SPACE RENTAL DETAILS THE GAMEROOM THE SKYBOX THE HAMLINE THE FAIRLAWN Room rental is an uncomplicated process: just food and beverage minimums and no hidden fees. All group or private events require a food and beverage minimum that is arranged with your event concierge at the time of booking. Minimums start at: • Daytime food and beverage minimum: $550 per side; $1,100 for full Fairlawn • Evening food and beverage minimum: $750 per side; $1,500 for full Fairlawn • Saturday evening food and beverage minimum: $1,250 per side; $2,500 for full Fairlawn • Wedding receptions in the Fairlawn are automatically charged a $200 cleanup fee • Security is required for wedding receptions: $25 per hour • Daytime food and beverage minimum: $275 • Evening food and beverage minimum: $375 • Saturday evening food and beverage minimum: $475 • Daytime food and beverage minimum: $220 per side; $440 for full Skybox • Evening food and beverage minimum: $300 per side; $600 for full Skybox • Saturday evening food and beverage minimum: $400 per side; $800 for full Skybox • Daytime food and beverage minimum (9:00 a.m.–3:00 p.m.): $250 / $450 weekend days • Happy hour food and beverage minimum (3:00 p.m.–6:00 p.m.): $650 • Evening food and beverage minimum (after 6:00 p.m.): $750 • Saturday evening food and beverage minimum (after 5:00 p.m.; private until 10 p.m.): $1000 www.rosevinehall.com 2 of 5 PRIVATE SPACE OVERVIEW Room(s) Sq. Pool tables, dart boards and arcade games, 2 plasma TVs, wireless internet. 3 of 5 TERMS AND CONDITIONS Menu/Food • We require only a food and beverage minimum be met. Otherwise, a room fee will be added to your final bill. Ask your event concierge for specific details. Minimum amounts do not include tax, equipment fee or any other additional charges. • A final guaranteed guest count and food order must be given five business days prior to your event. You will be charged for this guaranteed number or the number served—whichever is greater. After this five-day timeline, your guest count may only be increased. If food order and guest count is not submitted within five days, a 10% increase in price will be incurred. • Health department regulations hold Rose Vine Hall responsible for all food and beverage that we serve on premise. Therefore, with the exception of specialty cakes from a licensed baker (i.e. the cake has been prepared to Minnesota health code), we do not allow any food or beverage to be brought into Rose Vine Hall. Cake cutting fee is $1.00 per slice. Cupcake fee is $0.50 per cupcake. • For sit-down dinner events with preordered meals, the host must provide place cards and assigned seating for all guests attending. The place cards must have clear indicators of meal choice for each guest. Speak with your event concierge for more details. • Food and beverage minimums are subject to change. Food and beverage minimums vary on holidays. Please ask for specific pricing. Terms of Event Billing and Cancellation Policy • Current sales tax will be added to the final bill. Minnesota tax on food and non-alcoholic beverages is 7.12%. Note: gratuity for service staff is not included in the event total. • Full payment is required at the conclusion of your event. Groups are billed on a one-check basis for most occasions. Separate checks require advanced notice and take extra time to prepare. • Rose Vine Hall does not invoice customers. • A credit card is required to reserve any of our private spaces. Your card will not be charged at this time, however, it will incur a cancellation fee should you cancel prior to your scheduled event. See your event credit and reservation form for specifics. • Parties that cancel the day of or fail to show will be charged the full amount of preordered food and tax. If no food has been preordered, your group will be charged the food and beverage minimum for the reserved space plus tax. • Should agreed-upon food and beverage minimum not be met, the remainder plus tax will be charged to the credit card on file. By submitting a credit card number, you agree to these terms. Note: gratuity for service staff is not included in the event total. • Wedding receptions in the Fairlawn are automatically charged a $200 cleanup fee. www.rosevinehall.com 4 of 5 Damage/Decorating Guidelines • Decorating is encouraged. However, we do not allow the following: glitter, streamers, confetti, silly string, duct tape, small candies like M&Ms, peanuts, feather boas or anything excessively difficult to clean up or damaging to surfaces. If these items are used, up to a $250.00 cleaning charge will be added to your bill at the discretion of Rose Vine Hall. • Rose Vine Hall reserves the right to charge an appropriate damage/cleaning charge if the condition of the room after the event deems it necessary. For example, cake/food ground into the carpet, damage to walls that necessitates painting/replacement of wallpaper and theft of any items, including candles, equipment, etc. Event Start Times • For parties that start after 3:00 p.m., your private space is set up and ready one-half hour before the event start time as communicated to your event concierge. Any changes in arrival time or early arrivals for setup, decorating or A/V-equipment testing must be communicated directly with your event concierge. Earlymorning and lunch events start at the time designated on your event contract or the time arranged with your event concierge. Vacate Times • The lower and upper levels of Rose Vine Hall close at 1:00 a.m. Monday–Saturday and midnight on Sunday. Guests must leave the private spaces at this time. DJs must do the last dance 30 minutes before guests must vacate. Music, Entertainment, Flowers and Cakes • All vendors must contact the catering office regarding setup time and/or delivery details for your event. Equipment and Other Fees Rose Vine Hall is fully outfitted for audio/visual presentations. We apply minimal fees to keep our technology up to date and working properly.
