Hotel Plus is a special software application designed for use in hotels and similar establishments with up to 100 rooms, and which operate a DCS or a DCS Compact II keyphone system. It allows managers and staff to check guests in and out and perform other routine daily administration using a personal computer (PC) running Windows 95 or later. Hotel Plus Programming and Administration Hotel Plus software is loaded onto a PC from the supplied CD-ROM. Administration (checking guests in/out, adding charges to invoices, and so on) is then easily carried out on the screen using mouse clicks and a keyboard. Invoices can be printed out to a serial port along with Property Management System (PMS) and Station Message Detail Recording (SMDR) information for activity and call logging. Each member of staff has their own 4-digit passcode which is used to log in to Hotel Plus. Programming using a PC is described in Programming Hotel Plus Software in this manual. System administration is described in the Samsung Hotel Plus User’s Guide. Important Note to Installers To install and program the Hotel Plus system, you should already have completed a Samsung DCS training course. You should be familiar with DCS Version 6 programming, and have a copy of the DCS or Compact II Programming Manual to hand for reference. You should also be confident with using Microsoft Windows. Installing Hotel Plus The installation procedure is different for DCS and Compact II systems. The PC requirements and software supplied are, however, the same. If you have any problems during installation, refer to the Troubleshooting section of this manual. PC Requirements The minimum requirements for installing and running Hotel Plus are: • • • • A Pentium 200Mz (or higher) PC running Windows 95 or later 64 Mbytes main memory CD-ROM drive At least 100Mbytes of free hard disk space. Software Supplied You are supplied with a CD-ROM containing the Hotel Plus application, and a 25-pin ‘dongle’ which is required in order for the software to work. 4 Hotel Plus Application For DCS & Compact II Installation & Programming Manual March 2000 Installing Hardware on DCS Systems For Hotel software to work correctly from the PC application on your DCS, a special Serial Interface Module, SIM2, must be plugged into an unused DLI port (Figure 1). When Hotel Plus software is not being used, two normal SIMs can still be connected for call logging, printing bills etc. However, when Hotel Plus is being used, the PC is connected to the SIM2 and only one other SIM can be used. This is a restriction in MMC 804; there are only two output ports. Note: • • The SIM2 is specially designed for hotel applications. Do not use it for any other purpose. The DCS system does not support tenant service. Figure 1 : SIM2 1. Connect an RS-232C cable to the SIM2 and to a serial (COM) port on the PC. Note which PC serial port you use as this information will be required to set up the software later. 2. Plug the DLI line cord into the jack on the SIM2 marked LINE. 3. Plug the other end of the line cord into an unused DLI port on the DCS. Figure 2 : DCS Configuration You will also have to configure the SIM2 as described in Programming Hotel Plus Software, below. 5 Hotel Plus Application For DCS & Compact II Installation & Programming Manual March 2000 Installing Hardware on Compact II Systems On Compact II, an additional Hotel ‘memory’ card is required (“MEM2 daughterboard”); this is a board that connects to the main board, providing the extra memory required to run hotel features (Figure 3). Figure 3 : MEM2 Daughterboard 1. If not already connected, insert the MEM2 daughterboard into the main board (note direction of UP arrow in Figure 3). 2. Insert the main board into the Compact II. 3. Connect an RS-232C cable to a port on the Misc 1 or 2 card, and to a serial (COM) port on the PC (Figure 4). Note which PC serial port you connect to as this information will be required to set up the software later. Note: The distance between the PC and Compact II should not be longer than 50m for the RS232C connection to work correctly. Figure 4 : Compact II Configuration 6 Hotel Plus Application For DCS & Compact II Installation & Programming Manual March 2000 Installing Hotel Plus Software To install Hotel Plus: • • • • • Start Windows on your PC Insert the CD-ROM into the CD-ROM drive Click ‘My Computer’, then the CD-ROM drive icon Double click ‘Install’, then ‘Hotel Plus’, then ‘Setup.exe’ Follow the on-screen instructions to complete the installation When Windows has restarted you will see the Hotel Plus shortcut icon on your desktop. Connecting a Printer The printer cable should be connected to an unused serial (COM) port on the PC. The printer is used for printing invoices and reports. Programming Hotel Plus Software Having installed your Hotel Plus system, you must now configure the software for your requirements. If you have any problems during programming, refer to the