249 iv Administration Manager What’s New The Administration Manager is the module of Servant Keeper that allows you to manage users, backup and restore data, and optimize the database. Other features of the Administration Manager include a grade school promotion tool, a tool to view users, and a screen to enter your church name, address, and other information. Terms and Conventions Throughout this help file we will be using terms and conventions to help guide you though using the Administration Manager and it’s many useful features. Below describes how these terms and conventions are used and what they mean. Menu Bar: The horizontal menu that appears at top of a program. Usually, each word in a menu bar when clicked will open a pull-down menu with additional options. When guiding you through using the menu bar we will use the convention of: Tools | Church Information... to show the navigation in a menu to choose an option as shown below. 1 Backing Up Your Database To backup your Servant Keeper database follow these steps: Note: If the backup feature is started when leaving the Membership or Contribution Manager the same steps apply. 1. To start the backup feature open, the Administration Manager and click the "Backup" toolbar. button on the 2. Select the type of media you want to backup to. You can backup to various media types including directly to CDs. 3. Once a media type is selected select the disk or CD/DVD drive by letter that you want to backup to. 4. Once you choose a drive letter you will have a default backup path in the "Backup Data to" field. You can edit this filename or simple check "Include date stamp on file name" you change the backup name and save it as today’s backup. 5. Since it is recommended that you optimize your database regularly you should check "Optimize Database before doing backup?" If you do not optimize the database during backup it should be done at another time on a regular basis. 6. Finally click to begin the backup process. Note: The helpdesk staff at Servant PC Resources recommends that you backup your database on a regular basis. It is also recommended that when you backup you rotate the backup media so that the same piece of media is not used over and over again. 2 Restoring Your Database To restore your database from a backup follow these steps: 1. To start the restore feature, open the Administration Manager and click the "Restore" toolbar. button on the 2. The last path that you backed up to will be displayed in the Backup File: field. 3. If you want to choose another backup file, click the media. button and find the file on your backup 4. Once a backup file is selected, file information will display to tell you when the backup file was created. Please be sure that the file you’ve selected is your most recent backup of the database. You normally do not want to restore an old backup of your database. 5. Finally click the button to begin the restore process. Once the restore is complete the Administration Manager will automatically optimize your database and prepare it for use. 3 Viewing Users When you need to backup, restore, or optimize the database you first need to close the Membership and Contribution Manager not only on your computer but on the computers of other network users. To see if you or other users have any modules of Servant Keeper open click the "View Network Users" button . 5 Administration Manager Toolbar User Security: Click this button to access the User Security features. User Security is used to add, edit, and delete users, reset user passwords, and adjust user access privileges. View Users: Click this button to View Users that are currently logged into Servant Keeper. Church Info: Click this button to view and edit the Church Information like the church name, address, phone number, etc… Optimize: Click this button to run Optimize the database. It is recommended that you optimize the database about once a week as this will keep the database fast and accurate. Backup: Click this button to access the database Backup features. It is recommended that you backup your data on a regular basis and rotate your backup media. Restore: Click this button to access the database Restore feature. This should only be used if you have a problem with the current data and are directed to restore data by a Servant PC Resources Helpdesk Technician. Note: When you restore data the current data in the system is completely overwritten with the data from the backup you are restoring. Help: Opens this help file! 7 User Security To add Servant Keeper users follow these steps: 1. Open the Administration Manager and click the 1st button on the toolbar . Then click the button. 2. Type in the new user information and then click the button. Note: The "User ID" and "Password" is what is used to login to Servant Keeper. 3. Once you save the new user information you are presented with the User Access Privileges screen for the new user. Here you can choose what features of Membership, Contribution, and Administration this user should have access to use. 9 Note: To give or deny access to a feature or make a feature "read only" simply uncheck or check the checkbox located to the right of the feature under one of the columns (Access, Add, Update, or Delete). The Comments column will tell you the state of the feature you are adjusting. Note: The top checked and unchecked boxes above the column names are for assigning or revoking privileges to that whole column. 4. Once you have set access privileges for the new user click the button. 5. Now the new user is added to the User List and is ready to start using Servant Keeper. 10 User Security The [Print] and [Print All] buttons print the User Security Access checkmarks. [Print] only prints the highlighted User ID. [Print All] prints for each User ID. Note: By default on the Contribution Tab Functions 8.0 Maintain Credit Card Information and 8.1 View Full Credit Card Numbers are unchecked to prevent every user from having access to the credit card info by default. 11 Editing User Access Privileges To edit a user follow these steps: 1. Open the Administration Manager and click the "User Security" button on the toolbar. This will open the User list as described in the topic "User Security". 2. Double click the user you want to edit or select the user you want to edit and click Edit button. This will open the User Access Privileges screen so you can adjust the users’ rights to the modules of Servant Keeper. 3. Make the needed adjustments to the users security access privileges and when finished click the button. Here are a few examples of what you can do with User Access Privileges: 1. Restrict access so that membership only staff do not have access to the Contribution Manager program. 2. Restrict access so that the contribution only users have limited access to the Membership Manager program for the purpose of entering new records only as needed for contribution entry. 3. Restrict access to the user security features so users cannot make changes to their own or other users’ access privileges rights. 4. Restrict access so only certain users have access to the database restore and purge features. 13 Church Information Here you enter the church information that is used on reports and church directories. Note: Church Information will be placed on the Headers of all reports. 15 Optimizing the Database It is recommended that you optimize the database no less than once per week. This will check the database for problems and rebuild the database index. This will improve the performance of reports and searches and make sure that Servant Keeper works properly! Once the optimization process is complete you will be ready to use Servant Keeper again. 17 Deleting Users To delete a user, follow theses steps: 1. Open the Administration Manager and click the "User Security" button on the toolbar. This will open the User list as described in the topic "User Security ". 2. Select the user from the User List and click the delete button. Note: If you delete a user, the confidential notes associated with that user will no longer be available. The Helpdesk Dept suggests that instead of deleting a user simple change his or her password so they will no longer to able to log into the system. 19 Resetting User Passwords If a user forgets his or her password and needs it reset this can be performed by another user with the appropriate access privileges. To reset a user password, follow these steps: 1. Open the Administration Manager and click the "User Security" button on the toolbar. 2. Select the user you want to reset the password for and click the "Reset Password" 3. Enter the new password and then reenter the new password for confirmation. 4. Click the button. button to save the new password. 21 Changing Area Codes If needed, you can change area codes for all or some of the phone number types in your database by city. To change area codes follow these steps: 1. Open the Administration Manager and click Tools | Change Area Codes… on the menu bar. 2. Input the current area and the area code that you would to change it to. Then select either "All Phones" or a specific phone number type (cell, work, home, etc…) and then the city you would to make the change for. 3. Now click then button to start the area code change. Once the change is complete the system will tell you how many area codes were changed. 23 Grade School Promotion If you track the grade school levels of children in your database you will need to promote them to their next grade level every year. Follow these steps to promote children to their next grade school level for either an entire grade or for a single grade at a time. 1. Open the Administration Manager and click Tools | Grade School Promotion… on the menu bar. 2. Choose "All Grades" or a specific grade and the children in that grade will list. If needed you can uncheck a child that shouldn’t be promoted to the next grade level. 3. Click the button to promote the checked children to their next grade level. 25 Picture Manager You can use the Picture Manager to re-associate pictures with the families or individuals they are assigned to after moving those pictures to a new location on your hard drive or network. To re-associate pictures with families or individuals follow these steps: 1. Open the Administration Manager and click Tools | Picture Manager… on the menu bar. 2. On the "Picture Administration" screen choose either Family or Individual Records. 3. Click the button. 4. On the "Select Pictures Folder" window click the button. 27 5. With the "Browse for Folder" window browse your computer and select the folder that contains the pictures and click the button. 6. Once you’ve selected the new folder that contains your pictures the path will be displayed in the "Select Pictures Folder" screen. Click the button to make the folder change. 7. Click the "Yes" to confirm the folder change. The system will tell you how many records were changed. 28 Picture Manager Note: To confirm the new folder selected for the pictures is valid and that the pictures were found make sure that you see "Yes" in the "Picture Exists?" column. 29 Membership Manager Introduction to Membership Manager Membership Manager is the module of Servant Keeper Church Management Software that stores all the vital information about the individuals and families in your Church and allows you instant access to that information. This module permits users to quickly filter, sort and compile large volumes of data into useful and comprehensive reports to better meet the needs of your congregation. Membership Manager contains 4 major areas: Menu bar, Tool bar, Button Bar, and the Main List window. Menu Bar Membership Manager’s Menu Bar is your way to get through all of the features and functions of Membership. Tool Bar Membership Manager’s Tool Bar is your shortcut way to access the most used features of Membership. Button Bar 31 Membership Manager’s Button Bar allows you to quickly perform functions directly related to the family or individual you are selected on. Main List Membership Manager’s Main List displays all of your family records and the individuals in those records. 32 Menu Bar Membership Manager’s Menu Bar is your way to get through all of the features and functions of Membership. File File contains menu items of System Preferences, Save, Cancel and Exit. System Preferences allows you to modify the way your Servant Keeper is setup and reacts on your PC Save, Saves and Closes any added or updated record information. Cancel, Cancels any added or updated record information. Exit, Exits the Membership Manager module. Edit Edit contains menu items of Undo, Cut, Copy, Paste, and Find. Undo reverses the last command or action performed in a record. Cut adds data to the clipboard by removing it from its original location. Copy adds data to the clipboard leaving the original data unchanged. Paste inserts the data copied to the clipboard into the document. Find allows you to search for individuals based on any field on the individual profile. Individual Individual contains menu items of View Picture, Send Email, Copy Address to Clipboard, View Map, Dial, Schedule Appointment, Quick Print, Edit Selected Individual, and Delete Select Individual. View Picture allows you to link and view a picture file to an individual profile. Send Email allows you to send an email to the highlighted individual. Copy Address to Clipboard, quickly copies the individual’s name and address information to the clipboard so that you can paste it onto a word processor document. View Map takes the specific individual’s address and requests a map from MapQuest.com. Dial allows you to use your computer to automatically dial the individual’s phone number directly from within Servant Keeper. Schedule Appointment allows you to schedule a appointment or activity for the selected individual. Quick Print will give you several printing options specific to the selected individual. Edit Selected Individual opens the selected individual’s profile screen. Delete Selected Individual will delete the selected individual’s record completely out of the database. Family Family contains menu items of View Main List, Add a New Family, Add Spouse to Family, Add Son to Family, Add Daughter to Family, Add Other to Family, View Picture, Send Email, Copy Address to Clipboard, View Map, Dial, Schedule Appointment, Quick Print, Edit Selected Individual, and Delete Select Individual. 