number, which is enclosed, on some of the requested information, as well. The enclosed information is
to be returned with your final payment no later than May 1, 2013.

get there and are missing any of the information you need, trust me you will panic!! I’d rather have you
all enjoy yourselves from the moment you arrive until the moment you leave us.

MOST FREQUENTLY ASKED QUESTIONS BY COACHES TO ME CONCERNING
THEIR COACH’S PACKET
Which three forms should I have actually given to each player to be filled out:
1. Physical examination (page 1 to be filled out by parent, page 2 to be filled out and signed by
physician; no stamps of signatures are accepted)
2. Waiver of Liability (I only need the 2nd page back)
3. Parental Authorization Form
How should these forms be grouped to be sent in to Debra?
CBW separates each form on our end into different binders. Please do not staple each player’s
forms together and send them to me. I ask that you please group all of the physicals together
and paper clip them, group all of the waivers together and paper clip them and group all of the
Parent forms together and paper clip them. Then I should only receive 1 Emergency Contact
Sheet with all of your players listed on there - I will not accept 13 emergency contacts sheets
because you handed one out to each player!
What if I do not get all of the physicals back by the May 1 deadline and I have all of the other
paperwork ready?
Please mail any paperwork you have filled out entirely to me by the May 1 deadline. If you only
have three physicals back, then please wait until you have all of them and mail them to me as a
group. Remember that I will be trying to keep paperwork separated for about 100 or so teams
and I do not want to misfile anything so everything you send me should be clearly marked and
labeled with your team acct number - this is important because many of you have very similar
team names!
What should I do if we decide to add a player on after we have submitted the paperwork?
No problem, just call me and I will add the player to all of your paperwork but please have their
ring size when you call me as well. You will need to get their payment in and then submit their
paperwork ASAP. You may add a player practically until the day before you arrive, however I
ask for as much lead time as possible.
What happens if I order a ring for a player or adult after the deadline date of May 1?
Please understand the rings have the date on them so they are made on an as-needed basis
only. They will most likely not arrive in time for your tournament and the shipping costs MUST BE
paid for in advance by your team.
Will there be internet service available on campus? If not, will I be able to get access in my dorm
room?
Internet access can be accessed wirelessly with a password that is set up either ahead of time
(which is recommended) or on the evening of your arrival in our main office. There is a $10 fee
for an individual password which will work on one device only for the week. If paid prior to
arrival, credit cards are accepted. If paid upon arrival, cash only will be required with no bills
larger than a $20 accepted.

Does the team use separate laundry bags or one bulk bag? Do we pay you ahead of time or do
we pay the laundry service upon arrival?
Each team receives on laundry bag if they decide to sign up for the laundry service so you
must label the boys pants, socks, etc., so there is no confusion. The laundry service fee is
payable to Cooperstown Baseball World. Not every player or coach needs to sign up to be
eligible for this service. Money should be collected prior and handled by the Manager
registering the team. If paid prior to arrival, credit cards are accepted. If being paid at
registration on Saturday mornings, then bank or certified checks or cash will be the only
acceptable forms of payment.
I want to Fed Ex or UPS my paperwork I but can’t to a POB so what street address should I use?

Can I include our Security Deposit and Tournament Completion Deposit with my final payment?
No! We only accept a credit card number from each team when you arrive at registration and
we do not charge the card unless it is necessary. Please understand the damage reports come
from the college and the money goes straight to them so CBW is not trying to make frivolous
charges because we do not get any profit from it! Also, no team will be allowed into their dorm
rooms until a credit card number has been issued for your team at registration. We will not
accept team checks for this deposit!
Can the parents, male or female, stay in the dorms if they choose?
Yes they may. They also pay $795 and receive both food and lodging but will not have access
to the field or dugout because they are listed as a chaperone.
Is there a fee for the Coaches who want to participate but do not want to sleep in the dorms or eat
the meals?
And the answer is YES. There are two different packages these coaches can choose from:
PT+ Coach - $475 each
This package allows him/her to coach all week and includes the secondary insurance that is
required in case something happens to him/her while on the field or in the dugout. Also, he/she
is entitled to all of the gifts (commemorative ring, New Era customized cap, trading pin, water
bottle, pass to the HOF)! He/she is not entitled to meals or lodging but they may stay a night or
two in place of the FT coach to give them a break.
PT Coach - $250 each
This package allows him/her to coach all week, either in the dugout or on the field and includes
the secondary insurance that is required in case something happens to him/her while on the field
or in the dugout. They are only allowed to coach. He/she is not entitled to any of the gifts,
meals or lodging.
When submitting your final paperwork to me, I will need you to mark these people accordingly on
your sheets so I can figure out your final balances. If they are FT coaches you need not mark
them. If they choose the $250 fee plan, please mark them as (PT). If they choose the $475 plan,

