SurveyBug User Guide Welcome to SurveyBug from Landel Telecom! SurveyBug makes it really easy to set up do‐it‐yourself surveys, without the need for expensive or complex computer‐based systems. Introduction Thank you for purchasing the SurveyBug – the only electronic survey kiosk specifically designed to allow small businesses to capture market and customer research, along with contact and demographic information, without the hassles and expense of computers and IT staff. SurveyBug lets you define up to ten survey questions, in several different question formats. You can ask open text questions, yes/no questions, multiple choice questions, and much more. Ask anything you want, and change it whenever you want. 3 When you first set up your SurveyBug, you will be prompted to set up your first survey. You can use any number of questions up to ten. You can set up three questions, or five, or eight or ten ‐‐ whatever you need. Ten is the maximum, because in order to be effective, surveys should be short. You type your questions directly into the SurveyBug unit. You don't have to go online. You don't have to sync to a computer. You don't have to do anything complicated. SurveyBug will also help you to offer a prize as an incentive, to encourage people to fill out your surveys. It's very easy, it's part of the survey setup process, and it's entirely your choice to add a prize, revise a prize, or omit a prize. In addition to your customized questions and prize, SurveyBug will help you capture demographic and contact information. If you want to understand your survey responses better, to see for example if survey responses differ between men and women, you will be able to do that, and more. Importantly, whether to include demographic information in your surveys, or not, is entirely your choice, and you can change it at any time. Use contact information for following up on satisfaction surveys, enrolling respondents in a newsletter, sending discount offers to customers, or whatever you need. Again, whether to include contact information in your survey, or not, is entirely your choice, and you can change it at any time. Your SurveyBug will upload survey responses using a simple, standard, phone line. No need to worry about complex networking. Just plug it into a working phone line, power it on, and let it connect to transmit data. SurveyBug can be outfitted with an Ethernet connection, as an option. A standard SurveyBug normally has two side by side phone jacks in the back. If your SurveyBug also has an optional Ethernet port in the back, in addition to the two standard phone jacks, then it can also connect by Ethernet. SurveyBug will deliver survey responses to you by email. There is no complex data retrieval process ‐‐ just sit back and watch your email as your survey responses come in. SurveyBug provides significant protection for your privacy and that of your respondents. For example, once someone finishes entering information into SurveyBug, no one else can see it. It's not possible to view a data record once it gets saved into memory. SurveyBug also makes it nearly impossible for a data thief to steal the data in memory. A data thief can just remove the hard drive from a computer, after which reading the data is easy. But SurveyBug doesn't have a hard drive. A computer also typically has a tremendous amount of data, even if you think that data has been 'deleted' already. SurveyBug, by design, does not keep a large amount of data. It only keeps what it needs, nothing more. In the case of data security, less is more. SurveyBug has no value to a data thief. But what about the device itself, do you have to worry that your data will be stolen because someone just wants to take the device? No. Unlike a tablet or a laptop, SurveyBug offers no value to a thief as a device. It can't be retasked to do something else. It doesn't look 4 like a computer. It can’t run their apps. They won’t know how to program it. Which means it's far less likely than a computer or a tablet to get stolen by a thief who wants the device instead of the data. SurveyBug also protects privacy merely by being small. By design, people interact with it on a much more personal level than they would if it were a computer‐based kiosk with a big touch screen. Data is often stolen from kiosks, not from the kiosk or its memory, but by 'shoulder surfing.' That is, looking over someone's shoulder at the big touch screen as they enter their information. Because it's small and personal, SurveyBug avoids that. SurveyBug protects your privacy, and that of your respondents. For fastest results, be sure to plug your SurveyBug into both power and a simple standard phone line, so it can upload data quickly. It does not need its own phone line. It can just use the same line you already have for your other business needs. SurveyBug will not interrupt your business calls. If it has data to upload, and you are using the phone, it will wait patiently until you are off the phone, then it will upload your data. If a phone line is not convenient where you want to collect your survey responses, that's fine. SurveyBug will collect survey responses without a phone line, store them in memory, and then upload data when you plug in the phone line. If your SurveyBug has optional battery power, recharge it every night to get the best and longest‐lasting use from the lithium ion battery. SurveyBug will also invite you to adjust the brightness and contrast of the display screen, each time it powers on, so you can easily adjust the display to your preference: Can you see me okay? This display has adjustable contrast and brightness, which return to default settings when powering on. To change brightness, press and hold SHIFT and CTRL while pressing the RIGHT arrow key on the keyboard. To change contrast, press and hold SHIFT and CTRL while pressing the UP arrow key. The other arrows adjust in the other direction. Each time you power your SurveyBug on, it will ask if you would like to see introductory information. Would you like to see the SurveyBug introduction? Press NO if you already know how it works and want to start using it. Press YES if you want to see how SurveyBug works. 