DANA’S STUDIO OF DANCE COMPANY INFORMATION 2013/2014 Congratulations!!! You have been invited back into our Dance Company. This letter outlines detailed information about how Dance Company works. Don’t hesitate to call or e-mail the office with any questions. The Dance Company Handbook will be e-mailed in August – please be watching for it. Dana, Emily and the Dance Company teachers are constantly striving to improve the quality of the Dance Company. This year is no exception. The staff has discussed at length the current configuration of the Dance Company to determine what worked this year and what needs to be changed. The opinions of DSOD parents are also a crucial element in this decision making process. Understand that there has been careful consideration taken of all parent suggestions. Dana and the staff have made several important changes to the Dance Company for the 2013/2014 dance year. This packet will explain in detail critical information you will need to know for the upcoming year. Also included in the website is information regarding solo, duet and/or trio requests. If you do not see any solos, duets or trios listed in your menu on the DC website then you were not selected to do a solo, duet or trio. If you would like to request one then please fill out the form posted under this section and hit submit and we will do our best to try to accommodate you. Please read the packet carefully and contact the office if you have any questions. General Information Company Registration Deadline All Company members must register (online or at the studio) for their technique classes for summer & fall (you will be automatically put in your dances) by June 28th. If you do not register for technique classes by June 28th, the office will assume you are not participating in company and you will be dropped from the company roster. In consideration of the office and teachers PLEASE let us know if you are not returning by June 28th as well. Very important-ALL fees in this letter are based on the bank draft option. If you are choosing the credit/debit card payment option then the fees will be 5% higher. Why All Disciplines of Dance Technique? Some parents have inquired as to why DSOD requires all disciplines of dance technique. In professional auditions, excellent dancers are turned away because they are not well rounded and are not trained in every discipline. DSOD feels that whether or not your child aspires to be a professional, it is critical to the development of strong dancers that all students are required to take technique classes in all disciplines. Company Levels The Dance Company has 9 levels (Lil’ Miss, Lil’ Sprout, Petite, Mini, Teen, Junior, Senior and Elite) and three boys’ levels (Mini, Junior and Senior) for Company technique classes. Dana, Emily and the Company teachers have carefully placed each student in the level that is appropriate for their ability. Trust us in our leveling decisions. Dana, Emily and the Company teachers evaluate each child and do what is best for them – these decisions are based on over 20 years of expertise in the dance industry. It is possible that a student has been placed in different technique levels for each discipline in order to insure that the student receives the proper training in all areas of technique. You will locate your dancer’s assigned technique levels on the menu item “Technique Level & Budget Template” on the Dance Company Invite Website. Please review carefully the assigned technique levels and understand that these levels were determined with the best interest of each individual student in mind. Class Size There always seems to be a lot of discussion regarding class sizes of the Company. The teachers have all agreed that it is necessary to have a certain number of students per class in order to maintain a high level of energy and healthy competitiveness, which in turn will improve the technical ability of each student. DSOD staff will ensure that the size of each class is manageable. If a teacher feels it is necessary, an assistant will be assigned to help in larger classes. Class Structure The Dance Company teachers all believe that having technique classes separate from choreography classes has resulted in a major improvement in the quality of technique for the dancers in Company. Parent feedback agrees with this assessment. Competition results also reinforce the benefits of this type of structure. DSOD had another phenomenal competitive season. The Company received many top awards, and on several occasions took home the highest score awards of the entire competition. Several students received scholarships and opportunities to audition for agents in L.A. DSOD had many solo dancers place in the top 5 in more than one competition with their performances. Bravo, dancers for a job well done!! All Dances Mandatory In an effort to help the Company dancers feel like more of a team, DSOD requires each dancer to participate in all the dances that they are invited into. Company teachers feel that this is an important step in making the Company a more supportive and inclusive environment for all of the dancers in the Company. Dana, Emily and the Company teachers took careful consideration of the number and style of dances that the dancer did in 2012/2013, as well as Company Wish Lists. The dancer was evaluated in class, at competition and at the Company audition (if applicable) and was placed in dances according to their best interest as a dancer and the group as a whole. Attendance at all