THIS MANUAL HAS BEEN COMPILED FOR ALL EXHIBITORS attending the 2015 event – shell booth and custom/space only. The information provided in this Manual is to assist you with your exhibition display. In order to ensure that all your requirements are met, please read this Manual carefully as it contains important information. Complete all of the necessary forms and submit each form to the appropriate company. It is not possible to receive your delegate tickets or name badges prior to the event. GCCEC endeavors, so far as practicable, to conduct its activities in such a way so as to maintain a safe workplace. It is a standard prerequisite for all contractors and sub-contractors to review, comply and acknowledge our Workplace Health and Safety Policy and Procedures before work can commence on-site. (F14.0 above) All contractors and sub-contractors must also acknowledge and comply with the GCCEC “Standard Conditions of Hire” and “Operating Policies and Procedures” before commencing work on-site at GCCEC. Other terms and conditions relating to GCCEC can be found on the GCCEC website www.gccec.com.au 4 4.1 ACCESS TO GCCEC GENERAL ACCESS The GCCEC has an obligation to all personnel and visitors to protect their health and safety whilst on-site. In addition, as exhibitors, contractors or individuals accessing the site, there is a reciprocal obligation to ensure that work activities do not endanger the safety of workers or others. To ensure we both meet our legal obligations, the GCCEC has drafted a ‘Contractors Agreement’ that must be entered into by all persons undertaking work at the GCCEC. All persons undertaking work must be supplied with a copy of the Contractors Agreement which must be signed and returned to the Building Services Department before commencement of work. In addition, contractors are required to provide a Certificate of Currency for both Work Cover and Public Liability Insurance policies. Contractors must report to the Security Office on arrival on each visit to GCCEC and will be required to undertake an on-site safety induction before commencement of work. Visitor identification or contractor passes will be issued by security and must be worn at all times whilst on-site. 4.2 CONTRACTORS / WORKERS Page 9 of 21 2015 EXHIBITION MANUAL MITRE 10 NATIONAL CONFERENCE & EXPO 10-12 February 2015 All persons undertaking work at the GCCEC must comply with the following requirements: Enter into the Contractors Agreement Comply with pass requirements Advise the Security Communications Room of the details of all persons requiring a pass, before they arrive at the GCCEC (Fax 5504 4213, email security@gccec.com.au or phone 07 5504 4050) Return the pass each time you leave the GCCEC. All supervisors are responsible of the passes of their employees. Passes are issued in series. In addition to materials handling services, Agility can arrange all your local and interstate transport services including delivery of goods onto each exhibitor’s stand at the venue. Storage of early consignments, packing materials during the exhibition and storage after the exhibition can also be arranged. Prior to the exhibition, Agility will contact all exhibitors to discuss specific transport and other requirements. To request a quote, please complete and return the “Transport Request Form” included as Appendix A. Please note: If you are using your own transport company, Agility cannot sign for delivery of goods on your behalf, therefore, please ensure you make necessary arrangements with your carrier. 4.4.1 DELIVERY/COLLECTIONS TIMES FOR EXHIBITORS: THIS INFORMATION MAY BE SUBJECT TO CHANGE – EXHIBITORS SHOULD REFER TO THE MITRE 10 EVENT WEBSITE FOR THE UPDATES www.mitre10expo.com.au Deliveries will be accepted only during the following access times. DELIVERY TIMES FOR MOVE IN Custom & space-only stands only: Sunday 19th Jan 7am – 4pm Shell scheme / pre-built stands: Monday 20th Jan 7am – 7pm COLLECTION TIMES FOR MOVE OUT Shell Scheme / pre-built stands: Friday 24th Jan 7am – 8pm Custom & space only stands: Friday 24th Jan 8am – 10pm & Saturday 25th Jan 7am – 12pm For those exhibitors requiring a forklift to unload / re-load, please ensure your transport company delivers / collects within these hours only. To assist exhibitors requiring forklifts, pallet jacks and flatbed trolleys, Agility will be operating a forklift service during the above bump in and bump out delivery times. These are provided free of charge by Mitre 10 as a service to exhibitors. The above access times relate to DELIVERIES ONLY you must also refer to venue access time on the first page for when you can gain access to your stand / space. If you are using your own transport company, Agility cannot sign for delivery of goods on your behalf. Please ensure you make specific arrangements with your transport provider and/or ensure you have a representative onsite at the time of delivery. All stock/items remaining at the venue after the specified bump out time will be considered ‘abandoned freight’ and exhibitors will incur high penalties for any additional cartage and storage that is deemed required by Mitre 10 Australia Pty Ltd and the venue. 