5 The introduction and brightness options displayed at each power up are meant to explain SurveyBug to anyone who is unfamiliar with it, so you can task one of your employees with collecting customer information without extensive training time. 2. Getting to know SurveyBug Please verify that you have received the following items: • SurveyBug kiosk • Telephone line cord • AC power adapter Optional equipment that your SurveyBug might include: • Ethernet port • Litium Ion battery pack and recharger Optional Ethernet port, if equipped Optional battery in attached pedestal underneath unit, if equipped Plug the AC adapter supplied with your SurveyBug into a power outlet, and plug the other end of the adapter cord into the round power jack on the back of the SurveyBug. Make sure the power outlet is not controlled with a wall switch. Caution: Use only the AC adapter supplied with your SurveyBug – use of other adapters could cause your SurveyBug to fail to operate properly, and could even damage it and invalidate your warranty. 6 Your SurveyBug does not need a phone line to be always connected. For example, you can enter the setup information, or have respondents take your surveys, without plugging in a phone line. It will require a phone line (or an optional ethernet line), however, to transmit data and get updates. If it is convenient during setup to insert the phone line, please do so. To connect your SurveyBug to a phone line, take the telephone line cord that came with your SurveyBug and insert one end into the jack marked LINE at the back of the unit and insert the other end into a working telephone jack. The other phone jack in the back of the SurveyBug is there in case you want to plug a telephone into the same line. To get the know the basics of your SurveyBug, see the image below: 7 3. Account setup When you power your SurveyBug on for the very first time, it will explain a little bit about itself. See below for what it will say. Enter your information as directed in order to establish your SurveyBug customer account: In order to accomplish the initial set up for your SurveyBug, we need a little information about you and your business. All of the information you enter about yourself here will be encrypted to ensure your privacy and security. What is your company name? (Your DBA, or the name you want this SurveyBug kiosk to display whenever it refers to your business Please make up your own customer name. This does not have to be your DBA. Use between 10 and 15 letters, with no spaces. This will be how SurveyBug systems will identify you as a customer for billing and/or support issues. It will not appear on your surveys. In which state is your business located? You might have more than one SurveyBug, and/or more than one location. Enter a location name or number below, so you can easily sort your survey results by location if needed. Enter between 5 and 10 letters or numbers, with no spaces. This is for administrative purposes, it will not appear on your surveys. Select your timezone. Does your location observe Daylight Saving Time? Who should we use as the primary contact at your business? When respondents fill out your surveys, the resulting data will be delivered to you by email. Enter the address to which survey data should be sent. Please be sure to get this right. If entered incorrectly, your survey data will not be delivered to you. SurveyBug captures and transmits survey data to you. SurveyBug data service is billed at just $10 per month to your credit card. The first three months are FREE! There are no contracts or hassles, you can cancel at any time. We must first set up your account. This will establish the relationship between your business and Landel, and will also facilitate customer support, in case you need anything. The information we need to properly set up your customer account includes your credit card number. Entering your credit card and other account information here on your SurveyBug is completely secure. All of your account data will be encrypted and transmitted securely to Landel. Your card number will be kept on file for administrative, identification, 8 and future billing purposes. Remember, however, your SurveyBug is free to use for three months, so no charges will be made to your credit card at this time. By continuing, you agree that: o SurveyBug will be free for you to use for three months o SurveyBug will be billed at only $10 per month to your credit card after the first three months o You may contact Landel to cancel at any time, without penalty or hassle Please enter the credit card you want associated with your customer account. What is the billing address for this card? Thank you. Initial setup data has been securely captured and will be transmitted shortly. Survey data will be delivered to you by email. That's very convenient. 