33 View Main List allows you to open the main list if it is not visible on the screen. Add a New Family opens a new Head of Household individual profile screen Add Spouse to Family allows you to add a spouse to the selected family record. Add Son to Family allows you to add a son to the selected family record. Add Daughter to Family allows you to add a daughter to the selected family record. Add Other to Family allows you to add an other relationship to the selected family record. View Picture allows you to link and view a picture file to a family profile. Group Group contains menu items of Open Groups Keeper, View Tagged/Untagged, Globally Change Fields, Email Group, Export Group, Save Group to a List, Globally Adding Envelope Numbers, Refresh Results, Selected Record Options, and Delete All Tagged Records. Open Groups Keeper gives you access to the Groups Keeper Module. View Tagged/Untagged allows you to view all records, only the tagged records, or only the untagged records. Globally Change Fields allows you to globally change any field for the tagged records in the group displayed. Email Group allows you to mass email everyone in the group that has a valid email address. Export Group allows you to export the displayed fields to a text, excel, phone tree, or olan mills file. Save Group to a List allows you to create non changing static group, its like taking a picture of the displayed group. Globally Adding Envelope Numbers allows you to assign envelope numbers to the group in sequential order. Refresh Results allows you to refresh the list, by rerunning the search against the database to pick up any new changes. Selected Record Options give you access to a list of options, see the list under the individual menu. Delete All Tagged Records allows you to delete all tagged records in the displayed group, this completely deletes the records out of the database without any safety checks. Reports Reports contains menu items of Open Reports Manager and View Graphical Reports. 34 Menu Bar Open Reports Manager opens the report manager screen to show all the options available for the reports. View Graphical Reports opens up the Graphical Reports. Tools Tools contains menu items of Edit Attendance Dates, Edit Profile Tab Labels, Edit Field Lists, Zip Code Maintenance, and Change Password. Edit Attendance Dates allows you to globally change your attendance dates if you mistakenly entered attendance on the wrong date. Edit Profile Tab Labels allows you to change the tabs on both the family and the individual profile screens Edit Field Lists allows you to make mass changes to the drop down lists and the attribute multiple selection lists. Zip Code Maintenance allows you to setup you zip codes to give you quicker entry in your data entry process. Change Password allows you to change your password. Go Go contains menu items of Attendance Tracking, SK Writer, Contribution Manager, and Administration Manager. Attendance Tracking allows you access to the attendance tracking module. SK Writer allows you access to the SK Writer. Contribution Manager allows you access to the Contribution Manager. Administration Manager allows you access to the Administration Manager. Window The window menu will show you all available open windows in the current program. The items will be listed in the order that you opened them. Help Help contains menu items of Membership Manager Help, Contribution Manager Help, Administration Manager Help, Servant Keeper Help Desk, About Membership Manager. Membership Manager Help this help file you are reading now. Contribution Manager Help shows a help file for Contribution Manager. Administration Manager Help shows a help file for Administration Manager. Servant Keeper Help Desk shows all technical information for your Servant Keeper and your computer. [View Picture] allows you to link and view a picture file to an individual profile. 39 Main List Membership Manager’s Main List displays all of your family records and the individuals in those records. There are a few things to note as you look around your Main List. First you will see the Total Families in List and Database Totals for both the Families and Individuals. Under the totals bar you will notice the New Membership Button Bar. The first field you see on your Main List is the Select Group Drop Down List. This will limit which families are shown on the Main List. Next to the Select Group Drop down field is a [Clear List] button that will blank out your Select Group and Main List. Below the Select Group Drop down field is the Find Family search box. Below the Find Family search box will be the list of Families dependant on the Group you selected. To the right of the Family List are the Family Members. Above the Family Members screen is a [Select Fields] button that will allow you to add more fields to the Family Members side of the Main List. Lastly the Status Bar shows, Logged in as, the [Switch To] button and the Version number. 41 Profiles in Membership Manager Membership Manager is made up of Individual and Family Profile records. To add a new profile into your database you would just select the [Add] icon on the Tool bar or select Family | Add a new Family. Adding a New Family A Blank Head of Household Individual Profile opens and is ready to receive any information you have about the new individual you want to create the new family for. The minimum information needed to create a new individual is just the first and last name. All family records are started with an individual profile. 43 Individual Profile The individual profile information contains the name, address, basic contact information as well many other pieces of specific individual information that you can gather from the individual. Moving around the profile is rather easy. The user will notice that the profile screen is divided up into several "tabs" or profile tabs. Once information is entered into the profile tab, the user can navigate to other tabs by left clicking on that tab. You can go to any of the fields on the profile screen by simply using your mouse to click on the field you wish to enter information into, but the keyboard can also be used to move in a logical order from one field to the next. Using the <ENTER> or <TAB> keys will allow you to quickly walk through each field. If you go to far and want to move backwards, holding down the <SHIFT> key and pressing the <TAB>key will step you backwards through the fields. 45 Individual Profile Tab The individual profile tab contains the name, address, and basic contact information, as well as the individual’s church status information. 47 Attributes Tab You have 6 Attribute boxes that you can track a whole list of additional information such as Skills and Talents, Leadership Positions, Willing to Serve, Spiritual Gifts, Church Activities, and Individual Mail Codes. Double left click or single right click under the Attribute Header in the multiple selection list box to open up and be able to select the Attributes you want to assign to this individual. 49 Notes Tab New in Version 6, there are no longer 2 tabs for your General and Confidential Notes. They have been combined onto one Notes Tab and are both available to you under that tab. By selecting either the General or the Confidential tab under the Notes Tab will give you access to the different note sections. General This is an area where you can place any general comment or note about the individual. All users can see this tab unless they are limited by the System Administrator. Confidential This is an area where you can place any confidential note about the individual. Confidential notes are restricted to the User ID that put the note into the system, unless you opt to allow your notes to be shared with other users of the Servant Keeper system. 51 Important Events Tab The Important Events area is used to record information based on events in the individual’s life and their corresponding comments. Events such as births, deaths, graduations, awards, achievements, moves and other life changes are significant in understanding an individual’s background and mindset. You can print an important event report for the month showing highs and lows of people, indicating the need of prayer, maybe a card that needs to be sent, or an appointment that needs to be scheduled. 53 Alt Addr/Phone Tab Alternate Address This is where you will put the Individual’s Alternate Address. The Alternate Mailing Address is used when the individual’s are located at a different address but still want to receive mailings, newsletters, bulletins, etc. The Alternate Mailing Address will show up on individual mailing labels and individual church directories, based on the date range you assign to it. Other Phone Numbers This is where you can put in the individual’s Fax and Pager numbers along with three additional phone numbers. There is also an area that allows you to put in a seven digit extension for each additional phone number. Email / Website Addresses New to Version 6 is the ability to track multiple email address separately and an individual website address. You can also now mark these Emails and Websites as Unlisted to prevent them from showing up on reports. Next to each individual email address there is a send email button that allows you to quickly send an email to that specific address. Also there is a quick view web page button next to the Website Address field. 55 More Info Tab Cell Church Information The Cell Church Information fields are provided for churches with a cell church organizational structure. If your church does not use the cell church structure or if you use different terminology, these fields are also user defined or extra fields that can be renamed to fit your organization’s needs. User Defined (Extra), Attribute Boxes, Dates & Check Boxes New to Version 6, we have expanded the amount of User Defined (Extra) fields you have used to track information. The user defined (extra) fields allow you to tailor Servant Keeper to the needs of your organization, church, or ministry. This tab includes 5 text boxes, 5 Drop Down List boxes, two multiple selection (attribute) list boxes, 4 date fields, and 3 check boxes. Each and every one of these can be relabeled to anything your organization needs to track what we do not already have specified. Teacher Category & For School Class The Teacher Category field allows you to assign an individual as a Teacher or Helper for a Sunday School class. The For School Class field allows you to assign in which Sunday School class this person is a Teacher or Helper for. This person’s name will appear on the top of the Sunday School Class Roster. 57 Overview Tab Contributions The Contributions Overview tab provides those with the proper security access, quick access to view an individual’s contribution or pledge history. NOTE: No contributions can be added, modified or deleted from this view only tab. This screen contains a summary listing of contributions or pledges, depending on which radio button you select at the top left corner of the tab window. Default view is of contributions for the current year-to-date. This screen will display the Date, Amount, Type, Account Name, Tax, Check/Credit Card #, and Notes columns. All of the individual’s contributions will appear in chronological date order in the view window. Attendance The Attendance Overview tab provides, those with the proper security access, quick access to view an individual’s attendance history. NOTE: No attendance can be added, modified or deleted from this view only tab. 59 This screen shows attendance history throughout the current year, each month, by each week in that month. For each week during a month a number will appear indicating he number of events the individual has attended during that week. At the bottom of each month column is a total number of events attended during that month. By double-clicking on the number in the week cell or the month total cell a window will open to show exactly which events were attended and the dates of those events. 