please mark them as (PT+).
Please remember each team must have 2 FT Coaches - $795 each
This package entitles them to everything: food, lodging, gifts, insurance, etc.
When will the game schedules be posted?
Hopefully most of the schedules will be posted by the end of May - on the website. No team
names will be announced until this time.
Please hold onto your Skill Competitions sheets, do not send them to me. You will hand those in
on the Saturday you arrive at the actual field where the skills take place.
Please make sure all of your medical forms are signed by the doctor and by the parent. We get
many forms missing signatures and they will be returned to you for they are unacceptable.
By coaches uniforms we mean that you must be in either polo or tee with the team name or logo
and either shorts or pants, no jeans, jean shorts, or bathing trunks on the field or in the dugout.
Reminder - there is no smoking or chewing of tobacco products at the fields, around the fields, or
next to the dorms. This goes for your parents as well so please go over this with them so they get
angry at us when we enforce that rule! Gentlemen, and ladies too, I personally am very strict
about the coaches not smoking outside of your dugouts so please refrain from doing so!

BIRTH AND INSURANCE CERTIFICATES
Please be aware that prior to your team’s participation this summer in the Cooperstown Baseball
World tournaments, you must submit the following information:
• A copy of each player’s birth certificate (no originals please)
• Current copy of your team’s insurance form
No team or individual will be allowed to participate without submission of these forms. If you have
any questions regarding the above request, please contact us at (888) CBW-8750.
TEAM DAMAGE/SECURITY DEPOSITS
Upon your arrival at Cooperstown Baseball World, you will be required to submit a “damage
deposit” in the amount of $300. This deposit is required in case there is any damage, caused by
you or a member of your team, to the dormitory rooms or surrounding areas of the SUCO campus,
during your stay at Cooperstown Baseball World. No team will be permitted into their dorms rooms
before this deposit is made.
Before you and your team are officially checked out of Cooperstown Baseball World, a
member of the SUNY-Oneonta staff MUST inspect your rooms to make sure no damage was done
to them during your stay. Once the college has approved that no damage was caused to the
individual rooms, then your team will no longer be liable for any damages found thereafter.
These “damage deposits” can be made with a credit card only (no checks or cash will
be accepted), and will not be charged, unless there is damage caused by a member of your
group. Please note it usually takes approximately 2 weeks before we are notified of these
charges, due to the college preparing official paperwork regarding the status of each dormitory.

SUPERVISION RESPONSBILITIES
Under New York State Law, all Coaches and children must have voice/visual contact at all times.
Coaches must understand that CBW procedures explicitly state the coaches and chaperones
staying in the dorms and accompanying the team will assume responsibility to execute
procedures competently, and understand that campers will only be allowed out of their sight or
hearing when with a CBW trained employee, or when signed out in the log. The coaches are
directly responsible for all activity in the dorms and on campus. Coaches are considered to be
the guardian of their players during their participation at CBW. Team Coordinators will be with the
teams throughout the day, escorting teams through activities and games. They will stay at the
residence halls in the evenings and be available in case of emergency, but are not the primary
people in charge of the players.
Please be aware that the New York State Board of Health does random checks at the camp
each week to make sure that all safety procedures are being adhered to by the visitors and the
CBW staff. At times, if they find children wondering by themselves, without any team supervision,
they have the right to mandate a monetary fine to CBW. If this happens, we will in turn enforce
the fine on your team and take that charge from your Security Deposit. This can only happen if
you let your players wonder around campus by themselves, which is not allowed, so we ask that
you discuss these procedures with your team before your trip.
DEPOSIT FOR COMPLETION OF TOURNAMENT
We will require each team to give a $500 deposit to ensure you play out each of the tournament
games you are scheduled for. Over the past few seasons, we have unfortunately watched more
than a handful of coaches not take losing too well. They have pulled their kids out of the
tournament early and forfeited games because they did not feel like participating any further.
Besides not teaching their kids the importance of sportsmanship, they left the other teams, who
had also paid to play, high and dry, and more importantly, very upset that they would not be
able to finish their week of baseball as was scheduled.
With this in mind, we will require each team to supply us with a credit card number at registration.
This card number will be held in your team file for the week. If at the end of the week you have
completed all of your games as required, no charge will be made. If however, you decide that
you just do not feel like playing anymore and walk out of your commitment, your team will be
charged a $500 penalty.
Please be aware that we are doing this because we put together this program with the intention
of giving everyone involved, from the kids and coaches to the parents, a trip they will remember
and when people decide to quit before the end, it is always the kids who are most disappointed!
Here at Cooperstown Baseball World I train my staff to remember “It’s All about the Kids” and I ask
as the Managers and Coaches, you try and remember the same.

