NATIONAL PRACTICE MANAGER NETWORK
The PMN has recently gained the services of Francine, who
whilst employed by the RCGP has already visited at least one
practice to try and understand our role! Expect to see
developments in the PMN Website and the return of PMN
newsletters, and feel free to make full use of Linked In to share
concerns.
In my patch the main topics are the chaos at NHS England and
the impact upon Enhanced Service, Data sharing and resources,
going forward AQP will loom large as enhanced services move
on and of course the fun of CQC visits for many this year.

CISSBURY LOCALITY BITE
Cissbury’s priorities remain with empowering patients to look
after themselves and continue promoting ‘self care’ to our
patients. The National Self Care Forum on
http://www.selfcareforum.org/ has some brilliant fact sheets for
patients. We have printed the top ten off from their website and
have put them on our wall by reception, with a heading ‘Take
control – manage your symptoms’. Patients find them very
useful.
Other Cissbury priorities are around educating health care
professionals and patients with regards to alcohol consumption,
patient and public involvement and supporting our practices
who are all struggling under the ever increasing workload.
We now have a new Primary Care Development Team in CWS,
headed up by Tina Tompkins and Clinical Leads Bruce Allan and
Tim Kimber – we hope this will provide primary care with the
support it needs to be the best it can within available resources.

NAPC UPDATE – August 2013
Population Based Care
The National Association of Primary Care (NAPC) has had an exciting year to
date. In April of this year, in collaboration with the Nuffield Trust, we produced
and published the well-received report
“ Reclaiming a Population Health Perspective, future challenges for primary care.”
NAPC Practice Innovation Network
The report focusses on the initial journey of NAPC’s Practice Innovation Network,
the culmination of which will be showcased at the innovation zone at NAPC
conference, which this year is being held in Birmingham on 16th & 17th October.
NAPC Conference: Best Practice 2013
This years’ conference looks set to be the biggest and brightest yet! This is a
fundamental year for the NHS and NAPC in partnership with Closer Still Media
have been working hard to ensure that the programme and speakers will deliver
the solutions and answers to your burning questions.
Best Practice will showcase the best examples of genuine practice level
excellence, demonstrate best practice in relationships between commissioners
and all providers, and provide the ultimate forum for us to be engaged, inspired
and educated along with our colleagues and fellow professionals.
The conference is free to attend and we would encourage practice managers and
their GP colleagues to book early to ensure their place. Registration and full

PMS
NAPC continues to fight the corner for PMS Practices. We have been undertaking
a huge amount of work behind the scenes to ensure Equity and Excellence
Training

LOCALITY BITES
ADUR LOCALITY BITE
Adur practices have chosen two locality projects to work
on this year one of which is to work with the Brighton
and Hove Albion Cancer Champions project which
focuses on increasing awareness of cancer symptoms.
Adur practice managers earlier this year had a both
humbling and inspiring talk from one of the champions,
a bowel cancer survivor who told of his story of how as a
football supporter he was often handed a cancer
awareness leaflet, which he frequently binned, one day
the leaflet by chance accompanied him home, his wife
saw it and encouraged him to return his bowel screening
sample, which he had not been keen to do. Cancer was
found and treated and he is now very keen to spread the
word to encourage more people to enrol in the bowel
screening programme.
The locality is keen to work with the champions and in
particular focus on bowel cancer and to link in with the
national bowel cancer screening programme. The locality
really hopes to maximize its efforts in raising awareness
of bowel cancer and to improve uptake of the screening
programme. The group is currently recruiting PPG
members to help plan the best way to spread the
message. Practices will be raising awareness with
information on practice websites, waiting room screens,
leaflets, mailshots and attending local events.

LOCALITY BITES
ARUN LOCALITY BITE
For the second quarter this year the Arun Practice
Managers are on the move again. Sadly Debra Flynn
from Fitzalan Medical Group has gone and joined the
dark side and is now the Enhanced Services
Development Officer with Coastal West Sussex.
Robyn Clark from The Park Surgery has decided to
retire as Practice Manager after 29 years. I am sure
many of you will join us when we wish her all the best
and hope she fully enjoys life away from the pressures
and dramas of running a general practice. Robyn’s
replacement is due in September and the Arun PM’s
will be there to support her while she learns the ropes.
The Arun PM’s continue to work collectively and are at
the planning stages of resolving the problem of the
small numbers of staff who miss in house staff training
sessions. It is hoped through learning lunches that all
the sways and strays from each practice can be
captured and trained as a single group. Watch this
space.