Troubleshooting section of this manual. Information Required Before you begin setting up the software, it is important to establish the hotel’s exact requirements. It is recommended that you read through the following procedures and obtain the relevant information before starting. As a guide, the basic information you require is shown in the following table. It is possible to do all programming using MMCs via the keyphone system—and some features, in fact, can only be programmed this way. However, the dialogue boxes make programming simpler, quicker and more convenient. Refer to the MMCs (described in the MMC section of this manual) for more details, where necessary. Follow this sequence of procedures to program Hotel Plus. Note that the screens shown as examples show the type of information you should enter rather than what you necessarily see. 1. Start the PC with the Windows operating system. Use the Windows Control Panel ‘Date/Time’ option to ensure that the PC date and time are the same as the date and time set for the keyphone system. 2. You are provided with a 25-pin ‘dongle’ which must be connected before the Hotel Plus software will work (Figure 5). Plug the dongle into the PC’s parallel (LPT) port. Figure 5 : 25-pin dongle 3. Using a keyphone: • • • Program MMC 707 to enter 4-digit staff passcodes for each staff member. Program MMC 804 to check that the serial port to which the PC is connected is set to service type H-MMC. Program MMC 202 to enter a ‘Delete’ passcode for item billing (this is set as 9999 by default). 4. Start the Hotel Plus application by clicking on the Hotel Plus desktop icon. A ‘downloading’ message appears followed by the Communication Setup box. 8 Hotel Plus Application For DCS & Compact II Installation & Programming Manual March 2000 5. In the Communication Setup box: q q q q change the currency to British Pound (GBP) for use in the UK; check that the Hotel Port is set to the correct COM port; if you are running the Project Management System (PMS) from the PC, tick the Use PMS Port box; if necessary, change the ‘Lockout’ and ‘Retry Count’ values: the Lockout timer determines how long a logged-in staff member can leave the main Hotel Plus screen inactive (i.e. no actions are carried out) before they are automatically logged out (the range is 2–60 minutes); the Retry Count is the number of times the PC will attempt to connect with the keyphone system if there is a problem with the connection (the range is 2–99). 6. Click ‘Connect’ and wait for the program to load. (If you get an error message, refer to the Troubleshooting section of this manual.) Normally, no rooms have yet been set up in the Hotel Plus system and you should receive the message “There is no guest room…”. Click OK to continue. The Login box is displayed. 7. Enter a 4-digit staff code (one of those you set up in step 2) and click OK. (The code is not displayed. Digits are replaced by ‘\\\\’.) The main Hotel Plus application screen is displayed. 9 Hotel Plus Application For DCS & Compact II Installation & Programming Manual March 2000 Following further “Downloading…” messages, the Room Cost Programming box is displayed (see below). This box displays the Tax Rate Setup table. Note: If the Room Cost Programming box is not displayed, select ‘Setting’ from the menu bar of the main Hotel Plus screen and then select ‘Room Cost.’ The message “Downloading Room Cost” is displayed, followed by the box showing the Tax Rate Setup table. Information for UK installers: VAT VAT tax rate applies to most items you enter as taxable invoice items. Contact the local tax office for details of other allowable tax rates. 8. The following information can be entered: 10 Hotel Plus Application For DCS & Compact II Installation & Programming Manual March 2000 Tax Rate: The number assigned to this tax rate. (Refer to MMC 761 for details of tax rate numbers.) Type: The type of tax. Defines if the value is added as a percentage (“ % ”) of the cost of an item (e.g. service charge); is included as a percentage of the cost of the item (“Include VAT”); or is added as a fixed currency value (“Currency”) to an item (e.g. administration). Double click on the Type field and select the option from the drop-down list Value: This is the actual tax rate that will be applied to the item cost. Enter the value without a decimal point (e.g. 1750 is 17.50) Name: This is the name (up to 10-characters) that will be displayed on the room bill alongside the tax (e.g. VAT, Service Charge). When the table is complete, click Upload, then OK. 9. Click the Item Cost Rate tab. The Item Cost Rate table is displayed. (This is equivalent to MMC 760 at the end of this manual.) Here you enter all billable items (room types, deposits, room service, and so on) with their system codes, and you also define which of the tax rate(s) you set up in the Tax Rate Setup table apply to each item. Item codes 0, 1 and 89–99 are pre-defined as