rehearsals and technique classes is even more critical now than in the past. Each dancer has a responsibility to every other dancer in their technique level to attend all rehearsals and technique classes. This is a team. It is not fair to the team members to have certain dancers missing technique classes and rehearsals on a regular basis – missing class will bring the level of the entire dance down. Be committed and considerate of the dancers on the team! Time Requirements Being a member in the Dance Company at DSOD can be compared to being in the drill team, select baseball, select soccer, etc. There is a commitment that must be made by both the parents and the student before committing to the Dance Company – and that is a TIME commitment. It is critical that the student and the parent take seriously the need to attend technique classes and rehearsals. There are many benefits to being part of a select group like the Dance Company. The benefits of poise, confidence, coordination, memorization skills, professional dance instruction, and exposure to nationally known dance instructors, teamwork and lots of fun are all gained in dance classes. Dance Invitations Your choreography dance invitations are located on the Dance Company Invite Website under the menu item “Dances”. Please remember Dana, Emily and the Company teachers took careful consideration of the number and style of dances that the dancer did in 2012/2013, as well as Company Wish List. Mandatory Summer Technique Classes DSOD will be requiring Company members to take technique classes this summer. Emily, Dana and the Company teachers strongly feel the company needs to keep up their technique during the summer months. We are offering 10 days of technique classes at DSOD throughout the summer; however, only 5 days will be required. If a dancer is in town, they are welcome to take more than the required 5 days. The dancer will purchase a class card according to how many summer technique days they can take. Outside technique classes or conventions do not count to fulfill your summer technique requirement. If for some reason a dancer is not able to fulfill this obligation, they will be required to schedule private lessons with a Company Teacher (for the same amount of time their summer technique classes require above). Extra Mandatory Fall/Spring Ballet Technique Classes Dana, Emily and the Company teachers all feel that the dancers still need more BALLET! The basis of all dance is BALLET! You can always tell a dancer that has had more Ballet training…their turns, leaps and overall technique is far stronger than just a dancer that takes one ballet class a week. So, we will continue to have a weekly combined Ballet technique class that the Teen, Junior, Senior and Elite levels must take. There are a total of 40 Fridays in the 2013/2014 Fall/Spring dance year. The Ballet technique classes will run throughout the year, however the dancers in Teen-Elite are only required to take 20 of these classes. You are only required to pay ($200) for the 20 that are mandatory and any extra that the dancer takes is FREE!! We are committed to take the DSOD Company to the next level and more Ballet to improve technique is necessary to achieve this goal. The fee for these extra classes will be drafted on August 1st, 2013. The auto-pay form is included at the back of this letter. Francie (the account manager) will work out your budget plan over the summer to approximate your dance costs for the entire dance year. These costs will then be divided into 10 equal monthly payments. All budget payments will be drafted on the first of the month and will be delinquent on the 2nd of each month starting in August. Any payments returned for any reason, including NSF will be assessed a $30.00 late fee. You will be e-mailed or mailed a copy of your budget plan prior to August 1st. Remember, that this will be an approximation of your annual fees. If there are any additional charges on your account, they need to be cleared prior to the recital. Feel free to contact Francie if you have questions regarding the budget plan. For your convenience we have also included budget templates in the Dance Company Invite Website under the menu item “Technique Level & Budget Template”. Please remember these are just an estimate per level and if your dancer has additional dances or items not listed in the ESTIMATED budget template then your budget amount will differ than the template on the website. Francie will send out customized budgets to each family this summer. If a dance has less than nine dancers, the additional cost will be divided among the dancers in the group and will be applied to the choreography tuition and rehearsal fees in the fall. One exception to the above tuition fees are fees associated with outside choreographers (i.e. Adrenaline Choreographers – Chris J, Nick D Nick, Jeremy K, etc.). These choreographers are nationally recognized for their work and set their own fees. If your child is chosen for a dance with an outside choreographer you will be notified of the choreography fees prior to the start of choreography rehearsals. Approximate fees are $150.00 $250.00 per dancer. Please remember that all choreography for Lil’ Miss through Elites will be taught July 15th – July 28th, 2013 (including weekends). These dates were given to you one year ago in your 2012/2013 Company Handbook as mandatory choreography dates. Choreographers may call extra rehearsals once choreography is finished (especially for younger dancers) to keep