It explains how to create, manage and configure the different types of account (administrator, teacher and student). There is also a guide that advises teachers on the pedagogical aspects of planning lessons. This guide is available in PDF format and can be found in the Documentation section. If you need a hard copy of this guide, please think of the environment and consider double-sided printing. Key Concepts 8 Access to Admin Functions The table below shows which admin functions are available to the different types of account. Codes Subscription Code This code acts as a subscription’s unique identifier. It consists of 11 characters and always begins with TTP, followed by four letters and four numbers (e.g. TTP-ACDB-4213). Together with a password, it allows the super administrator to log in. The subscription code is shown in the Subscription Summary and the School Summary. Key Concepts 9 School Code This code acts as a school’s unique identifier. It allows administrators, teachers or students to identify their school and connect to their account. It consists of eight alphanumeric characters (e.g. DS22JKYM). The school code is shown in the School Summary and the Teacher Summary. Access Code Once the school code is entered into the login page, students can use the access code to reach the registration page and create their accounts. This allows students to be given responsibility for creating their own accounts. The access code is shown in the School Summary and the Teacher Summary. Authentication Super Administrator The following login information is required: • • Subscription code Password To log in, select Typing Pal School Login at the following URL: https://school.typingpal.com Key Concepts 10 Identify yourself using your subscription code and click Submit. The subscription code will appear automatically in the window that follows. To access your account, simply enter your super administrator password and click Log in. Key Concepts 11 School Administrators, Students and Teachers The following login information is required: • • • School code Username Password To log in, click Typing Pal School Login at the following URL: https://school.typingpal.com Identify your school using your school code and click Submit. Key Concepts 12 To access your account, enter your username and your password and click Log in. Web Address (URL) for Direct Access to Login Page The login process can be simplified with the creation of a web address (URL) that leads straight to your desired login page, bypassing the requirement to enter your subscription code or school code. This URL can then be added to your browser’s bookmarks. Subscription For direct access to the subscription’s login page, simply add a question mark (?) followed by your subscription code to the end of the following URL: https://school.typingpal.com. In the example shown above, the URL for direct access is: https://school.typingpal.com/?TTP-HRTZ-5499 Key Concepts 13 School For direct access to the school’s login page, simply add a question mark (?), followed by the school code, to the end of the following URL: https://school.typingpal.com/. In the example shown above, the URL for direct access is: https://ecole.taptouche.com/?DEMQELMV Three Ways of Creating Accounts Accounts can be created in three different ways: 1. Click Add school administrator (see p. 19), Add teacher, (see p. 23), or Add student (see p. 42) 2. Import a CSV file containing a list of accounts (see p. 58); 3. Give students a code allowing them to create accounts for themselves (see p. 63). Overview of the Admin Interface 14 Overview of the Admin Interface General Navigation The interface’s general navigation layout is the same for all administrators (super administrators, school administrators and teachers). 1. Typing Pal logo: Click the Typing Pal logo to go to your account’s homepage. 2. Breadcrumb trail: Quickly pinpoint the displayed page’s location within the tree view and click through the thread to navigate the directories. 3. Menu: Access the admin interface, the documentation or the support section from any page. 4. Name and role of the user: Click the name to edit the profile or to log out. 5. Tabs: Navigate through the tabs to access the different sections of each admin level. 6. Summary: Edit the information contained in the summary. *The Support section is accessible to administrators only. Overview of the Admin Interface 15 List Navigation The navigation layout for lists is the same in the Schools, Teachers, Groups and Students tabs. 1. Items: Click the names of the schools, teachers groups or students contained in the list to access them. 2. Headings: Sort the items in ascending or descending order by clicking on the column headings. 3. Filters: Click the Filter list button to display the filters and select any that are required. 4. Add: Directly access forms allowing you to create schools, teachers, groups or students. 