CABC Installation Guide Maximizer CRM 10 Entrepreneur Edition CABC Ltd PO Box 162 Newbury Berkshire RG14 1AS 01635 570970 Document Version: Dated: 1.0 26/06/2008 Purpose of this Document This document has been prepared by CABC Technical Support as a guide to installing Maximizer CRM 10 Entrepreneur Edition. If you follow the instructions within this document you will end up with a fully functioning Maximizer CRM 10 Entrepreneur Edition installation. This document also contains instructions for upgrading a previously existing Pervasive Database, the kind of database used with Maximizer Professional versions 7, 8 or 9, to a Maximizer CRM 10 SQL Express Database. If you are running a version of Maximizer older than version 7 your database may require additional assistance to fully upgrade, if this is the case then you should contact CABC to discuss your options. The instructions in this document have been test by CABC on fresh installs of Windows XP, however all computers vary in their configuration due to the variety of software used. CABC cannot guarantee that this guide will be suitable for all environments. Connecting to a Shared Address Book Over The Network ..........................................21 3 | Pa g e ©2008 CABC Ltd All Rights Reserved http://www.cabc.co.uk Installation Requirements To install Maximizer CRM 10 Entrepreneur Edition your system must meet the following minimum specification: Microsoft Windows 2000 Pro, Server, Advanced Server Microsoft Windows XP Home and Professional (32bit & 64bit editions) Microsoft Windows XP Tablet PC Version Microsoft Windows Server 2003 Standard & Enterprise (32bit & 64 Editions) Microsoft Windows Vista Home, Business, Ultimate & Enterprise (32bit & 64 Editions) (Please note that Windows Vista Home Basic and Windows Vista Home Premium are ONLY supported on stand alone installations and NOT when using multi-user workgroup installations of this product). (Please note that all operating systems must be fully updated with the latest service packs and hot fixes installed) Microsoft Office 2000, 2002(XP), 2003 & 2007 (with latest service packs and updates) Microsoft Outlook (i) 2000, 2002 (XP), 2003, 2007 Microsoft Outlook Express 6.0 Microsoft Exchange 2000, 2003, 2007 (SP1) Lotus Notes/Domino(ii) 5.0, 6.0, 6.5, 7.0 GroupWise 5.0, 6.0, 6.5, 7.0 i) The Outlook Add-in is only supported on computers running Outlook 2002 (XP) or later ii) Supports plain text email only Microsoft Internet Explorer 6.0 or Microsoft Internet Explorer 7.0. I run Windows Vista and at each stage in the installation Windows asks me to confirm my actions, must I do this? A. Yes, Windows Vista incorporates something called User Access Control which means a user must verify all attempts to access the system. Q. The installation will not run, it returns an error saying I have insufficient rights. A. You must be an administrator to install the software, please ensure you have the correct rights. Q. The installation will not run, it returns an error saying insufficient disk space. A. There is not enough space on the computer to install the software, clear some space on the drive you have selected and then run the installation again or change the options to install on a drive where there is more space available. Q. I am upgrading from a previous version of Maximizer on the same computer, do I have to remove it first? A. No. You should leave the existing copy of Maximizer & the Pervasive Database Engine installed on the PC, this allows the new version of Maximizer to read the address book list for you. Q. I am installing Maximizer CRM 10 Entrepreneur Edition on a new computer, which files do I need to copy from my old PC? A. If you open the old version of Maximizer and click File>>Open Address Book, then highlight the database you want to move over and click Browse this will open a Windows Explorer that shows you the files that make up the database, you will need to copy all these files to a location on the new PC. We would recommend you copy these files to an easy to find location such as C:\ Maximizer Backups\ [Name of Address Book]. Q. I am installing Maximizer CRM 10 Entrepreneur Edition on a new computer, do I need to install anything from the old version of Maximizer onto the new computer? A. Yes. In order to upgrade an old Pervasive system you will need to install the Pervasive Database Engine, this can be located in the following folder on your previous Maximizer CD (assuming D: is the drive letter assigned to your CD drive) D:\ Max\ 3RDPARTY\ Pervasive\ wge\ . Then run the setup program and perform a complete install of Pervasive. Again under windows Vista this software must be installed & run under Administrative permissions. Q. I have upgraded my system and now cannot open the database as I do not know my password. A. Maximizer CRM 10 automatically enables security on databases, any account that does not have a password or who s password used to be password will likely have its login details reset to have a password of maximizer , the MASTER user will have a default password of control . 