SECURITY
In light of events that have taken place at several universities over the past few years, our staff has
taken a close look at the security of the dorms we use on the SUCO campus during the summer. Those
of you who have been with us before are aware that each dorm has a front desk, which is staffed by a
college employee. There is also a sign in and sign out log at that desk for the parents to use when
removing their child for an off campus activity.
CBW also provides each of you with a team counselor. Each counselor is usually assigned three teams
who all live on his floor in the dorms and he acts as an extra pair of eyes and ears for the coaches and
he is also in charge each night for accounting for each member of his teams to be sure we know
where everyone is. Each dorm has a key-code pad box on the outside which requires a 4 digit code
to be accessed. When the college kids leave each year, the college changes the codes so that they
are used in the summer for CBW campers only. Upon arrival, each coach is given the 4 digit code by
his counselor and he shares that code with the players so they can get in and out of the dorms. Here
lies where the problems can begin. Each coach, because you are busy, does not want to be
bothered coming down or sending a player to let the parents in when they want to visit, so they begin
handing out the code to everyone who is on the trip with them. In turn, a few hundred people, whom
do not know each other,
all become aware of the security code, which defeats the purpose of having one! They begin to hold
open the door, out of general courtesy, to people they believe are simply there to visit their boys as
well. However, living in today’s times, we have to remember, this may not always be the case!
Other than Saturdays, when they are helping to move their child in, the parents will not be allowed
into the residence halls other than between 6:00pm – 9:00pm each night, with the exception that they
may come to the front desk, at any time of the day, to sign their child in and out if they are taking
them off campus. They should understand when they come to sign a player out, if it not in the 6:00pm
– 9:00pm time frame, they will need to make arrangements ahead of time for the player to meet them
in the lobby as they will not be allowed up to their rooms. I ask that you explain to your parents this
policy so there are no misunderstandings once they get there. The team coordinators who live in the
building, along with the college staff, who also reside there, will be instructed to not allow parents in
before or after those times and will ask anyone found sneaking in to leave.
We ask that you, as the Managers and Coaches, come down to let them in and escort them to your
floor so there aren’t people coming and going without any security. It may be somewhat of an
inconvenience to those of you used to a fast pace of moving and I am sure many of the parents will
be somewhat annoyed they need permission to see their child, but it is in the best interest of these
children and the adults staying there, that we all take these precautions! It is my job to make sure
each of you who arrives to Baseball World, along with your teams and have a great time and a safe
one at that so I am asking for your assistance on this procedure. The most troublesome time will be
check-in on Saturday, when excitement levels are high and parents are curious about the living
quarters.