5. More: Access all possible options relating to the selected items. Overview of the Admin Interface 16 Searching, Filtering, Sorting and Selecting Searching The search function is available in the Schools, Teachers, Groups and Students tabs, using the Filter list button. The following fields are searched as you type: • • • • • • Last name (student and teacher) First name (student and teacher) Username (student and teacher) Group School name School code Elements corresponding to the search are highlighted in orange once they are found. Filtering Filters allow narrowed down results to be selected, refining the search function and simplifying the selection of elements. The following filters are available according to the tab selected. • • • • School Teacher Group Last login Note: Clicking Filter list again will hide and reset all filters. Overview of the Admin Interface 17 Sorting Sorting allows items to be arranged in ascending or descending order according to the selected column heading. This feature, along with the careful selection of filters, facilitates the effective selection of a group of items. For example, filtering student accounts by login date, then sorting them by date of creation will reveal all of the old, unused accounts that should be deleted. Selecting Selecting items in a list is can be made easier by ticking the first box that appears at the top of the column, and with certain combinations of keys. Ticking or unticking the first box that appears at the top of the column causes all displayed items to become either selected or deselected. Holding down the keyboard’s Shift key (⇧) while selecting more than one unselected item causes all elements between these items to become selected. If the items are already selected, this action will cause them to become unselected. Schools 18 Schools Adding a School Super Administrator If an education authority acquires a subscription for all of its schools, the authority’s super administrator is able to create schools. In other cases, this option is hidden. If allowed by the subscription, schools can be created by clicking the Add school button (in the Schools tab). Schools 19 Note that the Add School form requires two individual codes to be entered: • Access code: This code can be used by students to access the registration page and create their own accounts (see pp. 9, 61). • School code: Each school is assigned a unique code containing eight alphanumeric characters, the last four of which are chosen by the super administrator (see p. 9). Adding a School Administrator Super Administrator Creating a school administrator is optional. It is mainly used by education authorities that manage multiple schools, allowing the super administrator to grant admin roles to school administrators. However, only one school administrator per institution may be created. To create a school administrator, select the option entitled Add an administrator to this school in the Add School form. Schools 20 An option entitled Add an administrator to this school can also be found in the Edit general information window in the School Summary. Schools 21 Editing a School Administrator Super Administrator School Administrator Information on school administrators can be updated using the Edit Profile window for the school administrator, located in the School Summary. Deleting a School Administrator Super Administrator School administrators can be deleted by selecting Delete from the Edit menu next to School Administrator in the School Summary. Schools 22 Sending Login Information to School Administrators Super Administrator Login information can be sent to school administrators by selecting the relevant institutions in the Schools tab, then choosing Send login information from the More menu. School administrators will then receive an email containing all the information necessary to log into their account. Disabling Avatars Super Administrator School Administrator Avatars can be hidden by disabling the option entitled Allow students to choose an avatar located in the School summary. TEACHERS 23 Teachers Adding a Teacher Super Administrator School Administrator To create a teacher account, use the Add teacher button (in the Teachers tab). Note: Usernames within the same school must be unique. TEACHERS 24 Setting Permissions for Access to Groups Super Administrator School Administrator Administrators are able to determine whether teachers can access all groups in a school or only the groups that they teach. Do do this, use the option in the Add teacher form. To edit existing teachers’ permissions for accessing groups, use the Edit permissions window in the Teacher Summary. TEACHERS 25 Editing a Teacher Super Administrator School Administrator Teacher Teacher accounts can be edited by clicking Edit in the Teacher Summary. Deleting a Teacher Super Administrator School Administrator Teacher accounts can be deleted by selecting the account in the Teachers tab, then choosing the Delete option in the More menu. TEACHERS 26 A Delete teacher option is also available in the Actions menu in the teacher’s account. Note: After this operation, one or more groups may lose their assigned teacher. If this happens, edit the assigned teacher in the group summary. Sending Login Information to Teachers Super Administrator School Administrator Login information can be sent to teachers by selecting their accounts in the Teachers tab, then choosing Send login information from the More menu. Teachers will then receive an email containing all the information necessary to log into their account. GROUPS 27 Groups Adding a Group Super Administrator School Administrator To create a group, click the Add group button (in the Groups tab). Teacher GROUPS 28 Assigning a Group to a Teacher Super Administrator School Administrator Groups are automatically assigned to the teacher who creates them. When creating a group, the administrator assigns a teacher from the Teacher menu in the Add group form. To assign a teacher who is not included in the list, create a new account using the New teacher option at the end of the list. Changing a Group’s Assigned Teacher Super Administrator School Administrator Teacher To assign a teacher to an existing group, select one from the Edit general information window in the Group Summary. GROUPS 29 Editing Targets Super