described in MMC 761; codes 2–88 are defined by entries you make in this table. If a tax rate (1–8) applies to an item, set it to ‘1’, otherwise set it to ‘0’. Item names have a maximum of 10 characters. When the table is complete, click Upload, then OK. 10. Click the Room Type/Class tab. The Room Type/Class table is displayed. This shows the extension (STN) number of each keyphone in the system. However, you can change room numbers in this table to be any alphanumeric value up to four digits (e.g. A201, B312, and so on). For each extension: • Double click the Room Type field and select one of the room types from the drop-down menu: q q q q q q Normal Station (the extension is not assigned to any of the following types) Guest Smoking Room Guest No Smoking Room Meeting Room Administrator (keyphone from which Hotel Plus administration can be carried out) FAX Station (extension can be used as a fax paired station) (Refer to MMCs 221 and 222 for guidance.) • Double click the Room Class field and select one of the room classes from the drop-down menu: these room types are as you set them up in the Item Cost Rate table previously (e.g. Double, Single). • Enter a cost for the room in pence. For example, £ 50.00 is entered as 5000. • Assign a fax pair station to this extension, if required. This must be an extension already assigned as a fax station in the Room Type field, above. (Double click this field for a drop-down menu of available fax stations, if any are assigned.) When the table is complete, click Upload, then OK. 12 Hotel Plus Application For DCS & Compact II Installation & Programming Manual March 2000 11. Click the Week Rate tab. The Week Rate table is displayed. Here you enter the percentage rates which apply to room costs for each day of the week in the Rate column. The range is 1 to 999%. For example, a full rate would be entered as 100; this applies a rate of 100% to the room cost entered in the previous Room Type/Class table. If you wanted to set a different rate (say 125%) for Saturday and Sunday, you would enter 125 in the appropriate fields. When the table is complete, click Upload, then OK, then Cancel. The message ‘Downloading Room Number’ is displayed. You return to the Hotel Plus main screen which shows icons for the rooms you have just set up. For example: 13 Hotel Plus Application For DCS & Compact II Installation & Programming Manual March 2000 12. The next few options allow you to set up information for call costing. If you intend to use metering pulse detection (MPD) for call costing, you should refer to Setting Call Costs Using MPD, following this Procedures section. However, before you do, skip to steps 15–17, below, and complete the procedures for setting up staff names, hotel timers and invoice preferences. If you are not using MPD, select ‘Setting’ from the menu toolbar and then ‘Call Cost’. The messages ‘Downloading Trunk Cost’ and ‘Downloading Cost Dial Plan’ are displayed followed by the Rate Calculation Table. Here you enter the costs you want to apply to calls according to defined time bands. Each cost rate (defined by your network provider) will require an entry in this table. The system can handle up to eight different cost rates. For each cost rate, enter: 1st Duration This is the amount of time at the beginning of each call to which a fixed cost applies. The range is 0 to 999 seconds; for example, 30 seconds. 1st Cost This is the fixed cost for the 1st Duration. The range is 0 to 999 pence; for example, 100 pence (£ 1.00). 2nd Duration This is the amount of time for the duration of each billing increment after the 1st Duration has expired. The range is 0 to 999 seconds; for example, 30 seconds. 2nd Cost This is the cost for each billing time increment set in 2nd Duration. The range is 0 to 999; for example 075 (£ 0.75). (Thus, for example, calls would cost £ 1.00 for the first 30 seconds, and 75p for each subsequent 30-second period.) 14 Hotel Plus Application For DCS & Compact II Installation & Programming Manual March 2000 Surcharge This is a fixed charge that is applied to the call over and above the time charge. When the table is complete, click Upload, then OK. 13. Click the Cost Dial Plan tab. The Cost Dial Plan table is displayed. The Costing Dial Plan is used to analyse the leading digits of a dialled number and determine what Dial Plan it is to follow. Data entry for this table is in two fields: ‘Digit’ and ‘Plan (Cost Rate)’. For a full description of how to set up this table, refer to MMC 759, Costing Dial Plan. When the table is complete, click Upload, then OK. 14. Click the Trunk Cost Rate tab. The Trunk Cost Rate table is displayed. Check that all the cost rates you set earlier apply to all trunks: ‘1’ should be set in each field. 15 Hotel Plus Application For DCS & Compact II Installation & Programming Manual March 2000 When the table is complete, click Upload, then OK, then Cancel. 