Since the AppleScript terminology in an application can change from version to version of an application or the operating system, a code update may be required if you upgrade this software in the future. Prior to performing an upgrade, we recommend conducting a parallel test with your solution to determine whether changes will be required. Automated Workflows, LLC. > Automator Action Documentation Installation and Configuration To install a set of our Automator actions, perform the following steps: • Quit Automator, if it is running • Launch the Install Actions application, located in the main solution folder • When prompted, review the license and terms of usage • Click the Run button to proceed with action installation • You will be notified once installation of the actions is complete 9 Automated Workflows, LLC. > Automator Action Documentation 10 Uninstalling Actions At present, our installer does not include the ability to uninstall actions. We hope to add this functionality in the future. In the meantime, to uninstall any of our actions, you may remove the action files from the /Library/Automator/ folder within your user directory. Actions Installed in the /Library/Automator/ Folder NOTE: For older installations of our actions, the actions may have been installed into the /Library/Automator/ folder at the root level of your hard drive. Automated Workflows, LLC. > Automator Action Documentation 11 About Demo Actions All of our commercial Automator actions are available in demo form, allowing you to try them out before you decide whether or not you want to purchase them. Demo versions of our actions include all of the functionality of the full versions of the actions, with the following limitations: • • • Actions will display a demo-version notification when dragged into a workflow Actions will display a demo-version notification when run within a workflow Actions will be limited to process a maximum of 5 items at a time If you feel that you are unable to fully evaluate our actions with these limitations, then you are welcome to contact us via email at support@automatedworkflows.com to request a full version of our actions for evaluation purposes. This should replace the demo versions of any actions included in the newly installed action pack. To determine the version of an action you have installed, select the action in Automator, and view the action’s description. Viewing an Installed Action’s Version Number To determine if a newer version of an action is available, download a fresh copy of this document (AW_Automator_Actions.pdf) from our website at http://www.automatedworkflows.com/files/docs/products/AW_Automator_Actions.pdf. The version history section of this document will always be updated to reflect the current version number of each of our actions. If a newer version of an action is available, to upgrade, you may download a fresh copy of your action pack using your original download link, and then re-install the action pack. If you cannot locate your original download link, please contact us at support@automatedworkflows.com, and provide your order number. We will then provide you with a fresh download link for your action pack. NOTE: We realize that the above method of checking for action updates is not the most efficient, and we are currently working on coming up with an easier way to check for action updates in the future. Automated Workflows, LLC. > Automator Action Documentation 15 Add Pages to InDesign Documents Overview This Automator action is responsible for adding the specified number of pages to InDesign documents, using blank pages, or a specified master. Modifiable Action Settings • Number of pages to add • The type of page to add. Options include either a blank page or a specific master. Action Input and Output Acceptable Input Types: • InDesign documents Output Types/Result: • InDesign documents NOTE: Optionally, this action may be configured to ignore its input. If this is done, then the action will attempt to save the front opened document. Automated Workflows, LLC. > Automator Action Documentation 16 Export InDesign Documents to PDF Overview This Automator action is responsible for exporting each of the passed InDesign documents to PDF format using one of InDesign’s pre-defined PDF export preset. Modifiable Action Settings • PDF Export Preset • Output folder • Exported PDF naming – You may choose to export documents to PDF, using the original document’s name, or a new name. • Save and close the document once the export is complete • Overwrite existing PDF files in the output folder, with the same name. If this checkbox is deselected, then a unique numeric suffix will be added to the exported file’s name, if necessary, so that existing files with the same name are not overwritten. Action Input and Output Acceptable Input Types: • Opened InDesign document references Output Types/Result: • Exported PDF paths NOTE: Optionally, this action may be configured to ignore its input. If this is done, then the action will attempt to save the front opened document in InDesign. Automated Workflows, LLC. > Automator Action Documentation 17 Open Documents in InDesign Overview This Automator action is responsible for opening each of the passed document files in Adobe InDesign. Modifiable Action Settings • N/A Action Input and Output Acceptable Input Types: • InDesign document file paths or QuarkXPress 4 document file paths Output Types/Result: • References to the opened InDesign documents Automated Workflows, LLC. > Automator Action Documentation 18 Place Images In InDesign Document Overview This Automator action is responsible for placing passed images into image frames in an Adobe InDesign document. For example, this action could be used to place product images into a catalog template. Document Preparation In order for images to be imported into image frames in the specified InDesign document, the document must be pre-configured with labeled image frames. First, create the desired number of image frames. Create one image frame for every image you want the Automator action to place into the document. Next, you need to assign labels to the image frames. Labels are necessary in order to allow the Automator action to differentiate between frames in the document, and to ensure that data is placed in the proper locations during processing. Labels are assigned using the Script Label palette in InDesign. The Script Label palette is accessible via the Window > Scripting > Script Label menu in Adobe InDesign CS, or the Window > Automation > Script Label menu in Adobe InDesign CS2. InDesign Script