Administrator School Administrator Teacher Speed Target Set speed targets using the Add Group form. To change speed targets for existing groups, use the Edit targets window in the Group Summary. This new speed target can also be applied to existing students in the group and can be made adjustable by the students themselves. Note: Speed targets are based on what students should be expected to achieve by the end of their course. However, for the exercises and tests (excluding the final test), speed targets are set by Typing Pal according to difficulty level and how far the student has progressed through the course. GROUPS 30 Accuracy Target Set accuracy targets using the Add Group form. To change accuracy targets for existing groups, use the Edit targets window in the Group Summary. This new accuracy target can also be applied to existing students in the group if the corresponding option is selected. GROUPS 31 Adapting Existing Scores An option entitled Adapt existing scores to current targets is available in the Edit targets window in the Group Summary. When this option is enabled and new targets are set for existing students, a student’s passing or failing of an activity will be automatically adjusted according to the best recorded score for each activity. Editing Configuration Super Administrator School Administrator Selecting an Environment Choose an environment using the Add group form. Teacher GROUPS 32 To change existing groups’ environments, use the Edit configuration window in the Group Summary. Note: The teaching method, exercises and tests remain the same regardless of the environment chosen. However, the texts, animations and games vary to cater more specifically to the target age group. GROUPS 33 Super Paws This environment is tailored to primary school students. Texts are relatively short and difficulty levels are moderate. TGIF This environment is tailored to younger secondary school students. Practice texts are longer and even include some texts from the The Office working environment. GROUPS 34 The Office This environment is tailored to students aged 16 and over. Practice texts reflect the type of material typically found in the workplace. Classic This environment caters to all age groups. It uses the animations and visual designs of the very first edition of Typing Pal Online, created before the environments listed above. GROUPS 35 Choosing Animations The animations are designed to help students keep their eyes on the screen. They can be set to show entertaining sequences or to indicate which finger should be used to type each character. The different types of animation can be selected in the Edit configuration window of the Group Summary. GROUPS 36 Restricting Access to Games It is possible to restrict access to games by disabling the option Allow students to access games from the Edit configuration section of the Group Summary. Allowing Students to Change Their Passwords An option entitled Allow students to chenge their passwords is available in the Add group window. GROUPS 37 For existing groups, an option entitled Allow students to change their passwords is available in the Group Summary. Managing Display Options for Activities An option entitled Manage display options for activities is available in the Edit configuration window in the Group Summary. GROUPS 38 Grading Super Administrator School Administrator Teacher To enable the Grading option, use the Grading window in the Group Summary. This option automatically generates a grade based on the average of each student in the statistical reports. Suggested grade values vary according to the chosen working environment. However, more can be added in the empty boxes entitled grade and wpm. Adding a Welcome Message Super Administrator School Administrator A welcome message can be added using the Add group form. Teacher GROUPS 40 To add a welcome message for existing groups, use the Edit general information window in the Group Summary. Log In as a Student Super Administrator School Administrator Teacher In the Group Summary, the option entitled Log in as a student allows teachers and administrators to observe how a group’s settings are working. GROUPS 41 Deleting Groups Super Administrator School Administrator Teacher It is possible to delete a group by selecting it in the Groups tab, then choosing the Delete option in the More menu. If the group contains student accounts, these accounts can be deleted along with the group or moved to another group. The group’s Actions menu also contains a Delete group option. If the group contains student accounts, these accounts can be deleted along with the group or automatically moved to another existing group. STUDENTS 42 Students Adding a Student Super Administrator School Administrator Teacher To create a student account, click the Add student button (in the Students tab). Note: Usernames within the same school must be unique. STUDENTS 43 Moving a Student Between Groups Super Administrator School Administrator Teacher To move student accounts between groups, select an account in the Students tab, then choose the Move option in the More menu. Next, select a new group for the student from the list in the Group menu. STUDENTS 44 Between Schools Super Administrator To move student accounts between schools, select an account in the Students tab, then choose the Move option in the More menu. Next, select a group from the student’s new school from the list in the Group menu. Note: Only the super administrator may move students between schools. STUDENTS 45 Deleting Statistics Super Administrator School Administrator Teacher To delete statistics from