We recommend placing a temporary hold during the planning stage as popular dates do fill quickly Areas of use Nautilus Restaurant can accommodate up to 150 guests for seated dining across 3 areas. For smaller numbers we are happy to work with you to ensure that you are placed in the dining area that best suits your requirements. Allocation to an area is dependent on the time of the year and other bookings for a given evening. The option to occupy your own private area is available..... Canopy Lounge >>> The CANOPY LOUNGE is a large deck at tree top level that places guests among a canopy of trees. It is a fantastic spot to enjoy a relaxing pre-dinner cocktail. Dining in this area is intimate, and very suitable for small groups up to around 25 people. Courtyard >>> The COURTYARD is the original restaurant dining area that has been transformed from a grassy slope 50 years ago to the majestic paved wonder that it is now. Not that you could really describe the courtyard as a room, on clear nights the only ceiling is the fronds of the coconut palms 60 feet above. Forest Deck >>> The FOREST DECK was designed to immerse diners in the beautiful tropical forest gardens of the property. The Forest Deck also offers a wonderful private area for larger groups and functions. Function & sizes >>> Up to 50 guests: The forest deck provides a medium size area for intimate dining amongst the rainforest gardens. This deck seats between 40 and 50 guests with a limit of 55. Sole use requires a minimum spend of $POA. Up to 75 guests: The courtyard seats between 60 and 80 guests with a limit of 90 dependent on the weather. Sole use of the Courtyard requires a minimum spend of $POA. Greater than 75 guests: It is possible to accommodate a group of between 75 and 100 guests across the two areas. For greater than 90 guests we recommend sole use of the entire restaurant, (minimum spend of $POA) Sole usewith is definitely required groups We are you every step of thefor way >>> larger than 100 people or where entertainment is planned. MUSIC & entertainment Entertainment is another way to add to the evening with a one or two piece band providing wonderful music during dinner and the option for dancing latter in the evening. We have had experience with a number of talented individuals & groups providing entertainment at the restaurant over the past 10 years. Musical entertainment certainly does add atmosphere to an occasion and can be that extra special touch in the Nautilus experience. Nautilus aims to maintain an atmosphere that is suitable for all diners attending the restaurant and we must also respect our immediate neighbors. Liquor licensing is active in Port Douglas monitoring the noise output of all licensed venues and their rules and regulations also must be adhered to. Guests planning a Nautilus wedding or group function with musical entertainment are requested to make their selection from the musicians listed on the next page. Please have confidence that the standard of entertainment that they provide is excellent and that they meet the guidelines required by the restaurant relating to musical style & noise level D.J. & Karaoke music are not permitted by the restaurant due to noise limitations and all music must cease by 11 pm in accordance with our liquor licensing and council zoning. GUIDELINES regarding amplified music Nautilus is an open air venue with close proximity to immediate neighbours including several accommodation venues. The restaurant is licensed and is subject to the licensing laws of the Office of Liquor & Gaming Regulation. We have a community responsibility to maintain noise and music levels to an acceptable community standard and we do our best to comply with the laws and agreements that are in place. The following guidelines are in place to ensure that Groups that have booked musical entertainment at Nautilus are aware of the rules that are in place so that they can assist in maintaining an acceptable restaurant ambience. All amplified music to cease completely at 11pm Sharp with no exceptions. No amplified speeches are permitted during the evening (ie speeches & announcements with microphone) except where there is a sole use of the entire restaurant agreement. Background music in‐between band sets to be played at a minimised volume with song selection to be in‐keeping with Nautilus standards. No music selections to be played from guests IPOD or Laptop at any time. Maximum band size is 3 musicians with no drum kits allowed. Electronic drum kits are permitted where percussion can be maintained at a limited volume. Musicians are to keep announcements and talking to an absolute minimum. Guests are not permitted to sing or use the band‟s microphone during the evening. Hosts are asked to ensure that their guests behaviour reflects a fine dining venue and that they refrain from boisterous acts including „singing along‟. Maximum decibel level permitted for bands is 90 decibels measured directly in front of the speakers. Music that is measured above this level will be restricted. Entertainers are required to comply with the directions of Nautilus staff regarding music levels during the evening. If repeated warnings regarding music and noise levels are required then the entertainment will be required to cease altogether. Such a hold will be maintained for a period of 30 days unless the date is indicated for release prior. If a second inquiry is made regarding a held date then priority will be given to the initial inquirer who will be contacted and asked to either confirm with a deposit payment or to release the date. Confirmation of a reservation must be received via email and this confirmation must state approximate guest numbers, area of use requirements and the estimated time of arrival at the restaurant. Once confirmed, reservations involving 8 guests of more will require payment of a deposit to secure the booking within 7 days of confirmation (except by special arrangement). Confirmed reservations will not be considered „secured‟ until deposit payment has been processed. DEPOSITS: Deposits will be held to secure the booking and will be deducted from the final account or can be returned after the event. Deposit amounts required are as follows: $300 for bookings with greater than 15 but less than 25 guests. $500 for bookings with greater than 25 guests or requiring semi private use of the Canopy Lounge. $1000 for bookings requiring sole use of the Forest Deck or Courtyard Deposit for sole use of entire restaurant will be by negotiation. Deposit are not refundable if booking is cancelled. SOLE USE OF AREA & MINIMUM SPEND AMOUNTS: Area of requirement within the restaurant will be determined prior to confirmation of the booking and allocated area of use and any minimum spend will be part of the booking confirmation. If a minimum spend requirement is applicable then this is the minimum food & beverage amount total required to be reached by the group and will not include gratuity, setup charges or any additional surcharges. If the minimum spend is not reached near to completion of the function then the hosts will be informed. The full minimum spend will be payable on completion of the function with the difference between the food & beverage total and minimum spend becoming the „sole use fee‟. CHANGES IN NUMBERS & AREA OF USE: Changes in guest numbers of 10% or greater at any time prior to the date must be advised to Nautilus as quickly as practical. Final numbers must be advised 5 days prior to the function date. Cancellations after this date will be charged as per the set menu price. If the change in numbers requires a shift in area then the booking will be subject to re-confirmation via email with a new area and minimum spend allocated. CHILDREN POLICY: Part use of an area: No Children under the age of 8 including babies Sole use of an area: We are prepared to consider request for a small number of children to attend the function. The final decision will be at Nautilus discretion and under agreed terms. Sole use of restaurant: No restriction on children applies. If special seating for children is required – eg: high chair- this will need to be hired at additional cost PAYMENT TERMS: The confirmed minimum spend amount or the confirmed food charge (whichever is greater) will be required to be paid a minimum of 14 days prior to the function day. Payment of the remainder of the food & beverage account is required on the night at the completion of the function. A Credit Card is required prior the commencement of the function. Personal cheque will be accepted only with prior approval. Credit card payment will be accepted on Visa or Mastercard, payments on Diners and American Express will be accepted only with a 2.5% surcharge added. SERVICE GRATUITY: Pre-determined wait-staff service gratuity is payable at the time of account settlement and will be added to the final account. An amount equivalent to 5% of the total of the food and beverage account is required as the suggested gratuity amount and will be included for payment on the final account (except by negotiation at the time of the initial confirmation).