5 | Pa g e ©2008 CABC Ltd All Rights Reserved http://www.cabc.co.uk Procedure 1. Installing the Maximizer Client Step 1. In this Procedure you will insert the Maximizer CRM 10 Entrepreneur Edition CD into the computer and go through the installation of certain pre-requisites that need to be installed prior to Maximizer 10 & SQL 2005 Express Edition being installed. The first thing you should do is insert the Maximizer CRM 10 Entrepreneur Edition CD into your computers CD or DVD drive and allow it to auto play. You should see a screen as shown below: Click on Install Maximizer CRM Entrepreneur Edition . There will be a slight pause as the system reads the CD and then you should be greeted by the following screens. After these have run through the setup program will do some further configuration and you will see a screen like this: Once the setup program has configured all the components you are ready to move on. 6 | Pa g e ©2008 CABC Ltd All Rights Reserved http://www.cabc.co.uk Step 2. A welcome screen setup telling you that you are about to start the Maximizer CRM 10 Entrepreneur Edition setup process will load after the various components have been configured. This screen should appear like this: Click the Next button to continue the setup process, at this point you will see a screen asking you to agree to the EULA (End User License Agreement) before continuing the installation, from this screen you can print a copy of the EULA for future reference should you require it. 7 | Pa g e ©2008 CABC Ltd All Rights Reserved http://www.cabc.co.uk Step 3. After agreeing to the EULA you will be prompted to enter your registration information and your PSN (Product Serial Number). Your PSN is included on your license documentation and must be entered at this point along with at least your first and last names. If you are installing a copy of the software for evaluation purposes the simply leave the PSN field blank and it will install a 15 day trial copy. Click Next when you are done. Step 4. You will now be shown the release notes (you should click Next again) and be asked to choose an installation location. (See below) As long as you are happy with the default installation location you can simply click Next again. If you want Maximizer installed to a different drive or location then you should click Browse on the second screen and choose the location you would like to install to. Once you are happy with the destination location click Next . The next screen (shown to the right) will ask you to select an Application Data Location, for ease of locating it we recommend that you reset this location to c:\ Program Files\ Maximizer\ MaxData, as shown below. 8 | Pa g e ©2008 CABC Ltd All Rights Reserved http://www.cabc.co.uk Step 5. After choosing the installation location you will be prompted to select the type of installation you want to carry out. At this point you should choose Custom and then click Next . The next screen will ask you to confirm the Office Integration Components you want to install, this is largely a matter of personal choice but we would suggest that you leave the defaults as they are and simply click Next again. The next screen will ask you to choose the features of Maximizer CRM 10 Entrepreneur Edition you wish to install. We suggest you remove the Maximizer Companion Applications as this option installs two small programs called Max Alarm and Max Finder which are in our experience rarely used. You can find detail on these programs in the Help file within Maximizer and if you feel you would like to have them available after installation you can modify the existing Maximizer installation and re-add the components. The features selected should now look like this list (note that the Maximizer Companion Applications is now not ticked): 9 | Pa g e ©2008 CABC Ltd All Rights Reserved http://www.cabc.co.uk Step 6. Click the Next button again and allow the installation to proceed to the Select Options screen, we would suggest leaving these options on their defaults and clicking Next again to continue to the penultimate screen. The penultimate screen allows you to review the options you have already set and to go back and change them before committing to the install. If you have followed the steps in this guide then simply click Next otherwise I would suggest you just spend a minute or two to verify all the settings are as you want them before continuing. The final screen you will be presented with will ask you to select an installation location for the Microsoft SQL Server 2005 Express Edition, again unless you have a specific requirement to have the SQL Server installed on a different drive we would suggest leaving the settings as they are and click Next . The installation routine will run through the installation of Maximizer and SQL Server 2005 Express onto your computer. This may take a while. When the installation is complete you will see a screen like the one shown to the left, click finish. Congratulations your Maximizer CRM 10 Entrepreneur Edition installation is now complete. 