ROOM ASSIGNNMENT BUDDY LIST
In trying to insure the safety of all the children during their week-long participation at
Cooperstown Baseball World, we are asking that you fill out the attached “Room Assignment /
Buddy List” form. This form will determine which people will be lodged together and henceforth
will be “buddies” for the week.
By “buddies” we mean these two people are considered partners for the week. They will share a
room, and stay together for the entirety of the week, unless authorized by a Coach or Counselor.
If campers are to be out of sight of the team (e.g. with their family on a side trip), each partner
must inform a Counselor, Coach, and a teammate.
Assuming that there are 2 people assigned to each room, please fill out the form to show which
two people (e.g. player/player, player/coach, or coach/coach) will be lodged together. In
some cases you may have an odd number of people, or may have decided to have a
chaperone stay with the children and will need to place three people in a room. Please fill out
the paperwork accordingly.
This year CBW will be utilizing “Suite Style” dormitories. This means that the rooms are separated
into suites with either 4 or 6 people in a suite. Each suite opens into a common room and then it is
separated into 2 person bedrooms and each suite has its own bathroom as well. We will decide
how many suites you will need based on how many people each team has coming with them.
Once you have decided which people will be lodged together, and will be “buddies” for the
week, please decide the room order in which you would like everyone assigned (e.g. coaches’
rooms in the middle, coaches’ rooms scattered in between every three rooms, etc.).
Please be aware that there will be no switching of roommates once you have arrived and
everyone is assigned a room and a buddy!

IMPORTANT FORMS
Below, I have listed THREE very important documents that all must be filled out/obtained and
submitted for each player before their attendance at our camp is permitted.
• Camp Health History and Examination Form – See Enclosed
• Waiver and Release of Liability - See Enclosed
• CBW Parental Authorization Form – this form must be filled out for each player even if their
parent/guardian(s) is attending with them. This form is filled out by the parent/guardian and
dictates with whom their child is allowed to leave the campus with (e.g. team not out for ice
cream – can leave with Coach Bob, etc.). Only those persons listed on their sheet will be allowed
to sign their child in or out. If no form is submitted the child will not be permitted to leave the CBW
campus during his/her weeklong stay at CBW
***Physician’s Prescriptions (only if necessary) for any pre-existing medical or psychological
conditions that require special treatment. In addition to physician’s prescriptions, the parents must
include a description and instructions regarding their child’s condition and treatment on the
Medical Waiver
Also, please be aware that I need one sheet for the following will all of the players listed on the
same
sheet:
• Emergency Contact Information Form – See Enclosed. Parents / Guardians must fill out the
emergency contact information with a name other than theirs. Our first calls will always be to the
parents / guardians; however, we would like to prepare for all possible situations.
**If your players cannot get their physicals done by the May 1st date, they need to have them
done and submitted ASAP and they must be in our hands before they arrive!! If the player has had
a physical within 1 year prior to their attendance of the CBW tournaments they may get a copy of
that physical and attach it to the sheets, as long as everything we require to be filled out,
including immunization records, is included on their forms. These forms must be filled out
completely!! It is imperative that you make sure that each line is filled out or they may not be able
to participate. Please be sure the parent’s fill out the first form and sign, even if they obtain a
previous physical.
Please make a copy of the Camp Health History, Waiver, and Parental Authorization forms for
each player to fill out and submit back to you. All of the players and their contacts may be listed
on the one emergency contact form (do not send an emergency contact sheet for each player
or they will be returned to you to re-submit).

Further, I am aware that baseball is a vigorous team sport at times involving severe cardiovascular
stress and violent physical contact. I understand that baseball involves certain risks, including but
not limited to death, serious neck and spinal injuries resulting in complete or partial paralysis, brain
damage, and serious injury to virtually all bones, joints, muscles, and internal organs, and that
equipment provided for my protection may be inadequate to prevent serious injury. I further
understand that baseball involves a particularly high risk of ankle and knee injury. In addition, I

including but not limited to, travel to and from site activity, along with off-site travel to other
events and activities not affiliated with Cooperstown Baseball World that may be with my coach,