9 Email is a very good and a very simple vehicle for data delivery. When a survey is completed, all you have to do is look in your email to see it. Email is not, however, a generally recommended means to transfer highly sensitive data. As a result, you should avoid asking your survey respondents for social security numbers, credit card numbers, and other highly sensitive information. SurveyBug is a simple way to capture and deliver survey and customer contact information. In the future, if you need to capture complex or sensitive information, including things like employment applications (which are both complex and sensitive), contact us at sales@landel.com. We can help you capture any information you need, completely customized, encrypted, secure, and delivered to you in XML format through the web using SSL. Congratulations. You have completed the initial setup of your SurveyBug account. That’s all there is to it. Your account will be set up for you and your SurveyBug will be immediately ready for your use. No waiting. No calls. No lengthy customer service menus. Just a few answers to a few questions entered directly into your SurveyBug itself, and you’re ready to start collecting your surveys. 4. Setting up and connecting SurveyBug Once you have completed the entry of your customer information, you will be asked to confirm the connect phone number, select an administrative password, and create your first survey. Connect Phone Number The connect phone number should appear on the screen as shown below. You do not need to enter a secondary number during initial setup, but please ensure the primary number shown can be properly dialed from your location. You can enter a comma for a two second pause, and SurveyBug will dial both a * and a # in case you need some kind of prefix to make the call. When using the phone line, SurveyBug dials the numbers below to connect to the server. Press NEXT if correct, or edit them here. Primary number : Secondary number: (hint: 9,,1‐800‐303‐2107 if you need "9" for local calls) The number that SurveyBug dials to transmmit data should not be confused with the phone number at your business. Please ensure that your own business phone number is not entered as either a primary or secondary connect number. Landel has a large network of local telephone numbers in every state, and one or more of these phone numbers should be available to you as a local call. Landel also maintains a series of toll‐free numbers that your SurveyBug can use. 10 SurveyBug generally has at least one number in memory that it will default to, so your only task when adjusting this number is to add a prefix or other modification to ensure it can be properly dialed. If your SurveyBug has an optional ethernet port, it might also ask you if you need to adjust the IP settings for making ethernet connections. Please do not change the information on this screen unless directed to do so by Landel Support. Administrative Password Your SurveyBug needs an administrative password. When you want to access management functions, you will be asked to enter a password, and it must match the password you chose when you set up your SurveyBug. Please choose a password that you will not forget, and include a hint that will help you to remember it. Please make up your own administrative password and enter it below. Also enter a password hint, something that will help you remember it. My Password: My PW Hint : 5. Creating surveys Once you have completed all the initial setup information for your account and your SurveyBug operation, you are ready to create your first survey. They are very easy to create, and you create them directly on the SurveyBug kiosk. You can change your surveys anytime you want, quickly and easily, again right on this SurveyBug kiosk, so don’t worry about getting your first survey perfect. It’s easy to edit and you will likely do so often. When setting up your first survey, you will see the following screen: If you would like to see a sample survey, to get ideas and to get acquainted with SurveyBug without having to create a customized survey of your own, just press SAMPLES. Otherwise, if you are ready to continue with your own survey, press NEXT to begin creating it. Sample Surveys If you are ready to set up your first survey, follow the onscreen prompts, but we recommend that you view one or both of the sample surveys before setting up your own survey. This will help you understand how SurveyBug works, and it will help you get familiar with the many question types you can 11 use in your own surveys. One sample survey is for a fictional company, a hot dog restaurant called “Slim Dogs and Fat Franks." The other sample survey is for a fictional event, called "The Big Dance Convention." Whenever you complete one of the sample surveys, you will see the following screen: To restart this same sample survey and see it again, press RESTART. To switch to a different sample survey, press SWITCH. To erase this sample survey and begin setting up your own customized survey, press ERASE. (You will need your admin password.) The purpose of this screen is to make moving from a sample survey to another sample survey, or to your own survey, quick and easy. Use this screen to view both sample surveys until you are ready to create your own custom survey. Creating your first custom survey When creating your first custom survey, the following will be displayed by your SurveyBug. Entering setup, please wait... Use this function to create and/or edit your DIY Survey. What is your business DBA, the name that should be displayed whenever this kiosk refers to your business? Enter it below, then press NEXT. Business Name: Every survery requires a name. It should be unique and descriptive. The name of the survey will appear in the data records your respondents create. You will use it for everything from document control to sorting and comparing data. Each time you change your survey, you should also adjust the survey