Label Palette To assign a label to a page item, select the page item in the layout, type a name into the Script Label palette, and press the ENTER key. Do not press the RETURN key, as it will Automated Workflows, LLC. > Automator Action Documentation 19 add a carriage return to the end of the page item’s label. To verify that a label has been applied to a page item, select the desired page item, and observe the name in the Script Label palette. Labels may be applied to any type of page item, including rectangles, text frames, groups, etc. PLEASE NOTE: After assigning labels to page items, be sure to save the document in order to ensure that all applied labels are retained. It is recommended to save the document each time a label is applied to ensure that labels are not lost, should an application crash occur. If an image will only be placed into a single frame within the document, then you may label the frame in any manner that you wish. However, if multiple images will be placed into multiple frames, then those frames should be labeled in a sequential manner. Label each frame using the same label prefix, followed by a sequential number suffix. Do not add leading zeros to this sequential number. For example, MyImage1, MyImage2, MyImage3… MyImage100. Images will be placed into the frames in the order in which the frames are named. Modifiable Action Settings This action will allow the following settings to be configured: • Import Into: – Use this area to specify the document into which you want images to be placed. You may choose to place images in the current document, or a specific document file. If you choose to place images in a document file, you must choose an InDesign document, which will be opened by the action during processing. • Place Images In: – Use this area to specify the label for the image frame into which you want images to be placed. To place an image in a single frame, select the A Single Image Frame Labeled radio button, and specify the label of the frame in which you would like the image to be placed, i.e. MyImage. The label you enter should EXACTLY match the label that has been applied to the frame. So, if you have added a sequential suffix to the end of the label, then you must enter that here too. For example, MyImage1. To place images in multiple frames, select the Multiple Image Frames Labeled with Prefix, and specify the label prefix of the frames in which you would like the images to be placed. For example, if your frames are labeled MyImage1, MyImage2, MyImage3… MyImage100, then you would enter a label prefix of MyImage, leaving off the numeric suffix. • Process Image Frames on: - Use this area to specify how you would like the action to process the image frames within the document. Automated Workflows, LLC. > Automator Action Documentation 20 You may choose to process image frames in the document, as a whole. If you choose this option, the action will look at properly labeled frames across the entire document at once. This is useful if you want, for example, the first passed image to be placed in a frame on page 1, the second image to be placed in a frame on page 3, and the third image to be placed in a frame on page 1 again. With this option selected, when placing multiple images, the action will place images into frames sequentially, regardless of the pages on which they reside. You may choose to process image frames on each page of the document. If you choose this option, the action will loop through the pages of the document, and place the images on one page at a time. For example, it would start with page 1 in the document, scan through, locate properly labeled frames, and place images into those frames. Once done processing page 1, it would move on to the next page, and perform the same process. This is useful if you want, for example, images to be placed on page 1, then page 2, then page 3, and so forth. When processing in this manner, if multiple images will be placed, the frames on each page may be labeled the same, so long as they are sequential within each page. You may choose to process image frames on a specified page of the document. If you choose this option, then only labeled frames on that page would be processed. The remainder of the document would remain untouched. • Fit images proportionally Action Input and Output Acceptable Input Types: • Image file paths, in the order in which they should be placed Output Types/Result: • A reference to the opened InDesign document NOTE: This action will handle importing the following types of images - BMP, EPS, GIF, JPEG, PDF, PICT, PNG, PSD, and TIFF. Unacceptable paths will be ignored. Automated Workflows, LLC. > Automator Action Documentation 21 Place Text In InDesign Document Overview This Automator action is responsible for placing a list of passed text strings into text frames in a specified Adobe InDesign document. For example, this action could be used to place product descriptions or prices into a catalog template. Document Preparation In order for text to be imported into text frames in the specified InDesign document, the document must be pre-configured with labeled text frames. First, create the desired number of text frames. Create one text frame for every text string you want the Automator action to place into the document. Next, you need to assign labels to the text frames. Labels are necessary in order to allow the Automator action to differentiate between frames in the document, and to ensure that data is placed in the proper locations during processing. Labels are assigned using the Script Label palette in InDesign. Leaving this checkbox unchecked will cause the placed text to overwrite existing text in the text frames in which it is being placed, if existing text is present. • Apply Paragraph Style to Frame – Select this checkbox and enter the name of a paragraph style sheet, if you would like a paragraph style to be applied to the text of the text frame once text has been placed. Please note that selecting this checkbox will cause ALL text within the box to have the paragraph style applied. Leaving this checkbox unchecked will cause text to be placed, using the existing styles applied to the text frame. Modifiable Action Settings This action will allow the following settings to be configured: • Save Name (a unique numeric suffix will be automatically applied to saved documents, if multiple documents are passed as input) • Output folder • Overwrite existing files in the output folder, with the same name. If this checkbox is deselected, then a unique numeric suffix will be added to the saved file’s