It is our desire to provide the best possible setting for you and your group. We would like for you to know more about Camp Kaleo. Camp Kaleo is affiliated with the Southern Baptist Convention Camping Association. It was established in 1986, and is located just South of Forsyth, Georgia. The facilities are built to be comfortable and rustic while maintaining a wilderness camp atmosphere. Camp Kaleo is a 318acre wilderness camp with trails cutting through the hardwood forest. Camp Kaleo also has a 29acre lake, prayer walk, large swimming pool, activity fields, sand volleyball court, frisbee golf, a regulation size gymnasium and log cabin design buildings throughout the camp. Camp Kaleo is owned by the Executive Committee of the Georgia Baptist Convention and is operated by Men’s Ministries. Camp Kaleo is open for public rentals. You may schedule a time at Camp Kaleo by calling (478) 994-5333 or 1-888-725-2536. Michael Flowers, Camp Director, and his staff will help provide a great retreat program to meet your needs. Resident Facilities Manager, Roger Pearson, is responsible for the on-site maintenance and service to those using the camp throughout the year. We would ask that you be good stewards while using Camp Kaleo. Every effort has been made to provide comfort and a pleasurable stay to each group that visits the camp. We wish for you the best possible experience. Men’s Ministries Georgia Baptist Convention Camp Kaleo Policies and Procedures Check In: Groups should plan to arrive no earlier than 3:00 PM and by 9:00 PM at the latest. Anyone who will arrive later than 9:00 PM is required to notify the Camp office beforehand. Lights out is observed at 11:00 PM. Upon arrival at the camp, the group leader should check in at the Camp office. At that time all rental information will be reviewed and final arrangements will be made in regard to schedule, meal services, facilities use, etc. The leader must provide a complete list of names of all those attending during the rental period. In addition, insurance policy requires that a Child Protection Form for each group of adult chaperones must be completed and submitted to the Camp two weeks prior to arrival (see following page of this handbook for form). All fees must be paid before arrival at Camp Kaleo. Facility Use: Mattresses in the cabins and adirondacks are extra long twin size. Bring flat sheets. Camp Kaleo Policies and Procedures Policies & Procedures (Continued) Deposit and Payment Policies for Rentals: A non-refundable fee of $100 or ten percent of your total cost for food, housing, and other services (whichever is greater) is due along with this reservation agreement in order to confirm your date. The date must be confirmed within 10 business days of the initial inquiry. The full cost will be due at Camp Kaleo two (2) weeks before your event. Insurance policy requires a Child Protection Form for your group’s adult chaperones—see Child Protection Form on following pages and submit form with payment. Payment received after that date will be subject to a late charge of $5.00 per day until full balance is paid. Make checks payable to Men’s Ministries, and send payment to the below Camp Kaleo address. Changes to Reservation: Notification of changes to reservations must be made no less than two weeks prior to the event. There will be a non-refundable fee of $10.00 for each person who cancels after the two-week deadline. Please Read This Note Carefully: Camp Kaleo reserves the right to allow simultaneous use of the camp by two or more groups as facilities are available unless all facilities are rented. Any and all costs for repair or cleanup in regard to damage, destruction, excessive liter or untidiness will be charged to the group and group leader responsible for reservations. We look forward to your arrival and to the success of your conference. Please convey these policies to your group members. They are guidelines which will help preserve Camp Kaleo and its ministry for decades to come. My signature indicates I have read, understand and will comply with all policies and procedures. October 1, 2004 Camp Kaleo Policies and Procedures CHILD PROTECTION GUIDELINES FOR ADULT CHAPERONES AT CAMP KALEO To provide a safe and secure environment for all children and youth that use our facilities, adults attending Camp Kaleo as chaperones must comply with the following requirements: Any individual adult attending a GBC/Camp event with children or youth present must submit a Volunteer Application as follows: · Any Individual Adult Chaperone who is not part of a church group, and who is attending a Camp Kaleo youth/children’s event, will need to contact Camp Kaleo to request a Volunteer Application for a background check to be processed through the Georgia Baptist Convention. Please contact Camp Kaleo for an application at 478-994-5333 or Toll Free at 1888-725-2536. Please include a processing fee of $17.00 with the Volunteer Application to be returned to Men’s Ministries at the below address. Upon receipt of the application by the Georgia Baptist Missions & Ministry Center, two weeks must be allowed for processing prior to the date of Camp stay. Every church or organization who has adult chaperones must complete, sign and submit a Child Protection Indemnity form as follows: · For Churches and Organizations: the indemnity form states that a Child Protection Program is in place for background checks. (For a copy of the indemnity form, see the following pages or go online at www.ga-ra.org. Only one indemnity form per group is required for each camp stay. For any church or organization who does not have a program in place, we can provide a Child Protection packet that may assist you in establishing such a program. All churches/organizations that bring children and youth to our facility and/or participate in activities or events are expected to have a proper and adequate child protection program in place and in use for background checks and protection against child abuse. All adult chaperones at the facility and/or activities or events must have completed a background check and be approved through your church/organization's child protection program. By signing this document you are certifying on behalf of your church/organization that your church/organization has an ongoing child protection program in place for background checks and protection against child abuse and that the program is being enforced.
