Home to 3400 residents, Cumberland is the youngest and fastest growing municipality in the Comox Valley, with the number of children under 15 years of age above both the provincial and federal average, and an overall population that increased 23 per cent between 2006 and 2011. Recognizing the importance of recreation to the community the Village of Cumberland is looking to attract a progressive and accomplished recreation professional as its Recreation Coordinator. Reporting to the Manager of Recreation and a key member of the Recreation Department, the Recreation Coordinator is responsible for the development and delivery of social, recreation and cultural programs throughout the community. The Recreation Coordinator also assists directly with customer service, program and event delivery and recreation marketing. To qualify you will have a Secondary School graduation plus the completion of a degree or diploma in Recreation or a closely related field (i.e. Recreation, Recreation Administration, Marketing, Leisure Studies, Outdoor/Adventure/Tourism), combined with a minimum of 3 years recent experience (within the last 7 years) working in the community recreation field. Job Description Recreation Coordinator Job Title: Recreation Coordinator Department: Recreation Classification: Permanent Full-time -Union Supervisor's Title: Manager of Recreation Date: March 2015 POSITION SUMMARY The Recreation Coordinator provides a variety of tasks related to the successful operation of the recreation department; including recreation programming and coordination, assisting with customer service, recreation marketing and facility maintenance. REPORTING RELATIONSHIPS This position reports to the Manager of Recreation. RESPONSIBILITIES 1. Develop, coordinate, promote, market and evaluate year round Community Recreation Programs for all ages and abilities. 2. Assist community groups, not for profit organizations, private business and other interested citizens/organizations to facilitate the development of recreation programs 3. Carry out recruitment, evaluations, training and negotiation of fees for instructors. Provide supervision to those instructors. 4. Other programming duties to include tracking of program registration, class lists, attendance lists, evaluation forms, writing correspondence and reports and program/event files, etc. 5. Performs the set-up/take-down of equipment for recreation programs and special events when required. 6. Prepares and distributes marketing materials for recreation programs and events, (including posters, flyers, advertisements and brochures) and the updating and maintenance of recreation material on applicable Village websites and Social Media Platform 7. Performs customer service and reception duties including, but not limited to, greeting the public and assisting user groups, responding to telephone and in-person inquiries, Page 2 of 5 facility bookings, program registration, processing Park Use Permits and responding to email and recreation department correspondence. 8. Operates cash/point of sale system, including receiving and processing payments, preparing cash receipt entries for deposit and ensuring transactions and end-of-day cash balancing are completed accurately. 9. Assists with maintaining inventory for all recreation equipment and supplies; helps identify repairs and maintenance of facilities; helps ensure corresponding materials, supplies, equipment and/or replacements are identified and purchased. 10. Assists with the research and delivery of grants. 11. Ensures facility rules and safety policies are adhered to; responds to accidents and incidents taking appropriate action when necessary. 12. Maintains a high degree of cleanliness in Parks, Recreation and Culture Department facilities, including performing light janitorial duties. 13. Makes routine equipment checks and reports any problems to supervisor. 14. Opens various Parks, Recreation and Culture facilities and prepares them for use by the public. 15. Locks up Parks, Recreation and Culture facilities and ensures that they are safe and secure. 16. Provides input to supervisor on the preparation of schedules and timesheets and calls in Casual staff to replace absent employees when necessary. 17. Provides input on the preparation and monitoring of the department’s work plan and budget as they relate to recreation/cultural programs and special events. 18. Performs other related duties as required. MINIMUM QUALIFICATIONS: Education Requirements: Secondary School graduation plus the completion of a degree (4yrs) or diploma (2yrs) in Recreation or a closely related field (i.e. Recreation, Recreation Administration, Marketing, Leisure Studies, Outdoor/Adventure/Tourism), combined with a minimum of 3 years recent experience (within the last 7 years) working in the community recreation field. Or Secondary School graduation plus the completion of a certificate (less than 2 years) in Recreation or a closely related field (i.e. Recreation, Recreation Administration, Marketing, Leisure Studies, Outdoor/Adventure/Tourism), combined with a minimum of 5 years recent experience (within the last 7 years) working in the community recreation field. Experience: Page 3 of 5 Minimum two (2) years supervisory experience (within the last 7 years). Three (3) years recent experience in planning, scheduling, marketing and promoting of community recreation programs and services (within the last 7 years). Experience working with citizens of all ages and abilities. Knowledge, Skills and Abilities: Clear understanding of the principles, practices, goals and objectives of community recreation. Knowledge of philosophies, principles, and practices of community recreation program development, implementation and delivery. Administrative and practical skills in the planning and organization of recreation, instructional programs, and special events. Clear understanding and ability on how to encourage community recreation development. Ability to assist groups and associations in the organization and implementation of programs and activities, and establish and maintain effective working relationships with a wide variety of contacts. Ability to establish and maintain effective working relationships with other staff, contractors and/or instructors, general public, government agencies, user groups and program participants. Demonstrated strong computer/data entry skills, including Microsoft Office applications (Word, Excel, Outlook). Familiarity with website maintenance and graphic design platforms. Ability to demonstrate the skills associated with event and recreation marketing strategies and techniques. Effective organizational skills and the ability to prepare and maintain records, reports, correspondence and other materials. Excellent written and oral communication skills in English. Ability to work with minimal or no supervision and exercise independent judgment. Good working knowledge of the local community. Knowledge of cash handling procedures. Ability to work shift work including days, evenings, weekends, and holidays. Physically capable of performing duties safely and effectively (including light janitorial work). Knowledge in the operation of a variety of equipment used in a recreation setting (i.e. audio/visual, sound systems, recreation equipment). Preference will be given to those individuals who possess additional training and skills with the following: Previous grant writing experience. WHMIS Certificate. Current First Aid – Emergency First Aid with Level A CPR. REQUIRED LICENCES, CERTIFICATES AND ASSOCIATION MEMBERSHIPS: Current criminal record clearance The incumbent is required to provide a satisfactory criminal record check in order to work in this position and is required to report to their supervisor any criminal charges laid against them that may be related to their employment in this position.
