Job Description Office Manager (Full or Part-Time) San Diego Housing Federation (‘SDHF’ or ‘Federation’), a nonprofit organization that promotes the development and preservation of quality affordable homes for people in need throughout San Diego County, seeks an energetic and organized individual to manage our office and administrative functions. The Office Manager will provide administrative support to the Executive Director and other Federation staff, and help coordinate the daily operations of the organization. The Office Manager’s responsibilities include, but are not limited to: • • • • • • • • • • • • Coordinate office administration, including vendor relations (phone system, copier/printer, IT, office supply inventory, landlord, parking), answering telephone and directing calls as appropriate, ensuring adequate office supplies, managing incoming and outgoing office mail, and generally ensuring an efficiently run office; Manage all human relations functions, including payroll, ensuring all benefits packages (health insurances, retirement plan, and health savings accounts) are up-to-date, and handling new-hire and termination as needed; Prepare check vouchers and invoices, code SDHF revenues and expenses, and undertake other accounting processes in coordination with bookkeeper’s twice monthly visit to ensure timely and accurate monthly financial reporting; Work with outside accountant and bookkeeper on preparation and submission of annual audit, 990 tax return, and other financial reporting (W-2’s, 1099s, EDD reports, etc.); Complete creation of SDHF Policies & Procedures manual and oversee to ensure full compliance; Manage all I/T functions to ensure proper functionality of phones and computers and ensure electronic back-ups are running properly; Ensure all vendors and contracts (e.g. insurance, lease, etc.) are maintained, and reviewed to ensure SDHF is getting the best deal possible; Serve as Board liaison to ensure board meetings are scheduled, annual board calendar is prepared, agenda packets are circulated in a timely manner, board manuals and orientation occurs for new members, minutes and notes are taken and circulated, and board records are maintained; Support the Executive Director as staff liaison to the Board’s Finance and Governance committees, including scheduling meetings, preparing agenda packets and taking minutes; Maintain Federation files (paper and electronic) in orderly manner; Lead SDHF office move if and when needed (likely early 2016); Perform other duties, as assigned. Qualifications The position requires an Associate’s degree or higher; familiarity with QuickBooks Professional or Nonprofit and basic accounting principles; a high degree of competency in Microsoft Office programs. Experience with I/T is a plus. The ideal candidate will have 2 or more years of office administrative experience, including basic bookkeeping, human relations, and database management (preferably with SalesForce). Candidates must be hard working, extremely organized and self-motivated; possess strong oral and written communication skills; enjoy working in a team setting; and should demonstrate a deep commitment and passion for affordable housing and other social equity issues. Salary, Benefits & Terms Schedule: Full Time Position, preferably; open to part time (30 hours per week) Salary: $37,000-$41,000 commensurate with experience (or comparable hourly salary for parttime) Benefits: Paid health and dental insurance, vacation and sick leave Start Date: As soon as filled, ideally no later than May 1.