10 | P a g e ©2008 CABC Ltd All Rights Reserved http://www.cabc.co.uk Procedure 2. Run the Database Upgrade Size Estimator Before Upgrading Data In this Procedure you will run the Database Size Estimator to give you an idea of how large your database will be after upgrading to SQL. This is an important consideration as the SQL Server 2005 Express edition engine that Maximizer uses has a maximum allowed database size of 4gb. Step 1. Start the Database Upgrade Size Estimator as shown below. Step 2. You will now see a screen that offers you various options for selecting a database to estimate the size of. (see right) If you have installed Maximizer 10 over a previous Maximizer installation you will see a list of old databases in this list. Select the one you wish to estimate the update size for and click Estimate . If you are installing on a new computer you will see an empty list. To select a database for upgrade size estimation that is not in this list you simply need to click the Browse button and locate the database you wish to estimate the upgrade size of. Once you have selected the folder click the Ok button. 11 | P a g e ©2008 CABC Ltd All Rights Reserved http://www.cabc.co.uk After a brief delay (may be longer on systems with lots of data) as it processes the data the program will give you a report estimating the size of the database after conversion. If the result of this report indicates that your database will be at or above 3gb in size we would recommend that you consider the Maximizer CRM 10 Professional or Enterprise edition instead as they will better manage large databases. 12 | P a g e ©2008 CABC Ltd All Rights Reserved http://www.cabc.co.uk Procedure 3. Upgrade Data from Maximizer Professional v7, 8 or 9 In this Procedure you will go through the process of upgrading your data from a previous version of Maximizer. Please note that this process cannot be undone and once upgraded data cannot be opened in previous versions of the software. Step 1. The database upgrade is managed via the Maximizer Administrator program, to start this program click Start>>Programs>>Maximizer CRM>>Administrator. (see below) Once loaded this program will ask you to select a database to log into, at the point click the cancel button and then in the Administrator program itself choose the Utilities menu and click on Upgrade Maximizer Address Book . 13 | P a g e ©2008 CABC Ltd All Rights Reserved http://www.cabc.co.uk You will be prompted to shut down all Maximizer Modules before starting. Ensure that all Maximizer programs (except for the Administrator you have just started) are closed and then click Yes . Step 2. You will then be presented with an Open Address Book dialogue box, this dialogue should show you either the list of Address Books from your previous installation of Maximizer (if it was installed on this PC and if the configuration files are still there) or it will show you a list containing only the demo database(s) installed by Maximizer. If the database you wish to upgrade is listed here then you should simply select it and click Open , you will then be asked to log in as the MASTER user (the default password is CONTROL if you have not updated this password or used security on the database previously) once you have done this you can skip to Step 3 of this Procedure. If the database you wish to upgrade is not listed here then click Browse . Clicking Browse will being up a Browse for Folder dialogue box (as shown), use this to locate the folder on your computer that contains your previous Maximizer Database and then click ok. You will now be asked to enter a name for the database to be upgraded to (this is how it will appear in the new Maximizer address book list), in Maximizer version 10 it is now possible to put spaces in the name of an address book. You should enter a name for the address book and click ok. 14 | P a g e ©2008 CABC Ltd All Rights Reserved http://www.cabc.co.uk The system will then perform some file activity and request the MASTER password (the default password is CONTROL if you have not updated this password or used security on the database previously). Step 3. You will now be prompted to choose the options for document conversion. Under Maximizer CRM 10 Entrepreneur Edition the system is limited to a 4gb database size, if your database contains lots of documents and is close to 3gb in size then it is recommended that you allow the upgrade routine to extract these documents, you will need to set a location for program to extract the files to, if you are going to have multiple users on your Maximizer system then it is highly recommended that you use a UNC path (\ \ [computer name]\ [shared folder name]) as a location. If your system makes heavy use of embedded document you may wish to consider Maximizer CRM 10 Professional or Enterprise edition instead as they will better manage large databases with lots of documents. After you have set the document conversion options and clicked Ok the system will run through the update/conversion process, this may take some time and will involve various boxes appearing on the screen (example below). 