MiClub Comp Management Guide: Version 40 Released January 23rd 2014 in-­‐conjunction with the release of the new Australian Handicapping system. COURSES AND SLOPE RATINGS 1 CREATE COMPETITION: 2 MULTI TEE SETUP: 5 SCORE ENTRY 6 SCORE UPLOAD 6 COMPETITION RESULT SHEETS 8 HANDICAP MANAGEMENT 8 SCORE STATUS: 9 HANDICAP STATUS: 10 SUPPORT INFORMATION: 10 Courses and Slope Ratings Prior to creating a comp in the new handicap system, please check that course details have Slope and Scratch Ratings applied after the initial Start of Day. Click on the Courses icon from the Admin portal page which will reveal the list of courses setup on the website which will now include Slope and scratch details. MiClub Version 40 Competition Management Guide – January 2013 1 Also, if your club has two or more 18 hole courses, each course should display a unique Location ID and name in the course edit screen. After the initial Start of Day from Golf Link, the new ratings will be applied to the course setup to the applicable course ID value as per the examples above. Please contact MiClub If you have courses that are missing a Slope or scratch rating in the MiClub course interface, as this will affect the calculation of the daily handicaps of players. Daily hcap = (GA Hcap x Slope Rating) / 113 Create Competition: Access the fixture list and press the Gold Trophy to the right of the event title which will take you to the create comp interface. You may apply a comp template at this point but please be aware that templates may have old scorecard templates or inactive course details applied. MiClub suggest setting up new template which should include reference to the Slope Autoscore scorecard templates to suit the new hcap system requirements. Parameter Definition’s Gender: For mixed comps select ALL ensuring that both the mems and ladies Tee Block has a selection. Selecting men for men only comp and ladies when a ladies only comp is played. GolfLink Competition: enable to ensure scores will be included in the score upload to GolfLink for handicapping. You won’t be able to save this config when setting up against a comp type like Foursomes which does not support handicapping. Player Registration: Yes is required for Kiosk registration mode while NO will automate the registration for current bookings when open and applied to the default tee block. Walk In Comp: Yes if you want to allow golfers to register into the comp at a Kiosk screen without having a prior booking. It will book the player in the next available position or create one on the tee sheet from 15 minutes from registration. Live Scoring: Leave as “No”, this is only used for Elite events in which on course mobile scoring by officials is used. MiClub Version 40 Competition Management Guide – January 2013 3 Elite: Leave as “No” as this is only used for elite events in which SHA scores will not be required to be calculated. Social Competition: Leave as “No” unless you are setting up a social registratation list for the purpose of handicapping social scores (CSS). Grades: To edit or setup the grade divisions, click on the edit grade template button and the popup screen below will appear. BY default grades are set to GA Hcap, otherwise enable the Use Daily Handicap tick box. Press Submit button at the bottom of the screen to Create the entity of the Comp. The Comp should be “Open” prior to registration on the day of the competition. This function will update the hcap on the teesheets for visitors who are pre-­‐booked therefor it’s advisable to do this at the start of the day. Once the Comp is open, players may be registered either via the Kiosk or via the admin teesheet. On the teesheet the players GA Handicap will be displayed. Once registered into a comp the Daily Hcap will be displayed in the Leaderboard and any scorecard that is printed. From the Registration Kiosk, the members GA Hcap will be shown then once they’ve confirmed their comp or tee block the Daily Hcap will be displayed to the competitor. MiClub Version 40 Competition Management Guide – January 2013 4 Multi Tee Setup: Click on Manage Rounds for a competition, and the list of tee blocks for the selected Course will be displayed. The default tee blocks for male and female may already by ticked. For any other tees that need to be applied press the available box and press the “Save Tee Block” button. Adjustment of scores for optional tees in relation to the difference in Scratch Ratings is now available when you edit the Course and set the “ADJUST SCORE” option to YES. This is achieved by pressing the edit pencil icon in the course row highlighted in yellow in the example screen shot. Scores that are adjusted will be denoted by a ^ symbol adjacent to the score on the leaderboard. The adjusted scores will not be referenced for any SHA or handicapping scores sent to GolfLink but will be referenced in the club comp results and leaderboard. Registration into non-­‐default Tee Blocks: If a comp has multiple tee blocks for a gender, the tees will be displayed to the player on registration as per below. If players are to be registered by staff via the teesheet, Players will be initially registered into the default Tee Block and it is required for the staff member to edit the competition details from the booking record to the required Tee Block. MiClub Version 40 Competition Management Guide – January 2013 5 The section ‘Course tee Block” has the default Tee Block of Blue selected already. The staff member would select the alternative tee i.e. White and press the Save button and then Print the players card. Score Entry Hole by hole score entry for any comp type will automate the calculation of the SHA score. If a club chooses to enter net score totals only, they will need to also enter a SHA score manually as well when a stroke round is played. For 9 to 15 hole competitions, hole by hole scores will be required to entered in order for us to calculate the 9 hole SHA score and 9 hole played off hcap value. Score Upload Once the scores are entered and club officials have verfied the results, uploading of scores to GolfLink can commence. (Note: you may close competitions for result and prize posting purposes now prior to handicapping) On the competition list page, for each day there are competitions setup there will be a Score Upload link which takes you to the interface similar to below which will list all competitions, social round CSS and competitors scores. DSR Group selection provides clubs an option to send all scores in a group or sub batch them into AM and PM batches if playing conditions vary between morning and afternoon. MiClub Version 40 Competition Management Guide – January 2013 6 By default, all comps will be selected as per the above screen shot however you may wish to exclude some comps in an upload and send the scores later in the day. In most cases all scores would be submitted at the end of the day and we’ve streamlined this process so that it will be a few button presses to submit all scores. Scroll to the bottom of the screen and press the “Upload Selected” button A confirmation popup will appear, press Yes to continue upload to GolfLink. A score upload review page will appear once a reply from GolfLink is returned which lists all players updated GA handicap values and the associated DSR for their related tee block they played on. On the comp list page, the DSR’s returned will appear for the applicable comp as per below to indicate the comps has been submitted. MiClub Version 40 Competition Management Guide – January 2013 7 Competition Result Sheets Once you have closed the competition and result PDF’s are created, the layout of the report will be different in that it will include scratch rating details of the tee blocks and the returned DSR’s (Daily Scratch Rating) Also we can print the new GA Hcap for each player but this detail must only be for club admin access and printed for display at the club only. The online results for member access must NOT contain the new GA Hcap value due to commercial rights. This is achieved by creating the results sheet with the “new hcap will not be shown” option on and pressing the create button. Sample of new report is below. Note the inclusion of DSR values. Handicap Management There will be a new interface for management of GolfLink numbers and hcaps come 23rd of January. To access this, locate the member via the search directory and select the “click here to change” link next to GolfLink Details header as per below. MiClub Version 40 Competition Management Guide – January 2013 8 All the functions related to ad hoc scores, corrective score and official handicap adjustments can be made in this area along with a new transfer wizard to assist in transferring a new members GolfLink number from their old club. Score Status: There are two new score status which replace the disqualified and no entry score status. Please view the Golf Australia Operational guide doc for a full list of cases when to use these. Non-­‐Standard Entry (this status will be applied automatically when a player wipes a hole in a stroke round) Illegitimate Score (used for when the player is found cheating or using non conforming balls or the use of excessive number of clubs) MiClub Version 40 Competition Management Guide – January 2013 9 Handicap Status: There are three new handicap status referring to Provisional: (when a player has five or more NSNA scores in the last 20 score history) Frozen: the hcap is capped to a value as can only be applied via request to GolfLink. These players will have a rank on the leaderboards and be sent in the score upload but won’t have a change in handicap. Suspended: player is completely inactive in terms of being handicapped. MiClub will display the Initial of the status against the players booking record on the teesheet to administrators only as a way of identifying these non normal players. By default, MiClub will make Provisional Player unranked on the competition leaderboards and therefore illegible to claim prizes. This can be reversed on request to MiClub. Un-­‐allocated hcap / Initial Rounds: New Members who have been assigned a GolfLink number but yet to have an initial handicap should be registered into fields (either a comp or CSS) when they are playing their first three initial rounds. Their score should be entered as per other players so that they are included in the score upload to GolfLink. Once GolfLink have three initial scores, they will assign the player an official handicap automatically. You can also use the ad hoc score function to apply an un-­‐allocated members of their initial scores ensuring you manually apply the max hcap value to the played off field and equivalent SHA score.
