LESCO’s Customer Information & Billing System Version 1.0 Page 8 of 131 THE FUNDAMENTALS 1.1 Starting CIBS CIBS can be started by clicking the CIBS Icon on the desktop. 1.2 Logging In When CIBS is started user will be required to enter its login parameters on two different screens. Connection and Login Parameters The first screen is the connection and login parameters screen. Provide the information as follows. Server : Leave as it is. Do not make any changes. Login Name : Provide user login name. Password : Provide user password. Language : Select English Click the 9 button to proceed and 8 button to cancel. Role : Leave as it is. Do not make any changes. Office : Leave as it is. Do not make any changes. Date : Change date if required. Printer : Change default printer if required. Click the 9 button to proceed and 8 button to login. Menu Function Shortcuts Double click the menu text to expand/contract the list of functions under a menu. Single click a function to open the function in a new window. Click a shortcut to open the shortcut window. Transaction buttons Open transaction panel from the menu. Provide Customer ID or Reference # and click Details button to show customer details or click the Reset button clear the fields. Click one of the transaction buttons to open the transaction data entry window. Selection List Date picker Text box Table Check box Button Color Coding of Fields Disabled or read only fields are shown in grey. Enterable input fields are white in general. Mandatory fields are represented by pink when data is yet to be provided and turn blue when data has been provided. Text Box Type with keyboard. Selection List Press down arrow key to expand list. Press up/down arrow to move up/down Press space key to select highlighted value. OR Type from keyboard to select a value. OR Click mouse on the downward arrow to expand selection. Click mouse to make the selection. Button Use the mouse to click the button. Date Picker Click the icon to open the calendar. Using mouse select appropriate month and year. Double click the required date to select the date. Table Entries Table fields are one of check box, text box or selection list. The same actions are valid for such fields in tables as outside tables. If the next editable field is Selection list press tab key twice. Click with mouse on any field to jump to that field. For Tabular Data Use the Enter key to go to next editable field (i.e table cell). If the current field is the last one in a certain row, pressing Enter will move cursor to the first editable field in the next row. Focus will move to the first row if Enter key is pressed in the last field of the last row. Click with mouse on any field (i.e table cell) to jump to that field. User can note down these errors or take a screen shot. The error messages are self explanatory. User should provide valid data to correct these errors and repeat the process. Queues can be opened from the menu window. Filter Parameters Transaction Records Process Buttons Provide filter parameters and click the Filter button to show a list of transactions matching the filter criteria. User may provide one or all filter parameters. Alternatively, click the Show All button to show all transactions in queue. Select one or more transactions from the list by clicking the check box. Click a Process Button to execute the process. 1.10 Taking a Screen Shot Press the Print Screen button on the keyboard to copy the screen contents to the Windows clipboard. User may then copy the image to any imaging software or Word etc. 1.11 Closing a Form Click the Close button or Exit Window button. 1.12 Closing CIBS Close the CIBS Menu window to close the application. LESCO’s Customer Information & Billing System Version 1.0 Page 17 of 131 CUSTOMER UPDATES 2.1 Understanding Customer Updates Overview This Module is used to perform the following activities: • New Connection Application: To add a New Connection Application for Connection Activation. • Connection Activation: To activate the connection of a submitted Application. • Correction of Name/Contacts: To correct the Name and address etc. of a customer. • Change of Reference #: To change the Reference # of a customer. • Change of Name (Ownership): To change the ownership of a connection. • Change of Tariff/Load: To change the Tariff or Load of a connection. • Miscellaneous Updates: To update various connection parameters e.g. NTN, GST, ED etc. • Change of Multiplying Factor: To change the Multiplying Factor of an installed meter. All above updates/activities except New Connection Application are prepared through Customer Updates Panel. Prepared transactions are available in Customer Updates Queue for further actions i.e. Approve, Allow Edit, Reject etc. Finalized transactions i.e. Approved or Rejected can be viewed from the Finalized Customer Updates Queue. It allows user to input application data for new