the choreography fresh in the dancers’ minds before we start classes and rehearsals in the fall. The studio will e-mail the dates of the extra rehearsals and, if you are in town, you are expected to attend these rehearsals. IMPORTANT: Ø You must register (online or at studio) by June 28th, or you will not be enrolled in any dances or classes and will be dropped from Company. Please let us know if you are NOT returning so the choreographers can plan. Ø Once choreography rehearsals have started, you are responsible for all choreography fees, rehearsal fees, costume fees and competition fees (if the entry fees have been submitted) for the entire dance year. This applies even if you decide to drop out of a dance or a choreographer pulls you from a dance for any reason. There will be absolutely no refunds once choreography has started. Production Number This year we will not be having any production numbers, however, we are having 2 separate “line numbers” that dancers were hand picked for. If your dancer was hand picked for the “line number” then you are required to participate in this dance. It will have a scheduled rehearsal (just like all other dances) and will be billed to the dancer’s account just like adding an additional dance to your group dances. An example of a “line number” to compare this to from last season is the “Sing” dance that was choreographed by Lisa Daly. It is a dance that has multiple levels in it and the dancers are hand picked. Rehearsal Fees The following cost is a one time charge based on the number of dances the student chooses. This charge is based upon an average of 14 rehearsals per dance year for each dance. Rehearsal fees are approximately $8.96/hour per rehearsal. Any extra rehearsals are at no charge to the student. If your child is interested in competing a solo, duet, and/or trio for the 2013/2014 dance year and was not invited by a choreographer to do so, you may request a solo, duet, and/or trio for them by submitting the “Parent Request” form at the end of this document. The forms must be submitted by June 28th to be considered. Please understand that by submitting this information you are requesting a solo, duet, and/or trio for your child. This does not guarantee that your request will be granted. Dana and Emily will consider the request and discuss it with the choreographer to determine whether or not the request is in the best interest of your child as well as whether or not the choreographer is available. Dana or Emily will contact you if they have any questions about the request. If the parent request is approved, confirmation will be emailed to you ASAP. At no time should you or your child contact a choreographer directly – this also includes any outside choreographers who come to the studio for conventions or master classes. This creates an awkward situation for both you and the choreographer. All requests must be in writing and need to be given to Dana. **Verbal requests will not be considered** Please read the following information thoroughly. Do not hesitate to contact the office if you have any questions. We feel that it is critical for you to be fully aware of what is involved with these types of dances in order to make the decision that is right for you and your child. We want everyone’s experience with the DSOD Dance Company to be a positive one. Some of these factors are as follows: Financial Considerations: ü Choreography fees: Choreography fees are charged at the following rates (these dances take approximately three hours to complete the choreography): $350.00 for solos $240.00 per person for duets $210.00 per person for trios Choreography fees will be drafted through auto-pay immediately upon completion of the choreography. **Upon completion of the choreography; the choreographer, the parent and the student will sign an agreement acknowledging that the choreography is finished and that all privates will then be charged at the private rate. ü Private Rehearsal/Cleaning fees: Once the choreography is complete all rehearsals with the choreographer will be charged at the private rate and are due at the completion of the private. The studios private rates are as follows: $68.00 per individual per hour plus $20.00 per hour for each additional person $40.00 per individual per ½ hour plus $15.00 per ½ hour for each additional person ü Competition Fees: These are approximate and vary with each competition. More information to follow once updated competition information becomes available. $90.00 - $95.00 for solos $110.00 for duets and trios (cost divided amongst dancers) ü Music Cutting/Mixing Fees: It is up to you whether you want to cut your own music or have it cut by the studio. If you want to use the studios professional music editor, the fee is: Approximately $30.00 per song (if the edit is a simple edit) Dana or your choreographer will help you coordinate this. ü Costume Fees: The costume costs are determined totally by you! You pick the costume with the guidance of your choreographer. Perhaps the most important thing to remind your child when you are helping them make this decision is that performing a solo, duet or trio in competitions takes dedication and serious commitment to both the choreography and technique classes. In addition to working with their choreographer, your child will need to practice their dance on their own in order to be successful. Technique is also a critical element in this process. Technique classes must be attended regularly and taken seriously. Performing