15. From the menu toolbar select ‘Setting’ and then ‘Staff Name’. The message ‘Downloading Staff Names’ is displayed followed by the Assign Staff Name box. The staff codes are those you entered earlier in MMC 707. For each Staff Code, enter a name (up to 20 characters). The name will be displayed on the PC screen when the staff member logs in. When the table is complete, click OK. 16. From the menu toolbar select ‘Setting’ and then ‘Timers’. The message ‘Downloading Hotel Timer’ is displayed followed by the Set Hotel Timers box. Here, you can set the normal Checkout and Clean Room times, in 24-hour format. If a room remains occupied after the Checkout time, an additional day’s room charges are automatically added to the room bill, unless the room is set on hold. The Clean Room time is the time that rooms are normally cleaned each day. When you have entered these times, click Upload, then OK. 17. You can now define the format in which you want your invoices (room bills) to print. From the menu toolbar, select ‘Option’ and ‘Setup Invoice Form’. This displays the Setup Print Form and gives you the choice of using a ‘Normal’ invoice or a 16 Hotel Plus Application For DCS & Compact II Installation & Programming Manual March 2000 ‘User Defined’ invoice (‘Normal’ is selected by default). A user defined invoice includes hotel details, whereas a normal invoice does not. Select a Normal Invoice Click the Normal button for a normal invoice. You cannot enter any details onto this form (fields will be “greyed out”). When this type of invoice is printed, the information shown is: • • • • • • • • • • Current date and time Guest Name Guest Address Arrival Date / Departure Date / No. In Party Room No. Page number of invoice Currency (e.g. GBP for £ ) Details of each invoiced item: Date / Time / Item No. / Description / Details / Cost Account Balance “ Inclusive VAT of ” amount The following is an example of a normal invoice. 17 Hotel Plus Application For DCS & Compact II Installation & Programming Manual March 2000 Select User Defined Invoice Click the User Defined button for a user defined invoice. You should enter all the relevant hotel details on this form. As you enter details you will see them displayed, as they will appear on the final invoice, in the preview box at the bottom of the form. • • • • • Click the Hotel Name button to enter the hotel name or click the Hotel Picture button to insert a picture which will be printed on invoices instead of the name. If you selected the Name button, change the font size of the Hotel Name, if required (enter a value or click the box to select a value). The default font size is 18. If you selected the Picture button, click Picture. Select the picture filename you require. (Allowed picture file formats are: *.BMP, *.DIB, *.GIF, *.JPG, *.WMF, *.EMF, *.ICO.) Click the required Include VAT button (in the UK, this should be set to Yes). In the Information(1)–(3) fields enter any additional information you want to print at the bottom of the invoice (e.g. VAT No.). This type of invoice will include all the details shown in a normal invoice, plus: • • • Hotel Name or Picture Hotel Address Hotel Tel No. / Fax No. 18 Hotel Plus Application For DCS & Compact II • • Installation & Programming Manual March 2000 Signature line Additional information The following is an example of a user-defined invoice. Hotel Plus is now fully programmed and ready for operation. Don’t forget to set up your system for call costing using MPD (below), if you didn’t use the Call Cost tables, above, to set these options. Administration using Hotel Plus software on your PC is described in the Samsung Hotel Plus User’s Guide. If you subsequently need to 19 Hotel Plus Application For DCS & Compact II Installation & Programming Manual March 2000 reprogram any of the features you set up here, use the ‘Setting’ menu options as described above to enter new data. Alternatively, you can program from display keyphones using the MMCs described in the MMC section. Setting Call Costs Using MPD If you are intending to use metering pulse detection (MPD) for call costing, program MMCs 414 and 508 as necessary. Use MMC 110 to set the Call Cost option ON if required. If ON, this will display real-time call costs on keyphone displays; if OFF, a call timer is displayed. Troubleshooting Hotel Plus Setup If you have problems installing or programming Hotel Plus software, look through the problem checklists below. Always take careful note of error messages displayed on the screen and try using the Help menu on the menu bar. If you don’t find an answer to your problem, contact your dealer. If you have a problem, first check the following carefully. • If you are using a DCS system, make sure the SIM2 module attached to the PC is correctly connected to an unused DLI port and that it is correctly configured in MMC 804 for H-MMC service. • You must have at least 100Mbytes of free hard disk space on your PC to install Hotel Plus software. If necessary, remove unnecessary files to make room on your hard drive. • You are provided with a 25-pin dongle which must be used before the Hotel Plus software will work. Plug the dongle into the PC’s parallel (LPT) port. • Check all hardware connections. ‘Online Connection Error’ Message on PC Screen When you start the Hotel Plus application, nothing happens for a while and you see this message on the screen. If so, check that you have set the correct COM port for the ‘Hotel Port’ in the Communication Setup box. Also, check the SIM2 line cord connection and all other connections as appropriate. 