How to Use Gold Canyon E-V ites
BEFORE YOU BEGIN
Please note that you cannot use E-Vites with a Host who has not yet been added to your
Contacts list.
If your Host has not been added to your Contacts or does not yet have a customer
account, you should enter their information under the Contacts tab on the Scentral Hub.
Just keep in mind that once a contact is added, you cannot go back and add information
to their profile/account later, so be sure you have all the information you need. Below is a
screenshot of the ADD A NEW PROSPECT form you can see all the information you may
want to gather.

1. After you’re certain your Host has been added to your Contacts, start the Mixer
Order. Go to the ORDERS tab, then click on Schedule a Scent Mixer on the left side
of the page.
2. Complete the Scent Mixer Setup form. Be sure to check “Use e-Vites” and enter the
Host’s e-mail address in the “Organizer’s/Host’s E-mail Address” field. You also
have the option of writing a personalized message to your Host in the Personalized
Content box. This message will be displayed at the bottom of your E-vite to the
Host. Once you’ve completed all the information, click CONTINUE.
IMPORTANT: If the Scent Mixer is online ONLY, be sure to select a Mixer date that is
the final date you will be accepting orders so guests know to place their orders by
that date.
Also, in the “Organizer’s/Host’s E-mail Address” field, be sure to enter the same email address your Host has on file with you in their customer account.

3. Once you’ve completed the Scent Mixer Setup, your Host will receive an e-mail
similar to the one shown below with the subject line “Your Gold Canyon Scent
Mixer Is Scheduled”.
4. They can click on the link in the e-mail they receive to log in to their Host Scent
Mixer Manager, the online portal from which they can invite Scent Mixer guests.

5. To begin inviting guests, they can click on the red link that says INVITE PEOPLE.

6. From this page, your Host can simply enter guests by first name, last name and email address to invite them to their upcoming Scent Mixer. They can click on the
“Add more entry lines” to add more fields for additional guests if they are inviting a
lot of guests. Alternatively, to add a large number of guests at one time, the Host
can click on “Add guests from a file” and upload a .csv file containing the first and
last names and e-mail addresses of their guests.
Note: The .csv file extension stands for “comma separated values” and represents a
“comma delimited” file type. If your Host has a list of the Scent Mixer guests they
want to invite, they can enter them into an Excel spreadsheet with the fields of first
name, last name and e-mail address and save the Excel spreadsheet as a .csv file
type. They can then click “Browse” and upload the .csv file from their computer.
See steps 6a and 6b below.
Further, they can click on the icon below “Want to see what your invitation will
look like?” to see what the invitation should look like when it’s received in their
guests’ inboxes. Once the Host has entered the names and e-mail addresses of all
her Scent Mixer guests, she can click SEND YOUR INVITATIONS NOW >.

6a. For those Hosts wishing to upload a long list of Scent Mixer guests, they can
click on “Add guests from a file”. The box will then give them an option to browse
their computer to find the .csv file containing their guests’ first and last names and
e-mail addresses.

6b. After selecting the file, your Host will see the guests’ names populate in the guest list.
7. Every guest your Host enters with a valid e-mail address will receive an e-mail similar to the
one below with the subject line, “You're Invited to a Gold Canyon Scent Mixer!” The e-mail
contains the Scent Mixer information and gives the guest the opportunity to RSVP Yes,
meaning they plan to attend, or RSVP No, meaning they cannot attend.

8. If they click on “RSVP Yes”, they will be taken to a page similar to the one below. This page
has links that will provide guests directions to the Scent Mixer location as well as a link to
shop the Online Scent Mixer if they’d like to.

9. They will also receive an e-mail similar to the one below with the subject line, “See You at
My Mixer!”
10. If they “RSVP No”, they will be taken to a page similar to the one below. This page also has
links that will provide guests directions to the Scent Mixer location as well as a link to shop
the Online Scent Mixer if they’d like to.
Aww. I’m sorry you can’t make it. You can still shop my Online Scent Mixer,
though. Use the link to the left. I hope to see you next time.

11. They will also receive an e-mail similar to the one below with the subject line, “You Can Still
Scent Mix with Gold Canyon”. This e-mail includes a link to Online Scent Mixer so the nonattending guests can still shop.
12. The Host Mixer Manager shows your Host which guests have confirmed their attendance,
any guests for which the Host is still awaiting a response and which guests have declined
their attendance. They can also invite more people if they forgot someone the first time
around by clicking on “INVITE MORE PEOPLE”. If your Host still hasn’t heard from certain
guests on her guest list, they will be displayed in the “Awaiting Response” area. She can resend invitations from her Host Mixer Manager by clicking the “RE-INVITE” link.

13. On the next screen, your Host can click RESEND YOUR INVITATIONS NOW >.
14. Last, your Host can send a Thank You e-mail to her Mixer guests after the Mixer date has
passed.
Note: The option to send a “Thank You” e-mail will not appear in the Host Mixer Manager
until the Mixer date has come and gone. Once the date has passed, the button on the
Mixer will display as a “Send Thank-You E-mails” button. Your Host’s Mixer guests will
receive an e-mail similar to the one below with the subject line, “Thank You for Coming to
My Mixer!”