name. A good practice is to include your business name or a short descriptive name, along with the date you created the survey or a revision number. Please give your survey a name. (Ex: JOESPIZZA 05052012, or FOODRATINGS v2.1) Note that each time you edit or adjust your survey, or create a whole new one, you must give it a different name. This ensures that when you see the results of your surveys, you always have a way to easily differentiate between one version of a survey and the next. Once you give the survey a name, SurveyBug will ask you if you want to collect contact and demographic information from your survey respondents. You can collect any or all of the following: first name, last name, street address, phone number, email address, gender, age bracket, household income bracket, date of birth or birthday, and marital status 12 Each of your surveys can include all of this information, some of it, or none of it, as you decide. Every time you edit a survey, you are presented with an opportunity to review and change your choices for collecting contact and demographic information. Use this information to enroll customers in newsletters, send them promotional offers, or to just track the differences in survey responses by age, or income, or gender, etc. Prizes SurveyBug can alert your survey respondents that you are offering a prize, if you want to offer one as an incentive to encourage survey participation. The use of a prize, no matter how small or how large, is recommended. If you choose not to offer a prize, you can still offer promotional discounts or newsletters or something of potential value to everyone who fills out your survey. To do this, select one of the Yes/No questions that contain an email or mailing address follow up, when setting up your survey questions. (For example, “Would you like to be on our mailing list and receive $5 discount coupons?”) To get the best impact, offer both prizes and discounts. Offer a prize so your respondents can win something of significant value, and then ALSO be sure to use a question that guarantees that you collect contact information for discounts or other activities. When setting up your survey, SurveyBug will ask you: Would you like your survey to offer respondents a chance to win a prize, in order to encourage participation in your survey? If you select YES, then use the screens that follow to describe what you want to give away. You will need a short prize name and a longer description. The short name must be unique, and will enable you to know which prizes have been offered to which respondents. For example, if you want to give away a gift card to one survey respondent out of every 50, 100, or other number of respondents, editing the short prize name will allow you to easily see which prize drawing each respondent should be included in, so there is never a need to guess. The longer description does not have to be unique, and will be displayed for your respondents to see in order to help get their attention and drive excitement. When offering a prize, we recommend that your first survey question include a reference to it. Here are some simple examples: “There is a jar of marbles on the table. Each week, the closest guess on how many marbles are in the jar wins a $20 gift card. To participate, enter your guess below” 13 “At the end of each day, we give away a free dessert coupon (by email) to someone who filled out our dining experience survey . Would you like to be included in our drawing for today?” “Once a month, we give away a $100 gift card to one of our valued customers. Would you like to participate in the drawing for this month?” “Once every quarter, we offer FREE teeth whitening to one of our patients. The winner is drawn from among patients who complete our survey. Would you like to be included in our next drawing?” “By completing this survey, you are entering for a chance to win $1,000 and agreeing to the terms of our drawing which are posted on our website for review. Do you wish to enter?” “By completing this survey, you are entering for a chance to win $1,000 and agreeing to the terms of our drawing. Would you like us to email you a complete set of rules?” If your prize has significant value, we recommend that you direct them to your website for a full posting of the rules, or offer them the chance to get your prize drawing rules by email. If you send rules by email, you can include in your rules a note that they have agreed to your rules upon entering, and request that they reply and remove themselves from your drawing if they have changed their mind and reject the terms of the prize drawing. You are in complete control over your prizes and how they are administered. SurveyBug will not actually determine a prize amount, or a prize winner, and will not notify the winner. These are all left in your control, to manage as you see fit for your business. As general rules, we recommend that you perform a prize drawing once a day, once a week, once a month, or once a quarter at longest (although very high value prizes can be offered longer). We recommend that after each drawing, all eligible entries for that drawing be considered non‐winners so that you can restart fresh with new entrants for the next prize. And while it is generally fine to disallow entrants who do not indicate their agreement with the terms of your drawing, it is generally good practice (and legal practice in many places) to treat entrants who do not purchase products or services the same way you would treat those who do. Prizes and discounts can be a great way to encourage feedback from your customers, and can also be a fun way to create excitement at your business. Important Note: Please keep in mind that SurveyBug just presents what you want to offer, and delivers resulting data to you. Landel has no control over, and no responsibility for, your prize drawings. Awarding the prizes, administering the contests, notifying the winners, and complying with legal requirements, are entirely within your control and are your responsibility. 