LOCALITY BITES
CHANCTONBURY LOCALITY BITE
We are pleased to welcome Beverley Wallis to the
Chanctonbury Locality Practice Managers. Beverley has been
appointed as Practice Manager at Mill Stream Medical Centre,
Storrington and will be taking up the most over the next few
weeks. She will be at Mill Stream 3 days a week from August,
spending the other 2 days at her Practice Manager post in
Woking.
The CWS Governing Body Meeting was held in the
Chanctonbury Locality on 17th July 2013, with a market place
style event open to the public before the meeting. Our Patient
Participation Groups worked with the Chanctonbury surgeries to
enable 2 stands, one on PPGs and the other representing all 5
Practices with patient information leaflets on projects such as
self-care for minor illness and online access.
In Henfield we used similar stands for the Henfield Summer
Show where our Patient Participation Group had a
pitch. Doctors and staff joined them to run a very successful
stand with two smoothing blending exercise bikes and lots of
fruit for people to choose to make their own smoothies by
pedal power. We had a table with the self-care information
leaflets for minor illnesses and that generated lots of interest –
and some interesting conversations!

CRAWLEY LOCALITY BITE
As Sarah Parsons takes over as WSPMA, Crawley Locality
Representative from Kate Nicholls in July. Kate kindly sent in a
Locality Bite at the end of June 2013 for our Summer Issue.
Sarah will begin contributing Crawley updates from the Autumn
Issue.

Crawley committee member – Sarah Parsons, PM at Woodlands
& Clerklands Partnership, has volunteered to take over from me
as our WSPMA member from July and she is able to attend the
July, WSPMA Committee Meeting.
I have reminded the Crawley PMs about the WSPMA
Masterclasses and other training and I think some of them have
already made some bookings
I have spoken to Christine Stuckle, the new PM at Saxonbrook
and encouraged her to sign up as a member.
Commissioning update:last meeting of the Clinical Reference Group was on 18/6/13 and
most practices were represented. Main points from the meeting:




A working group is being set up to review enhanced services
Crawley Patient Group is considering a joint patient survey
across the town
Work ongoing looking at Long-term conditions & use of
motivational interviewing techniques to support patients to
manage their own condition & develop own action plan
Presentation from Clinical Assessment Unit about their work
in reducing admissions
I have really enjoyed the opportunity to work as a WSPMA
Committee Member and wish you all well for the future.

HORSHAM LOCALITY BITE
Horsham practice managers have been meeting often lately in order to
discuss the issues that are facing all the practices with regard to the new
housing that is springing up all over the area and local expansion
generally. It does not help when the local press then report a turnaround
in the planning strategy which may mean fewer, but larger, houses than
originally planned. These meetings may not have happened in the same
way a few years ago – it does appear that the development of CCGs is
encouraging practices to work together at all levels and that has to be a
positive step. One idea is to ‘Federate’ all the Horsham PPGs and suggest
they cooperate to put on joint local patient education events. Early days
but this may encourage the newer organisations and re-energise the
existing groups.
Riverside surgery is in the process of changing their phone system from
an 0844 number, reverting to an 01403 number from July 25; it will be
interesting to see how the patients respond to this. The practice also now
has a bespoke Intranet enabling staff to request their holidays and see on
their homepage at a glance each day who is on leave, any meetings, who
is duty doctor, any tasks etc. In-house news items can be added and the
intranet incorporates an address book which makes it much easier to find
pharmacy numbers etc. The intranet takes time to set up but keeps
everything together and the feedback from the staff is that they love it.
Riverside are also sending electronic payslips with Iris rather than printing
them each month again feedback has been very positive.
NEW PARTNERS
Courtyard Surgery have appointed Dr Matt Greenwood as a new partner.
Park Surgery has appointed Dr Jeremy Raphael as a partner taking over
from Dr Alex Roberts who has moved from the area.
Park Surgery recently started offering online appointment booking
services via SystmOne and took a risk by emailing 3,500 patients to
invite them to a couple of special Saturday morning ‘sign up for on-line
services’ sessions. Fortunately, take up was around 10% as expected!
confirming that take up rate for such direct mail is usually around that
level.
Courtyard Surgery is also starting to make much more use of SystmOne
functionality and are now set up for SMS and e-mail and have just started
collecting e-mails and mobile numbers.