4.4.2 LABELS A delivery label must be affixed to each item sent to the GCCEC. F4.0 - Delivery Label All labels must be marked with the following: name of event, room/hall, stand number or area (e.g. internet centre) date of event. Onsite contact name and number 4.4.3 RETURN FREIGHT / COLLECTION OF FREIGHT AFTER THE SHOW If you are using your own courier, please ensure that all freight requiring a pallet jack or forklift is secured, packed and labeled correctly by the time you leave the exhibition on Friday 13th February 2015. Please leave goods at your stand. IMPORTANT: It is your responsibility to ensure that all freight is labeled correctly with the following information on EVERY item: Carrier and consignment note Destination address Company name Contact name and telephone number Total amount of pieces. e.g. 1 of 3, 2 of 3 etc. A “Move-Out Letter” will be circulated to all stands during the show by Agility. Please read this letter and observe the move out process. 4.4.4 STORAGE Limited storage facilities are available please advise Agility Fairs & Events on Phone: 03 9330 3303 of any storage requirements. 4.4.5 COLLECTION OF GOODS It is the exhibitor’s responsibility to arrange courier pick up of items. Mitre 10 Australia Pty Ltd will not arrange for any exhibitor items to be moved from the GCCEC. All items are required to be left with forwarding instructions and must be collected by 12noon on Saturday 14th February 2015. 4.5 NON COMPLIANCE Failure by any party to comply with the Access Controls of the GCCEC may result in persons being stopped from undertaking any work or expulsion from the GCCEC. All custom stand designs must be approved by Mitre 10 Australia Pty Ltd. In order to gain approval, all custom stand designs need to be submitted to Steve Hyman by no later than 28th November 2014 to: National Store Design & Standards Manager shyman@mitre10.com.au Mobile: 0401 657 003 5 ANIMALS No animals, birds, insects or pets are permitted on-site with the exception of Seeing Eye dogs. Any requests relating to the display of animals for an exhibition will have to be presented in writing for approval by the GCCEC. 6 AISLES AND EXITS No stand or display is to block any aisle or emergency exit. 7 BALLOONS Where helium filled balloons are being used as part of a display in the exhibition area, approval must be given by the GCCEC. There will be a charge incurred for the retrieval of loose balloons from the ceiling. 8 LPG CYLINDERS The use of LP gas cylinders indoors is discouraged wherever possible. All cylinders must be tested and approved for use and stamped with AG 601. The organiser must provide fire extinguishers CO2 and dry chemical. All LP gas cylinders must be removed overnight and stored in the loading dock. Please refer to other Equipment or Materials brought into the GCCEC on page 3 of GCCEC Operating Policies and Procedures/Version 1.2 visit the www.gccec.com.au website or click on the link below; Operating Policies and Procedures 9 ATTIRE & CODE OF CONDUCT While working in the venue, it is a requirement of Mitre 10 Australia Pty Ltd that all event and contract staff must be dressed in a neat and tidy manner at all times. Any staff member or contractor representing an Exhibitor during the “Building Successful ‘consumer driven’ Independents” Expo must be dressed appropriately. Appropriate footwear must also be worn on-site at all times. Any person in the Expo during move in and move out must wear enclosed shoes due to Occupational Health and Safety requirements of the venue. Safety Vests must be worn at all times while working in the Loading Dock, Exhibition Halls, Central Rooms and Arena during Bump in and Bump out. Page 13 of 21 2015 EXHIBITION MANUAL MITRE 10 NATIONAL CONFERENCE & EXPO 10-12 February 2015 Mitre 10 Australia Pty Ltd will not be providing Safety Vests for Exhibitors. Safety Vests can be purchased, at the expense of the exhibitor, at the GCCEC Reception Desk. Identification of your exhibitor status is required at Bump In and you will need to secure a wristband from our staff before you can enter the Exhibition Hall. Unruly or unacceptable behaviour and violent acts are strictly prohibited. People acting without due care for others, or not following directions of Security or Mitre 10 Australia Pty Ltd staff may be evicted from the site. Use of illegal drugs or substances is strictly prohibited. Contractors are not to work at GCCEC while affected by alcohol, medication or any other substance. GCCEC is not to be used for any illegal or immoral purpose and the venue reserves the right to remove all materials which, in its opinion, may be considered offensive or obscene. Any illegal activities will be reported to the police. 