Legal compliance
The new regulation of registration, payment of contributions and notification of deductions
made to INFONAVIT was published in Diario Oficial de la Federación [Official Federation
Journal], which specifies the following criteria for notification and determination of Credit
Amortization:
Elimination of the proportionality in the withholding and notification of deductions

Based on Article 47 of the Regulations, withholdings related to credits in Fixed Rate or
Mexican Pesos, must be carried out without considering proportional reductions
because of worker disability or absenteeism.

For the payment on the third bimonthly period of 2012, due on July 17th, the Sistema
Único de Autodeterminación (SUA) [System for calculating social security fees] will have
been modified (Version 3.3.4) according to that described in the previous paragraph,
therefore the system will not automatically calculate the amortization deduction
because of the effects of absenteeism or disability, this new situation will also be
considered to determine the differences and requirement emission.
Suspension of credit



If IMSS eliminates the employees’ credit data from the determination format (EBA),
even though the employer had not received the suspension notice of the deduction
retention, such format will work as the notice, therefore the employer has to suspend
the deductions to those employees, starting on the date such format is received.
The employer will be able to consult the notice of retention or suspension of deductions
through the IMSS website.
In case there are differences between the information on the determination format
(EBA) and the notice, the employer should process the ones included in the
determination format.
Starting with the 2012 version, Sistema TRESS will be compatible with the new SUA 3.3.4
version, where Conciliador INFONAVIT [INFONAVIT Conciliator] will be able to check the EBA file,
identify the credits with differences and those that are no longer active, automatically sending
the suspension and changes to the employee’s INFONAVIT file.

Online time and attendance registration
Our clients that use Time & Attendance and Supervisors modules expressed the need to have
immediate attendance registrations in order to define in real time the personnel movements
required to comply in the best possible manner with the day’s production schedule.
To satisfy these clients’ requirements, Grupo Tress Internacional recognized the need to
revolutionize the current technology for attendance registration collection in hardware as in
software since the market solutions available today are constructed around a process where the
server periodically collects all registrations from the terminals at certain time intervals.
With the new Grupo Tress Internacional terminals and the TRESS Enlinea module we created a
new industry paradigm in which the terminals send each attendance registration to the server
as they occur, providing supervisors with real time information to plan their workday around the
collaborators that are present. Additionally, Grupo Tress Internacional terminals will provide
great flexibility to our clients in the design of their attendance control solution since they are
available with different identification technologies: fingerprint biometry, proximity ID cards, and
barcode ID cards.

1. Vacation planning
Need to identify those employees with vacation time near its
expiration date? Would you like to obtain and plan with anticipation
the information of anniversaries and pending vacation days of your
employees?
One of the important activities of the HR department is to manage employee vacations and
have employees enjoying them within the timeframe defined by the company.
Some companies establish a 12 or 18 months’ time frame for the employee to enjoy his or her
vacation time, if they don’t, the vacation time prescribes.
Currently this control is being managed to generate a process or some type of report.
The 2012 version offers tools to improve the company’s vacation planning process.
 New ‘Vacation balance’ window that shows the anniversaries an employee has in the
company and where the overdue vacation days can be identified.
 Report that offers information of employees that have vacation days near their
expiration date. The information can be requested to a certain date, for example, a
report of employees that have vacation days due by Dec 1st, 2012.
 Supervisors will also have access to information regarding vacation days close to their
due date, so that they can also plan their team’s vacation periods.
 Kiosk and TRESS Link modules offer information of former anniversary periods and dates
of pending vacation days, so the employee can also be informed.

2. Protection of vacation registration
Starting with the 2012 version it is possible to apply a validation to the vacation registrations, to
ensure they are paid in the correct payroll period and are not modified at a later date.
 When vacation days are registered, only active payroll periods can be selected, an
affected payroll period is not available for information registration. This mechanism
also applies to the vacation request process in Workflow.
 Once vacations are paid and payroll has been affected, this registration cannot be
modified.
Currently, the registration and verification of the payroll where vacations are paid is the user’s
responsibility, now Sistema TRESS will be responsible for protecting this process.

3. Automatic closure of vacation periods
Do you need to execute the vacation closure process periodically? Do you forget to execute it?
Now you can automatically execute the process of vacation closure in the required frequency.
The user won’t be responsible anymore since Sistema TRESS will be in charge of executing and
updating it.

4. Management of medical insurance
Does the company provide medical insurance benefits to its
employees?
Do you manage medical insurance policies in Excel? Would you like
to manage them directly on Sistema TRESS?

PAYROLL PROCESSES
1. Payroll cost process
Nowadays supervisors transfer their employees temporarily to other
supervisors to cover production needs.
The process is performed using attached documents or other mechanisms to notify and execute
employee transfers. Afterwards, the information is gathered to get the real payroll cost for each
cost center.
The 2012 version includes an integral mechanism that enables the handling of the payroll cost
process, starting with the registration of temporary hourly transfers among supervisors up to
obtaining the information of payroll expense distribution among cost centers based on the
hours where the employee really worked.
With this process you will be able to obtain the following:
 Register employee transfers done temporarily between supervisors, whether in hours or
full days.
 A mechanism that enables the supervisor to approve transfers assigned to him/her,
since they impact as a cost charged to his/her cost center.
 Information of the real hours worked by the employee in the cost center to which
he/she was originally assigned.
 Information of the hours worked by the employee in the cost center to which he/she
was assigned on a temporary basis.
 Distribution of payroll expenses according to transfers done on a temporary basis.
 Payroll cost policy that enables the application of the charge or credit related to the cost
transferred to each cost center.

2. ISR pre-calculation
At the end of the year, the annual comparative ISR process can
calculate large differences in taxes in favor or against some employees.
These differences must be managed so they can be compensated.
The charged differences can cause conflict among employees since it
represents an additional deduction in next year’s fiscal report.
If the ISR annual comparative result shows big differences in favor or against some employees,
in this version it is possible to get early information on these tendencies to make the necessary
adjustments.
The new Ajuste Previo de ISR [Previous Adjustment of ISR] payroll process is integrated to enable
the company to do the following:
 Execute the process with the required frequency, for example: every month, every 2
months, twice a year, etc.
 The process applies the annual tax calculation procedure, but takes into consideration
the accumulated taxable amount until the chosen month to cut and apply the
corresponding temporary tables. This process will provide the tax amount to be paid by
or charged to the employee up to that moment.
 Obtain a report to analyze the results.
 Trace the calculation process to validate the procedure used forgetting results.
With this information you will be able to make decisions, adjustments to avoid significant
differences at the end of the year.
Additional to this process, you will be able to configure the payroll tax calculation so at the end
of each month, it takes into account the annual accumulation, applies provisional tables, and
makes an annual adjustment. This calculation reduces differences in favor or against at the end
of the year.

3. Management of food pension
If you are looking to be self-sufficient in the configuration of rules
regarding the food pension program of your employees to execute
that deduction on the payroll, Sistema TRESS already has the
necessary tools that will make this task easier.
The management of the food pension in Sistema TRESS includes a section that consolidates
information of the employee’s pension plan characteristics and the beneficiary data.
It also provides a tool so you can configure the types of food pension the employees have, for
example, pension in settlement base, wages – overtime, grocery vouchers, income + benefits.
In the end, you will be able to deduct the food pension from payroll and get a report of those
employees that have it as well as detailed information of the conditions that apply to each one.
