GRADUATION INFORMATION GUIDE
39th CONVOCATION CEREMONY (2015)

39th University Putra Malaysia (UPM) Convocation Ceremony
Date: 31st October to 3th November 2015
Venue: Sultan Salahuddin Abdul Aziz Shah Cultural and Arts Centre (PKKSSAAS)
Day/Session: Saturday, Sunday, Monday and Tuesday (4 days/8 sessions)
Information pertaining convocation matters including graduates sessions by programs orders can
be refered at Appendix 1 (A&B) and through the Admission Division And Academic Governance

Attendance

2.1
As specified in UPM Convocation Event, Degrees and Diploma will only be conferred to
graduates attending the convocation ceremony, provided that the Senate may, in
exceptional circumstances, may allow a degree or diploma conferred in absentia.
2.2
Graduates must comply the attendance instructions prescribed according to each session
of the convocation.
2.3
Graduates are not allowed to postpone or nominate any representative to attend the
convocation on their behalf.

Fee
.
3.1
Graduation fee amount RM200.00 (Ringgit Malaysia: Two hundred only) is compulsory for
all graduates (full-time, part-time/distance learning/executive) attending or not attending
the convocation ceremony.
3.2
Graduates attending the Convocation Ceremony should pay the fees at least two (2) days
before taking the academic regalia through one of the following methods:

Graduates are PROHIBITED to send bank payment slip by POST to avoid lost and
untraceble of document.
3.3
a) Graduates who is not attending the Convocation Ceremony can pay the graduation
fee during working hours at Bursary III (Ground floor, Administration Building, UPM);
b) Scroll and Transcript will only be distributed after the convocation ceremony and after
all the necessary fees has been paid (graduation fee, tuition fee, fines & traffic
summons etc), if any.

Graduates Tracer Study
Graduates are also required to complete the 2015 Tracer Study 'On-line' from 1st October 2015
(Thursday) via Website: http://graduan.mohe.gov.my Graduates Tracer Study (Ministry of
Higher Education).
Note:
Please print the confirmation slip on the last page of the survey form for verification by Centre
Of Entrepreneurial Development And Graduate Marketability (CEM) counter and collection of
academic robe. Failure to complete the survey, will cause inconvenience to both parties at
the counter.

Academic Regalia Collection
5.1
Graduates are required to:
a) made payment as indicated in item 3.2 above.
b) Complete academic regalia „online‟ form through the student’s portal Students
Information System (SMP) at www.smp.upm.edu.my (for postgraduates students
use ic/passport and matrix number for password and id) menu ‘MyConvocation’
(academic regalia form).

Complete the form and click the button draft to send the form to Bendahari for
verification. To reconfirm payment, check status as „SUCCESSFULL‟; and
c) Print and present the completed form with status “SUCCESSFUL” in academic
regalia application online form;

5.2
Academic
Graduates are required to ensure complete set of academic regalia borrowed from the
University as describe below in good condition:
a) Bachelor:
- regalia (maroon colour),
- hood (as faculty official colour); and
- mortar board;
b) Diploma
- regalia (maroon colour), and
- mortar board.
5.3
Graduates are to ensure that:
a) the correct regalia being received i.e Post Graduates, Bacelor or Diploma; and
b) received academic regalia in good condition
5.4
Graduates are not allowed to alter or modify any parts of the academic regalia.
5.5
Academic Regalia collection will be held at the Central Academic Complex, UPM as
follows:

Return schedule as attached in album/scroll. Penalty fee will be imposed from 9th
November 2015 (Monday) as follows:




RM10.00 on the first day and additional RM5.00 the subsequent days;
The penalty fee shall be made at the Bursar III, Ground Floor, Administration Building,
UPM and payment receipt must be presented upon returning academic regalia;
Graduates or representatives need to make sure proof of returning the academic
regalia issued before leaving the counter
The University will not be responsible for any damaged or lost items.

Any damages or lost items charges will be incurred and scroll/transcript will not be
released untill the payment has been made.
Dress Code (Graduates)
6.1
All graduates attending Convocation Ceremony must adhere to the dress code as stated
below and suggested attaire as Appendix 2 (A&B).
Ladies
a)
Formal attire (long sleeve blouse/ankles length dress/maxi/pants, long sleeve
shirts/blouses covers chest/suit before wearing the academic regalia;
b)
Colour (no restrictions);
c)
Hijab with light colour is recommended to match the faculty hood colour assigned
(Bachelor programme);
d)
Gloves should be worn on both hands;
e)
Shoes must be dark coloured and covered at the front and back.
NOT ALLOWED:
Sport shoes/Slippers/Open back shoes/Shoes with bright or white in colour, Short skirts
and face-covering attire or the ‘niqab’ is prohibited.
Men
a)
Formal attire, national outfit or dark lounge suit with neck tie, dark shoes with
stocking before wearing the academic regalia;
b)
Short and neat hair cut;
NOT ALLOWED:
Jeans and shorts, sport shoes/slippers/shoes with bright or white in colour.