20 Hotel Plus Application For DCS & Compact II Installation & Programming Manual March 2000 Keyphone Error Messages The following messages may appear at the display keyphone(s) designated as the ‘Warning Destination’ in MMC 753. Message Meaning & Action Required WARNING !! VM ALARM The system is provided with an emergency destination for calls destined for the Voice Mail card, if the Voice Mail card is removed or is off-line. In addition, any calls that are forwarded to the Voice Mail card will not forward; they will remain ringing at the “fwd from” station until answered. SMDR INFORMATION !! BUFFER FULL !! This occurs when the system’s SMDR data buffer is not big enough to save HOTEL information. Check out all guest rooms immediately. WARNING!! PC COM. ERROR Data communication between the PC and the main keyphone system is blocked. (Default=OFF) 1 AUTO TIMER Automatically starts the stopwatch timer during a C.O. call. (Default=ON) 2 HEADSET USE When ON, this feature disables the hookswitch, allowing a headset user to answer all calls by pressing the ANS/RLS button. (Default=OFF) 3 HOT KEYPAD When ON, this feature allows the user to dial directory numbers without first having to lift the handset or press the SPK button. (Default=ON) 4 KEY TONE Allows the user to hear a slight tone when pressing buttons on the keyset. (Default=ON) 5 PAGE REJOIN Allows the user to hear the latter part of page announcements if the keyset becomes free during a page. (Default=ON) 6. RING PREF When OFF, requires the user to press the fast flashing button to answer a ringing call after lifting the handset. (Default=ON) 7 CALL COST If enabled (ON), the LCD shows the real-time call cost based on Metering Pulses arrived. (Default=OFF) 8 AME BGM This feature determines whether a station using Answering Machine Emulation will hear their personal greeting or BGM while callers are listening to the personal greeting. A BGM source must be selected for this to work. (Default=OFF) 9 AME PSWD Sets the Answering Machine Emulation password ON or OFF. These features are the following: DAY/NIGHT, DISA ALARM, ALARM CLR, AA RECORD, DECT REGST and DELETE (item cost) as described below. DAY/NIGHT Passcode used to change the system mode . DISA ALARM Passcode used to clear the DISA alarm ALARM CLR Passcode used to clear the system alarm on a TRK A1 card AA RECORD Passcode used to record messages used in built-in AA. Data entry for this program is in two fields: Digits and Dial Plan. DIGITS: Up to 500 entries may be made. Each entry can be up to 10 digits. These are the entries that will be searched to find a match with the digits dialled by the station making the call. This is a leading digits table and the system will look for the exact leading digits in the table that match the number dialled. For example, if a user dials 1305 and the Costing Dial Plan contains 1, 1308 and 1312, the dialled digits will be matched to 1 because 1308 and 1312 do not form a complete match. When this table is created or when any new entries are added, the system automatically places all entries in numerical order. No number conflicts (e.g., 142 and 1429) are allowed. Wild cards (X, Y, X) can be used to represent any digit. These wild cards are defined in MMC 704. When all entries are used, [LAST ENTRY] is displayed. DIAL PLAN : This shows in the programming display as DIAL PLAN and represents a pattern. This pattern is used by MMC 431 (Trunk Cost Rate), to determine the correct billing according to MMC 758 (Rate Calculation Table). There are eight (1–8) Dial Plans. EXAMPLES When a station user dials a number, the system will search the Costing Dial Plan to find a match. If 13056 is dialled and this MMC contains entries 1, 13, 1305 and 1401, 1305 is the closest match and this entry will be selected. On the DCS, these I/O ports are actually the Data Rate Adapter (DRA) chips located on the ROM card. The ROM 2 card has two DRAs. On the Compact II, the Misc card is required with connections to either port 1 or 2. The default assignments are for the first port to be assigned for PC-MMC and for the second port to be assigned for H-MMC to operate Hotel Plus. Note that the system I/O ports cannot both be assigned with the same service type option. With DCS, the SIM Pair prompt (see Parameter Options, below) is not provided if PC-MMC is selected for a port.