a student account, select the Delete statistics option from the More menu (in the Students tab). This operation cannot be undone and will remove all statistics as well as the saved results from exercises, tests, texts and games. Progress made by the students will also be removed. Exporting Profiles Super Administrator School Administrator Teacher Exporting a profile allows a reference document to be saved containing login information for all selected students. This document can be saved in Excel or CSV format and contains the following information: • • • • • • • Group First name Last name Username Password Access URL School code Note: Students passwords are visible if they were chosen by the teacher or imported by the administrator after August 22nd 2013. Passwords created or changed by the students are always hidden. STUDENTS 46 To export the profiles of student accounts, select Export… from the More menu (in the Students tab). In the following window, simply choose student profiles and click Export. STUDENTS 47 Editing a Student’s Targets Super Administrator School Administrator Teacher To adjust speed and accuracy targets for a specific student, open the Edit targets window in the Student Summary. Note: Speed targets are based on what students should be expected to achieve by the end of their course. However, for the exercises and tests (excluding the final test), speed targets are set by Typing Pal according to difficulty level and how far the student has progressed through the course. Viewing a Student’s Results Super Administrator School Administrator Log The Log tab shows a student’s results for each selected activity. Teacher STUDENTS 48 Video Replay A video replay of each activity can be accessed by clicking on the icon in the third column under Log. Accuracy The Accuracy tab shows which fingers are least accurate and which characters cause the most problems for the student. STUDENTS 49 Speed The Speed tab shows which fingers are slowest and which characters cause the most problems for the student. Editing Students Super Administrator School Administrator Teacher Student accounts can be edited by selecting the Edit button in the Student Summary. STUDENTS 50 Deleting a Student Super Administrator School Administrator Teacher It is possible to delete a student account by selecting the account in the Students tab, then selecting the Delete option in the More menu. The Delete option is also available in the Actions menu in a student’s account. ACTIVITIES 51 Activities Choosing the Order of Exercises and Tests Super Administrator School Administrator Teacher Exercises and tests can be completed in the recommended order or in any order. To change this, select the corresponding option from the menu in the Exercises and tests section of the selected group (in the Activities tab). Hiding Exercises and Tests Super Administrator School Administrator Teacher By default, all exercises and tests can be seen by the selected group’s students. To hide some of them, unselect activities individually or unselect an entire step. ACTIVITIES 52 Trying Exercises and Tests Super Administrator School Administrator Teacher To try any exercise or test, click the corresponding Try it button. Selecting a Collection of Texts Super Administrator School Administrator Teacher A group’s students may only access one collection of texts at a time. This collection is selected from the menu in the Exercises and tests section (in the Activities tab). Note: The selected collection of texts can be edited at any time. Such changes do not affect the statistical reports, which will continue displaying results from any previous collections. ACTIVITIES 53 Adding a New Collection of Texts Super Administrator School Administrator Teacher The three default collections of texts cannot be modified. To add a collection, click the Add button in the Collections of texts section (in the Activities tab). The new collection can either be blank or based on a template chosen from the Add a collection window. Note: A school’s collections of texts can be accessed and edited by all of that school’s teachers. ACTIVITIES 54 Editing Collections of Texts Super Administrator School Administrator Teacher All options for editing collections of texts can be accessed from the Actions menu (in the Collections of texts section). Using the Actions button, it is possible to: • • • • Rename or delete a collection Create, rename or remove a section Add a new text Change the order of a section’s texts Note: The texts are an excellent way of adding unlimited training activities. They also allow the creation of activities that involve special characters, which correspond to your needs and the abilities of your students. Additionally, they allow standardized tests to be shared within a school. STATISTICS 55 Statistics School Statistics Super Administrator School Administrator The Statistics tab shows all possible criteria for calculating averages before they are exported. Averages cannot extend over a period greater than one year and by default, their most recent date corresponds to when the last activity was completed. Averages are calculated based on one of the three following filters: 1. Last result: Statistics are calculated using the most recent result obtained for each selected activity. All other results for the same activity are ignored. 2. Best result: Statistics are calculated according to the quickest time for each selected activity. If two times are identical for the same activity, the most resent result will be recorded. 