60 Family Profile The Family Profile contains information pertaining to the whole family. The Family Profile shows the family name, family address, status and phone information, as well as emergency contact information. You can group the family using the Mailing Codes, specifying if they receive the Newsletter or the Church Bulletin. The Family Profile also shows all the individuals and their relationship within the family. You can save general comments about the family on the Family Profile Notes tab. These is also a place to track alternate family address information for those family that may travel during the winter months, but still want to receive the Church Bulletins or Newsletters. You also have the option of tracking family relatives. From the Family Profile you can edit profiles of individuals in the family ([Edit Individual Profile]), you can remove an individual from the family ([Move to New Family]), or you can change the relationship of an individual in the family ([Change Relationship]). You can also change your Family Profile into an organization profile for tracking Churches, Businesses or Ministries. Every family has to start with a Head of Household, even if that family is actually an organization. So first put in the Contact or Organization leaders information, making sure you put in the organization name in the Employer field on the individual profile, because when you switch from a family to an organization the Employer field populates the Organization Name on the Organization Profile. You also want to remember that any changes to the family’s address information should be made on the Family Profile, because the Family Profile populates the individuals in that family instead of you having to change the information manually on each persons individual profile 61 Family Profile Tab The family profile tab contains the name, address, and basic family information. Most information on the family profile is copied automatically from the individual profile of the Head of Household. 63 Family Notes This is an area where you can place any general comment or note about the family. All users can see this tab unless they are limited by the System Administrator. 65 More Information Family Alternate Address This is where you will put the Family’s Alternate Address. Each and everyone of these can be relabeled to anything your organization needs to track. Relationships This section allows you to list other people related to the family. The individuals added here are not shown elsewhere in the program and are not linked to individuals already in the database. 67 Find One of the powerful features of Servant Keeper is the Find feature. By selecting Edit | Find, <Ctrl>+<F> keys, or by Clicking on the magnifying glass icon on the Tool Bar, you can search for individuals based on any field on the Individual Profile. By default, Find is set to search on Name/Env # field. You can specify for the find to Match the Case or to Include In-Active Records in the Search. And with certain fields you can do a Contains With search (i.e. like the Address 1 field). 69 Name/Env# Search The Name/Env # selection allows searching for an individual’s envelope number, a first name, a last name, or a combination of the first and last name. The Find Feature will take everything to the left of the first space and apply it to searching in the first name field and everything after the first space and apply it to the last name field. If no spaces are used then Find assumes only an envelope number or a last name search. Envelope # Search If you enter an envelope number in the Search For: field the system will quickly find and display the individual’s name when you Click the [Find] button or press the Enter key. Press the Enter key or double-Clicking on the individual’s name will open their Individual Profile. NOTE: If the envelope # is not assigned to an individual, no name will be displayed. First Name Search If you enter any characters followed by a space ‘jo ‘, Find will search the whole database for any individual whose first name begins with those characters. This search would find names like ‘Jon’, ‘John’, ‘JoAnn’, ‘Jonathon’, ‘Jorge’, etc. any first name that begins with ‘jo’. Last Name Search 71 If you enter any characters without a space ‘s’, Find will search the whole database for any individual whose last name begins with those characters. This search would find names like ‘Smith’, ‘Steinbacher’, ‘Strickland’, etc. any last name that begins with ‘s’. NOTE: If the last name has a space in it, ‘Van Morrison’ you cannot search on this last name alone because of the space. You would have to search on either ‘V’ or ‘Van’ or by using the first character of the first name and then the first character of the last name. First and Last Name Search If you enter someones full name ‘Ed Newman’ or just their initials ‘e n’ both search in similar manners. Everything to the left of the first space is searched for in the first name field and everything to the right of the first space is searched for in the last name field. Where they differ is that the first search will be narrowed down to just those individuals with the first name of ‘Ed’ and the last name of ‘Newman’, but the second search will find anyone whose first name starts with ‘e’ and last name starts with ‘n’. The best way to search for individuals is by a few characters of their first name ‘ed’ and a few characters of their last name ‘ne’. This can narrow down the search much more effectively. 72 Searching by other fields You are not limited to searching on the Name/Env# field. If you select the Search In: Drop Down List, you will notice that you have every field from the Individual Profile available for you to search on. New in Version 6 is the ability to search within fields, like being able to use the Address 1 field and search for something that is contained within the Address 1 field. For all other fields the search uses a "starts with" search. Using the Mouse You can Click on the Search In Drop Down List and Click on the field you wish to search in. Click in the Search For field. If the field is a text box just type in the Value you want to search for. If the field is a Drop Down then you Click the drop down arrow and scroll down and Click on the value you want to search for. Then Click on the [Find] button. Using the Keyboard You can Shift-Tab to highlight in the Search In" Drop Down List and start to type the field name you want to Search In. Then press the Enter or Tab Key to move to the Search For field. If the field is a text box just type in the Value you want to search for. If the field is a Drop Down then you can start typing in the value to find it in the Drop Down List and press Enter to select the value. Press the <Enter> key to begin the search Partial Word Searches Anytime you are running a search you can search on the beginning of the word. By typing in the first few beginning characters of your search value your search will be expanded to include all values that start with those characters. (i.e. Search In: Last Name; Search For: Sm; This will show all individual’s whose last name begins with ‘Sm’.) NOTE: This Partial search only works on the Text box and Phone number fields. Drop Down List and Date fields need to have a specific value in for them. 73 Groups Keeper Groups Keeper is the user’s tool for searching and categorizing people based on information previously entered into the system. "Groups" are saved searches or queries that are updated each time you view them. When a group is viewed or accessed, it searches for people who fit that exact criteria at the present time. Users can create an unlimited amount of Groups in Servant Keeper. 75 Groups Keeper Buttons Add Group - Open a New Create/Edit Group Screen. Copy Group - Makes a duplicate copy of the highlighted group. Edit Group - Opens the currently highlighted group for editing. Delete Group - Deletes the currently highlighted group. Display Group - Displays the results from the highlighted group. Close - Exits Groups Keeper Add Group This button opens a new Create/Edit Group screen that will allow you to create your new group based off of any number of search criteria you want. Copy Group This button makes an exact copy of the currently highlighted group. Often you may want to create a group similar to one that already exists, but without destroying the original group. This feature is useful for when you have created complex search criteria and want to make multiple groups based off of the original one. Edit Group This button opens the currently highlighted group into the Create/Edit Group screen so you can make modifications to the existing search criteria. This is useful especially if a mistake was made initially in creating the search criteria, the Edit Group button allows one to edit the existing group without having to recreate the whole group from the beginning. Delete Group This button deletes the currently highlighted group. If a group is no longer needed the delete button will remove the group. Display Group This button displays the results of the currently highlighted group in the Display Tab of Groups Keeper. Close This button will close out the Groups Keeper feature. 77 Adding a Group This button opens a new Create/Edit Group screen that will allow you to create your new group based off of any number of search criteria you want. 1. Click on the [Add Group] button. 2. This will open a blank Create/Edit Group screen. 3. Give the newly created group a name in the "Enter a name for the group" field. A group name is required for you to be able to save and reuse this group again. NOTE: If you do not give the group a name it will be given a "~~ Temporary Group ~~" name. 4. Next select what type of group this is under the "List the search results using" radio button, either for Individuals or Families. 5. "Choose Search fields from:" drop down allows you to narrow the fields you can look through. The default is Show All Fields. 6. Build your search conditions using the: "1. Select a field to search.", "2. Select how to search the field.", "3. Enter the item to search for.", and ‘4. Add Criteria.". Repeat these steps for additional search criteria. NOTE: If you make a mistake entering in the criteria or need to duplicate a line, you have some tool buttons where you can [Copy Line], [Delete Line], or [Clear All]. 79 [Copy Line] - Adds a duplicate line from the line that is highlighted. [Delete Line] - Removes highlighted criteria line from the search criteria list. [Clear All] - Clears all search criteria. 7. Click on the [Save and Search] button to save the newly created group and display the results in the Display Tab, or click on the [Save] button to save the group and go back to the Create/Select Tab. 80 Display Group Buttons Select Fields - Allows you to select what fields you want to show on the Display Tab Un-tag All - Will untag every record in the current displayed group Tag All - Will tag every record in the current displayed group Reverse Tag - Will reverse who is tagged to untagged and visa versa. Options - Many additional functions and features. Merge - Allows you to merge the tagged records with an SK Writer document Print - Prints the Display Group list Search - Searches the Display Group based on fields available Close - Closes out of Groups Keeper Select Fields The Select Fields button allows you to view which ever fields you want to on your find display window. When you click the [Select Fields] button a window with two selection lists opens. The list on the left side is all the fields available from the Individual or Family profile, depending on the type of group you are viewing, ‘Available Fields’. The list on the right is the currently selected fields to display on the screen, ‘Fields Displayed in Order’. Un-tag All This button removes the check from the tag box in front of every record on the Display Tab. All untagged records will appear light grey with an empty check box in front of the record. Tag All This button puts the check in the tag box in front of every record on the Display Tab. All tagged records will appear dark with a checked box in front of the record. Reverse Tag This button reverses the tagged and untagged records on the Display Tab. All records that are tagged will now be untagged and all untagged will be tagged. This can be very useful if you split a group into two halves by un-tagging a section of the group then want to perform a feature on the untagged records. Options 81 This button gives you access to advanced features and functions that will allow you to manipulate the group you are displaying. Globally Change Fields - Allows you to globally add, change, or remove information from the selected records on the Display Tab. Email Group - Allows you to mass email every tagged record on the Display Tab. Export Group - Will export all information on the Display Tab to a Text, Excel, or Phone Tree file. Olan Mills export is only available on a Family Group. Save Group as List - Allows you to freeze the Display Tab. In essence making a static group. Globally Adding Envelope Numbers - (Individual groups only) This allows you to globally assign envelope numbers to the tagged individuals in display order. Delete All Tagged Records - This will delete all the tagged records from the Database. Selected Record Options - This varies depending if you are viewing an Individual or a Family Group. Refresh Results - <F5> is the quick key for this feature. This reruns the search criteria and will display the most current information. Merge This button allows you to Merge the Displayed Group with an existing SK Writer document. Print This button will print the results of the displayed group to the screen/printer. Search This button allows you to search for records in the results of the displayed group by the fields that are displayed. NOTE: You can only search in the display fields, the fields you selected in the Select Fields window. Close This button will close out the Groups Keeper feature. 