INDIVIDUAL SKILL COMPETITIONS
Attached is a sheet that we ask you hold onto and bring with you to the Saturday coach’s
meeting.
This sheet is to be filled out for your team’s entrance in their skill competitions.
Please write each of your player’s names down the far left hand column of your sheet.
This is the way it works. All of your player’s may compete in the “Roadrunner” dash (for 12U – a lap
around the bases) and (13U through 16U, straight run down first base) if they wish to. So the
column marked “dash” can have a check mark for each player in it. This event is open to all
participants but is not mandatory.
Then, each player gets to choose one other event out of the Infield throw for velocity, the Outfield
throw for accuracy, the Pitcher’s throw for accuracy or the Catcher’s throw for accuracy that
they would like to compete in. After they have made this decision, please check the appropriate
box next to their name to indicate which skill they will be competing in. Please note: no player
may compete in more than 1 of these 4 events. Any player caught doing so will all automatically
be disqualified
from all events!!
At this point each player may have two checks next to their name, one for the dash, and one for
another of the 4 listed events.
Then comes the hard part - as the Manager, you and your coaches may choose any 3 players
(and to answer any doubts, yes, it can only be 3 at the most), who may compete in the Home Run
Derby. This means there can be three players on your sheet that have 3 check marks next to their
name (one for the HR derby, one for the dash, and one for any of the other 4). Just for your
information, all coaches will be required to pitch to their kids.

CBW SATURDAY REGISTRATION LOCATED AT WILSBACH HALL
All teams are required to arrive between 10am – 1pm on the Saturday of their registered week (if
you are coming from the West Coast or from a great distance, you will most likely need to arrive
on the Friday afternoon/evening beforehand in order to be here on time, so please contact us to
make special dormitory arrangements for your team).
Please report to Wilsbach Hall on SATURDAY MORNING – use the door with the REGISTRATION
banner located on top of it.
Please note, teams arriving on Friday should report directly to their dorm BUT MUST STILL ATTEND
registration on Saturday to go through your paperwork!
Only the Manager or contact person of each team will be permitted to register his/her team so if I
do not already have your manager’s name, please let me know. He or she is also the only one
required to go through the registration process, so you do not need to have your entire team
present with you for this (we will need to see each FT coach who will receive a wristband for the
week to identify them for food and lodging). Each team usually takes about 30 minutes (that’s
provided you paid attention and submitted all of the required paperwork beforehand). If you
leave things out it may take up to or over an hour to get you through this process. Please do not
arrive after 1pm or you may be late for the remainder of the day’s activities. Remember to allot
yourself enough time to get registered and get settled into your rooms.
Once the Manager of each team has successfully completed the team’s registration, then you
will be allowed to check into your rooms (no players or coaches will be allowed to move in
without the Manager completely finishing this process – no exceptions)!
Your next step will be to attend the coach’s & player’s meetings at 3:15 sharp!! You are all to
attend these meetings in full uniform because we will be taking you straight to the opening
ceremonies afterwards. All coaches will be meeting with Debra as well as our Tournament
Director and Camp Director. All players will meet with the team counselors outside of their dorms.
We encourage parents to attend the player’s meeting!!
All teams are required to be in their dorm for curfew at 10:00pm and lights out on the first night is
10:30pm!! – NO EXCEPTIONS

LAUNDRY SERVICE INFORMATION
Cooperstown Baseball World will be working with college of Oneonta, to do your team’s uniform
laundry on site. This laundry service will be available to all players and coaches for their
weeklong stay at Cooperstown Baseball World.
The items included in your team’s uniform laundry will be: uniforms (players & coaches), socks,
tees, sliding shorts and underwear/jockstraps (as in the past, no personal items will be done).
Drop off times will be assigned and will revolve around each day’s completion of games. All
team laundry bags will be picked up in the lobby of each dormitory and usually returned to each
team the same evening by midnight but no later than 5am the next morning.
This service is $24 per person, for the week. There is also a $5 team fee for the laundry bag, which
is yours to keep at the end of the session. Any player or coach who decides to participate in the
laundry service will be required to officially sign up for it through Cooperstown Baseball World.
Please be aware the laundry service begins Sunday evening after the first games have been
played and concludes Wednesday evening after all uniforms have been returned to each team.
All items going into the laundry service should be marked, with a laundry specific marker, with the
individual’s name.
Each team who has participants using the laundry service will be required to fill out a laundry
roster prior to arrival.
You may pay ahead of time for your team participant’s laundry service with a bank check or
credit card, but it must be done no later than 21 days before the start of your tournament. If you
choose to pay upon arrival at registration, no credit cards will be accepted – only cash or certified
check payments will be allowed!
Please note, not every member of your team has to participate in order for the service to be

