TERMS: I. Description of space and equipment: The multiple venues at The Community Arts Café can accommodate all types of events and gatherings for most any need. The Underground Theatre Gallery is available 24 hours a day, seven days a week. It is the perfect place for performances, workshops, seminars, creative fundraisers, birthdays, receptions and office or holiday parties. The space, including bar area, is approximately 2,000 square feet and may be configured in a variety of ways. There are bathrooms adjacent to the space to accommodate an assembly. Room capacity is 100 with table & chair seating, or 200 with theatre styled seating or standing reception. The Community Arts Café currently has 150 chairs available and four (4), six foot banquet tables. If your group requires more furniture for your event CAC will arrange for rental delivery and pick up, coordinating with Hauser Rental. The Underground Theatre has a substantial house sound and recording system that will accommodate most groups. A qualified live sound engineer is required for use. Please visit us to determine your needs. If stage lighting is needed, please call CAC to discuss the options. II. Use of Space: A. Most of the spaces at The Community Arts Café also host visual arts exhibits. Clients must take full caution for any artwork displayed during current exhibition. This includes notifying guests and attendees at the event/program to be careful and respectful of the artwork. B. Client must identify an event contact to facilitate set-up, staffing needs and clean up of the event and to serve as the main contact for the duration of the event/program. C. A Community Arts Café representative will be onsite during the client’s event/program. D. Display: Client may not decorate walls for the event/program. Banners, posters, artwork or any other signs must be affixed to free-standing supports. No tape of any kind shall be used on the walls. Use of glitter, sparkles, rice, birdseed, or similar material is not allowed. Client may not make holes in the gallery walls for presentation of any work or information. Any item used for decoration must be removed after the event. E. Food/Drinks: No outside food or drink is permitted in the CAC facility. Catering is available through CAC. If outside catering is desired, a $100 fee will apply. F. Alcohol: Absolutely no outside alcoholic beverages allowed on the CAC premises. Beer and Wine is available through the Café Bar. G. Smoking: Smoking is NOT permitted anywhere in the Community Arts Café’s spaces. Client will ensure that fire exits remain free from obstruction. H. DJs & Liquor: As a general rule, it is not the policy of CAC for its spaces to be used as a night lounge or dance club, and therefore events requiring DJs and liquor are typically not permitted. Though there may be exceptions to this rule, the CAC facility’s intended uses are for exhibit and performance based events with the additional usage for receptions, gatherings or special dinner events. In these instances, groups desiring mixed drinks will need to arrange for a special permit through CAC. A minimum of 30 days is required to obtain a special ABC permit to be used on site. I. Certain events that are deemed to be ‘high risk’ will require additional insurance, a security deposit and/or security officers which must be approved by CAC and provided at the expense of the client, however, in most instances, these types of events would not be permitted in the facility. J. The Community Arts Café reserves the right to cease any event, at any time, if the guidelines are not being adhered to and/or if the safety and protection of the property appears to be at risk. No refund will be issued for such action. K. Liability: The Client agrees to hold the Community Arts Café, LLC free from any liability or claim for damages or suit for or by reason of any injuries to any person or property of any kind whatsoever, from any cause whatsoever, arising out of the use and occupation of the premises by the renting party; and the renting party hereby covenants and agrees to indemnify The Community Arts Café from all liability or damage on account of or by reason of any such injuries or damage. L. Deposits: A $100 non-refundable deposit is necessary to secure any space for client's event/program. This amount is non-refundable. The balance is payable before the date of event/program. M. Maintenance/Cleanup: The space must be returned to the condition it was in upon arrival. Client may incur additional cleaning charge in the amount of $150 if conditions are not met. A cleaning deposit is required. N. Cancellation: Cancellation by the client releases the Community Arts Café from further obligation. In the event of cancellation by the Community Arts Café, the full deposit shall be returned to the client. We wish you a most enjoyable and successful event!