82 Report Manager Membership’s Report Manager is designed to allow you the freedom of showing or hiding specific pieces of information a number of different ways on your Labels, Church Directories and other reports. Standard Reports Mailing Labels & Post Cards This report prints the Mailing Labels & Post Cards. There are a number of options to choose from when printing your mailing labels and post cards. You can choose between individual and family labels and 1, 2 or 3 column labels. Envelopes This report prints an envelope for each individual or family. Name Tags This report prints one Name Tag for each individual. Rotary Cards This report prints rotary cards for each individual or family. Family Directories This report prints family directories. Individual Directories This report prints individual directories. Picture Directories This report prints family or individual picture directories. Attendance This report prints an attendance report. Birthday This report prints a Birthday report. Important Events This report prints the Important Events report. Anniversary This report prints the Anniversary report. Baptism This report prints the Baptism report. Profile Reports This report prints individual or family profile reports. Schedule/Visitation These reports print Schedule and Visitation Reports. Miscellaneous Reports This report lets you select one of 6 different miscellaneous reports. You also have the ability to re-title the report. Family Address Master List 83 Prints the Family Profile’s Mailing Name, Salutation, Address, Home Phone, Geographical Code, Alt Address, and Last Updated information. Family Geographic Zone Report Prints the Family Profile’s Display Name, Individual Members, Address and Home Phone Individual Listing Prints the Individual Profile’s Last, First and Preferred Names, Birthday, Address, Home and Work Phone, Member Status and Last Updated information. Individual Attribute Report Prints the Individual Profile’s Last, First and Preferred Name, Home Phone, Work Phone, and any attribute that is on the profile. Family Zip Code Summary Prints the Zip Code and how many families are located in the zip code. Then shows the accumulative total. Individual Zip Code Summary Prints the Zip Code and how many individuals are located in that zip code. Then shows the accumulative total. 84 Scheduling Appointments Revamped for Version 6. Servant Keeper allows you to schedule a appointment or activity for a selected individual and also gives you the ability to assign staff members. These appointments or activities might include such things as phone calls, meetings, visits, hospital calls, etc. Once appointments have been assigned to individuals there are a number of reports that you can generate on that information. 85 Scheduled Tab Buttons [Email] - Allows you to email the selected individual from the Schedule Appointment window. [Dial] - Allows you to use the auto dialer built into Servant Keeper, to call the individual. [View Map] - Allows you to generate a Web Map to the individual’s home address. [Add] - Allows you to add a new appointment record for this individual. [Edit] - Allows you to edit an existing appointment record for this individual. [Delete] - Allows you to delete an existing appointment record for this individual. [Complete Appointment] - Completes the appointment and moves it from the Scheduled Tab to the Completed Tab. 87 Adding a new scheduled appointment To add a new appointment. 1. Click to highlight the individual on the Main List or open the individual’s profile record. 2. Click on the [Schedule] icon on the Tool Bar or select Individual | Schedule Appointment. 3. Click on the [Add] button to open the Schedule Appointment window. 4. Fill in the "Date:" field with the date of the appointment. 5. Fill in the "Time:" field with the time of the appointment. 6. Select a type from the "Appointment Type:" drop down list. NOTE: You are able to modify the Appointment Type drop down list by right clicking on the drop down arrow. 7. You can assign other staff members to the appointment in the "Assign to User(s):" check box list. 8. Type in any notes or comments from the appointment. 9. Click on the [Save] button to save the appointment in the individual’s profile. 89 Completing a scheduled appointment To complete a appointment. 1. Click to highlight the individual on the Main List or open the individual’s profile record. 2. Click on the [Schedule] icon on the Tool Bar or select Individual | Schedule Appointment. 3. Click on the appointment to be completed. 4. Click on the [Complete Appointment] button. 5. Change the Date and Time fields if necessary. 6. Fill in any final notes or comments you might have about the appointment. 7. Click on the [Save] button to save the appointment in the individual’s profile. 91 Attendance Tracking Attendance Tracking is essential for the growing church. Servant Keeper’s Attendance Tracking has been designed to track attendance using two methods, by people and by total count. Attendance Tracking allows for taking attendance very easily for events that occur regularly such as weekend and midweek Worship services, Sunday School classes, choir rehearsals, weekly Bible studies, Church Activities, Small Groups, etc. 93 Attendance Tracking Icons Worship - Track unlimited Worship events. School - Track your school attendance. Activities - Tracks your activities and functions. Add Visitor - Add a visitor to an event. Rosters - Print out rosters for the event selected. Find - Search Servant Keeper for an individual to attend the event. 95 Taking attendance 1. Open Attendance Tracking. Click on the [Attend] icon or from the Tool Bar, Select Go | Attendance Tracking, to open the Attendance Tracking window. 2. Select an Event. Click on one of the event icons: Worship, School, or Activities. 3. Change the attendance date. The default date is set to the Sunday of the current week. You can change the date by retyping the date in or selecting the date off the calendar. NOTE: The <F2> key clears the date field, <F3> key puts in todays date, and <F4> key will open the calendar. 4. Record you attendance. Either By Person (Detailed) or By Total Count (Summary) 5. Save your attendance. Click on the [Save Attendance] button to save attendance. Your attendance window will remain open until you close it. 6. Close the attendance window. Click on the [Close] button to exit out of the Attendance Tracking window. 97 Taking Family Worship Attendance If in your system preferences, on the Attendance Tab, you have the "Attend by Family for Worship Service Attendance" checked, then your Worship Group list will be Family Groups only. 1. Select a Family Group. 2. To attend the whole family. a. Click on the family name b. Press the <Enter> key or drag and drop to move the family to the attendee(s) side. 3. To attend individuals from inside a family, Click the [+] next to the family name to expand the family to see each individual. a. Click to highlight the individual to be attended. b. Double left click, press the <Enter> key or drag and drop to move the individual to the attendee(s) window. 99 4. To find a specific family you can use the "Find:" box, above the Absentee(s) list, to type in the families last name for an automatic search of the family group you have selected. 5. To find a specific individual to attend, use the [Find] icon and you can search the entire Servant Keeper database. a. Once you find the individual to attend, double click or press the <Enter> key to attend that individual. 100 6. You can also attend everyone in the group that you have selected by pressing the [Everyone >] button. This will move everyone from the Absentee(s) window into the Attendee(s) window. You will then need to "unattend" any individuals from the attendee(s) side by double clicking on their individual name. 7. In Worship Events you can use the [$$ Givers >] button to attend individuals you have entered contribution in for that specific Worship event date. STOP: The Contributions have to be entered into the Contribution Manager before this button will attend anyone. 101 Taking Individual Attendance If in your system preferences, on the Attendance Tab, you do not have the "Attend by Family for Worship Service Attendance" checked, then your Worship Groups will be Individual Groups only. 1. Select an Individual Group (For Worship events only) or for School or Activities events a list of individuals will automatically appear. 2. Click to highlight the individual to be attended. 3. Double left click, press the <Enter> key or drag and drop to move the individual to the attendee(s) window. 4. To find a specific individual you can use the "Find:" box, above the Absentee(s) list, to type in the individual’s last name for an automatic search of the individual group you have selected. 103 5. To find a specific individual, not in the Absentee(s) list, to attend, use the [Find] icon and you can search the entire Servant Keeper database. a. Once you find the individual to attend, double click or press the <Enter> key to attend that individual. NOTE: For School and Activities events, using the [Find] icon will put that School or Activity on the individual’s profile record. 6. You can also attend everyone in the group that you have selected by pressing the [Everyone >] button. This will move everyone from the Absentee(s) window into the Attendee(s) window. You will then need to "unattend" any individuals from the attendee(s) side by double clicking on their individual name. 7. In Worship Events you can use the [$$ Givers >] button to attend individuals you have entered contribution in for that specific Worship event date. STOP: The Contributions have to be entered into the Contribution Manager before this button will attend anyone. 104 Add Visitor As you are entering your attendance, you are able to add a new individual to the database as a visitor without having to close the Attendance Tracking. Adding a new visitor 1. Click on the [Add Visitor] icon. 2. Click on the [New Family] icon or one of the [Spouse], [Son], [Daughter], or [Other] icons. 3. The [New Family] icon will open the Add Visitor window. 4. Fill in all the known information. Remember that you need at least a First and Last Name to create a visitor record. 105 5. Click on the [Save] button. This will create a new family and individual record for this visitor, with the record marked as a visitor. NOTE: When adding visitors to School or Activity events, the School or Activity will be added to the visitor’s profile. This will allow those visitors to be included on the rosters. 106 Rosters Attendance Tracking allows you to print Rosters to track the attendance manually. You can hand these sheest out to teachers and helpers to track attendance. 1 Month This roster prints a landscaped report of the Individual’s Name, Phone number and Birthdate, with spaces to record attendance for 1 month, daily starting from the "Choose the Roster Date" button. 3 Month This roster prints a landscaped report of the Individual’s Name, Phone number and Birthdate, with spaces to record attendance for 3 months, weekly starting from the "Choose the Roster Date" button. 6 Month This roster prints a landscaped report of the Individual’s Name, Phone number and Birthdate, with spaces to record attendance for 6 months, weekly starting from the "Choose the Roster Date" button. 13 Week History This roster prints a landscaped report of Individual Name, Phone Number and Birthdate with 13 week boxes of attendance history and space for the remainder of the current month for new attendance. Weekly This roster prints a three column listing with one check box for each individual. Print Roster Blank This check box under Roster Options allows you to print a blank sheet for all of the Rosters with the exception of the 1 Month Roster. Print Date on Roster This check box under Roster Options allows you to print the Selected "Choose the Roster Date" Date on the Roster. 107 Edit Attendance Dates This will allow you to globally change your Attendance Dates if you mistakenly entered in attendance on the wrong date. 1. Select Tools | Edit Attendance Dates. 2. Select the Specific Event you need to change the date for. 3. Enter the incorrect date in the first date field labeled: Enter event date to be changed. 4. Enter in the correct date in the second date field labeled: Enter new event date. 5. Click the [OK] button 6. Click the [Yes] button to confirm the change. 7. The next box will let you know exactly how many attendance records have been modify. Press [OK] to close this window. 109 Edit Profile Tab Labels This will allow you to change the tabs on both the Family and the Individual Profile screens. 1. Select Tools | Edit Profile Tab Labels. 2. Select the profile tab box you want to change and delete the contents of the box. 3. Enter in the label name the way you want it to appear. NOTE: These changes are made database wide, so any changes done will be seen throughout the whole system. NOTE: If you place an ampersand (&) before a character in the profile label that creates a shortcut key for that profile tab. (i.e. &Profile - <Alt>+<P>, Family &Notes - <Alt>+<N>, &More Info <Alt>+<M>) 4. Press the [Save] button to confirm the changes. Or [Cancel] to disregard the changes. 111 Edit Field Lists This will allow you to make mass changes to the Drop Down List and the Attribute Multiple Selection Lists. 1. Select Tools | Edit Field Lists. 2. Select the Field Type you want to view. 3. Select which field you wish to modify. 4. Select which operation you would like to perform. [Add Item], [Edit Item], [Delete Item], [Print]. [Add Item] Allows you to add new items directly into the list you are currently selected on. This is an easier way to add a list of items to your Drop Down Lists or your Multiple Selection Lists [Edit Item] Allows you to Edit the currently selected item description, also to make changes if the spelling is incorrect. [Delete Item] Allows you to delete the currently selected item from the list. [Print] Allows you to print all the master lists for each Drop Down List and Multiple Selection List. You can either print the currently selected list alone or you can print all of the lists. 