OFFICIAL TOURNAMENT RULES
Major League Rules with Some Modifications
• Cut-off date for each age group: May 1, 2013.
• Lead offs are allowed for all ages.
• Designated Hitter is allowed (10-man line-up may be used) for any player.
• Extra Hitter(s) - may be used; however they must always bat in the tenth (eleventh, twelfth, etc.
spot).
• Re-Entry: 12U & 13U: a starter may re-enter the game one time; once and extra hitter enters and
exits the game defensively he is no longer eligible for the field but will remain batting for the rest of
the game
14U/15U/16U: no re-entry allowed!
• Speed Up Rule: run for catcher & pitcher at any time (must use a player not already in the
game)
• No pitching limitations (coach’s discretion).
• Balk rules: 12U warnings only during pool play, then only 1 warning per pitcher during
tournament
13U - one warning per pitcher during pool play, then straight baseball during tournament
14U/15U/16U - straight baseball the whole time (no warnings)
• All games will be six (6) innings in length or 2-hour time limit. No new inning will be started 5
minutes before 2-hour time limit is up. There is no time limit in the tournament (Wednesday &
Thursday).
• The “Mercy Rule” will be used (if one team leads another by 10 runs or more after only 4 innings
of play, the
game is over). This also applies during the tournament!
• CBW Tournament Directors have the Option of officially calling a game after 4 innings of the
weather is inclement and they do feel the game can be continued. If the game is stopped for
weather and is resumed, it will resume in the exact position that it was left in, no matter what the
circumstances (e.g. bottom 2nd, 1 out, man on 2nd).
• Pool Play tiebreakers, will be determined by the following criteria in this specific order: Head-to
Head competition, Least Runs Allowed, Quality Wins

• All protests must be made at the game, to the umpire and the official scorekeeper, before the
next pitch is thrown. A tournament director must be called to the field to handle the situation
before the games is resumed.
• Slide Rule - a player must slide or attempt to slide on all close plays (umpire’s discretion).
• Head-first sliding is permitted into each base.
• Metal spikes are only permitted for the 13U - 16U age divisions.
• No jewelry may be worn during games (e.g., earrings, necklaces, rings, etc.).
• It is required that every player wear a double earflap protective helmet while batting, on deck,
in coaches’ boxes, and running bases.
• The use of all tobacco products by athletes and game personnel (coaches, umpires, etc.) is
prohibited. There is also no smoking on or near the fields or outside of the dormitories!
• Only the following authorized people shall be allowed on the playing field: players, coaches in
uniform, trainers, umpires, team managers, and camp administrators.
• In the event of rain, no infield practice will be allowed at all!
• No alcohol is allowed on campus property – SUNY Oneonta is a dry campus!

Coaches Guide
Welcome to the Cooperstown Baseball World Program at the College of Oneonta. The following
pages are excerpts taken from the Health Department’s Written Plan. We must familiarize you
with these procedures, as they are required by New York State Law via the Health Department
Code for Children’s Camps. Failure to recognize these rules and procedures is failing to
recognize New York State Law. Please assist us in executing these procedures, and we will all
have a safe and enjoyable week.
Supervision
Coaches and children must have voice/visual contact at all times. All coaches will have
participated in the orientation associated with this guide to be allowed to participate in the
program and in tournament play. They will sign a statement indicating that they have learned
CBW procedures and evacuation, will assume responsibility to execute procedures competently,
and understand that their campers will only be allowed out of their sight or hearing when signed
out in the log. Coaches are not considered to be official counselors but are responsible for their
players and should always know where all members of their team are at all times!!
Coaches are directly responsible for all campers at all times. They are considered the guardian
or parent when participating in the CBW program. Coaches are responsible for all team
members’ activity in the dorms and on campus. The Team Coordinator will be with teams
throughout the day, escorting the teams through activities and games, and will assist Coaches
with following procedure. They will stay at the residence halls in the evenings, and be available
in case of emergency. Team Coordinators will be trained by CBW and will assist in watching over
the players.
Security
Upon check-in at the dorms, Coaches are given the codes or keys to the doors to their players’
quad and or suite style rooms. The players should receive their room assignments and keys or
codes. If the players receive keys, they should turn in the keys at the desk every time they leave
the building. The charge for a lost key is $125.00, which is billed directly to the team. Please
have all keys ready to be returned at check-out. The doors to the dorms are locked at all times.
Coaches and CBW staff have security codes to the front door to allow entry of program
participants.
PARENTS ARE ONLY ALLOWED TO VISIT THEIR CHILDREN IN THEIR ROOMS BETWEEN 6PM – 9PM EACH
EVENING.
Sign Out Log
Any children who will leave the premises or lose voice/visual contact with their coaches must sign
out and be released to a guardian or other authorized adult, confirming departure directly with
the Counselor and the Coaches. If medication is needed, the Camper must check in with the
Health Director prior to leaving. When the camper returns to sign in with the parent or guardian,

