ISSI EXPANDS YEAR-END SUPPORT SERVICES TO EASE CLIENTS’ TAX TIME PRESSURE Year-end processing can be a stressful time in the Fund Office. Over the years, we have helped many Funds e-file with the Internal Revenue Service (“IRS”), Social Security Administration (“SSA”), and various state tax administration agencies, yet each January, the Fund’s staff still had the hassle of preparing, printing, and mailing tax forms. In an effort to alleviate this annual headache, ISSI is happy to introduce new service offerings to our Benefit Administration System clients: ISSI Tax Form Fulfillment Services ISSI can now process and mail yearend tax forms on behalf of our clients. This service includes all tax form stock, printing, handling, and firstclass postage. ISSI will also sort and mail the forms directly to the recipient. We merely ask our clients to approve a report that details the amounts and tax codes to be printed, and then we handle the rest. IRS Tax Identification Number (“TIN”) Matching ISSI now has a direct connection with the IRS for the purpose of validating Tax Identification Numbers (“TIN”) for Providers and Vendors, prior to filing 1099-Misc forms/files. The IRS recently doubled the fines associated with the submission of invalid TINs on tax forms and electronic filings to $100 per incorrect TIN. ISSI’s IRS TIN Matching Program can be run throughout the year to correct invalid TINs, dramatically reducing your Fund’s risk of fines and penalties. matches the name on file, and belongs to a living individual. The SSA will return a file noting any errors, discrepancies or deceased participants, ensuring the accuracy of the Fund’s records prior to the creation of W-2 tax forms. Participant Social Security Number Verification for W-2s In addition to these new services, ISSI will continue to submit electronic filings to the IRS and other government agencies on behalf of our clients. As part of our direct connection with the SSA, ISSI also has the ability to verify participant social security numbers against the SSA database. Each ISSI client is assigned a dedicated Client Service Representative (“CSR”) or Account Manager to provide support for the ISSI system. These CSRs belong to teams within ISSI’s Client Service Department. The expanding department is broken into five separate teams, all working hard to support our clients throughout the United States and Canada. This team approach ensures that all ISSI clients have proper support coverage in the event that a client’s primary contact is out of the office or unavailable. ISSI’S INITIATIVES COMMITTEE HELPS KEEP THINGS FUN WHILE MAINTAINING A CHARITABLE FOCUS The ISSI Initiatives Committee (“I.C.”) was formed in 2007 to organize company-wide social events, healthy living initiatives and charitable giving campaigns. Aside from planning Happy Hours and company picnics, the all-volunteer committee researches worthy causes and designs fun staff events 2 to coincide with fundraising efforts throughout the year. to take a much-needed morning break. In October, ISSI again participated in Lee National Denim Day to support breast cancer awareness and research. As a “Thank You” for the staff’s generous contributions, the I.C. provided ribbon-shaped soft pretzels and encouraged everyone From Back-to-School Supply Drives to the Annual Holiday Charity Raffle, the committee strives to enhance company morale while supporting organizations near and dear to the ISSI staff. 4th Quarter 2013 | Volume 4, Issue 4 CLIENT SERVICE CORNER: ICD-10 TESTING UNDERWAY The Centers for Medicare and Medicaid Services (“CMS”) has mandated that all covered entities migrate to the ICD-10 code set by October 1, 2014. In anticipation of this deadline, the ISSI Claims Team has developed a new ICD-10 Compliant Claims Processing Interface and has begun client testing for the transition. Covered entities should contact their trading partners to confirm that they are taking the necessary steps to meet the compliance deadline. EMPLOYEE SPOTLIGHT: MONICA LUKACH When Monica Lukach joined ISSI four years ago to assist with implementations of the company’s emerging Internet Remittance System (“ISSi-Remit”), she worked directly with employers nationwide to help them make the transition to electronic remittance. “The product has been very well received,” Monica said. “Employers often use the system to remit payments to multiple ISSI clients, and many have commented that ISSi-Remit is the best system they use for remittance.” As demand for ISSi-Remit grew, Monica developed an expertise in electronic employer contributions. She began cataloging information from throughout the company into a library of training materials and system documentation guides designed to assist Funds, remitting employers and the rapidly expanding ISSi-Remit team. During her tenure, ISSI has quadrupled the staff supporting the product, and Monica became the first ISSi-Remit supervisor. She now helps oversee both ISSi-Remit implementations and ongoing support. “I enjoy the variety of my work and having the opportunity to work with so many different departments within ISSI as well as with our clients and employers,” she added. With over forty clients now live on ISSi-Remit and over 2,000 employers using the system, the Department continues to expand, and Monica continues to find her role at ISSI evolving. ISSi-Remit Supervisor Monica Lukach used her background in graphics design to create ISSI’s new logo in 2011. 3 4th Quarter 2013 | Volume 4, Issue 4 LEGISLATIVE UPDATE: EFT/ERA REQUIREMENTS FOR HEALTH AND WELFARE PLANS TAKE EFFECT JANUARY 2014 By January 1, 2014, all covered entities must comply with the electronic funds transfer (“EFT”) and electronic remittance advice (“ERA”) operating rules issued by the Department of Health and Humans Services (“HHS”). These rules, which are intended to support HIPAA’s administrative simplification goal, require health plans to enable electronic claims payments to providers and to have the ability to send industry-standard ERAs in place of proprietary, paper explanations of payment. Additionally, the rules set a strict time window for sending EFTs and ERAs meant to assist providers with reconciling claims payments in their accounting systems. All covered entities should speak with their counsel, trading partners, and consultants to evaluate the rules’ impact and to certify compliance. ISSI now offers a solution that will enable clients to meet the requirements and certify by the January 1st deadline.