113 Zip Code Maintenance This allows you to setup your zip codes to give you quicker entry in your data entry process by putting in the zip code and have the system enter in the city and state. To add Zip Codes into the Zip Code Table 1. Select Tools | Zip Code Maintenance. 2. Select the State you want to add a Zip Code to and press the [+] next to the State, if one exists then skip to step 4. 3. If there is no [+] or if your City does not exist, under the select State, then press the [+ Add City] button. Type in the City Name and Click the [OK] button or Press the Enter Key. 4. Highlight the City Name and press the [+ Add Zip Code] button. Type in the Zip Code and Click the [OK] button or Press the Enter Key. 5. Repeat for additional Zip Codes. It may just happen that the Zip Code Table may get inundated with incorrect zip codes or cities that you do not use. Or it may just be that a zip code was entered incorrectly into the table. There are other options to take care of these situations. Other options in the Zip Code Maintenance 1. Select Tools | Zip Code Maintenance. 2. If a State is not being used or is in the table incorrectly then highlight the State name and press the [X Delete State] button. 3. If the State is spelled incorrectly and you want to keep the information then you can use the [Edit State] button to make corrections. 4. If a City is not being used or is in the table incorrectly then highlight the City name and press the [X Delete City] button. 115 5. If the City is spelled incorrectly and you want to keep the information then you can use the [Edit City] button to make corrections. 6. If a Zip Code is not being used or is in the table incorrectly then highlight the Zip Code name and press the [X Delete Zip Code] button. 7. If the Zip Code was typed incorrectly and you want to keep the information then you can use the [Edit Zip Code] button to make corrections. Searching in the Zip Code Maintenance 1. Select Tools | Zip Code Maintenance. 2. Select either the City or Zip Code radio button. 3. Type in the City name or the Zip Code, depending on the radio button selected. 4. Press the [Find] button or press the Enter Key. 5. The Zip Code Maintenance will search through and highlight on the City or Zip Code you are searching for. If the City or Zip Code do not exist nothing will happen. 116 Change Password This allows you to reset your the Password for you User ID. 1. Select Tools | Change Password. 2. Enter your Current Password in the First Box: Enter Your Old Password. 3. Enter in the New Password in the Second Box: New Password. 4. Enter in the New Password in the Third Box: Type New Password Again. 5. Click the [Save] button or press the Enter Key. Pressing the [Cancel] button will disregard the password changes. 117 System Preferences Allows you to setup the system preferences for the computer you are on for Servant Keeper. System Preferences are computer specific and can vary from computer to computer. To access system preferences Select File | System Preferences. Navigating System Preferences There are three tabs in System Preferences: Defaults, Attendance and Miscellaneous 119 Defaults Tab The Defaults tab allows you to setup your default City, State, Zip, Carrier Sort, Country, Area Code, and Phone Format for when you add a new profile to your Membership. You can turn the Carrier Sort and the Country on/off of the individual entry screen. You can also elect to show the Middle Name or the Delivery Point on the individual entry screen. And you can skip the City and State fields when entering address information and go directly to the Zip Code field for the Auto Zip Code Fill. 121 Attendance Tab The Attendance tab lets you setup how you want your attendance tracking to show up. You can set it to Detailed or Summary Attendance. Also some options available: Automatically display everyone for Worship Service Attendance Attend by Family for Worship Service Attendance Use Monday as first day of the week for attendance reports After adding a visitor, allow to prompt for add more records 123 Miscellaneous Tab The Miscellaneous tab holds the remainder of the Membership System Preferences. When opening Main List, display Last Group Selected Do not use Mr. & Mrs. or other titles when entering a new family profile Use Preferred Name on Reports and Mailing Labels Show ages for individuals 19 and older on the Family Profile Update the last name of the spouse when linking to a Family Profile Update the family last name when updating the Head of Household Prompt to backup the database when exiting the program Do not show Bible Verses on the logon screen 125 Change Relationship This allows you to change the relationship of an individual within the family. The need may arise when you have to change the relationship of an individual within the family. Usually this occurs when an individual marries, divorces, separates, adopts a child, or becomes deceased. To change an individual’s relationship, highlight the individual you wish to change. Click on the [Change Relationship] button and select a new relationship from the Relationship window. NOTE: You should not have more than one Head of Household relationship in any one family record. 127 Edit Individual Opens the individual profile for the individual currently selected in the family list box. You can update the individual profile from within the family profile window by double-clicking the individual or by highlighting the individual and click the [Edit Individual] button. 129 Move to New Family This feature moves the selected individual into their own family record or into an existing Family record. When moving an individual into a New Family the individual becomes the Head of Household of that new family record. From the Family Profile, select the individual you wish to move and click on the [Move to New Family] button. Then select the Create New Family… option. You will then see the Move to New Family window allowing you to modify the individual’s record before actually creating the New Family record. When moving someone into an existing family’s record, that person can be any relationship you select. From the Family Profile, select the individual you wish to move and click on the [Move to New Family] button. Then select an icon under the Add to existing family as… option. You can add individuals to an existing family as a Spouse, Son, Daughter, or Other. By selecting the relationship type you will get a find window for you to search for the existing family. When you find the family you wish to move the individual to, highlight their name and either double-click on the directory name or click on the [Move to selected family] button. You will then see the Move to New Family window allowing you to modify the individual’s record before actually moving them into the New Family record. 131 Creating an Organization There are two ways to create an Organization. First you can create one by selecting the Down Arrow next to the [Add] icon on the Tool Bar and select Add New Organization or select Family | Add New Organization. The second way that you can create an organization is by Converting a Family Record to an Organization record. Clicking the [Convert Family to Organization] button at the bottom of the Family Profile screen 133 What’s New The Administration Manager is the module of Servant Keeper that allows you to manage users, backup and restore data, and optimize the database. Other features of the Administration Manager include a grade school promotion tool, a tool to view users, and a screen to enter your church name, address, and other information. 135 Using SK Writer SK Writer is split into 2 sections. The left side is the "Data Field" side with the fields from both membership and contribution records. These fields can be inserted any place in the document template. The right side is the "edit" or "document template" side where you place the data fields and type the body of your document as well as format the layout of the document. 137 Page Setup File | Page Setup allows you to change the margins and orientation of the document. 139 Creating SK Writer Documents Creating Merge Documents in SK Writer is very simple. SK Writer has all the functionality of word processors that you are already familiar with using plus an easy to use "data field" selection window. 1. Place your cursor at the place in the document where you want to insert the first "data field". 2. From the left "data" side of the SK Writer window, find the data field you want to insert, selecting from either the Individual, Family or Pledge fields. 3. Expand the selection by selecting one of them from the "Data Field Categories" drop down list. 4. Find and Double Click on the field you want to insert into your document. 5. Repeat these steps, formatting the document as you go, and adding the body text in the correct placement. NOTE: Do not open and edit SK Writer documents in any other word processor. Doing so would change the structure of the merge fields in the document and the document will no longer work properly when merging from Servant Keeper. 141 Inserting A Data Field To insert a data field just find the field you want on the left "data" side of the SK Writer window and double click on it. You can also select the field and hit the <ENTER> key on your keyboard. This will insert the "data field" into the document at the place of your cursor. 143 Inserting Symbols If you need to insert a special character into your document you can insert if from the symbols window. To open the symbols window click Insert | Symbols. Then select the font that contains the symbol you need. Then double click on the symbol, it will be placed where your cursor is in your document. 145 146 Inserting Page Breaks Insert | Page Break will allow you to have multiple page documents that go to one Individual or Family. 147 End of Document Merge Breaks Insert | End of Document Merge Break tells SK Writer that this is where the Merge Ends and the Next Merge letter should begin after this. End of Document Merge Break acts like a Page Break except the next page to come out will be for the next Individual or Family record. 149 Inserting Pictures You can insert pictures of type JPG, BMP, or WMF into your SK Writer documents. You could insert an image on a mailing or scan in your letterhead graphic and use it on all your correspondence. To insert the image select Insert | Picture Then browse your computer to find the image. Then double click on the image to insert it into your document. 151 NOTE: Right clicking on the image itself in the document will allow you to move it and place it in relation to the text of your document. 152 Insert Date, Time, Page Numbers, Page Count, Headers and Footers You can insert dates, time stamps, page numbers and page counts into your SK Writer document. All of these are located under the Insert menu. Select the item you want and it will be placed in your document at the position of your cursor. You can also add Headers and Footer to your documents. 153 154 Toolbar in SK Writer The SK Writer Toolbar contains the common functions found in many word processors. Moving your mouse over top of the icon will reveal a balloon popup telling you what the icon is a shortcut for. The first six icons are, New Document, Open, Save, Print, Print-Preview, and Spell Check. Next three are Font Type, Font Size, and Font Color. The Next seven are Bold, Italics, Underline, Align Left, Align Center, Align Right and Justified. Next three are Insert End of Document Merge Break, Insert Print Date and Insert Picture. Next four are Numbered List, Bullet List, Decrease Indent, and Increase Indent. And the Last three are Zoom Percentage, Zoom Out and Zoom In. 155 Spell Checking and Using the Thesaurus When you are finished creating your document you can use the built in Spell Checker in SK Writer. Select Tools | Spell Check… or select the 6th icon on the SK Writer Toolbar or press the <F7> key on your keyboard. You also have built into SK Writer a fully functioning Thesaurus. Just highlight the word you want to check in the Thesaurus and select Tools | Thesaurus or press <SHIFT>+<F7>. 157 Formatting Documents You have a list of options under the Format menu in SK Writer. You can format your Paragraphs. You can modify your Tab Stops. 159 You can select different types of Bullets. You can format the Indenting. You can also place borders around lines of text and images. 160 Formatting Documents 161 Merging Documents Merging to your documents are not done in the SK Writer Program. The Merge function is connected to Groups Keeper for greater control over what records you merge to your document. To Merge to a document follow these steps. 1. Open Groups Keeper. 2. Run the group you want to use for the merge by double clicking on it. 3. Click the [MERGE] button located at the top of the Groups Keeper Display window. 4. The SK Writer Open dialog box will appear and wait for you to select what document you want to merge the displayed group with. 163 5. One the merge is complete you will be in a Print Preview screen 6. Click on the [PRINT] button to Print the Merged Documents or Click on the [EXIT] button to close without printing. 