the coach and counselor are notified in person, and his arrival is recorded by CBW staff.
Any camper who is signed out must return and sign in before 10 p.m. the same day (Lights out at
10:30 p.m.). Disciplinary action is taken for those reporting late. The Camp Coordinators will
acquaint all Coaches, team members, and parents with CBW rules of conduct and standard
procedures. Coordinators are required to report any misconduct to the Executive Staff, who
records and reports the incident to the Camp Director.
The Camp Director will determine disciplinary action, which consists mainly of warnings, suspension from games, game forfeiture, and expulsion.
Coaches and parent chaperones will supervise some activities off-campus. During the week,
there is 1 scheduled trip to the National Baseball Hall of Fame. There will also be games
scheduled at Damaschke Field, Neahwa Park, and Oneonta High School, which are also considered off-campus. The trips will use Oneonta Public Transportation. The teams do not have to
sign out for these events.
Evacuation/Fire Drills
When the siren begins, all team members will leave their rooms, with all doors left open, and report
to their Coaches. When the team is assembled, they will follow the Coaches to the fire exits,
buddies/roommates together. The Coaches will bring the teams to assemble on the parking lost
side of each dormitory building. The coaches will take role call and report the role call to their
assigned counselors, or to the Fire Marshal.
The Counselors are assigned to check different floors of the dorm. Each will be responsible to
make sure that the assigned floor has been evacuated before leaving the building and
assembling with the team to check on role call. They will close the doors as they check the
rooms.
Sanitation
All teams are responsible for the cleanliness of their own sleeping quarters. Refuse from the dorm
rooms must be removed by the residents, and placed in the Garbage Rooms. Any refuse or
damage to rooms will be charged accordingly upon check-out. Ultimately, coaches are
responsible for the condition of their teams’ living areas. If you do not want to clean up after
your players, make sure they clean up after themselves.
Only prepackaged food is allowed in the dorm rooms. There are also vending machines in the
dormitories.
Buddy System
CBW employs a buddy system where a camper is assigned 1 buddy for whom he should be
responsible. They are considered partners for the week. They will share a room, and be accountable for each other at all times.
Lost Camper
If there should be difficulty finding a camper, within 15 minutes, all CBW staff should be notified.
In 30 minutes, Public Safety must be notified, with information on the camper’s last whereabouts
and description. The office will act accordingly, and call other enforcement institutions. If the
camper is not located within 1 hour, all tournament play will be postponed, and all teams will

congregate at the student union for roll call. Coaches will stay with the teams while the
counselors, medical, and tournament staff comb the campus and the Camp Director calls the
local authorities and the camper’s parents. If a Player’s Coach does not know where he is, and
he has not been signed out in the log, he is considered lost.

IF YOU HAVE A BACK TO BACK GAME ONLY, Bagged Lunches are available, but must be ordered
24 hours in advance. The coach should tell their team coordinator who will see the cafeteria
staff directly to arrange the bagged lunches.
Dorm Hours
Curfew is 10 p.m. All players must return and be signed in by 10 p.m. at the dorm.
Lights out at 10:30 p.m. No exceptions. If a player is not signed back into the dorms by 10 p.m.
they may be suspended from their next game by the CBW staff! We will not allow players to
come and go at all hours!
Parking and Traffic
Any visitors & participants must use the CBW reserved Visitors’ parking, which is located at the
designated field parking lots, near the dorms, where only parking in student parking spaces is
allowed, and in the main Hunt Union parking lot, by the centerfield fence of SUNY’s main baseball
field (again in student assigned paces only). There is no traffic, dropping off, picking up, or
parking allowed on Blodgett Drive. Any unauthorized vehicles parked on Blodgett Drive, or in lots
other than Hunt Union, game parking lots or dormitory parking lots, will be ticketed and/or towed.
There are designated parking lots available at Fields 1, 3, 4, 5, 6 & 7.
Transportation
Shuttle buses and Full Size buses to the fields on and off the SUNY campus are provided for teams
15-20 minutes before their warm up time. Home team has priority over others.
When the buses have transported the teams to the fields, they will switch their routes to the dorm
& mess hall parking lots.
For safety purposes, Pedestrians must stay on the walkways up to the fields.
There is no smoking in dorms or during Tournament play. There will be no alcohol permitted in
any of the SUNY campus facilities. The University will call the police to handle this situation.

