May 1st, 2015 RFQ #: WRCD2015 Day & Ross Transportation Group Attn: Nina Trifan, National Marketing Manager DAY & ROSS WEBSITE REDESIGN SCOPE OF WORK OPTION 1 – EXCLUSION OF DEVELOPMENT + MAINTENANCE STEP 1: Knowledge Transfer $7,250.00 In order to evolve Day & Ross and associated brands into something exceptional, the XTM team must learn the inner workings of your business and end user requirements. During this phase, we set out to understand your users and goals, business objectives, KPIs, current pain points, new opportunities identified by the business and other insights Day & Ross can share with us. Step One Deliverables: 1-2 hour Knowledge Transfer meeting for the purpose of: o Team Introductions o Roles and Responsibilities o Project overview and ensuring the team understands the types of deliverables to expect during this engagement o Transfer of all required information to XTM Post Knowledge Transfer, we will conduct a series of Stakeholder Interviews with select members of the core web team who have influence and decision making capabilities. The purpose of these interviews is to receive a true understanding of the anticipated outcomes for this engagement. Day & Ross Level of Effort: 4/5 Day & Ross will compile all relative company information/documentation for the Knowledge Transfer. Day & Ross will lead XTM through the nuances of your organization. XTM will prepare the logistical presentation. Estimated Duration: 2-3 Weeks RFQ #: WRCD2015 | XTM Inc. | May 1, 2015 Page | 1 STEP 2: User Experience Design $19,950.00 Based on the clear direction received from our Knowledge Transfer and Stakeholder Interviews, XTM is now in a position to confidently develop and present a UX strategy for Day & Ross’ heaviest pain points. Through revisiting the current user experience, we will be able to create a modern, seamless, responsive user interaction. Throughout the duration of this engagement, XTM will be comparing every interaction with our UX knowledge to ensure the entire website meets the needs of the user. Step Two Deliverables: From this phase forward, XTM will facilitate weekly status meetings throughout duration of project XTM will facilitate a conference call to jump start this phase and discuss any road blocks (technology incld.) that may be encountered along the way A UX strategy will be presented from which [15-17] UX wireframe templates will be developed for Desktop, Tablet and Mobile o Template inventory and assignment for Desktop, Tablet and Mobile Detailed Sitemap with template identification Two rounds of revisions to each deliverable Executive-level presentation Day & Ross Level of Effort: 3/5 Moderate participation from Day & Ross is required in this phase. Approvals regarding UX direction, UX features, layouts etc. will need to be made in a timely fashion. Day & Ross will require a core decision making team to contribute to a seamless execution. Estimated Duration: 2-3 Weeks Note: XTM is able to develop more than one strategy/UX approach if desired. This is contingent on the final budget from Day & Ross. RFQ #: WRCD2015 | XTM Inc. | May 1, 2015 Page | 2 STEP 3: Creative Design (UI) & Copywriting $25,650.00 With the structure and interactions of the site designed, XTM moves forward into the UI creative design and copywriting phase. In this phase, careful considerations of colour, space and value are used to ensure that the UI provides a delightful experience by driving user eye paths and behavior. Creative and copywriting go hand in hand because colour, layout and text must come together symbiotically. Step Three Deliverables: XTM will facilitate a conference call to jump start this phase and discuss any design road blocks that may be encountered along the way. [15-17] User Interface templates (based on our approved wireframes) will be presented for Desktop, Tablet and Mobile o Associated copy will be sent inside the designs for relative viewing Full written Copy Deck for all pages in sitemap Two rounds of revisions to each deliverable* Executive-level presentation Raw design files will be delivered to Day & Ross in Photoshop (PSD) format *Based on all approved designs, a detailed brand guideline document will be developed. This will be completed as one of the final engagement items ensuring that changes are not made to the creative prior to developing this document. Note: XTM is able to present more than one creative strategy. Again, this is contingent on final budget from Day & Ross. Day & Ross Level of Effort: 3/5 Day & Ross will need to be able to make united, non-biased decisions regarding creative approach. There is a similar LOE in Step Three. Estimated Duration: 2-3 Weeks RFQ #: WRCD2015 | XTM Inc. | May 1, 2015 Page | 3 STEP 4: Responsive HTML/CSS Coding of Creative Design Templates $7,650.00 XTM will prepare an HTML/CSS prototype of the finished product in order to give Day & Ross a more realistic way of interacting with the design and creative and to ensure the fidelity of the asset is maintained throughout development and to assist in creating accurate responsive templates. Hosted on a staging server Day & Ross will have access to use the asset and provide feedback. Step Four Deliverables: Private URL hosted on a staging server will allow Day & Ross to expand and contract browser windows to view responsive templates o Only templates from Step 2 will be coded This deliverable includes one round of revisions to the design A package of all HTML and CSS files will be provided to Day & Ross for development Executive-level presentation Note: This includes limited functionality, and is for design purposes only. Day & Ross Level of Effort: 3/5 Day & Ross will be required to review the website in detail to provide the final round of feedback prior to deploying and ensuring the Stakeholders are satisfied with the design as a whole. Estimated Duration: 1-2 Weeks STEP 5: Annotation of UX templates $6,250.00 In parallel with Step 4, once all UX and UI templates have been approved and are aligned, in order to support efficient development XTM will annotate the UX wireframes to ensure functionality is properly captured. Step Five Deliverables: A templated document will be provided with all UX templates and their corresponding functionality annotated o A sample of our annotations will be provided prior to completing the entire template inventory No revisions will be included for this deliverable – once the sample annotation has been approved, the remainder of the annotations will be developed Executive-level presentation Day & Ross Level of Effort: 2/5 Day & Ross will be required only to review and approve our sample annotation. Estimated Duration: 1 Week RFQ #: WRCD2015 | XTM Inc. | May 1, 2015 Page | 4 STEP 6: Design & Branding Guidelines Document $6,250.00 In tandem with the annotations, XTM will be developing a Design and Branding Guidelines Document meant to ensure design integrity is consistently maintained with the website and other digital assets to follow. Step Six Deliverables: A document with up to 50 pages will be delivered outlining the following design components (additional components can be added): o Individual template components o Layout and component dimensions for each unique template o Colour palette o Typography o Iconography o Menu structure o Page structure One round of feedback is included for this deliverable Executive-level presentation Day & Ross Level of Effort: 2/5 Day & Ross will only be needed to provide feedback. Estimated Duration: 1.5 Weeks RFQ #: WRCD2015 | XTM Inc. | May 1, 2015 Page | 5 TOTAL FEES (Steps 1-6): $73,000 + HST CONTINGENCY: 20% + DISBURSEMENTS HST: $9,490.00 ENGAGEMENT ASSUMPTIONS 1. 2. 3. 4. Any revision cycles outside of what is specified in this scope of work will require a change of scope. The legacy functionality of Track a Shipment will still remain the same however the look and feel will change. All copywriting will be English only. The assumption is Day & Ross will be responsible for all translation.