is just the icing on the cake! If you are choosing to do a solo, duet or trio, you MUST read the next page as we had many people who were unaware of the rules because they did not read the following information. General Administrative Procedures and Additional Considerations for solos, duets and trios: v The scheduling of private lessons for solos, duets, and trios is your responsibility, not the choreographers. Scheduling should be coordinated directly with the choreographer and booked through the office. Payments for private lessons are due at the time of the private and will be drafted through auto-pay at the conclusion of the lesson. You will not be permitted to schedule any additional privates if you have outstanding charges for privates on your account. The choreographers do not get paid for any privates until you have paid for them – please be considerate of this. v If you need to cancel a private lesson with a choreographer you must contact the office at least 24 hours in advance of the lesson to avoid being charged and drafted the full private fee. v Be on time for private lessons. If you have booked a private lesson with a choreographer and you are late, you will still be charged and drafted the full rate for the private as the choreographer was available and was waiting on you. If the choreographer is late for a lesson, both you and the choreographer should have the time adjusted on the books in the office – adjustments to the length of private lessons cannot be done without the approval of the choreographer. v You can schedule practice time (without the choreographer) at the studio at no charge (subject to room availability). Be aware that you could be asked to switch rooms or reschedule practice time if DSOD finds it necessary. Practice time should be scheduled directly through the office. When scheduling practice time, make sure a staff member will be in the building to lock up when you are finished. If you have a room booked, and decide that you won’t be using it, contact the office and let them know so the room can be made available for someone else to use. v If you want to guarantee that you will not be bumped from a room that you have scheduled for practice time, you must pay the room rental fee, at full price, and the fee must be drafted at the start of the practice time. v You cannot be bumped from a room if you are in a private lesson or a choreography session with a choreographer (DSOD or outside). You may be asked to switch rooms if a choreographer needs the room for a group dance – but you are guaranteed a room if you have it booked with a choreographer. v If you want to meet with your choreographer to discuss costumes, critique sheets, etc., you will need to schedule private time (charged and drafted at normal private rates) with the choreographer. Many times choreographers have rehearsals booked back to back and it is not fair to the choreographer or the other dancers if you take time after your rehearsal to talk with the choreographer. v It is your responsibility to discuss costume, hair, makeup and accessory ideas/options with the choreographer. v DSOD will provide you with information on the mandatory and optional competitions. It is your decision what competitions you want your child to participate in (check with your choreographer or Dana if you are unsure which competitions would be best for your child) and it is your responsibility to notify the office of this information. (Detailed information on how competition registrations will be handled will be distributed in the fall.) v Your account must be current before the studio will enter solos, duets, or trios in any competitions. The competition fees will be drafted at the time of registration. v Choreographers may attend all DSOD mandatory company competitions. However, they are not required to attend optional competitions. Emily, the Company Director, will attend all mandatory and optional competitions as the DSOD representative. If it is important that the choreographer attend all of the competitions your child competes in, you need to talk with the choreographer to see whether or not they will be able to attend the optional competitions prior to registering. v You are responsible for supplying a cut version (3 copies) of your music to the office before competition season begins. Emily will turn in your music at competition. v It is never appropriate for a parent to contact a competition, judges, or competition staff. If you have any questions regarding entries, scheduling, scoring, etc. those questions need to be directed to the DSOD office or a staff member of the studio. Contacting a competition without authorization from Dana can result in the students’ immediate removal from the Company. v Competition fees are non-refundable once submitted. This is true in cases of injury and illness. v DSOD will not enter dances in competitions other than the mandatory company competitions on the mandatory competition weekends. v DSOD will not enter dances in any competitions the second weekend of spring break. v DSOD will not enter dancers in multiple competitions on the same weekend. v DSOD will NOT enter your dance(s) past the deadline given in the competition entry packet (NO EXCEPTIONS). v If the DSOD office has to change an entry once it has been submitted to a competition, there will be a $30 DSOD administrative cost as well as any other fee that may be assessed by the competition. v DSOD reserves the right to pull any dance from competitions at any time. If