Valve Repair Meeting Tour & Exhibits June 2, 2016 Sheraton Brookhollow / Houston, Texas EXHIBITOR PROSPECTUS Greetings Exhibitor! The Valve Manufacturers and Valve Repair Council invites you to participate in our 2016 Valve Repair Meeting, Tour and Exhibits. The exhibition portion of the seminar takes place on June 2 and is open to table top displays ONLY. We know that traffic is important to you, so we’ve scheduled the attendees’ lunch, afternoon break and the Welcome Reception in the exhibit area to guarantee maximum traffic for your company! One D ay Only! June 2 , 2016 A give away of an Apple Ipad to the attendee who visits the most exhibits will also be held in the exhibit area at the conclusion of the Welcome Reception to encourage more interaction throughout all the food events. Who Should Exhibit? Qualifications Any company that is a supplier to, or client of, the valve repair industry is invited to exhibit. Financial firms and merchant banks are also welcome. Lunch, afternoon break and evening reception on June 2nd will be held in the exhibit area guaranteeing attendees multiple opportunities to view the tabletop exhibits and ensuring a steady flow of potential customers for exhibitors. All Valve Manufacturers Association and Valve Repair Council members as well as non-members are eligible to exhibit and must meet the following qualifications: Who is Attending? Mid-to-senior level management, engineering and technical personnel and anyone involved in the valve repair industry, particularly front line supervisors from the valve repair industry. SCHEDULE - June 2 9 - 11:45 pm Exhibitor Set-up 12 pm - 1:30 pm Luncheon in Exhibit Area 2:15 - 2:45 pm Afternoon Break in Exhibit Area 5:30 - 6:30 pm VMA/VRC Hosted Welcome Reception 6:30 - 7:30 pm Exhibit tear-down > U.S. and Canadian based companies that manufacture > U.S. and Canadian based companies that manufacture products or provide services for these manufacturers. > OEM-certified valve repair and maintenance facilities located in the U.S. or Canada > Distributors/channel partners are now eligible to exhibit as long as they are displaying at least one product line from a VMA member. Exhibition Guidelines Exhibitors will be assigned on a first-come, first-serve basis subject to the approval of VMA. Display items permitted are product samples and literature. Display items that have motorized parts or use video accompanied by audio are not permitted. Supplier participation is limited to the hours of the exhibit. No hospitality suites are permitted. Candy or mints given away at your table is allowed, but please no bottled water, soda or food is to be brought in from outside the hotel. 2 Registration Information What is included with my Exhibitor Registration? How do I sign up to attend the Education Meetings? Your exhibit registration fee includes your table, attendee list, lunch, afternoon break and Welcome Reception for all of your exhibit personnel for June 2, ONLY. Remember, you get one exhibit representative complimentary with your exhibit registration fee, for a total of two that can attend for the price of one! Your exhibit registration does not include attendance to the education meetings on June 2-3. If you wish to have an exhibit representative attend the education meetings, you can purchase a ticket to attend along with your exhibitor registration. Education meeting admission tickets are discounted for exhibitors at $425 per person. Electricity will be made available as well as internet services through the hotel. These services are not part of your registration fee and will come with an additional charge. How do I sign up to attend the Valve Repair Tour? The exhibit registration fee does not include the Valve Repair Tour on June 1st or the education meetings on June 2-3. How do I Register? You can register online at www.vma.org/meetings or fill out the registration form included in this prospectus. Exhibit registration fees are $350 for VMA/VRC members and $400 for Nonmembers. If you are a member of VMA/VRC you must sign in to your membership account to receive the member discount. If you don’t remember your username or password, or are not sure if you or your company are members, please call Dianne Ekblad at 202-331-8105, ext. 307, or email dekblad@vma.org. Your exhibit registration does not include attendance to the Valve Repair Tour on June 1. If any exhibitor representatives wish attend the Valve Repair Tour, you must purchase a ticket for the tour along with your registration. Tickets are $50 and include transportation to and from the tour and dinner. Advanced registration is required and there will be no tickets sold on-site. Each exhibit representative must have a ticket to attend the tour event. Your exhibit registration fee includes your table, attendee list, lunch, afternoon break and Welcome Reception for all of your exhibit personnel. Remember, you get one exhibit representative complimentary with your exhibit registration fee, for a total of two that can attend for the price of one! If you need to register a third exhibitor representative, (over the two included in the registration fee) you can do so for an additional registration fee of $90. If you wish to attend the tour on June 1 and/or the education meetings on June 2-3, you can purchase optional tickets that will allow you to attend these events. Hotel does not have space for crates, pallets or large shipments over 10 boxes. Any materials sent to the Sheraton Houston Brookhollow may arrive not earlier than three (3) days prior to May 31. A handling and storage fee of $10 per box/item or $15 per pound for any items over 20 lbs. will be accessed. VMA is not responsible for any charges incurred by exhibitors. Please address your boxes to arrive at the Sheraton Houston Brookhollow as follows: Hotel Reservations Accommodations for the 2016 Valve Repair Meeting Tour and Exhibition have been arranged at the discounted rate of $159 single/double at the Sheraton Houston Brookhollow. Rooms at discounted rate from Tuesday, May 31 to Thursday, June 2 ONLY. To make reservations by phone, please call 1-800-325-3535. Last day to take advantage of the discounted room rate is May 2, 2016. Registration Cancellations Policies > Cancellations received up to 30 days before the event are refundable, minus a 5% registration service charge. > Cancellations received between 15 and 29 days before the event are 75% refundable. > Due to hotel and other event guarantees, cancellations received between 0 and 14 days prior to the event the day are non-refundable. > All cancellations must be in writing to mmaloneblevins@vma.org. Bring your UPS, FED Ex and other relevant shipping forms with you and have them printed our prior to the meeting. VMA/VRC cannot guarantee access to a printer for printing forms onsite. As our last event (Welcome Reception) that takes place in the exhibit area is not concluded until after business hours, please make arrangements to have your shipment picked up the next day June 3. Pack up your materials and leave them in the exhibit room, with completed labels and boxes sealed shut. VMA/VRC will be responsible for getting them to the shipping area for pick-up. VMA is not responsible for any costs incurred for exhibits and materials that are not picked up in a timely manner, or if pick-up was not arranged prior with UPS or FED EX. ?