10 AUDIO VISUAL Computer and technical equipment hire is available from our appointed exhibition contractor Moreton Hire. Jamie Favios Account Coordinator Ph: 07 3307 4414 Mob: 0409 631 720 Email: jamie.favios@moreton.net.au 11 BANNER RIGGING The GCCEC offers rigging services for exhibitions and banner requirements F2.0 - Banner Rigging Request Form The policy of the GCCEC permits only certified or licensed riggers to carry out installation of lighting grids, banners etc. In the event that rigging is required, all such rigging must be inspected and approved by the GCCEC. GCCEC can advise you of our preferred rigging contractor. A rigging plot drawing specifying approximate weights from each rigging point must be submitted 21 working days prior to the event; due to Christmas and Boxing Day holidays falling within this period, forms are due in by 9th January 2014 to: Gold Coast Convention & Exhibition Centre Sascha Huckstepp | Event Services Planner T +61 07 5504 4028 | F +61 7 5504 4001 shuckstepp@gccec.com.au All rigged items must be approved before any work can commence. 12 CEILING HEIGHT The ceiling height in the Trade Expo Hall is 10m. Page 14 of 21 2015 EXHIBITION MANUAL MITRE 10 NATIONAL CONFERENCE & EXPO 10-12 February 2015 The ceiling height in the Central Rooms is 3.7m. 13 CLEANING OF STAND Exhibitors are responsible for the cleaning of their individual display stands. The GCCEC does offer a stand cleaning service to exhibitors. If required your stand can be vacuumed, mopped and dusted prior to the opening of the exhibition each day. Please complete this form if this service is required; F10.0 - Stand Cleaning Order Form (0.16MB) 14 COMMUNICATION (TELEPHONES AND DATA) Telephone, facsimile, modem, data and RF TV lines can be provided to your stand on request. F6.0 - Cabled Internet Connection Form (0.19MB) F7.0 - Phone Comms Connection Form (0.17MB) Please contact GCCEC’s should any further information be required. Sponsors should keep in mind that their power requirements may change as a result of implementing these communications in their stand. If you require additional power points, these can be arranged through Moreton Hire Ph: (07) 3307 4444 15 CUSTOM STAND DESIGNS Restrictions may apply to some custom stands. All custom stand designs must be approved by Mitre 10 Australia Pty Ltd. In order to gain approval, all custom stand designs need to be submitted to Steve Hyman by no later than 28th November 2014 to: National Store Design & Standards Manager shyman@mitre10.com.au Mobile: 0401 657 003 Temporary structures built for exhibitions must comply with the Building Code of Australia (BCA). They must be designed and constructed in accordance with all relevant Australian Standards and all other statutory regulations current at the time of construction. This includes areas pertaining to egress, height, fire safety and flammability rating of materials. Please also refer to the floor plan available from the conference website for stand height regulations. 15.1 STAND CONSTRUCTION REGULATIONS General regulations for stand construction are as follows: Page 15 of 21 2015 EXHIBITION MANUAL MITRE 10 NATIONAL CONFERENCE & EXPO 10-12 February 2015 A stand that has a roof or ceiling fitted is required to provide additional fire protection equipment, such as the fitting of a smoke detector and portable CO2 extinguisher. In some cases an extension of the existing sprinkler system will be required. Stands designed with a raised floor must conform to the applicable requirements. Please refer to the heading Raised Floors, Stairs and Ramps within exhibits in this section. Where halogen tube lights are to be used, the globe unit must be protected with safety glass to minimise the risk of explosion and fire. Internal aisle-ways within exhibits must have a clearly defined minimum aisle width of 3 metres or have a floor covering with a contrasting colour to the remainder of the stand flooring. At no time during the event can these aisles be partially or completely blocked. Any custom built stand with a floor area of more than 50 square metres is to be provided with at least one alternative means of egress to the walkways. Any door assembly in such a custom built stand must comply with BCA requirements. Any door incorporated into the stand, not providing an alternative means of egress is to have a sign affixed and labeled "NO THOROUGHFARE". Any barriers incorporated into the custom built stand are to be designed so that they yield to pressure without toppling. Where any permanent exit signs are blocked from view by a custom built stand, the Centre will require additional and supplementary signage within the stand to comply with the BCA and relevant standards. 