take in preparation for the transition from the DLP to the DLE.

BACKGROUND

The Defence Learning Environment (DLE) will replace the Defence Learning Portal
(DLP) when the latter is taken out of service on 3 Jun 15. The DLE will become the prime
source of e-learning for the MOD; to this end all MOD staff should now ensure they
undertake the required actions contained within this DIN to draw down their personal DLP
accounts and successfully register on the DLE. The DLE is available at www.dle.mod.uk
(via the Defence Gateway) and can be accessed from both DII (limited access) and internet
computers. A checklist of required user actions is at Annex A.
KEY DEADLINES
2.
The following deadlines should be noted:
a.
The DLP will be switched off at 2359hrs on 3 June 15.
b.
It is the responsibility of all personnel to retain a copy of their DLP Single
Learner Records before 2359 on 3 June 15.

c.
CourseBuilder will cease to be provided as a hosted service on the RLI from
2359 hrs on 31 May 15.
USER ACTIONS PRIOR TO CLOSURE OF THE DLP

Completion of Enrolled DLP Courses. Users are to ensure that they have
completed DLP courses that they are currently enrolled on by 3 Jun 15 so that they are
captured in the final version of their Single Learner Record. It should be noted that partially
completed DLP courses will not be transferred from the DLP Learning Management
System (LMS) to the DLE. Therefore in order to avoid having to repeat the same learning
on the DLE, all users should complete their enrolled DLP courses by 3 Jun 15.
4.
Single Learner Records. All personnel who have completed e-learning courses
(including mandatory/compliance training courses) on the DLP must ensure they retain a
copy of all course certificates and a copy of their Single Learner Records; this is to ensure
they have a record of all mandatory/compliance training as well as their wider personal
development activities. Users are advised to take screenshots of their learner record; an
example screenshot is at Annex B. These actions must be completed prior to the closure of
the DLP on 3 Jun 15. It is strongly recommended that users take a copy of their Single
Learner Record well in advance of the closure of the DLP to ensure that they have
successfully retained a copy; no Single Learner Records will be migrated to the DLE. To
take a screen shot of the Single Learner Record, users should follow the instruction below:
Login to the DLP> Click on the Learning tab> Click on ‘My Learning’ in the left-hand
menu> click on ‘Complete Activities’>Take a/multiple screen shot(s) of your
complete activities (by holding down the ‘Alt Gr’ key and press the ‘Print Screen’
key). Paste the image onto a Word document and save a copy.
IMPORTANT INFORMATION RELATING TO THE END OF THE DLP SERVICE
5.
New DLP User Accounts. DLP user account applications will not be accepted after
24 Apr 15. All DLP user account applications submitted by this date will be processed
before 1 May 2015, after which no new DLP user accounts will be created. After 24 Apr 15
all new user applicants will be directed to apply for a Defence Gateway account that will
provide access to the DLE.
6.
First and Second Line Support. The SPOC will continue to provide first line
support to DLP users until the platform closes on 3 Jun 15; however, as we approach the
closure of the DLP, there will be no guarantee that all incidents passed onto the DLP
Support Team will be resolved. From 0800 hrs on 25 May 15, incidents that the SPOC
cannot resolve themselves will no longer be routinely passed onto the DLP Support Team.
Users need to be aware that the after the DLP closes at 2359 on 3 Jun 15, the DLP
Support Team will no longer have access to the DLP and therefore will be unable to resolve
any incidents, this includes any queries relating to a user’s Single Learner Record.
7.
DLP to DLE Courseware Migration. Details for the migration of courseware by
Courseware Sponsors, Training Requirement Authorities (TRAs) and Training
Establishments /Providers from the DLP to the DLE are contained within 2015DIN07-026.