14 Creating your survey questions Once you have configured your survey for contact, demographic, and prize information, you will be prompted to enter between one and ten customized survey questions. They can be Open Text for which respondents type answers, Ratings from 1‐5, Agree‐Disagree format, Yes‐No format, or Multiple Choice. Examples might be: Please enter your comments about our customer service. How would you rate the friendliness of our wait staff on a scale from 1 to 5? Which are your top 3 favorite menu items from among the list below? Do you plan to return to our resort for another vacation in the future? Would you like discounts and promotional materials sent to you by mail? Would you like to receive our email newsletter? Which of the items in the list below would you consider buying? Which of the following factors are important to you when choosing a bank? What category of product did you come to purchase today? How did you hear about our business? Please follow the onscreen prompts to set up your questions, and see more information about each question type below. You do not need to have ten questions. You can have one, ten, or any number in between that suits your business needs, and you can change the survey at any time as those needs change. 6. Types of survey questions SurveyBug can execute many different question types. • Open text response • Rating (1 to 5) • Agree/Disagree • Yes/No • Yes/No with details follow up • Yes/No with street address follow up • Yes/No with email address follow up • Short Multiple Choice (Choose one) • Long Multiple Choice (Choose one) • Long Multiple Choice (Choose any/all) • Ranking (rank order up to six choices or just top 3) 15 OPEN TEXT is for getting open unconstrained comments. Market researchers call these ‘verbatims’ because the results are qualitative and are in the respondents own words. If you want someone to give you their thoughts freely, choose the OPEN TEXT question format. Because respondents can answer any way they like, there is no need to enter multiple choice or other options when setting up an OPEN TEXT question. When you set up an OPEN TEXT question, you can determine what types of characters a respondent can enter. Choose Only Numbers if you want respondents to be able to enter only numbers (no letters), for questions such as “(How many times have you...?” Choose Only Letters and spaces if you want respondents to enter things like names, as in “Please enter the name of the person who referred you.” Choose Numbers, Letters, Punctuation when you want a full range of characters to be available, for things like comments, street address, etc. You can also choose to make your OPEN TEXT question mandatory, in which case SurveyBug will not advance unless they provide answers. Or you can choose to make it optional, in which case SurveyBug will present a “SKIP” button to the respondent in case they wish to bypass it. 16 RATE 1 to 5 is for getting favorability rankings. Respondents rate something that you define on a scale of 1 to 5, where 1 is the worst and 5 is the best. These are commonly used for rating prices, service levels, or other attributes of your business. Aggregating the individual answers into quantitative results can be very insightful. You need only to set up the question, you do not need to set up the 1 to 5 ranking options, since they will appear automatically when your question is presented to your respondents. Blue function keys are used to make a choice. When the choice is made, SurveyBug automatically advances to the next question. AGREE‐DISAGREE is for getting agreement with a statement that you define. Respondents indicate whether they agree or disagree and how strong that agreement or disagreement is. There is no “neutral” option, respondents are forced to answer agree or disagree, one side or the other, with no way to “default” to a neutral option. Agreement is not presented as a number, but you can still aggregate answers into quantitative data by converting answers into simple their numerical equivalents. We suggest using 1,2,3,4, or ‐2,‐1,1,2. You need only to set up the question, you do not need to set up the agree/disagree options, since they will appear automatically when your question is presented to your respondents. Blue function keys are used to make a choice. When the choice is made, SurveyBug automatically advances to the next question. 17 YES‐NO questions are very simply those that require a yes or no answer, but there are several types of them you can choose. You can choose to simply ask yes or no. You can choose to ask yes or no and and then follow up by asking for brief open‐text details on why they answered yes or no. You can ask for a yes or no and then follow all the yes responses with a request for a mailing address. You can ask for a yes or no and then follow all the yes responses with a request for an email address. These last two are important when your yes or no is intended to enroll them in loyalty programs, email newsletters, or when you want to followup with them on something they said in their survey response. 