Dear Friends, A festive gathering at Aldie Mansion can only mean one thing—the Annual Spring Auction for Buckingham Friends School. This year, we celebrate our 32nd annual auction. Although this is a short time in the history of our 222-­‐year-­‐old school, this is an important event for us right now. Thank you for being here and supporting our beloved school. We hope you enjoy your evening with good food, good friends and an opportunity to celebrate and support what we love, together, Buckingham Friends School. The theme this year is “Bridging the Generations”…what does this mean? A bridge means to bring together and open new pathways of connection. Generations are not just people from years past and those to come. Generations are links to who we are and who we may become and how that deLines our community. Our children’s children deserve to experience what is BFS and, through your generosity, we can sustain what we love. The Future Fund, our Special Appeal for this evening, is a symbol of bridging the generations in support of our teachers.
As Auction Chair, Melissa Clayton deserves a huge thank you for her vision, creativity and incredible skills of pulling together a wonderful group of volunteers to make this evening possible. Without these volunteer efforts, our evening would not be possible—thank you. Whether you have contributed volunteer hours, gotten tennis elbow from waving your auction paddle or you talked a friend into donating gift or services, every contribution helps us to realize our potential in raising funds and friends. As always, there are so many fabulous items ranging from vacation rentals to hand crafted furniture to services to Linely crafted scarves, bowls, hats and mittens. Not to mention granola, spirit, and home baked pies…no one will leave disappointed. We are deeply grateful to all who have donated, sponsored, created, helped, crafted and contributed in so many ways to the BFS Auction. The multifaceted ways of giving are symbolic of who we are. This single color block print on rice paper features the Buckingham Friends Meetinghouse and
will evoke happy memories in any BFS community member. The print was created in a two-step
process: first the image is carved into a solid material then it is rolled with ink and printed onto
paper. This is the first copy made from the print, and it features a lovely black frame with white
mat. The artist, Regina Stoltz, is a relative of current BFS parents Frank and Gwen Stoltz.

Auction Preparation and Rules
Each guest/family is required to check-in at the Auction Registration/Welcome Desk. Guests will then receive their printed catalog and nontransferable bidder number. One bidder number will be assigned per family.
Silent Auction
All bids must be placed in person.
Each item is accompanied by a bid sheet labeled with the item number, description, opening bid amount and the minimum raise amount,
which is the dollar increment for the next bid level. Bids may be eliminated if the required minimum raise is not observed. Enter your number
and bid amount on the following blank line.
The winner is determined at the close of the table by the highest recorded bid on the official bid sheet. An Auction Committee member will
circle the winning price and bidder number, and then remove the top copy of the bid sheet for recording.
Live Auction
With the exception of a Special Appeal, all bids must be placed in person.
To enter a bid, simply raise your bid number, promptly, to the Auctioneer or one of the Auction spotters. The Auctioneer has sole discretion to
set or change bidding increments on each item. The highest bidder acknowledged by the Auctioneer shall be the winning bidder. In the event
of a dispute, the Auctioneer shall have sole discretion to determine the successful bidder, or to open and resell the item in dispute. Once the
auctioneer declares the item sold, ownership passes to the successful bidder, who then assumes full risk and responsibility for the item.
When the Live Auction begins, it will continue without interruption until all items have been auctioned.
Additional Information
All items must be paid for and removed from the auction site the night of the Auction. Transportation arrangements are the responsibility of
the buyer.
All sales are final, and sold “as is.” Please read the descriptions and limitations, as there will be no exchanges or refunds.
All items and services must be used within one year of the Auction or by the expiration date noted on bid sheet or certificate.
All attendees and bidders must be over the age of 21 as this function serves alcohol.
Family and Friends of BFS have been most generous in donating their vacation homes, condominiums, apartments and other personal items.
It is the responsibility of the successful bidder to leave these accommodations in the same condition as they found them.
Payment
The Cashier’s Desk will open 15 minutes after the conclusion of the Live Auction. Cash, checks made payable to Buckingham Friends
School, American Express, VISA, MasterCard and Discover are accepted. All items must be paid for in full the evening of the Auction.
It is permitted for two or more parties to pool resources and join in bidding on items; however, one bidder must settle the cost of the item
at checkout since the cashier cannot split the receipt. It is the responsibility of the successful bidders to settle such payment
arrangements amongst themselves.
At the time of payment, the bidder will receive a detailed invoice on monies spent for tickets, cash donations, ads and items/services won at
the Auction.
No refunds, partial credit or exchanges will be granted. Bidding on items serves as acceptance of item specifications and restrictions.

Charitable Contributions
The following information was given to the Auction committee on an informal, advisory basis. While the following is not intended as legal
advice, it is presented here for your information. Please consult your tax advisor or other source if you have any questions on the following.
The Revenue Reconciliation Act imposed substantiation requirements
for charitable contributions effective January 1, 1994.
Donations of $250 or more…
Individual and corporate taxpayers will be required to have written confirmation from the recipient organization for any single gift in excess of
$250.00, in order to claim these contributions as deductible from Federal Income Tax. This written confirmation must be received by the
date on which the donor files a tax return, or April 15, 2016, and can be a single annual statement of the donor’s contributions for the year.
The acknowledgment must state the amount of cash (if donated) and in the case of a property donation, must include a description of the
property. An estimate of the value of the property is not required, but a statement that no goods or services were provided by those
receiving donated goods in exchange for the donation must be included. Therefore, the intent of the new law is to ensure that nothing of
value has been given in return for a charitable donation.
Disclosure Requirements for Quid Pro Quo Contributions…
Beginning in 1994, charities that receive donations in excess of $75 that are partially in exchange for goods or services will be required to
supply the donor with a written statement that provides a good-faith estimate of the value of the goods or services and stating that only the
portion of the donation in excess of that amount is deductible. The statement may be included in the solicitation for the contribution or in a
receipt acknowledging the gift. In contrast to the $25,000 donation rates, this requirement is imposed directly on the charity. A new penalty
of $10.00 per contribution, capped at $5,000.00 per fundraising event, may be imposed on failures to comply.
Estimate of Fair Market Value…
The 1993 Act does not give any guidelines on how estimates of fair market value should be calculated other than to make “good faith
estimates.” In rulings prior to 1993, which remain in effect, the IRS has taken the full fair market value of the admission to an event and any
other benefits or privileges into account when determining the non-deductible par to a quid pro quo contribution. While it is difficult to
determine specific guidelines in assessing fair market value, an attempt should be made to determine what an individual might pay in a
retail market for the goods or services provided, rather than simply calculating out-of-pocket cost to the charity. Fair market value may best
be determined by obtaining price information and admission information for comparable commercial events, or in the case of goods, retail
price for comparable items.