15.2 DISABLED ACCESS WITHIN EXHIBITS Disabled access to the stand must be provided. If a disabled ramp is installed, it must be clearly distinguishable from the remainder of raised floor surrounding it. To reduce the risk of trip hazard, a handrail, block-off panel or suitable barrier of 900mm minimum in height must be installed. Handrails for ramps or raised platforms must be between 900 – 1100mm in height. 15.3 RAISED FLOORS, STAIRS AND RAMPS WITHIN EXHIBITS All raised floors, steps and ramps within exhibits must comply with the relevant sections of the (BCA). Raised floors under 115mm in height: All raised floors with a height of less than 115mm must have a clearly distinguishable ramped edge installed. All ramped edges must be of a gradient no less than 1 to 3. All ramped edges must be contained within the contracted space, with the exception of ramped edges attached to modular floor sections which are 32mm (or less) in height, in which case an intrusion of 100mm will be accepted. Raised floors over 115mm in height: All raised floors with a height greater than 115mm, but less than 190mm are considered a step and therefore should not be ramped. Where the flooring height exceeds 190mm, a series of steps should be constructed as per BCA requirements. Each step should be no less than 115mm in height. When a step is installed an approved stair-nosing must also be installed, as per BCA requirements for steps in public places. Page 16 of 21 2015 EXHIBITION MANUAL MITRE 10 NATIONAL CONFERENCE & EXPO 10-12 February 2015 16 ELECTRICAL APPLIANCES The GCCEC management reserves the right to demand removal from the site of any electrical equipment it deems to be non-compliant or suspect. All portable electrical equipment, appliances and leads must be tested and tagged in accordance with Australian Standard 3670–2001. All sub-circuits must be protected by an RCD complying AS/NZS3000:2000. All electrical installations, motors, generators, etc. must be approved by the GCCEC Management. All requests for electrical installations must be submitted to GCCEC prior to installation in association with the exhibition and display plans. All installations must be performed by a licensed electrical contractor and the necessary equipment for operation must be supplied. This includes extension leads, double adaptors, and other such equipment. Should any 3 phase electrical usage be required, then an additional charge will be calculated. 17 ELECTRICAL APPLIANCES The Gold Coast Convention and Exhibition Centre (GCCEC) actively implements environmentally friendly initiatives and practices to improve its carbon footprint. As part of this initiative, the GCCEC now requires that all exhibition stands turn off non-essential power outside exhibition opening hours. In order to comply with this requirement, Moreton Hire will be installing timers at the 2015 Mitre 10 Expo to ensure power is switched off between the hours of 9pm and 6am each day of the event. If you require 24-hour power for your stand (for items such as fridges, specialised computer controlled systems, etc.) you must notify the electrical contractor, Moreton Hire, in advance so your stand can be isolated from the timing switches. We appreciate your co-operation in supporting this initiative to reduce power usage. 18 EQUIPMENT HIRE Forklift, Scissor Lift, Boom Lift: The GCCEC has a boom lift for hire (subject to availability). Charges are outlined on this form. Operation Hours between 6.00am – 10.00pm Using an Outside Operator: Before equipment is allowed onto the property, forklift operators must be licensed to operate a forklift. A copy of the forklift license must be shown to Sascha Huckstepp, Gold Coast Convention and Exhibition Centre T +61 07 5504 4028. Forklifts must be operated at all times in a safe manner and in accordance with current industry standards. At no time can persons, other than the operator, be transported by forklift from one place to another. Vehicles that are hired to be used within the complex must be fitted with non marking tyres (White compound tyres). 