18 Multiple Choice and Rank questions are available in several variations, SHORT, LONG, MULTIPLE selection, RANKALL, and TOP3. SHORT answer questions are used when your multiple choice answers are short and can fit over the blue buttons. The blue buttons on the SurveyBug are very easy to see and push, and when possible this question type should be your multiple choice default. You will not only define the question, you will also define the answers. You also define from 1 to 5 options, each 8 characters or less. As with a Yes‐No question, where they cannot choose both Yes and No, SHORT answer multiple choice requires that respondents choose only ONE of the answers from among the choices you define. You can collect entirely qualitative results using SHORT mutliple choice, but you can also collect data that can be quantified. For example, you can ask “Which is your favorite animal?” with choices such as “Tiger” and “Zebra.” These are best viewed as qualitative. On the other hand, you can ask a question such as “How many minutes did you have to wait today?” with choices that amount to bracketed numbers that you can use to determine weighted averages or modal responses (“0‐5” “6‐10” “11‐15” “16‐20” “20‐25”). If you define only one choice, then SHORT answer mutliple choice can also be used for other purposes. For example, use it to gain agreement with something. Your question can simply be an acknowledgement, such as “I agree to the terms of the prize contest” and where only one option is defined to be “OK” or “Agree.” Or use it to provide instructions to the respondents, such as “Thank you for your comments on our service staff. The next part of our short survey asks for your thoughts on our food” where the only multiple choice option defined is “OK” or “Next” or “Continue.” 19 LONG answer questions are used when your multiple choice answers are long and don’t fit on the blue keys. Here, you may define from one to six multiple choice selections, each up to 30 characters long, and they are displayed under your question, next to the buttons on the left and right of the display. Similar to the SHORT answer mutliple choice, respondents can choose only ONE of the answers from among the choices you define. As before with regard to short answer multiple choice, you can use long answer multiple choice to provide directions or get acknowledgments. 20 MULTIPLE selection is like a LONG mutliple choice question, except that it allows respondents to choose ANY or ALL of the choices, rather than only one. You define any number of choices, up to 6. The choices are displayed next to the buttons along the left and right of the screen. Respondents push the buttons to make their selections, then press DONE once their selections are complete. When setting up a MULTIPLE selection question, include in your question that they should press DONE when finished making their selections. 21 RANK questions are designed to show preference. There are two types of RANK questions. In RANKALL, respondents must assign a rank to all the choices in order to move forward in your survey. Data in XML format by SSL Email is a very convenient and easy way to get your results. It’s best suited for small businesses that don’t have big IT departments and don’t want to hassle with anything more complex than opening email. It is recommended that you only adjust the connect number if directed to do so by Landel Support. PASSWORD This enables you to update your administrative password, and your password hint. Warranty and safety information Limited Warranty This warranty applies only to product purchased and used in the United States. What is covered Any defects in material or workmanship are covered under warranty. For how long The warranty lasts for one year from the original date of purchase. What we will do At our option we will repair or replace the product at no charge to you, if the problem is reported within the warranty period. If we choose to replace this product, we may replace it with a new or reconditioned product of the same or similar design. Replacement will be warranted for 90 days, or the time remaining on the original warranty, whichever is longer. Limitations We will not pay for loss of time, inconvenience, loss of use of this product, or property damage caused by this product or its failure to work, or any other incidental or consequential damages. Landel cannot guarantee that the emails, phonebook, and callers list contents will be preserved. This data may be lost during the process of repairing your unit, and if we have to replace the unit with another one, then all saved data will be lost. For this reason, we suggest that you copy down all email addresses, phone numbers, and other important data saved in your SurveyBug before you return it to Landel for repair. Really important email messages may be forwarded to another email address, either yours or a friend’s, for storage, or for purposes of printing them out on paper. Landel is not responsible for messages, addresses, or phone numbers stored on SurveyBug units sent in for repair. What we ask you to do Call Landel Customer Support to report the problem, and obtain a return materials authorization (RMA) number. You are responsible for paying all shipping and handling costs to return the product. We recommend you retain your original packing material in the event you need to ship the product. Please include your name, address, telephone number, proof of date of purchase, and a description of the operating problem. What this warranty does not cover This warranty does not cover damages resulting from events outside of the manufacturer’s control including accidents, wear due to normal usage, misuse (including broken LCD), alterations, unauthorized repair, failure to follow instructions, fire, flood, Acts of God, and use outside of the United States.