MID SUSSEX LOCALITY BITE
For some time, I have used the phrase ‘Come the revolution’
when the practice and the wider community have been
grappling with yet another imposed NHS change – well as I
see it, the revolution has arrived! Having just returned from a
2 day master class on strategic development run by Syder &
Young and subsided by the WSPMA, I feel that I have the tools
to consider and adapt to what is being proposed by the ‘RCGP
2022’ publication and the Nuffield/Kings Fund ‘Securing the
Future of General practice’. They really do make an interesting
read and both start with the premise that we cannot withstand
the pressures we are all currently facing and therefore need to
find solutions for the whole of primary care team.
At our recent Practice Managers locality meeting, we discussed
the issues of federating to ensure longevity and sustainability
and explored some very interesting and innovative ideas
generated by a PM who is thinking outside the box. Another
splendid example of collaboration between practices was on
the day the QIPP requirements for this year was emailed to us,
Jan Case, an extremely able PM, who is currently recruiting
her replacement (see situations vacant in the Newsletter),
emailed us all with suggested venues, dates and times for the
initial meeting we need to arrange, with such humour, that we
all responded immediately. We also had all the practices
coming together one lunchtime to consider the Remote Care
Monitoring DES, and how to move this forward with the use of
modern technology that will be effective and efficient for the
practice as well as the patient. So I say let’s ‘embrace this
revolution’ and steer it as much as we can!

SARAH PARSONS
I am very proud to have been accepted onto the WSPMA committee
and to have the opportunity to work alongside you all.
I have been told to give you a little background info on me by way
of an introduction, so here goes.
Pre the NHS I had a background in Communications, Marketing, and
Training & Development and like so many of you had worked in the
public, private and third sectors. I am almost ashamed to say that I
almost fell into my new NHS life by divine intervention with very
little understanding or thought at the time. I had recently returned
to the UK (2004) from a long stint working overseas and as luck
would have it I secured a 6 month fixed term contract at Crawley
PCT. I worked firstly in the Commissioning Department helping out
here and there (and getting to grips with the endless acronyms).
When that contract ran out I was seconded to the Primary Care
Department on another fixed term contract and so it went on. It
was here, working in the Primary Care Department of Crawley PCT,
that I was introduced to my Crawley PM family. I enjoy working in
the Crawley area because of the friendly banter, endless support
and a feeling of total camaraderie from the Crawley Practice
Managers Association (CPMA) group, I know I am not alone… or
maybe it is because they have broken me in to their ways?

SPOTLIGHT ON SARAH PARSONS CONTINUED…..
Whilst I was still at Crawley PCT I started to spend the holiday
time that I did have studying at Brighton University p/t for an
MBA in Public Services Management, graduating in 2007.
When I started they said a lot can happen in three short years
and they were right. Somehow one year before graduation I
managed to find a way to ‘hop over the proverbial fence’ into
the world of Practice Management. Well, of course I had an
inkling that Practice Managers were busy people, but nothing
could have prepared me for the actual volume of work to
juggle, the deadlines and the endless emails…! It was a real
eye opener and gave me a renewed respect for the artful
professionalism of a PM and luckily I loved it. From that time
to this I have had the pleasure of working at Loxwood Medical
Practice under the superb mentorship of Dr Brian Goss; at
Southgate Medical Group with Dr Amit Bhargava, and today I
work at Woodlands & Clerklands Partnership which comprises of
two sister surgeries one located in Tilgate in Crawley, and the
other over the Surrey border in Horley. Both fall under Crawley
CCG.
I genuinely still feel that I learn something new from my
colleagues every single day and can’t imagine that changing
any time soon, which is why for me the WSPMA is so
important. I know how I have benefitted from being a member
of the WSPMA and how much I enjoy the opportunity of
meeting others, of networking and the opportunity to share
ideas.
I will aim to deliver a strong level of professionalism and to
positively promote the professional arm of practice
management for you during my time in the committee and I
sincerely look forward to working with you all.