19 EXHIBITION FLOOR PLAN The Exhibition Floorplan for this event will be available via the www.mitre10expo.com.au website after 31st October 2014 and is subject to change without notice. The floorplan and may be revised closer to the event date if there is a greater demand for exhibition space or as deemed necessary by the Mitre 10 Australia Pty Ltd. 20 FLORAL ARRANGEMENTS For exhibitors who wish to have flowers on their stand, Toogood Flower Studio is the preferred supplier for the GCCEC. They are subject to inspection by the Gold Coast Fire Brigade and must comply with the guidelines and policies of the Queensland Fire and Rescue Service. Exhibition/display areas must be sited to allow access to emergency exits and firefighting equipment. The storage of any flammable liquids or fuel within the Exhibition is not permitted. Motor vehicles or other mechanical appliances displayed within the Exhibition venue must contain a full tank of fuel. Fire extinguishers and fire hose reels must at all times be visible and accessible and must not be removed from its correct location. 21.2 FIRE FIGHTING EQUIPMENT Should construction of stands and exhibits create a potential smoke-locked area or create an area not serviceable by the existing sprinkler systems, the management of GCCEC may require the smoke detection, emergency lighting and exit lighting systems be extended to cover the stand and/or exhibit areas. Page 18 of 21 2015 EXHIBITION MANUAL MITRE 10 NATIONAL CONFERENCE & EXPO 10-12 February 2015 21.3 FIRE PROOF MATERIALS Any materials used in stand construction or for display purposes must conform to the following standards: Non combustible and inherently non-flammable material Durable flame-proof fabric Self-extinguishing plastic Flame proof fabric The use of the following materials is prohibited unless treated for fire retardation: Plywood, hardwood, pulp board or Styrene fibreboard Plastic Crepe paper Loose straw/hay Hessian Leaves 22 FOOD & BEVERAGE The GCCEC has exclusive rights for the sale of food and beverage. No exhibitor or person shall bring into a licensed area, distribute or give away any item of food and beverage to visitors within the GCCEC without prior written approval from GCCEC Management. Sponsors may provide food and beverage on their booth at any time to delegates (excluding alcohol), however this must be provided within GCCEC’s guidelines. Written approval from GCCEC management must be gained before any sponsor or person brings in to a licensed area, distributes or gives away any item of food and beverage to visitors within the GCCEC. The GCCEC does not permit the sale of food and beverage; however the distribution by sponsors of food stuffs used as a means of demonstrating their manufactured product are permitted. Please consult GCCEC for further information. For the convenience of exhibitors, GCCEC have put together some suggestions for food and beverage requirements, which can be pre-ordered and consumed at various exhibition booths during an exhibition. F1.0 - Account Form F3.0 - Exhibitor Catering Form 22.1 FOOD SAMPLING The GCCEC has exclusive rights for the sale of food and beverage. No exhibitor or person shall bring into a licensed area, distribute or give away any item of food and beverage to visitors within the GCCEC without prior written approval from GCCEC Management. The GCCEC does not object to the distribution by exhibitors of food stuffs used as a means of demonstrating their manufactured product; however the sale of such products is not permitted. Persons found disposing of chemicals in this way will incur any cost involved to rectify this situation. All chemical substances and paints must be contained, taken offsite and disposed of in an appropriate manner by the contractor. 24 VEHICLE DISPLAYS Motor vehicles powered by flammable liquid or gas may be displayed under the following conditions: The fuel tank is to be at 100% capacity or dry. The fuel cap must be either sealed or lockable to prevent tampering. LPG motor vehicles must have systems fitted in accordance with AS1425-1989 LPG Fuel Systems for vehicle engines. Vehicles in exhibitions must not be started and run without prior authorisation from management who will review safety and exhaust emissions. Displayed vehicles should have oil drip trays placed underneath the sump of the vehicle. The tyres of the vehicle should be placed on condemned carpet tiles. The vehicles battery should be disconnected. If any vehicle is to be displayed inside the GCCEC, a spare set of keys must be left at the security office in case of emergency. 25 WATER & WASTE SERVICE TO PITS A number of floor pits in the GCCEC are supplied with non-potable water. The waste service only allows for the disposal of clean water waste, as these lines go straight to sewage. The floor pits are not designed for effluent or untreated trade waste discharges (i.e. solvents and paints). Trade waste must be stored in containers and removed from the site for treatment and disposal. Any exhibitor wanting to dispose of trade waste must supply their own separator system and dispose of waste in areas designated by the Building Service Department. It is the responsibility of the exhibitor to arrange connection from the service pit to their equipment.
