Letters, documents, or parcel are promised to reach their destinations. LETTERS The letter service is Pos Malaysia’s core business. It is a popular choice of physical communication. Letters could contain items such as bills, statement, promotional leaflets and private messages. Letters are posted using envelopes and postal charges are imposed in the forms Mail service is Pos Malaysia’s core service. From 1st of March, 2005, Pos Malaysia had implemented the Reclassification of Mail Products. With the new classifications, letters are categorized into Standard and Non-Standard Letters. The new classification is meant for greater efficiency and accuracy in mail processing. Criteria of Standard Letters Weight less than 50 grams Size Minimum : 90mm x 140mm Maximum : 165mm x 250mm Thickness Minimum : 0.25mm Maximum : 6.00mm Envelope White envelope is preferred to allow the address to be seen clearly, and it must be sealed. Soft colours are also permitted and avoid using staples or metal clips to seal the envelope. Barcode zone A 15mm space at the base of the envelope must be left blank for printing of bar codes. Letters must be inserted into envelopes and sealed. Rectangular shaped envelope is encouraged. Customers must avoid using staples or metal clips to seal the envelope. Standard letter should not contain hard objects or unflexible items such as compact disc, cassette etc. 133 POST OFFICE GUIDE POSMEL SERVICES Address format on Standard Letter Features Of Non-Standard Letters The receiver’s address should be written in the centre, with at least a 40mm space from the top, 15mm from the left, right and bottom. International BRS will be charged at RM0.10 and postage is charged according to the respective countries in the zones determined by the Universal Postal Union. 140 POST OFFICE GUIDE POSMEL SERVICES ADMAIL Admail is the non-addressed mail service and is distributed in large scale. It is a medium for advertising through mail. Any individual or business owner may advertise their products or services through this service. Direct Mail allows business owner to advertise and promote their product in a more personal way and creatively. To use this service, customers may contact Marketing and Client Relationship Department, PosMel at the Pos Malaysia Headquarters. POST OFFICE GUIDE POSMEL SERVICES POS EKSPRES Pos Ekspres is a faster, more affordable and convenient to sent urgent letters or documents and it is guaranteed to reach the recipients within the the service standard. The service is only for domestic destinations and the maximum weight allowed for this service is 1kg. Customers may also check on the status of their Pos Ekspres item through the online tracking service by logging on www.pos.com.my. However the receipt is not issued as the proof of delivery. There are 3 category of service standard and each is guaranteed. If the guarantee is not fulfilled, customers will be compensated with a Pos Ekspres envelope/packet. For bulk purchase of Pos Ekspres envelope/packet in the same size and price, for every 100 pieces, Pos Malaysia will be giving 5-10% free emvelope from the quatity purchased. Pos Ekspres items could not be insured or registered as Posdaftar item or parcel. It is delivered to the recipients through the premise’s mail box without any proof of delivery. 143 POST OFFICE GUIDE POSMEL SERVICES POSDAFTAR PosDaftar service well recommended for the posting of documents considered valuable or important. It offers the customer an option of mailing and security as it is fully handled by computer system upon acceptance at the Post Office and traced until its safe destinations. For domestic posting, this label enables tracking of the item until its delivery to the addressee. For foreign destinations, tracking is only up to the International Exchange Office at the Mail & Courier Centre, KLIA Sepang. The computerized operation enables customers to check on their PosDaftar status through internet address at www.pos.com.my. This service provides compensation in the event of loss to the item, subjected to the terms and conditions of the services and compensation procedure. Standard and Non-Standard Letter may be registered by using the normal envelope or the special PosDaftar envelope sold at the post office. If customers choose to use normal envelope, to register the mail, the PosDaftar tracking label must be purchased. Customers will need to fill the label with required details and stick the label to the front side of the envelope, nest to the recipient’s address. For domestic destinations, the label is known as Track- on 1 PosDaftar label and for international, Track-On 2 PosDaftar Label. PosDaftar is a two-way service, where undelivered item for various reasons will be retoured to the sender with the sender address provided at the envelope. If the recipient is not available at home or the premise during the delivery, a