8.
CourseBuilder Withdrawal. With the closure of the DLP, CourseBuilder rapid elearning development software will cease to be provided as a hosted service on the RLI
from 2359 on 22 May 15. Course Designers will be free to select a rapid authoring tool that
meets their needs but the following suggestions may be helpful:
a.
Migrate to CourseBuilder as hosted by Lumesse. This can be done quickly
and easily by buying a CourseBuilder licence from the Government’s Digital
Marketplace https://www.digitalmarketplace.service.gov.uk/service/5-g5-1824-005
b.
Transition to an alternative tool. Two of the industry standard packages are:
Articulate Storyline and Adobe Captivate. These can be bought directly from the
vendor’s website.
ACCESSING THE DLE

The DLE can be accessed from www.dle.mod.uk via the Defence Gateway (DGW)
or by logging on to the DGW at www.defencegateway.mod.uk and clicking on the DLE link.
The DGW has an automatic feed from JPA and HRMS that enables all Service and MOD
Civilian staff to apply for an account online; the process only takes a few minutes. Visit
www.defencegateway.mod.uk and click ‘register’ to get started. Please note your DLE
account is created the first time you log into the DLE. If you have never logged in to the
DLE before then your account will not be recognised; therefore, please ensure you have
logged in and logged out of the DLE at least once to ensure the system has registered your
account before seeking further assistance.

If you already have a DGW account but have forgotten the password or you
experience problems with logging in, the DGW automated password reset tool should be
used in the first instance. If the automatic system fails you should contact the Defence
Gateway helpdesk via their online help system, or in extremis contact the Defence CIS
SPOC on 188 or 0870 600 8910 (VPN 96600 8910) and state “HQ Land Forces”. The DLE
team cannot help with password reset queries.

Defence contractors and foreign students enrolled on UK MOD courses are entitled
to DLE user accounts; however, they must be sponsored by an OF3 (or C2 grade) or
above. To create an account the sponsor must visit the DLE Help tab on the home screen
and under the ‘User Accounts & Passwords’ section click on ‘ How to create DLE user
accounts for contractors or other sponsored personnel’. Within this section is a spreadsheet
that sponsors must complete and submit in order to apply for contractor and foreign
students’ accounts.

If you experience problems with directed course functionality, assistance should be
sought from the course sponsor. Details for the course sponsor can be found on the
contact detail panel for each course and/or in your joining instructions. Issues with Defence
Learn courses should be reported to the DLE helpdesk via the email address given in the
‘Further Assistance’ information on the ‘Help’ page, or state ‘DLE’ on the Defence CIS
SPOC on 188 or 0870 600 8910 (VPN 96600 8910).
DLE NEW USERS INTRODUCTORY COURSE
13.
The DLE is divided into two main areas: Defence Learn and Schools. The Defence
Learn catalogue contains mandated and elective Defence e-learning onto which users can

self-enrol. The Schools learning environment delivers directed e-Learning by training
requirements. Students are enrolled on to the appropriate course by the training
establishment.
14.
Upon first use of the DLE, users should complete the ‘DLE New Users Introductory
Course’ this is available through Defence Learn (Course Code DLENUICv1.1) or is
accessible through the slider (rolling picture) at the top of the home page. This will
introduce you to the features of the DLE and is intended to be utilised by all new users of
the DLE, regardless of your role or experience. The course should be completed before
you start using the DLE and should take no more than 20 minutes.
ONLINE ASSISTANCE
15.
If you require further assistance, please click on the DLE Help button in the menu
bar and review the online help. If you are unable to resolve your problem please complete
the online contact form or contact the Defence CIS SPOC on 188 or 0870 600 8910 (VPN
96600 8910) and state “DLE” to raise a helpdesk ticket.
INTERNAL COMMUNICATION
16.
To ensure the widest possible distribution of the information contained within this
DIN, units are to ensure the following information is repeatedly included in Unit Routine
Orders at appropriate intervals until 3 Jun 15:
“The Defence Learning Portal (DLP) closes at 2359hrs on 3 Jun 15 and is replaced
by the Defence Learning Environment (DLE). All personnel who have completed elearning courses (including mandatory/compliance training courses) on the DLP
must ensure they retain a copy of all course certificates and take a screen shot of
their Single Learner Record (to be stored in accordance with local unit
arrangements). This is to ensure they have a record of all mandatory/compliance
training as well as their wider personal development activities. No learning progress
or Single Learner Records will be transferred from the DLP to the DLE. For further
information please refer to DIN (2015DIN07-076)”