applications. How to Reach Main Menu > Customer Updates Menu > New Connection Application Instructions i. Open the New Application form. ii. Enter application data by providing all mandatory information. iii. Click the Submit Application or Connection Activation button to submit Application to the Queue or to go to Connection Activation form. iv. Handle errors if any and click the Submit Application/Connection Activation button again. v. If data is error free the Connection Application will be submitted and reflected in Customers Update Queue if Submit Application Button is pressed or New Connection Activation Form will be opened if Connection Activation button is pressed. It displays the Customer Application Details and enables user to input the Connection and Meter data. It also generates and assigns a unique Customer ID. Click Connection Activation button from New Application form or select a record of type New Connection Application with status submitted from Customer Updates Queue and click Connection Activation button. ii. Enter connection activation data by providing all mandatory information. iii. Click the Submit button to Submit New Connection Activation record. iv. Handle errors if any and click the Submit New Connection Activation button again. v. If data is error free, New Connection Activation record will be submitted and reflected in Customers Updates Queue with status submitted. It enables user to input the Corrected Name/Contacts data. How to Reach Main Menu > Customer Updates Menu > Customer Updates Panel > Select Customer > Connection of Name/Contacts Instructions i. ii. iii. iv. v. Click Connection of Name/Contacts button form Customer Updates Panel. Enter Connection of Name/Contacts data by providing all mandatory information. Click the Submit button to Submit Connection of Name/Contacts record. Handle errors if any and click the Submit button again. If data is error free, Connection of Name/Contacts record will be submitted and reflected in Customers Updates Queue with status submitted. It enables user to input the new Reference Number. How to Reach Main Menu > Customer Updates Menu > Customer Updates Panel > Select Customer > Change of Reference No Instructions i. ii. iii. iv. v. Click Change of Reference # button form Customer Updates Panel. Enter Change of Reference # data by providing all mandatory information. Click the Submit button to Submit Change of Reference # record. Handle errors if any and click the Submit button again. If data is error free, Change of Reference # record will be submitted and reflected in Customers Updates Queue with status submitted. It enables user to input the Changed Name (Ownership) data. How to Reach Main Menu > Customer Updates Menu > Customer Updates Panel > Select Customer > Change of Name (Ownership) Instructions i. ii. iii. iv. v. Click Change of Name (Ownership) button form Customer Updates Panel. Enter Change of Name (Ownership) data by providing all mandatory information. Click the Submit button to Submit Change of Name (Ownership) record. Handle errors if any and click the Submit button again. If data is error free, Change of Name (Ownership) record will be submitted and reflected in Customers Updates Queue with status submitted. It enables user to input the Change of Tariff/Load data and other associated data. It enables user to input the Miscellaneous Customer Update data. How to Reach Main Menu > Customer Updates Menu > Customer Updates Panel > Select Customer > Miscellaneous Updates Instructions i. ii. iii. iv. v. Click Miscellaneous Updates button form Customer Updates Panel. Enter Miscellaneous Updates data by providing all mandatory information. Click the Submit button to Submit Miscellaneous Updates record. Handle errors if any and click the Submit button again. If data is error free, Miscellaneous Updates record will be submitted and reflected in Customers Updates Queue with status submitted. It enables user to change the Multiplying Factor. How to Reach Main Menu > Customer Updates Menu > Customer Updates Panel > Select Customer > Change of Multiplying Factor Instructions i. ii. iii. iv. v. Click Change of Multiplying Factor button form Customer Updates Panel. Enter Change the Multiplying Factor data by providing all mandatory information. Click the Submit button to Submit Change of Multiplying Factor record. Handle errors if any and click the Submit button again. If data is error free, Change of Multiplying Factor record will be submitted and reflected in Customers Updates Queue with status submitted. How to Reach Main Menu > Customer Updates Menu > Customer Updates Queue Instructions i. ii. iii. iv. Click the Filter Button after providing Filter parameter or click Show All button. Select required record from the records displayed against the filter criteria. Click on the View Details button. The record with all its related details will be displayed in a new form