164 Contribution Manager What's New Contribution Entry is even more streamlined with the modification of the entry area and the refined handling of how split transactions are entered. You no longer enter a total and then split that total among accounts. You simply enter each part of the split as a line item and the total gift is calculated for you. The Contribution Entry Log (previously called "Contribution Proof List") is now located at the bottom of the Contribution Manager screen and you can print the Proof List and Account Summary reports from the main Contribution Manager screen. In Contribution Entry screen, ability to fresh contribution log to reflect entries entered by other users for the same batch. Easy to add/open multiple batches. Supports two kinds of Check scanners. Contribution Manager now handles and manages Credit Card entries with the ability to enter multiple credit cards for each contributor. Enhanced searching of Organizations for Contribution Entry. Allow to verify bank deposit and print unposted reports right in the Posting screen. More streamlined posting process. New SK Check Scanner Profile setup screen. New credit card profile setup screen. All credit card data are encryped and sercured by separate access rights and password protected. Can activate or de-active accounts. All inactive accounts are automatically grouped under the Inactive Group folder. Enhanced grouping of regular and pledge accounts with the new "Group by Account" feature that allows you to select which Group Account a regular account directly from the Add/ Edit Account screen. Streamlined pledge setup with the ability to select people by name or by group for pledge assignment with the ability to tag the people you want to setup for a pledge, and then globally assign them to a pledge. No longer do you need to assign people to a pledge account one by one. Begin and End Dates are no longer needed for pledge accounts. Easy and more integrated Pledge Tracking module. Improved Move Contributions feature to allow user to move contributions into a 'Loose Plate' account. Greatly improved Contribution, Pledge, and Account listing features that include exporting and SK Writer Merging options while viewing list data by Individual Details, Individual Summaries, or Family Summaries with search and filter options by Person or by Groups. Ability to select fields other fields from the database and displays them in the listing along with contribution data. Ability to change font on all lists Ability to export the on-screen list data to CSV, TXT, and Microsoft Excel XLS files. Merge to SK Writer documents right from the Contribution Listing screens. UnTag, Tag, and Reverse Tag buttons for easier selection of list information for printing, exporting, and merging. 165 Toolbar buttons added for direct access to the following Contribution Manager features: 166 • Batch Reports • Contribution Statements • Batch Manager • Contribution Listing Getting Started If you are new to Servant Keeper and the Contribution Manager, it is recommended that you do the following before entering and posting any contributions. 1. Setup any regular, pledge, or group accounts you need using the instructions found in the Account Setup section of this help file. You can track an unlimited number of accounts and group them by categories using the group account features. 2. If you want to use an accounting program for other non-contribution related accounting functions, configure the Contribution Manager to link your contribution accounts to your accounting program using the instructions found in the Accounting Program Link section of this help file. 3. Also make sure to setup all the Church Information in the Administration Manager so that your Reports from Contributions have the Church Name and other organizational information. Once these 3 items are complete you will be ready to start using the Contribution Manager. 167 Terms and Conventions Throughout this help file we will be using terms and conventions to help guide you though using the Administration Manager and it’s many useful features. Below describes how these terms and conventions are used and what they mean. Menu Bar: The horizontal menu that appears at top of a program. Usually, each word in a menu bar when clicked will open a pull-down menu with additional options. When guiding you through using the menu bar we will use the convention of: Tools | Church Information... to show the navigation in a menu to choose an option as shown below. 168 Getting Started Contribution Manager Toolbar Note: Not all toolbar buttons are active at the same time. Some buttons become active only after certain operations are performed. Entry: Opens the Contribution Entry screen. Post Batch: Start the process of Posting Contributions. BatchInfo: Opens the Batch Information for editing. Verify: Opens the Bank Deposit Verification tool. Cash Calc: Opens the Currency Calculator. Calculator: Opens the Microsoft Calculator. Pledges: Opens the Pledge Tracking window. Accounts: Opens the Account Setup. Reports: Give you quick access to the Report Manager. Statements: Opens the Contribution Report Manager to the Contribution Statements section. Batch Mgr: Opens the Batch Manager that allows you to create and manage multiple batches. Listing: Allows you to select which Contribution Listing you want to view. Export: Opens the Exporting Contributions screen that allows you to search and select contributions to export based on Individuals, Families, or Accounts. Help: Opens this help file! 169 170 System Preferences The System Preferences section allows you to configure the various features of the Contribution Manager. To open the Contribution System Preferences follow these steps: 1. Click File | System Preferences... The System Preferences have two types of preferences, System-Level and Desktop (User) –Level. SystemLevel preferences effect the whole Servant Keeper Contribution system, where as Desktop-Level only affect the current Desktop you are setting them up on. Desktop-Level preferences are designated by an asterisk ( * ) to the right of the preference. 171 Entry Tab The first tab is Entry. Options here are related to the contribution entry process and what features are active or available while entering. Default Cash/Check/Credit Card Account section you can select to always default to a selected account set in the Initial Entry Account drop down list, or you can Default to the last selected account. Default to following account will always start your entry with the Initial Entry Account for every contribution entry . Default to last selected account will keep the last account from the previous saved Contribution Entry. Default Non-Cash/Other Account section you can select the Initial Entry Account that is automatically filled in when you select the Non-Cash/Other radio button on the Contribution Entry screen. 172 System Preferences Posting Tab The second tab is the Posting tab. Options here are related to posting to an external accounting program like Quicken, or QuickBooks. For more information on configuring the Accounts to Link to an accounting program see Account Program Link setup. 173 Miscellaneous Tab The third tab is the Miscellaneous tab. Options not related to the other tabs are listed here. 174 Working With Accounts Account Types Regular Accounts: Regular accounts hold only contribution transactions and cannot hold other accounts. Pledge Accounts: Pledge accounts are like regular accounts with special attributes like pledge goal and pledge duration. These accounts are setup with individuals who have pledged and are giving contributions to this pledge account. See Pledge Accounts for more information on setting up pledge accounts and adding pledges. Group Accounts: Group Accounts are containers that can hold regular and pledge accounts. They provide an easy way to group categories of accounts together to better manage your account list. For example, you might group all your pledge accounts together by a group accounts called "Pledge Accounts". For information on setting up new accounts or editing existing accounts see Account Setup. For information on deactivating accounts see Deactivating Accounts. For information on merging account data see Merging Accounts. 175 Account Setup The Account Setup process has been improved to give you more control over the accounts in the account list. To enter new accounts follow these steps: 1. Click the Accounts button on the toolbar to open the Account Setup screen. Figure 1 Figure 1 1. Click the Add button to start adding a new account. Figure 1 176 Figure 2 2. a. First select the Account Type. Regular, Pledge or Group. b. Second enter a name for the new account. A unique name is needed for each account. You can also enter an Account Code if desired. An Account Code is used for quicker selection of the Account you want to select. c. To better manage this account you could group it together by selecting a Group by account. The items listed in the Group by drop list are the group accounts that have been previously created. 3. Optionally you can link the account to an income account in your accounting program. See Accounting Program Link for more help on this topic. 4. Click Save when you are finished with the account setup. 177 Accounting Program Link To setup the link to your Accounting Program follow these steps: 1. Click File | System Preferences | Posting 2. On the posting tab check "Post to an external accounting program" Figure 1 Figure 1 3. To have the Contribution Manager launch your accounting program for you after you posting be sure to check the option "Run Accounting Program after Posting" and use the browse button to locate the main application file for you accounting program. Figure 2 178 Figure 2 Note: When posting the Contribution Manager creates either a Quicken (QIF) file or a QuickBooks (IIF) file based on your selection. If you are using an accounting program other than Quicken or QuickBooks please refer to that programs help file and documentation for information on how to import a Quicken or QuickBooks import file. Also, the default paths for several accounting programs are listed below. Please view the program shortcut properties for the exact location of your accounting program. Quicken: C:\Program Files\Quicken\qw.exe QuickBooks: C:\Program Files\Intuit\QuickBooks Pro\qbw32.exe Microsoft Money: C:\Program Files\Microsoft Money\msmoney.exe 179 Pledge Accounts Pledge accounts are used to track individual pledges and what those pledges have contributed to the pledge goal. Follow these steps to set a new pledge account and add pledges to the account. 1. First you need to setup the pledge account. Click Pledge | Pledge Accounts on the menu bar. You will see the Pledge Tracking Screen. Figure 1 Figure 1 2. Click the button. This will start the Add Pledge Account screen. Follow these setup steps for the new pledge account. Figure 2 1. 1. Enter the name for the account in the Account Name field. 2. 2. Group this account with other pledge accounts if desired. See Group Accounts for more information on Group Accounts. 3. 3. If you are using an accounting program check the account program link option and enter the accounting program account name you want to link the contributions into. 4. 4. Enter the pledge goal. If the goal is not known at the time the account is created it can be entered or updated later. 5. 5. Click Save. 180 Figure 2 3. The new pledge account will show in the Pledge Tracking list. Figure 3 Now we are ready to add pledges to the new pledge account. See Adding Pledges. Figure 3 181 Deactivating Accounts 1. To deactivate an account select it either by double clicking on it in the Account Setup list or by selecting it in the Account Setup list and with it selected, click the Edit button. 2. Uncheck the Active Account checkbox as shown in figure 1. This will deactivate the account and group it into the In-Active Accounts group account. Deactivated account will no longer show in the account list during contribution entry. Figure 1 Figure 1 Note: You can reactivate an account any time just by checking the Active Account checkbox. Note: You also can deactivate an account by dragging it from the Account list window and dropping it onto the <Inactive Accounts> group. 182 Merging Accounts With Servant Keeper you can take an account and move all or some of the contributions from it into another account. You might need to use this feature if an account was created that is not needed and contributions have been posted to it or a duplicate account was created with a misspelled name and contributions in that account need to be removed into the correct account. Follow these steps to merge contributions from account to account. 1. 1. Click Accounts | Merge Accounts… on the menu bar. You will be prompted to enter your password to use this feature. 2. 2. First select the account that contains the contributions that you want to move in the first drop down field. If the contributions you want to move are located in an inactive account check the "Include Inactive Accounts" checkbox to show theses inactive accounts in the list. Figure 1 Figure 1 3. 3. Second select the account you want to move the contributions into. You can also select to move only contributions you choose or all contributions. If you are unsure then we suggest using the default option of "Select Contributions to Merge" Figure 2 Figure 2 183 4. 4. If the option "Select Contributions to Merge" was selected, you will see a screen what allows you to now pick which transactions to move and which ones to keep in the original account. If you want to move all the contributions from account to account leave all the contributions checked and click the button. Figure 3 Figure 3 5. 5. The system will prompt you to confirm you want to complete the process of moving the contributions. Check "Yes, I want to merge the contribution(s).". This will enable the confirm button. Then click to start the moving the contributions process. Figure 4 Figure 4 6. 