June 2016 SportsPilot Packet Non-Sync Parish Instructions Updated with Responsive design (register anywhere on any device) Can manage Jersey Numbers, Team Rankings, and Blackouts in same portal Add same blackout for all teams at one time Print CYO team rosters SportsPilot, Inc SUPPORT@SPORTSPILOT.COM Diocese of Cleveland CYO – Team Registration Instructions Annual Membership Conference 2016 1) Begin your registration on the CYO website Team Registration page or with the link below; you will use the same user account login that you have used in the past to login. Athletic Directors should be using the assigned login provided to you by the Diocese of Cleveland CYO Office. YOU MUST use that login and DO NOT change the First or Last Name on your account. https://reg.sportspilot.com/100141/login 2) Once you login to your athletic director account, you will be taken to your account summary screen where you will have account actions (pay/view open invoices, view CYO available programs & details, begin registration, or edit your account login details) & Family Members. You do not want to add any player or coach in this section. 1 3) A new feature you will notice is the ability to use a ‘Shopping Cart’ style system to register all of your teams. If you register the teams during one session, they will appear on one single invoice. To start, you will click on ‘Begin Registration’ – and then choose your profile name as the registrant 4) Next you will choose the sport/grade you’d like to register your first team in; the same process would occur if you were registering yourself or another individual for any other program offerings, such as Coach Development Program or Conference Attendee Sign Up. 2 5) Select your league choice 6) Choose the team registration option 3 7) Next, select your role, which for Team registration you will select the ‘Athletic Director’ role 8) Next you will agree to the program’s terms of service (TOS); you’ll have a button ‘CLICK HERE’ to expand the TOS and then Hide the TOS as desired; click ‘I Agree’ to continue 4 9) On the registration form, The Member Athletic Director should be listed, do not type over your profile! You can adjust any contact information you need; proceed to answer the remaining questions (fields with red star are required), choose your team name from the drop down. This is different than years past when team name was selected first. What you select will appear on the schedules. Click Continue to review your information. 10) After confirming your current team information, you will be directed to either Checkout or Add Registration; to add another team, click Add Registration and repeat steps 3-8; once you are done adding the registrations you want for this session, you would click Checkout to proceed to the payment screen. 5 11) At Checkout, you can either pay for your teams online with a credit/debit card, or you can still choose the Check by Mail option. 12) Check by Mail: to complete the registration you will follow the instructions presented to you on the screen 6 13) Pay by Credit/Debit: simply enter your card information and billing address 14) After checkout process is complete, you will receive an email confirmation & will be given a print option on the confirmation page itself. 7 Manage Jersey Numbers/Edit Team Ranking/Manage Team Blackouts Instructions 1) Once your teams are registered, you will need to supply the Diocese of Cleveland CYO with your Team BlackOut dates, Team Skill Level, and list of players and coaches for each team. You will have the ability to print your Roster Form, and Manage Jersey Numbers as well. From your account home page, you will click on your Athletic Director profile under the Family Member section 2) On your profile summary screen, you will see your personal information which can be updated by clicking the Edit Info. button (DO NOT CHANGE YOUR NAME) – Your Teams/Registration history will be on the right. 8 3) When you are looking at your team roster, under Team Options you will find ‘Team BlackOuts’, ‘Team Details’, and ‘Jersey Numbers’. Click on Team Details to enter your team’s skill level, add number of players in each grade, and any notes for the given team. The Team Details will also allow you to print your Diocese of Cleveland CYO Rosters. Team BlackOuts will allow you to enter a single date blackout, or a recurring blackout for your team. Jersey Numbers, like before, will simply list each player on the roster with a field to enter their number. Team Blackouts will be entered one team at a time Multiple Team Blackouts is currently available for Members that utilize SportsPilot’s Sync System (we are in the process of adding functionality for Non-Sync Members). 9 4) To enter blackouts for just one team, use the ‘>’ arrow icon next to that team name and choose to enter a single blackout or recurring blackout 5) Remember you must include a specific reason for the blackout request 10 6) To enter a recurring blackout, select the recurring blackout button. Remember you must include a specific reason for the blackout request. 11 Team Roster Instructions 1) Before the roster deadline, you will need to supply the Diocese of Cleveland CYO with your list of players and coaches for each team. From your account home page, you will click on your Athletic Director profile under the Family Member section 2) On your profile summary screen, you will see your personal information which can be updated by clicking the Edit Info. button (DO NOT CHANGE YOUR NAME) – Your Teams/Registration history will be on the right. 12 3) If you click the blue information icon next to your team name, you will see a pop up window displaying the program details that team is a part of. 4) To manage a given team, click on the team name in your list; you will be given a list of Team Options, your current coach list, and current player list. 13 5) If you need to edit or remove a player or coach currently listed on your team, simply click on his/her name and choose either ‘Edit’ or ‘Remove’ 6) To Add Players & Coaches to your team, click on Manage Team Members, and you’ll be taken to a Manage Team (New Members) page with a +Players & +Coach; for coach you will first choose the role you’d like to assign that member as, Coach or Asst. Coach – DO NOT add additional Athletic Director roles 14 7) Here you will have the option to pick a previous player/coaches from old teams, search for a select individual, or click on the Add New Member to insert a brand new participant that does not have an existing profile. 8) Use the search bar to filter your list of previous members for quick selection 15 9) When adding a coach or player, please complete the required fields and hit Add to Roster at the bottom. 10) Repeat steps 5-7 until you have added all the members you need to submit during your session. You can click the Red X next to any member’s name that you want to remove before you submit the roster at its current state. Choose Checkout when you are ready to submit. 16 11) For the sports where there is not a per player fee associated, you do not have to enter any payment information, simply click the submit roster button. For programs, like Cross Country and Track, your total owed will be based upon the number of players you have added.
