The Tech Bar Gmail Overview 925-631-6275 techbar@stmarys-ca.edu A Gmail Reference Card Gmail is a mail client produced by Google as a part of Google Apps at Saint Mary’s. Google Apps Toolbar Search Bar Settings Inbox Compose Inbox Link Labels Features to get you started: The Google Apps Toolbar allows you to switch between your Google apps quickly. These include Drive, Calendar, Gmail and more. The Inbox is your landing page after sign in. Messages and conversations are read and responded to here. The Compose Button creates a new message. The Labels (Folders in other mail clients) section includes Sent Mail, All Mail, Trash, and any other Labels that you created. Be sure to learn more about controlling your work flow with labels and filters. The Settings Gear is where you can control your gmail experience. View Options, Settings, and Help are found here. The Search Bar is a powerful tool in Gmail. The search looks through all of your mail. Including your inbox, sent mail, trash, or any label. Be sure to click on the small arrow at the end of the search box to refine your search or to create a filter. Located in Galileo 111 The Tech Bar Gmail Overview 925-631-6275 techbar@stmarys-ca.edu A Gmail Reference Card Accessing your mail Point your browser to my.stmarys-ca.edu and key in your SMC Username and password. Click on the email icon. Composing a message. The new message window will appear. • Google will assist with addresses from your contacts or collected addresses. • Click the links for Carbon Copies(CC) or Blind Carbon Copies(Bcc) to add these options to this message • To attach a file you can drag and drop it or click the attach a a file link and navigate to the file and click choose. • Note: Each message can only contain up to 25 Megabytes(Mb) total. • To add an invitation to your calendar and send an invite, click the Invitation link. Click SEND to send your message. Click the COMPOSE button in the top left corner Reading Messages and Conversations To read a message or conversation, click anywhere on a message in the Inbox. This will open up the conversation and allow you to view its contents. Unread messages will appear bold. Contact Info Email Options Current Email Reply/Forward Box Replying To reply or forward the message by looking near the bottom of the window and hitting Reply or Forward. If the message was originally sent to you and other people, you can either choose to reply or reply to all. Reply sends a message to just the person who sent the message to you. Reply to all sends that reply to all the recipients of the original message. Threaded Messages The above picture is an example of a threaded message. This method shows the previous messages sent in this conversation, making it easy to reference back to past emails. The grayed out messages are minimized, which can be reopened by clicking anywhere on the message. Contacts (Address Book) There are two different kinds of contacts available on Gmail. There are the collected contacts(a list of contacts compiled by an outside source) and there are imported contacts(contacts the user imports or enters on their own) To read more about contacts, Use the Help feature in Gmail or find the Working with Contacts (Address Book) link on our Gmail Help site. Groups (Mail Lists) We will be compiling groups and lists for ease of access. Groups allow you to email multiple people at once by simply entering the group you wish to email.