6. Once the process is complete the system will tell you how many transactions were moved. Figure 5 184 Figure 5 185 Batch Manager The batch manager allows you to easily work with multiple batches. When you logon onto the Contribution Manager and click the Contribution Entry button and you have more than on batch created you will need to select the batch you want to work with or create a new batch to begin contribution entry. To open the Batch Manager click the button on the toolbar or on the menu bar click Contributions | Batch Manager. Edit Batch Information The Batch Information screen allows you to rename the batch and add comments to the batch during the entry process. You can change a batch date at any time, even if there are transactions added to that batch. However the Batch ID cannot be change. For information on posting a single batch see Posting Contributions (Single Batch). 187 Contribution Entry The contribution entry screen has evolved from the last version of Servant Keeper to streamline the transaction entry process. To enter contributions follow these steps: (See Figure 1) 1. Choose the type of gift you are entering. (Cash, Check, Credit Card, Other/ Non-Cash). Note: If you skip this step you can simply enter the check # and the check radio button will auto select. 2. Enter the name or envelope # of the contributor in the Name/Env# field. For tips on searching see Searching. a. If your Name search does not retrieve the correct individual and you cannot find their name in the Membership you can add a visitor directly from Contributions. You now have the ability to add visitors directly into a new family or into an existing family. b. If you are entering in Miscellaneous monies you can put them in under the system Loose Plate (Shortcut is the <?>) 189 c. Servant Keeper Contributions now allows you to search specifically for Organizations, just by selecting Organization: from the Drop down field. 3. Enter the amount of the contribution in the Amount field 4. Select the account that the contribution should post into with the Account Name field. NOTE: If the Account Code is active in the System Preferences you can type in the Account Code rather than the Account Name. 5. To finish, leave the 2nd entry line at $0.00 and press enter. This will save the transaction. When saved, a transaction will show in the Contribution Entry Log. Once the transaction is saved you can start with the next entry. Figure 1 See Split Transaction Entry for information on entering splits. 190 NOTE: If you receive a NSF or bounced check you can enter in the NSF information into the Contribution Entry as a negative amount. By putting the person’s name check number and amount and the accounts the money went into you can have a record of the bounced check on the individual’s statement. 191 Searching Searching in Servant Keeper while entering contributions is EASY! You can search so many different ways that you can always find what you are looking for. Just can search by first name, last name, or by parts of the first and last name. If you use envelope numbers you can also search by them for fast accurate contribution entry. Follow these tips when searching to be sure your search is successful. 1. When searching for a person you can enter either their envelope # or their name in one of the follow ways. For these examples we will use the name "Jonathan Smith". You can enter the name in lower case letters; the name search is not case sensitive. a. Envelope Number b. Full Name c. Initials separated by a space. d. Partial first name followed by a space. e. Partial last name. No space after the letters. f. Partial first and last name separated by a space. g. Reversed initials separated by a comma. Note: When searching if an exact match is not found you will be prompted to select the person you were searching for from a list of possible matches. 192 Credit Card Entry Servant Keeper now tracks credit card information for contribution entry. Each person entered can have an unlimited number of credit cards entered for them to use during contribution entry. Follow these steps to enter credit card information while doing contribution entry. 1. While entering contributions for a person select the Credit Card radio button. 2. If the person selected doesn’t have at least 1 credit card entered for them you will be prompted to enter at least 1 credit card. Complete the fields for the credit card and click OK to save. 3. Once entered, you will be able to choose which credit card to use for the contribution entry from the Card# list. You can also add additional cards to the list by choosing the Add option in the card list. 193 1. You can enter and store an unlimited number of credit cards for use during entry for each person in your database. Note: If you are given the full control to Maintain and View Credit Card Information you will also have the ability to Edit and Delete Credit Card Numbers. This access is granted by the System Administrator in the Administration Manager, User Security section. 194 Split Transaction Entry With the new contribution entry process we've streamlined the entry of entering Split Transactions to make them as easy as possible to enter. To enter split transactions follow these steps: (Figure 1) 1. Choose the type of gift you are entering. (Cash, Check, Credit Card, Other/ Non-Cash). Note: If you skip this step you can simply enter the check # and the check radio button will auto select. 2. Enter the name or envelope # of the contributor in the Name/Env# field. a. If you are entering in Miscellaneous monies you can put them in under the system Loose Plate (Shortcut is the <?>) b. Servant Keeper Contributions now allows you to search specifically for Organizations, just by selecting Organization: from the Drop down field. 3. Enter the amount of the contribution in the Amount field 4. Select the account that the contribution should post into with the Account Name field. 5. Press enter on your keyboard to move to the next line. 6. Repeat steps 3 - 5 for each split line until all parts of the split transactions are entered. 7. To finish, leave the last split line amount at $0.00 and press enter to save the transaction. Once the transaction is saved you can start with the next entry. Figure 1 See Contribution Entry for information on entering transactions without splits. NOTE: If you miss a split pressing the Insert a Split Entry line will add an additional line into your split entry. If you need to remove a split, highlight the line that is not needed and press the Delete selected Split Entry line. 195 Currency Calculator The Currency Calculator is used to calculate the total for a large count of coins and/or bills. Simply enter the count of each individual coin and bill and the count totals will be used to calculate the cash total. When you are done entering coins and bills, click the Copy Total button to copy the cash total from the Currency Calculator to the Amount field in the Contribution Entry screen. 196 Bank Deposit Verification The Bank Deposit Verification tool is used as a proofing tool for all cash, both coins and bill, given for a single deposit. Much like the Currency Calculator you enter the counts of each coin and bill and the total for these counts is calculated automatically. The reason to use this tool is to verify that the cash total calculated from the coin and bill counts equals the Contribution Entry Log cash total. If these two cash totals do not match, a mistake was made in either the entry of a cash gift, or in the count of the coins or bills. If you find that the totals do not match, click Save to keep the counts that were entered and then try to find your mistake either on the Contribution Entry Log or here in the Bank Deposit Report, and make the correction. Then if needed, make a correct on the Bank Deposit Verification screen to make the totals match. 197 Posting Contributions (Single Batch) Follow these steps to post a single batch. button on the toolbar. This will open 1. When you have completed entry and are ready to post, click the the Post Contribution Batch screen. Be sure to change the Batch Date, Batch Name, and add any Comments before you continue and finalize the batch. Figure 1 Figure 1 NOTE: Printing the Batch Reports and Verifying your Bank Deposit are quick buttons on the Posting window now for easier access and visual reminder for you to do these before finalizing the batch 2. Once the date, name, and comments are set, check the "Yes, I want to post this batch." checkbox and click the button. If you have the Contribution Manager setup to Post to an External Accounting Program you will see the Posted Contributions Summary. This show you what batch(s) were posted and change accounting package files were created during the posted process. Figure 2 198 Figure 2 199 Posting Contributions (Multiple Batches) If you have created more than one batch using the Batch Manager when you post you will be able to pick what batches you want to post at that time. 1. When you are ready to post, click the button on the toolbar. This will open the Post Contribution Batch screen. Be sure to change the Batch Date and Batch Name if desired and add any comments to the batch that are needed. Figure 1 Figure 1 2. Once the batch date, name, and comments are set correctly for each batch you want to post, check the "Yes, I want to post this batch." checkbox and click the button. If you have the Contribution Manager setup to Post to an External Accounting Program you will see the Posted Contributions Summary. This show you what batch(s) were posted and change accounting package files were created during the posted process. Figure 2 200 Figure 2 201 Posting Data to Accounting Programs The Contribution Manager allows you to post contribution data to third party accounting programs. Follow these steps to configure the Contribution Manager to post data for import into a third party accounting program: 2. Click File | System Preferences... 3. Click the Posting tab and check "Post to an external accounting program". Figure 1 Note: The default setting shown here are for posting to Quicken. Figure 1 4. To have your accounting program open automatically after posting check the option "Run Accounting Program after Posting" and then click browse to locate the accounting program application file. Note: Servant Keeper creates either a Quicken (*.qif) or QuickBooks (*.iif) file based on your selection. These files types compatible and can be imported into other accounting programs such as Microsoft Money, PeachTree, or any other program that can import a Quicken or QuickBooks file. 202 Microsoft Calculator Use the Microsoft Calculator when you need to perform any basic arithmetic and you want to be sure you are 100% correct. 203 Contribution Entry Log The Contribution Entry Log tab (previously called Contribution Proof List) is now located at the bottom of the Contribution Entry screen. It now allows for more space to view transaction information and a toolbar with buttons for quick access to Finding, Editing, & Deleting transactions, and printing a proof list report. Follow these steps to Edit or Delete a transaction: 1. Select the transaction you want to Edit or Delete from the Contribution Entry Log list. 2. Click either the into edit mode. or button. Double-Clicking on a Contribution Entry will open it 3. Right clicking on an entry in the Contribution Entry Log will give you some extra options. Edit and Delete options are here, as well as a Quick Print and Change Font Size feature. 4. If deleting a transaction you will be asked to confirm before the transaction is deleted as this operation cannot be undone. 5. The button allows you to see the entries put into the same batch by other users at the same time that you are entering in information into that batch. 204 Account Summary The Account Summary tab is now located at the bottom of the Contribution Entry screen. The Account Summary keeps a running total for each account by gift type and new to Servant Keeper 6 a count of the # of entries for each account with a total count at the bottom. 205 Contribution Listing The Contribution Listing tool has been enhanced with many new features. Now you can list contribution data by Groups created in Groups Keeper in the Membership Manager . To use any of the Contribution Listing screens follow these steps. 1. Select either "Search for Individuals" or "Select Group". 2. Enter a person’s name, organization name, envelope number or select the group you want to view. 3. Select the date range for the data you want to view. 4. If needed select a single account to narrow down the search. 5. Press enter on the keyboard or click the button to start the search. 6. Once the families or individuals are displayed you are ready to work with the results. Individual Listings have the ability to Include Deleted Individuals contribution records. Family Listings have the ability to Include Deleted Families as well as to Include Unlinked Members. 207 All of the Contribution Listing features have the ability to be exported to an Excel or Text File type. All of the Contribution Listing features have the ability to be printed. 208 Contribution Listing Showing Deleted Individual/Family Contribution records On any of the Listing screen, search for the name "DELETE". This will bring up a list of contributions where the individual or family has been deleted from the Membership Manager. 