PosDaftar Card of Notification will be left in the mail box. The recipients may collect the PosDaftar item at the respective Post Office in 15 calendar days. PosDaftar also offers value added services i.e. Insurance and Acknowledgment Receipt. Sender needs to tick the INSURED box on the PosDaftar label and fill in the insured value. Pay the insurance fee in the form of postage stamps. Insurance fee is RM1.50 for every RM100.00 insured value or part thereof. Affix the stamps at the top right hand corner of the envelope. For domestic delivery, minimum insured value is RM100.00 and maximum limit is RM3000.00. For overseas postal, limitation and types of items that can be insured depend on the availability of the service and the procedures imposed by the country of destination. Advice of Receipt enables customers to receive an acknowledgement upon the receipt of their items by the intended addressee. Customers may get the AR card from the counter and fill up the required details. AR card will be charged in the form of stamps. For AR service within Malaysia, the charge is RM0.40, RM0.60 for Singapore and Brunei, and RM1.00 for other countries. 144 POST OFFICE GUIDE POSMEL SERVICES For the insured PosDaftar service, a fee is RM1.50 for every RM100.00 insured value or part thereof is imposed. The fee msut be paid in the form of stamps. For domestic delivery, minimum insured value is RM100.00 and maximum limit is RM3000.00. For overseas postal, limitation and types of items that can be insured depend on the availability of the service and the procedures imposed by the country of destination. All mails for the customers that utilizing this service will be sent to the Private Letter Box at any Post Office selected by the customers. Customers may collect their mailsduirng or even after opening hours of the Post Office. The yearly rental from January to December is at RM50.00. However, if customers’ application is submitted within July to December, the rental is at RM25.00, and for the next calendar year, customer will have to pay full amount to continue the service. Customers will also have to pay the Key Deposit of RM30.00, which will be returned to them once the customers wish to discontinue using the service and return the key to Pos Malaysia Berhad. To apply for this service, customers may obtain the form and submit it at the respective State Manager’s Office. For new application, the rental is as below : The beginning of Private Letter Box usage in January to June RM50.00 The beginning of Private Letter Box usage in July to December RM25.00 145 POST OFFICE GUIDE POSMEL SERVICES The yearly rental from January to December is at LOCKED BAG SERVICE Customers may also use the Locked Bag service to collect their mail. All mail will be put into bags and locked before being handed over to the customer. The bags can be collected only during business hours at the RM30.00. However, if customers’ application is submitted within July to December, the rental is at RM15.00, and for the next calendar year, customer will have to pay full amount to continue the service. selected Post Office. What are the main reasons for Pos Malaysia to reclassify mails according Standard and NonStandard categories? Standard and Non-Standard mail categories were set up to increase the convenience in sorting and managing mails. This is because, currently mails are processed through the OCR (Optical Character Recogniton) machine that allows mails to be processed in a more efficient way and consequently enable mails to be delivered faster as compared to manual sorting of mails. 1. Recently I received a Calling Card marked with ‘C’ from PosLaju. Since I am not able to pick up the item, is it possible for me to request for PosLaju to redirect the delivery to my office address instead? Since the item is categorised as ‘C’, that is credit card, PosLaju cannot redirect the mail to your office or to other addresses without a written instruction from the bank or the credit card company. For that matter, you need to inform the bank first before doing any delivery to the new address. 2. I am currently doing my business online. Therefore, I need to deliver the items that has been requested by my customers via post. Which postal service will guarantee the safety of the items that I have posted? To ensure the security of the items that are posted, we provide Insured Mail service. Each items can be insured up to a maximum value of RM 3,000.00. Items that are sent through this service will be given the priority in handling and security as well as coverage should there be any damage or loss of the item. 2. Does PosLaju provide pick up service to their customers? PosLaju provides pick up service to our customers as an added value to our services in general. For companies that has a contract with PosLaju, pick up service will be provided automatically and free of charge.