Training and Education Update
Following on from the hugely successful WSPMA June
Conference (see Conference Report) we have held the first of
our series of Master classes in conjunction with Syder & Young
during July 2013. The first topic of Strategic Development was
a practical guide to developing the business and services of
General Practice in light of the huge changing agenda of the
NHS to enable delegates to prepare development plans to
respond to the choices of practice based commissioning, the
two day workshop was deemed a great success.

WSPMA CONFERENCE 2013 — SUMMARY
The Hilton Avisford Park Hotel once again played host for our annual
WSPMA conference as the location suits and the Grand Hall is large
enough to seat the hundred plus delegates and VIP guests that support
the day. Also, there is enough space for our valued Exhibitors to set up
around the hall and the side rooms.
Dr Phil Hammond, GP, writer and broadcaster was conference chair for
the day and entertained us in his inimitable style and his recipe for NHS
reform was certainly a lot simpler than the Health & Social Care Act!
Dr Laurence Buckman, Chairman of the GPC was the morning keynote
speaker with a presentation entitled “The End of General Practice…..
again”. His very detailed talk covering every latest aspect of the NHS
and was very informative and his thoughts on what the new world will
look like were thought provoking.
Dr Richard Brown, Medical Director and Tracey Amatt, Director of
Liaison and Development for Surrey & Sussex LMCs presented the first
workshop of the day and once again the emphasis was on preparing for
the “new world” and what practices will look like in the future. Current
hotspots were identified and their LMC views on the major reforms were
well received. It was helpful to have an update on what LMCs can do for
general practice and the strong links that are in place.
After lunch we had the honour of welcoming the Chichester, Lavant
Surgery Patient Participation Group (PPG) choir that has been formed to
promote Singing for Health. They took the time out to come along and
explain the ethos behind the choir and the health benefits of singing,
music and the community spirit of the choir. They sang several songs
for us under their conductor Rod Paton who encouraged an interactive
session.
The afternoon workshop was a presentation from Charlotte Gardener
(soon to become Charlotte Luck) from BDO Accountants who specialise
in working with General Practice and have a specialist medical team.
The main aspects of the talk were making money by maximising
practice profits and keeping the money by maximising profit per partner
and minimising tax and other personal outgoings.
All the above combined with networking with our colleagues, visiting the
exhibition stands and the usual partaking of nice food made for a really
good day all round and it is agreed the annual conference is a vital
resource for Practice Managers.

MESSAGE FROM WSPMA PATRON
It was great to be invited to “kick start” the 2013 WSPMA Conference and
welcome everyone and introduce Dr Phil Hammond as Chair. It was an
extremely enjoyable day and despite the serious undertones of NHS
reforms there was lots of laughter, good evaluations and plenty of
networking. 94 Medical Practices were represented, so thank you very
much for your support.
In recent months we have welcomed two new Managers onto the WSPMA
Committee. Morven Banks, Business Strategy Manager at Arun Medical
Group, Littlehampton has taken over from Debra Flynn who is now working
with CWS and Sarah Parsons, Practice Manager at Woodlands & Clerklands
Partnership, Tilgate, Crawley has taken over from Kate Nicholls and we
very much look forward to working with them and harnessing their
enthusiasm.
As CQC inspections begin to take place WSPMA have set up a questionnaire
to gauge your experience and share with other practices. Questions such
as:
What preparation did you undertake in anticipation of a CQC
inspection?

How did you receive notice of the inspection?

What happened in the visit?

What areas of the practice were inspected?

How long did the visit last?
If you feel you could be a practice that would complete the questionnaire
and share your experience please let us know.