209 Select and Reset Fields in Listings All Contribution Listing features have the Select and Reset Fields Buttons. The Select Fields button allows you to select any field to show on the listing. The Available Fields are dependant on the listing you are selecting. You will only see Individual Available Fields on the Individual Listings and Only Family Available Fields on the Family Listings. The Up and Down arrows to the right of the Select Fields to Display window allow you to rearrange the Fields to the display order you wish to see them. The Reset Fields button, resets the fields to the system defaults. 210 Contribution Listing Merge Summary Statement with SK Writer Documents Individual and Family Contribution Totals listings have the ability to merge the records with SK Writer Documents. 211 Exporting Contributions 1. Click the Export button and select the type of data you want to export. 2. Enter any search criteria to find the individuals, families, or accounts you want to export data for. To select, view, and export additional data fields click the Select Fields button. 3. Once you are viewing the data you want to export, click the Export button to choose the type of export file you want to create. 212 • Text File (*.csv) - Comma Delimited Text File with the CSV file extension. • Excel File (*.xls) - Microsoft Excel file. Edit Batch Date/Comments This feature allows you to adjust the batch name and add any additional comments to the batch for the current selected batch. To access this feature, select Contribution | Edit Batch Date/Comments... or Click on the [BatchInfo] icon. 213 Multiple Batch Manager To open the batch manager, select Contribution | Multiple Batch Manager... or Click on the [Batch Mgr] icon. This feature allows you to manage all the currently active batches. Here you can Open a batch, Add a new batch, edit the name and comments, or delete a batch. At the top of the window you will see four buttons: [Open Batch], [Add Batch], [Edit Batch], and [Delete Batch] [Open Batch] Opens the current highlighted batch for Contribution Entry. [Add Batch] Adds a new batch onto the Batch Manager. [Edit Batch] Edit the Batch Date, Name and Comments. [Delete Batch] Completely Deletes a Batch. NOTE: Anything unposted will disappear and will not be posted. 214 Make Adjustments to Posted Entries This feature allows you to make adjustments to the posted entries, one at a time. To access this, select Contribution | Make Adjustments to Posted Entries... This feature is used to edit mistaken entries or to delete items out of contributions. NOTE: You might be asked to enter in your password again for security purposes. everyone should have access to the Make Adjustments feature. Not Navigating Make Adjustments to Posted Entries You start by searching for a specific individual name or envelope number, a date range or a specific account, or any combination of the three. Pressing your [Find] button will display a list of individuals that match the criteria you are searching for. The two available buttons for Make Adjustments are [Edit] and [Delete] [Edit] Allows you to edit the highlighted entry. You can edit anything with the exception of who the transaction came from. 215 [Delete] Allows you to delete the highlighted entry. NOTE: Make Adjustments for Posted Entries has been revamped for Version 6. No longer do you use Make Adjustments to move contributions from one person to another. Make Adjustments is strictly for making adjustments to contributions in case of mistakes. 216 Change Posted Batch Date This feature allows you to change the date of posted contributions to a new date. To access this feature select Contribution | Change Posted Batch Date... At the top of the window you will see four buttons: [Untag All], [Tag All], [Reverse Tag], and [Change Batch Date] [Change Batch Date] This button will change the batch date all of the tagged contribution records in the database. Click on the [OK] button to select the date change. 1. Check the "Yes, I want to delete the Contributions" check box. 2. Click on the [Confirm] button to confirm the deletion. 217 218 Move Posted Contributions This feature allows you to move posted contributions from an incorrect individual to the correct individual. To access this, select Contribution | Move Posted Contributions... At the top of the window you will see four buttons: [Untag All], [Tag All], [Reverse Tag], and [Move Contributions] [Move Contributions] This button will transfer all of the tagged contribution records to another individual. Moving contributions to another individual 1. Select Contribution | Move Posted Contributions... 2. Type in the name of the individual that you want to move the contributions from. 3. Fill in the From and To date range of the contributions that you want to move. NOTE: If you want to move all contributions from one person to another, open the date range by setting the From Date to be something like 01/01/1990. 4. Select a specific account if you only want to move contributions from one account. NOTE: If you want to move all contributions from one person to another, leave the Account field set to <All Accounts>. 5. Press the [Find] button to search the database for matching records. 219 6. Once you find all the records that match your search criteria they will appear on the screen already tagged and ready to be moved. 7. Clicking on the [Move Contributions] button will open a second search window asking you to find the individual you want to move these contributions to. 8. Type in the name of the individual that you want to move the contributions to. 9. Double click on the individual’s name or highlight their name and click on the [Select] button. 10. Check the "Yes, I want to move the Contributions" check box. 220 11. Click on the [Confirm] button to confirm the move. 221 Delete Posted Contributions This feature will delete all tagged contributions selected on the list. To access this, select Contribution | Delete Posted Contributions... This is a good feature if you need to get rid of a list of errored contributions. At the top of the window you will see four buttons: [Untag All], [Tag All], [Reverse Tag], and [Delete Contributions] [Delete Contributions] This button will delete all of the tagged contribution records out of the database. 1. Check the "Yes, I want to delete the Contributions" check box. 2. Click on the [Confirm] button to confirm the deletion. 222 Cash Calculator This feature allows you to calculate how much cash was received by putting in the amounts of each denomination. When you get a large amount of cash for a specific account type, such as Offering Plate, Bake Sale, etc., using this feature will save time and minimize human error. 1. Select Tools | Cash Calculator or Click on the [Cash Calc] icon. NOTE: This can also be accessed by double-clicking on the number, in the entry window, in the Amount column. 2. Fill in all the amounts for each denomination. 3. Click on the [Copy Total] button to save the amount into the current individual’s enter window. a. If you press the [Clear] button you will be prompted by a window verifying that you really want to clear the entries that you put into the verification screen. Click on [Yes] if you want to clear all of the entries, or click on [No] to leave them alone. 223 b. Click on the [Close] button if you want to close the window without saving the entries. 224 Cash Verification This feature allows you to verify that the amount of cash you have on hand is the same amount that you have entered into the system. To access this feature select Tools | Cash Verification or click on the [Verify] icon. 1. Select Tools | Cash Verification or click on the [Verify] icon. 2. Notice the Cash Total and Log Total for Cash are both in Red, this means that they do not match and therefore are not balanced. 3. Filling in the correct amounts for each denomination of coins and bills will turn both the Cash Total and the Log Total for Cash blue, meaning they are now balanced 225 4. Press the [Save] button to save the enty for the Bank Deposit Report. Press the [Clear] button to clear the entries and re-enter the amounts. Or press the [Cancel] button to disregard the whole thing. a. If you press the [Clear] button you will be prompted by a window verifying that you really want to clear the entries that you put into the verification screen. Click on [Yes] if you want to clear all of the entries, or click on [No] to leave them alone. b. If you have put entries into the verification screen and then press the [Cancel] button you will be prompted by a window asking if you wish to save your work before exiting. Click on [Yes] if you want to save the entry information, otherwise click on [No]. If you did not mean to press the [Cancel] button you can press the [Cancel] button in this window to be taken back into the Cash Verification screen. Windows Calculator This feature launches the Microsoft Calculator. This can be accessed from the Tools | Windows Calculator, the [Calculator] icon or from your [Start] button, All Programs | Accessories | Calculator. Change Password This allows you to reset your the Password for you User ID. 1. Select Tools | Change Password. 2. Enter your Current Password in the First Box: Enter Your Old Password. 226 3. Enter in the New Password in the Second Box: New Password. 4. Enter in the New Password in the Third Box: Type New Password Again. 5. Click the [Save] button or press the Enter Key. Pressing the [Cancel] button will disregard the password changes. 227 SK Check Scanner Profile Setup This allows you to maintain your Scanned Checks for automatically entering in Check information into your Contribution Entry. Password verification to make sure you are the correct person logging in. Then select the Individual whom you want to maintain their checking account records. 228 Credit Card Profile Setup This allows you to maintain the Credit Card Records. Password verification to make sure you are the correct person logging in. Then select the Individual whom you want to maintain their credit card records. 229 Clear Current Batch File | Clear Current Batch allows you to clear everything off of the current proof list. 230 Pledges Pledge Tracking This feature opens the Pledge Tracking tool to allow you to manage your pledges. Select Pledge | Pledge Tracking to access this feature. There are three tabs and four buttons at the top of this window. The Tabs are Pledge Accounts, Individual Pledges, and Family Pledge Information. Pledge Accounts This tab shows all of your active pledge accounts 231 [Add Pledge Account] You can add in new pledge accounts directly from the main pledge account screen. [Edit Pledge Account] You can make edits and updates to the pledge account from the main pledge account window. Highlight the pledge account you need to modify and press the [Edit Pledge Account] button. 232 [View Account Chart] This button opens the Account Setup Window. [Print] This button sends the information on the Pledge account window to the screen/printer. 233 Individual Pledges This tab shows all of the individuals you have pledged to the highlighted pledge account. [Add Pledge] This button allows you add new individual pledges or a Group of Individuals to your Pledge Accounts. [Edit Tagged Pledges] This button allows you to edit the individual pledge information for all records tagged. 234 [Delete Tagged Pledges] This button allows you to delete all the tagged the individual pledge records. [Export Tagged Pledges] This button allows you to export the individual pledge information to a Text or Excel file. NOTE: You cannot pick and choose what information to be exported from here you will only get the fields that are showing in the listing. [Print Tagged Pledges] This button sends the information on the individual pledge window to the screen/printer. [Merge Tagged Pledges] This button allows you to merge tagged records with your SK Writer Documents. 235 Family Pledge Information [Merge] This button allows you to merge tagged records with your SK Writer Documents. 236 [Export] This button allows you to export the family pledge information to a Text or Excel file. NOTE: You cannot pick and choose what information to be exported from here you will only get the fields that are showing in the listing. [Print] This button sends the information on the family pledge window to the screen/printer. Pledge Listing This feature allows you to view pledge information by individual or family. Select Pledge | Pledge Listing. The two additional options are List Individuals’ Pledges or List Families’ Pledge Totals. List Individuals’ Pledges Opens a window that will allow you to search for an individual by name or by envelope number, or by an individual group. Also allows you to search for a specific pledge account or all pledge accounts. Individual Pledge Listings have the ability to Include Deleted Individuals pledge information. You can also search for just Deleted individuals by type "DELETE" in the Name/Env# search box. List Families’ Pledge Totals Opens a window that will allow you to search for a family name or by a family group. Also allows you to search for a specific pledge account or all pledge accounts. Follow these steps to add pledges to a pledge account. 1. From the Contribution Manager click Pledge | Pledge Tracking… to open the pledge tracking screen. Figure 1 Figure 1 2. Double click the pledge account you want to add the pledges into and the Individual Pledges screen will open. Figure 2 240 Figure 2 3. Click the button to open the Select Individuals search screen. With this screen you can either select a group of individuals to add as pledges or search for people by name. Figure 3 241 Figure 3 4. Now you will need to configure the information for the pledges. Enter the details as shown in Figure 5 to set the payments, duration, and gift amount.