15 | P a g e ©2008 CABC Ltd All Rights Reserved http://www.cabc.co.uk Finally once all the upgrade scripts have finished you will see the following two alerts pop up one after another. At this point the data is upgraded and accessible in Maximizer CRM 10 Entrepreneur Edition. Congratulations. Upgrading a Trial Copy to a Full License In this procedure you will find out how to upgrade a trial copy of Maximizer CRM 10 Entrepreneur Edition after receiving your license documentation from Maximizer Software. Step 1. Start the Maximizer CRM 10 software on your computer, you should be presented with a screen as shown here. Now click the Upgrade button. Step 2. On the screen titled Upgrade Maximizer Now you should choose Enter existing Product Serial Number . You should now make sure that you have you Maximizer CRM 10 License Documentation available. On the Upgrade screen you will be asked to enter a Customer Number and a Product Serial Number, enter the Customer Number (1100049900) exactly as shown in the screen shot and the Product Serial Number exactly as it appears on your license documentation. 17 | P a g e ©2008 CABC Ltd All Rights Reserved http://www.cabc.co.uk The Maximizer system will now run the Upgrade Process, this may take several minutes, while it is running the screen will look like this: Once finished the upgrade process will show you the following screen to confirm that the upgrade has completed successfully. 18 | P a g e ©2008 CABC Ltd All Rights Reserved http://www.cabc.co.uk Procedure 5. Installing a Multi User License Before you can connect multiple users to the same Address Book you must install additional licenses on the computer which currently has the Address Book on it. To install the Multi User License start the Maximizer Administrator Program and log in, then click File>>Close Address Book. Next click Utilities>>Install Multi-User License. You will now see a screen that shows you the current licenses you have installed and allows for the input of a new license. Look on your License Document for the Product License Number, this number will follow this format (numbers provided for illustration only): 11111-2222222222222222-3333-MAXRT 19 | P a g e ©2008 CABC Ltd All Rights Reserved http://www.cabc.co.uk Enter your license number in the boxes shown below and click the Install License button. Provided you have entered a valid Key you will now see this message. Follow the instructions on the above alert box, once finished you licenses are installed and ready for use. 20 | P a g e ©2008 CABC Ltd All Rights Reserved http://www.cabc.co.uk Procedure 6. Connecting to a Shared Address Book Over The Network This procedure will take you through the process of connecting to a database on a different computer, this is how a workgroup installation allows sharing of data between multiple users. Before you carry out this procedure you must have installed Maximizer CRM 10 Entrepreneur Edition on the computer you want to connect to your shared Address Book. You must also have applied the additional user license(s) on the computer which will be hosting the Address book. In addition to the above requirements you must also have switched off the Windows Firewall on all computers involved or setup the Windows Firewall to allow Maximizer & SQL Server Express Edition to communicate unhindered. To make the connection you start the Maximizer CRM 10 program and click File>>Connect to Address Book. You will now see a screen showing a list of Available Address Books on the selected Server. Click the arrow to the right of the box next to Server: and choose the name of the computer which has the Maximizer Address Book you wish to access on it. Once you have selected this address book (in this case the Escona Tutorial Address Book on the computer called Aura) click the Open button. 21 | P a g e ©2008 CABC Ltd All Rights Reserved http://www.cabc.co.uk After a brief pause you should receive a message telling you the Address Book has been connected. Now click File>>Open Address Book and you should see the newly connected Address Book in the list of available Address Books (see below), simply highlight it and click open. At this point you will need to supply a username and password to log into the Address Book. Congratulations, you have now connected up your network shared Address Book. Please note that the shared Address Book will only be available as long as the host computer (the one named before the \ in the SQL Server section of Location of Address book: above) is turned on. 22 | P a g e ©2008 CABC Ltd All Rights Reserved http://www.cabc.co.uk