The Convocation Ceremony is an official event. Graduates are reminded to abide to the
dress code as stated above. Failing which, you will be denied entry into the Convocation
Hall to join in the convocation procession or receiving scroll on stage.
Invitation Cards
7.1
Invitation cards will only be disseminated when graduates or their representatives
presence to collect the academic regalia.
7.2
Loosing of invitation cards and will not be replaced.
7.3
a) Each graduates is given one (1) invitation card for two guests to attend the Convocation
Ceremony at the PKKSSAAS;
b) Name two (2) guests attending the ceremony and present the cut card at the entrance.

8.
Briefing and Rehearsal
Two (2) Briefing and Rehearsals sessions will be conducted for graduates to better understand
the events that have been planned for the actual Convocation Ceremony as follows:

Graduates Processions
Graduates are advised to convene at the car park of the PKKSSAAS as below:

Morning Session - 7.30 am for procession at 8.00 am.
Afternoon Session - 1.45 pm for procession at 2.10 pm.
10.2
Graduates are reminded to congregate at the stipulated time and place. This to avoid any
traffic congestion into the campus, graduates are obliged to follow all the instruction given
by the officers on duty.
10.3
Avoid bringing valuable personal belongings during the rehearsal and the actual
commemoration.
10.4
Graduates who are late will not be allowed to participate in the Convocation
Ceremony.
10.5
Parents/guests are advised to have their meals before entering the hall. No food and drink
allowed in the hall.
10.6
Parents/guests are not allowed to bring flowers bouquet or gift into the hall as it may
displeased the other guests.
10.7
Graduates with special needs/ disabled that require assistance such as wheel chair or
assistace need to inform the secretariat during the rehearsal or contact
03-89466026/1464.
10.8
During the ceremony, graduates are required to follow all the rules and instructions from
the officers in charge.
10.9
Graduates/guests are not allowed to leave the hall until the ceremony is over.
Guests Attending the Convocation Ceremony must adhere to the Rules as stated below:

Dress code:
Men: Smart casual attire, national outfit, batik or lounge suit with neck tie.
(Songkok for 1st Session);
Ladies: Smart casual, national dress, long sleeve shirt/blouse and the length of the
dress/trousers must be ankle length with no slits.

Shoes: Covered shoes (slippers and sport shoes are NOT ALLOWED).

Guests may enter the PKKSSAAS through the door identified by the officers on duty (floor
plan is as Attachment 6)
* Children under the age of 12 years old is not allowed to participate in the convocation
ceremony.

12.1

Graduates will receive their albums/scrolls individually on the stage from either the
Chancellor or Pro Chancellors.
Collection of Scroll/Transcript for Bachelor‟s Degree and Diploma
13.1
Present the graduation payment receipt as proof.
13.2
Bachelor or Diploma scrolls and transcripts can be collected after the convocation session
is over.
13.3
Complete the collection of scroll and transcript form distributed at the Central Academic
Complex, UPM before collecting the scroll and transcript (scroll/transcript application form
will be distributed to graduates when returning the academic regalia)
13.4
Distant learning/EKSEKUTIF programmes, scrolls and transcripts may be collected from
the UPM Education & Training Sdn. Bhd. (UPMET)/Executive Programmes Unit of their
respective faculty.
13.5
Graduates owing UPMET/Executive Programme Unit should clear outstanding debt to
be able to receive their scrolls and transcripts. Please attach the necessary proof
(receipt/letter) of settlement for confirmation.
13.6
Graduate’s representative collecting scroll and transcript should present an autorisation
letter addressed to the Head of Academic Administration and International, Deputy Vice
Canselor Management of Academic Division, UPM stating the name, identification card
number and a copy of identification card of representative. The requirement above (13.1
until 13.6) also need to be comply before scroll and transcript could be given to the
representative; and
13.7
Executive programmes graduates should foward an authorisation letter as required above
to The Director of the Executive Programme Unit of their respective Faculty.
13.8
The University is not responsible for any lost or damage towards scroll and transcript
collected.

Ministry of Education Malaysia (MOE) coordination meeting on Recruitment Integration
System and Education Graduates Posting held on 19th August 2014 has imposed that all
graduates required to register in JobsMalaysia through the URL address:
www.jobsmalaysia.gov.my for the education graduates posting from MOE

14.4
Graduates/parents/guests are NOT ALLOWED to put the program book on the floor to
respect the content.
14.5
Prayer room designated on the 1st floor of Administrative Building at the left and right of
PKKSSAAS.
Graduates cooperation in adhering rules and regulation of the 39th UPM Convocation Ceremony
is highly appreciated as to ensure this ceremony runs successfully.

Arrive early before the ceremony begins.
Graduates and guests attire are according to the dress code prescribed.
Date for returning academic regalia starts on 31 October 2015 until 8 November
2015. Penalty will be imposed upon graduates‟ failure to return the academic
regalia within stipulated date (begining on 9 November 2015) based on prior
stated rate.
Received confirmation document indicating that academic regalia has been
borrowed and returned; and
Bring such document when collecting academic scroll/transcript.