3. All results: Statistics are calculated using all results for each selected activity. Note: Statistics, averages and detailed results vary according to the selected activities (exercises, tests and texts) and the other criteria chosen. Automatic grading (A+, 100%, Excellent, etc.) can be enabled and configured in the Group Summary (see p. 31). STATISTICS 56 Group Statistics Super Administrator School Administrator Teacher The Statistics tab shows all possible criteria for calculating averages. Automatic grading (A+, 100%, Excellent, etc.) can be enabled and configured in the Group Summary (see p. 31). IMPORT 58 Import Introduction The import feature is only available to administrators. It allows the bulk creation of different types of accounts (for teachers, students or schools*) through the import of a CSV (Comma-separated values) file. Choosing the CSV File Format Super Administrator School Administrator The file must be in CSV format with Windows encoding, and must use semicolons as delimiters. We recommend downloading the CSV templates from the Import tab. Once they are downloaded, the template files can be edited in a spreadsheet program, such as Excel. Note: Do not delete the first line, and do not delete or insert any lines or columns. The layout of the file must not be changed. IMPORT 59 Creating the Import File for Student Accounts Super Administrator School Administrator The file is composed of seven columns: A – Last Name: Alphanumeric characters. B – First Name: Alphanumeric characters. C – Username: 3 to 20 alphanumeric characters. D – Password: 6 to 20 alphanumeric characters. E – Email Address (optional): Used to recover passwords if lost. F – Group: Alphanumeric characters. G – School Code: 8 alphanumeric characters. Note: Usernames within the same school must be unique. Creating the Import File for Teacher Accounts Super Administrator School Administrator The file is composed of seven columns: A – Last Name: Alphanumeric characters. B – First Name: Alphanumeric characters. C – Username: 3 to 20 alphanumeric characters. D – Password: 6 to 20 alphanumeric characters. E – Email Address: Used to recover passwords if lost. F – Group: Alphanumeric characters. G – School Code: 8 alphanumeric characters. IMPORT 60 Note: Usernames within the same school must be unique. Additionally,if a teacher is to be assigned several groups, the file must contain a line for each group. In the above example, the teacher is responsible for groups 101, 102 and 103. Creating the Import File for Schools Super Administrator If allowed by the subscription, schools can be created through the import of a CSV file. The file is composed of nine columns: Required Fields A – School Name: Alphanumeric characters. B – School Code (4): The last 4 alphanumeric characters of the school code. C – Access Code: Alphanumeric characters that allow students to create their own accounts. Fields for Creating a School Administrator (Optional) D – Contact Last Name: Alphanumeric characters identifying the school administrator. E – Contact First Name: Alphanumeric characters identifying the school administrator. F – Email Address: Used to recover passwords if lost. G – Telephone: Contact telephone contact number for the school administrator. H – Username: 3 to 20 alphanumeric characters for authentication of the school administrator. I – Password: 3 to 20 alphanumeric characters for authentication of the school administrator. IMPORT 61 Saving in CSV Format Super Administrator School Administrator To save the file, select Save as (in Excel) or Export (in Numbers) from the File menu, then choose CSV format with Windows encoding. • • Excel: CSV (Comma delimited) Numbers: CSV (Unicode UTF 8) CSV files are made up of fields delimited by semicolons (;) or commas (,). Typing Pal Online accepts both types of delimiter. Note: If the contents of a field already include a colon or semicolon, those contents must appear between quotation marks (" "). For example, the contents of the name field may read "Holden, PhD", so that the comma after Holden is not treated as a delimiter. Importing the CSV File Super Administrator School Administrator To import the CSV file, select the type of account to be imported from the Import data menu (in the Import tab), before clicking Select a CSV file... IMPORT 62 Deleting Imported Files Super Administrator School Administrator The Import History section in the Import tab keeps a record of the time and date of each import. Warning! After clicking on Delete, everything created by the imported file on the given date and time will be definitively deleted. In the case of schools created by the import, all accounts associated with them will be definitively removed. STUDENTS CREATING THEIR OWN ACCOUNTS 63 Students Creating Their Own Accounts Administrators and teachers can create accounts for students. However, it may sometimes be easier to ask students to create their own accounts. To do this, teacher must first: 1. Create a group to assign to students. 2. Tell students the URL for the Typing Pal Online homepage. 3. Tell students the school code. 4. Tell students the access code. Once the teacher has provided the login information, students should go to the Typing Pal Online homepage by typing the following URL in their browsers: https://school.typingpal.com Students should then click Typing Pal School Login. STUDENTS CREATING THEIR OWN ACCOUNTS 64 Students are then asked for the school code, which they should enter before clicking Submit. Finally, students should enter the access code and click Start registration. STUDENTS CREATING THEIR OWN ACCOUNTS 65 Students will now be able to create their own accounts by filling in the form shown below.