in read only mode. USER MANUAL SoftVerx LESCO’s Customer Information & Billing System Version 1.0 Page 31 of 131 2.11 Marking Customer Updates for Editing Overview The purpose of this function is to allow Customer Update editing. It enables the user to allow editing of a submitted Customer Update, if required, before approving. It makes the Customer Update marked for editing available in the Customer Updates Queue for editing. How to Reach Main Menu > Customer Updates Menu > Customer Updates Queue Alternate: Main Menu > Customer Updates Menu > Customer Updates Queue > View Details Instructions i. Click the Filter Button after providing Filter parameters or click Show All button. ii. Select required record with status submitted from the records displayed against the filter criteria. iii. Click on the Allow Edit button. iv. The record’s status will be changed to Editing Allowed. Alternates i. User may also click the Allow Edit button on the View Details from. How to Reach Main Menu > Customer Updates Menu > Customer Updates Queue Instructions i. Click the Filter Button after providing Filter or click Show All button. ii. Select required record with status Editing Allowed from the records displayed against the filter criteria. iii. Click on the Edit button. iv. The record with all its related details will be displayed in a new form in editing mode. USER MANUAL SoftVerx LESCO’s Customer Information & Billing System Version 1.0 Page 33 of 131 2.13 Approving Customer Updates Overview The purpose of this function is to approve Customer Update for updating of customer records. Competent Authority will approve the Customer Update and it will be posted to the main database (COR will be queued for posting at month end) to update the customer records. A customer can have more than one meters (in case of General) or sets of meters (in case of MDI). iii. Enter Meter Status, Present MR, Units Advanced etc. as the case may be for each meter record. iv. Click the Reconcile button to validate the entered data. v. Handle errors if any by entering valid data or overlooking the errors. Click the Submit button to submit the form. Optionally, the user may reconcile the MR list once again before submitting to verify that all errors are properly attended. vi. If MR List still contains invalid data, error will be generated. Scan machine readable stubs to enter stub data. v. In order to manually enter stubs click the Key Punch check box to enable manual entry mode. vi. It allows user to enter remittance and/or adjustment data and submit the same to Remittance Queue for further action. How to Reach Main Menu > Collection and Remittance Menu > Remittance and Adjustments Instructions i. Open Remittance and Adjustments from Collection and Remittance Menu. ii. Provide all mandatory information for Remittance add Adjustments and Click Submit button. iii. Handle errors if any and click the Submit button again. iv. If data is error free, the Remittance and Adjustments record will be submitted and will be reflected in Remittance add Adjustments Queue. It enables the user to mark a scroll/remittance for editing if so required before approving it. Such a scroll/remittance will be available to user for editing. All above processes are carried out through Bill Processing Menu. All above activities are prepared through Grid MR and Tripping Control Panel. It enables Data Entry Staff to select a Grid for which Grid MR is to be entered. If the MR is not fully entered or the User wants to review the MR, it can be saved for later use with status as ‘Saved’. User can submit completed MR entry to Competent Authority for finalization setting the status to ‘Submitted for Authorization’. How to Reach Main Menu > Line Losses and Tripping Menu > Grid MR and Tripping Control Panel > New Grid MR Instructions i. Open the New Grid MR form from Grid MR and Tripping Control Panel. ii. Select Grid and provide MR Date/time. Click Start MR entry to generate a Grid MR pre-enter table. iii. Enter MR data by providing all mandatory information. iv. Click the Submit/Save button to submit/save Grid MR. v. Handle errors if any and click the Submit button again, the record will be saved without validation if Save button is pressed. It enables Data Entry Staff to select a Grid and the meter for which change is to be entered. User can then keypunch the meter change information and submit the entry to Competent Authority for finalization setting the status to ‘Submitted for Authorization’. Select the existing meter to be replaced by selecting a grid, transformer and feeder. Meter info for the selected feeder will be displayed. iii. Enter MC data by providing all mandatory information. iv. Click the Submit button to submit Grid MC. v. Handle errors if any and click the Submit button again. vi. If data is error free, the Grid MC record will be submitted and reflected in Grid MR and Tripping Control Panel.