name, if necessary, so that existing files with the same name are not overwritten. • Close the document once the save is complete Action Input and Output Acceptable Input Types: • Opened InDesign document references Output Types/Result: • • Document paths (if the documents are closed after processing) References to the opened InDesign documents (if the documents are not closed after processing) NOTE: Optionally, this action may be configured to ignore its input. If this is done, then the action will attempt to save the front opened document in InDesign. If this is done, then the action will attempt to save the front opened document. Automated Workflows, LLC. > Automator Action Documentation 28 Add IPTC Captions to Photoshop Documents NOTE: This action will modify your Photoshop documents. Overview This Automator action is responsible for adding IPTC caption information to Photoshop documents. This action will accept image paths or Photoshop documents as input. If image paths are passed to the action, then those image paths will be automatically opened in Photoshop in order to be processed by the action. Modifiable Action Settings This action supports adding any of the following IPTC captions: • Author Name • Author Title • Description • Keywords (must be separated by commas) • Category • Supplemental Categories (must be separated by commas) • Copyright Status (Unknown, Copyrighted, Public Domain) Automated Workflows, LLC. > Automator Action Documentation • Copyright Notice • Copyright URL • City • State/Province • Country 29 This action may also be configured to save and close the Photoshop documents, once processing is complete. Automated Workflows, LLC. > Automator Action Documentation 69 Apply Quark Box Names Overview This Automator action is responsible for assigning AppleScript names to text or picture boxes in a QuarkXPress document. When implementing automation in a Quark-based workflow, scripts and Automator workflows need a way to differentiate between boxes in a document. This is necessary in order to ensure that the appropriate box in a document is processed at the appropriate time. For example, if you are building a catalog, you might want to ensure that your product prices are placed into specific boxes in your catalog. Without box naming, boxes are typically processed by a script or Automator workflow in order, from front to back. While this method may work for some, it is not always recommended, as re-ordering of boxes can break an automated workflow. To allow for more robust automation, boxes in a document to be processed should be assigned names, instead. Some of our Automator actions that will place data in QuarkXPress documents require that you assign names to boxes in Quark. This action has been provided to give you a way to assign those names. Once boxes have been named in a QuarkXPress document, you may copy them from one document to another, or from one page to another, and the box names should still be retained. Please be aware that box names, once applied, are not visible in Quark unless you have a third-party XTension like ScriptMaster XT, available from Jintek http://www.jintek.com. Instead, box names are invisible to the user. Next, you need to assign AppleScript names to the picture boxes. Names are necessary in order to allow the Automator action to differentiate between boxes in the document, and to ensure that data is placed in the proper locations during processing. Names may be applied to boxes using our Apply Quark Box Names action, explained earlier in this document. PLEASE NOTE: After assigning names to boxes to a document using the Apply Quark Box Names action, be sure to save the document in order to ensure that all applied names are retained. It is recommended to save the document each time a name is applied to ensure that names are not lost, should an application crash occur. If an image will only be placed into a single picture box within the document, then you may name the picture box in any manner that you wish. However, if multiple images will be placed into multiple picture boxes, then those picture boxes should be named in a sequential manner. Name each text box using the same name prefix, followed by a sequential number suffix. Do not add leading zeros to this sequential number. You may choose to process picture boxes on each page of the document. If you choose this option, the action will loop through the pages of the document, and place the images on one page at a time. For example, this action could be used to place product descriptions or prices into a catalog template. Document Preparation In order for text to be placed into the specified Quark document, the document must be pre-configured with existing text boxes, with AppleScript names applied. First, create the desired number of text boxes. Create one text box for every text string you want the Automator action to place into the document. Next, you need to assign AppleScript names to the text boxes. When implementing automation in a Quark-based workflow, scripts and Automator workflows need a way to differentiate between boxes in a document. This is necessary in order to ensure that the appropriate box in a document is processed at the appropriate time. For example, if you are building a catalog, you might want to ensure that your product prices are placed into specific boxes in your catalog. Without box naming, boxes are typically processed by a script or Automator workflow in order, from front to back. While this method may work for some, it is not always recommended, as re-ordering of boxes can break an automated workflow. To allow for more robust automation, boxes in a document to be processed should be assigned names, instead. Some of our Automator actions that will place data in QuarkXPress documents require that you assign names to boxes in Quark. You may use our Apply Quark Box Names action to name boxes in your Quark documents. Please be aware that box names, once applied, are not visible in Quark unless you have a third-party XTension like ScriptMaster XT, available from Jintek http://www.jintek.com. Instead, box names are invisible to the user. This action has been provided to give you a way to retrieve box names, in order to ensure that they have been properly applied within a QuarkXPress document. When used in a workflow, this action should be followed by the View Results action. This will allow you to view the result of this action when this action is run from within Automator. The following is an example of this action, when used in a workflow, followed by a View Results action.