a dance must be pulled, competition fees will not be refunded. Competing a solo, duet, or trio with the Dance Company is a privilege and should be treated as such. v One of the following two criteria must be met for solos, duets, and trios to dance in the 2013/2014 recital: ü ü The dancer(s) must receive at least four platinum rankings (or the highest ranking presented at the competition) The dancer(s) must place in the top three overall with a platinum ranking (or the highest ranking presented at the competition) in at least three competitions v If the dancer has more than one solo that qualifies to perform in the recital they must choose one to perform. v Only competitions listed in the “Competition Entry Information” packet will count toward qualification to dance in the recital. Drill Team and/or Cheer competitions will not be considered as qualifiers for dancing in the recital. Registration Fee – A non-refundable registration fee is required for proper enrollment along with a standard registration form. Tuition and Fees – In order for a student to participate in any of the programs offered at Dana’s Studio of Dance, all paperwork must be completed and all fees paid. 3. Tuition is Due On the 1st of EACH MONTH – Dana’s Studio is on a monthly computer billing system called auto-pay. We DO NOT send out a monthly reminder. All autopayments will be processed on the first of the month. If payment is returned for NSF or for any other reason, your account will be assessed a $30 reprocessing fee. You will receive a statement only for returned auto-payments, late tuition or unpaid costume balances. We will be e-mailing all statements and correspondence (ie, newsletters, recital information). Tuition remains the same whether the month is long (5 weeks) or short (2 weeks) and regardless of absences. Tuition has been calculated for the whole year and simply divided into 10 monthly payments. Insurance – Dana’s Studio of Dance DOES NOT carry medical insurance for its students. It is required that all dance students be covered by their own family’s insurance policies, and if injury occurs, it is understood that the student’s own policy is your only source of reimbursement. 7. Bad Weather – The studio will not necessarily close for snow days. We follow CISD, KISD & CISD. Many times roads are clear and safe by 2:30 PM. If in doubt, call the studio for a recording on class closings, or check our website at www.danastudio.com. If we do close the studio due to bad weather, you may make-up any days missed. 8. Holidays – Holidays will follow the Carroll Independent School District for Southlake, Keller Independent School District for Keller & Coppell Independent School District for Coppell – with the exception of the Thanksgiving & Winter breaks. Holiday dates will always be posted and on the studio recorder. We are only closed on MAJOR HOLIDAYS. We DO NOT CLOSE for Staff Development Days. As always, you may make-up any days missed due to a holiday. We do not prorate for bad weather days or holidays. We encourage your child to take a make-up class for any missed classes due to holidays or bad weather days. **DOES NOT APPLY TO SUMMER SESSION** 9. Attendance – Attendance is taken at each class. GOOD ATTENDANCE is imperative as absences and tardiness can hold back an entire class and the studio cannot jeopardize its responsibilities to the rest of the class for one student. Please make every effort to have your child at every class. You may make up any days missed due to an illness, but only during the same month. There are NO refunds, credits or pro-rated tuition for missed lessons. IF YOU ATTEND ANY PORTION OF THE MONTH, YOU ARE RESPONSIBLE FOR THE FULL MONTHLY TUITION. 10. Class Observation – We have set class observation days during the dance year (see calendar in this packet for exact dates). Observing inside the classroom at any other time is not allowed. We have found the children do much better when the instructor can have their sole attention. All of our studios have viewing windows through which parents are welcome to watch their child’s class from the hallway. **DOES NOT APPLY TO SUMMER SESSION** 11. Recital – Specific recital dates and times will be announced as soon as they are finalized. Please plan for the beginning to middle of June and plan your vacations accordingly, as the students work towards the recital the entire year. **DOES NOT APPLY TO SUMMER SESSION** Tentative Dates: June 9th (Keller) & June 10th – 13th (Southlake) at Will Rogers in Fort Worth. Coppell (June 7th or 8th) at the MCL Grand in Lewisville. 12. Costume Fee – The payment for costumes is due on or before October 15th. Costume fees will be processed through auto-pay on October 15, 2013. If payment is returned for NSF or for any other reason, your account will be assessed a $30 reprocessing fee. If your child is not participating in the recital, you must let the office know by October1st, 2013 so the costume fees are not deducted through auto-pay. It takes several months for the costumes to be made and shipped back to the studio. Costumes will cost between $81.00 and $93.00; depending on type of class. This costume fee is not refundable once the costume has been ordered. If an exchange is possible (for size only), there is a $10-20 exchange/shipping fee depending on costume vendor. There is also a $25 per family fee for all 2nd Order costumes. **DOES NOT APPLY TO SUMMER SESSION** 13. Recital Fee: – There is a non-refundable RECITAL FEE that is due on or before March 15, 2014.
