Job Description: Accounting Manager Department: Finance Status: Exempt Salary/Wage Grade: Commensurate with Experience Reports to: Director of Finance JOB SUMMARY This position is engaged in a range of financial activities including accounts payable, accounts receivable, payroll, grants distribution, management of budget and administrative support to the Director of Finance. ESSENTIAL DUTIES AND RESPONSIBILITIES To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other comparable duties and responsibilities may be assigned as needed. Evening and weekend work required as determined by operational needs or as assigned. Ensures accounts payable, expense reports, and disbursements comply with operating procedures in order to control expenses; communicates procedures to staff members for compliance. Reviews posted transactions to subsidiary accounts in general ledger. Reviews checks for the appropriate approvals and obtains final signature for checks. Reviews annual 1099 process and sends out annual 1096 forms. Reviews accounts receivable transactions and assists Accounting Assistant as needed to ensure transactions are properly posted and accounts are current. Requires knowledge of inventory processes and works with Operations staff as needed. Records revenue accurately and according to the revenue recognition policy. Reviews bank statements, researches discrepancies, and reconciles accounts with general ledger; communicates discrepancies or problems to Director of Finance and provides monthly reconciliations for review by Director of Finance. Reviews payroll information entered into payroll system by accounting staff, interfaces with outside payroll vendor to process and reconcile transactions, creates payroll entry into accounting system, and handles other confidential materials requiring a good knowledge of payroll and IRS requirements. Performs month end close process. Ensures all monthly posting is completed in a timely manner. Identifies outstanding payables and receivables for accrual purposes. Performs monthly reconciliations on all balance sheet accounts and any income statement account as determined by Director of Finance. Will play an integral role in year-end close, audit preparation, and preparation of annual Tax Form 990. Works with Development Department to gather and disseminate financial information for grant payment schedule or contracts. Responsible to provide guidance to direct reports for issues that may not be clearly defined. Conducts research, compiles and prepares financial reports; produces monthly balance sheets, income statements, cash flow statements, and budget forecasts. Assist the Director of Finance in compiling budget details and preparing annual budgets for board approval. Makes and implements recommendations to improve processes and procedures. Strong understanding of Generally Accepted Accounting Principles. Job Description: Accounting Manager INTERACTION This position will interact closely with the Directors and Managers of the organization. This position may provide information to agency representatives and FASD staff. SUPERVISORY RESPONSIBILITIES Provide direct and full scope supervisory responsibilities to accounting staff. EDUCATION/YEARS EXPERIENCE Minimum: Bachelors in Accounting, Finance or Related Area preferred with a minimum of 5 years strong accounting experience including two years managing staff. Non-profit Accounting experience desirable, not required. KNOWLEDGE, SKILLS AND ABILITIES Commitment to understanding and supporting FASD’s mission. Shows compassion and appreciation for hunger issues. General knowledge of nonprofit organizational practices. A professional demeanor with an aptitude for analytical thinking and problem solving. Responsible, well organized, and demonstrate initiative. Strong proficiency in Windows 2000, Microsoft Excel (including Vlookup, Sumif, and Pivot Table functions), Microsoft Word, accounting software, preferably Navision/Ceres 2009. Experience using Jet Reports desirable. Must be accurate and detail oriented, possess strong organizational and time management skills and the ability to juggle multiple priorities in a complex and fast paced environment. Ability to work under pressure with tight deadlines. Ability to work independently and collaboratively. Must have excellent customer service skills. Excellent verbal, written, interpersonal, organizational, and public speaking skills. TOOLS AND EQUIPMENT USED Standard office equipment and machines such as telephone, personal computer, multi-function copy machine, and 10-key calculator. LICENSES/CERTIFICATIONS Any related certifications in accounting, non-profit, or professional management is a plus, not required. PHYSICAL, MENTAL & ENVIRONMENTAL REQUIREMENTS The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to: Work in an office adjacent to a warehouse setting with occasional travel to other locations in San Diego County. Sit, stand, walk, bend, kneel and uses hands, arms and legs for dexterity, balance and climbing stairs frequently. Must be able to sit for prolonged periods of time. Occasionally lifts, carries and balances objects weighing up to 30 pounds. Pulls and pushes such objects as file drawers and supplies. Prioritizes and multi-tasks work and projects requiring good memory, concentration and analytical thinking. Occasionally is required to perform the safe operation of office equipment and machines, and recognize and abate safety hazards within the workplace. Job Description: Accounting Manager The noise level in the work environment is usually quiet but this office is maintained in a distribution center with machinery and large trucks.
