much hair onto one roller because it won’t curl well; short or thin hair—put enough hair on each roller so the curls won’t be too thin or spindly. 5. Brush or comb strand. Spray hair with Freeze & Shine (F & S) to moisten; don’t over saturate. 6. Place an end paper on top of and below the strand, or fold in half over the strand, near the ends. Add F & S if needed. 7. Place curler under the end papered strand, holding it parallel with the parting; then draw the end paper and curler E downward until hair ends are covered as in drawing E. 8. Roll the strand, using the thumb of each hand to keep the strand smooth. Wind strand on the curler to the scalp, and then fasten curler closed at top. 9. NOTE: Roll at least 2 curlers toward the face on each side. Roller placement will look similar to drawing F, but with about 20-30 more curlers! 10. Dry hair again, let cool, leaving curlers in as long as possible. F 11. Remove the rollers gently so as not to distort the curl. DO NOT BRUSH OUT! After rollers have been removed, keep curls loosely wrapped in a hairnet or scarf to keep gravity from causing them to droop too soon. 12. Hair spray the curls until stiff and then spray them one more time. Finished look will be similar to drawing G. 13. After the performance carefully re-roll each individual ringlet for the next performance. Cover with hairnet. G Boys: If your haircut is short and clean, do nothing. If your hair is longer, be sure to use gel and hairspray to keep it away from your face and contained. 12 MEET THE DO NOTs: 1. Run, yell or slam doors. 2. Bring anything inappropriate to the VBC. 3. Eat or drink anything, chew gum, or sit on the floor while in costume. 4. Take your costume out of the VBC. 5. Go into any dressing room except the one you are assigned. This means females are not to enter any male dressing rooms and males are not to enter any female dressing rooms. 6. Write on the mirrors in the VBC dressing rooms. Keep decorating to a minimum and be courteous to everyone. 7. Go into areas that you know are off limits, i.e., any of the technical areas of the stage. 8. Play with the props, makeup or sewing things. These items are strictly off -limits. Handle props unless it is part of your role to do so. Do not place anything on the prop table except props, i.e., NO water bottles, warm-ups, sweatshirts, etc. Return props to proper place when you have finished with them. No excuses for damaged, lost or soiled props. 9. Go beyond the Check-In desk outside of the Green Room while in costume. To sit in the audience you must change out of your costume into street clothes and remove your stage makeup. 10. Go into the stage “wings” unless you are about to perform. 11. Go into the balcony or up the stairs to the balcony at any time, before, during, between or after any show. 12. Wear glitter! 13. Do not bring valuables, jewelry or money to the VBC. No personal jewelry (earrings, rings, watches) may be worn on stage. 14. Only volunteers with an HBC Volunteer Badge will have access to the backstage and dressing room areas. A list of volunteers will be provided to the check-in desk prior to the ballet rehearsals and performances. No one will receive a volunteer badge unless his or her name is on the volunteer list. 15. Parents, other family members and/or friends are NOT allowed in the backstage area or the dressing rooms. Each year we have a wonderful group of volunteers who will be there to help your child prepare for his/her moment on the stage. If you feel strongly that you should be with your child, please speak with Kristy Maples. 16. NO PHOTOS OR VIDEO ARE ALLOWED BACKSTAGE OR FROM THE AUDIENCE PERIOD.