coach, or team. This is the College’s policy.
COOPERSTOWN BASEBALL WORLD CAMP RULES
One (1) violation of camp rules (property damage, fighting, drugs, alcohol, tobacco, curfew,
trespassing, sign in/sign out, game misconduct, etc.) constitutes a minimum two (2) game
suspension per player or coach with a maximum of ejection of the entire team.
Three (3) violations for a team - the team will be removed from the camp.
The Camp Administrator will make final determination of penalty.
If a player wants to leave campus, a coach, counselor, or parent must accompany him. This is NY
State law!
RAIN PROCEDURES
Yes, it does rain in Oneonta occasionally.... but we have always gotten our games in. In fact, the
summer of 2006 on the Opening Week, there was a State of Emergency as the entire town
flooded after 2 1/2 days of straight, torrential rain, but they still got 5 of their 8 games played!
Other than that week, CBW has only missed six games in 13 years so I ask that when it rains, you
work with us! We know our fields very well and we know when they can and can’t be played on.
What I am asking most importantly is that you explain some things to your families before you all
get here. Normally, if it is nice and sunny, as I am hoping it will be, your games will take place at
8am, 10:30am, 1:00pm, 3:30pm, and 6pm. However, if it is raining all day, this will of course
change. We do what we have to do to get your games I and if that means canceling infield, or
moving games up, we do it! Your parents need to understand that on an extremely wet day,
when we are still able to play, we try to pile the games right on top of each other to get
everyone’s games in before the day is shot. This means your parents need to know that the
games might start at 8am and the next game might start at 9:30am, instead of 10:30 and so forth.
Each summer parents come complaining because no one told them the games started early so
they missed half the game. The best thing to do is find one parent on the team who will be your
contact and if the games are being moved up, you can contact them and they in turn can start

a chain of calls to the rest of the team parents so everyone knows what is going on. Make a chain
on your team so that each parent attending knows who they must contact with any changes the
coach gets out! If you do this I can almost insure fewer headaches for us all!

staying in the dorms. You may park here during your visit but you MUST ONLY park in the areas
designated for STUDENTS. You may not park in the spaces designated for Teacher / Faculty or
Maintenance Vehicles only! Any coach or parents who attempt to park their cars in these designated spaces will be ticketed and possibly towed away (and this has happened before). There is
ample parking for everyone and they are clearly marked so there is no need to park in the incorrect
spaces. There are no designated spaces at Fields 2, 3, 4, 5, 6 or 7.
As for any parents and/or visitors you may have traveling with the team that will be attending games
at Fields 1, 2, 3 and 4; we request that they do one of the following:
•
Park their vehicles in the parking lot of the Hunt Union building, located at the bottom of Field
#1 for the 14u games. Please be sure once again to park in the student parking spaces!
•
Use the parking lot located between Fields 3 & 4 for fields 2, 3 & 4!. This parking lot is accessible
through a driveway located outside of the school. You must go past the West Street exit of the
school, to the 2nd driveway and make a right. Follow the gravel path all the way to the top and park
your car appropriately.
•
Park your vehicle at the dormitories and ride one of the CBW designated shuttle buses to and
from the field you are attending.

**Under no circumstances is anyone (coaches, parents, visitors, etc) allowed to park on the road
leading to the fields on campus (Blodgett Drive)! This is a public road and there is no parking. We
also ask that you do not have parents driving up this road to drop anyone off as well. That is what the
shuttle buses are for. The police are strict with the town ordinances and we have seen numerous
people receive tickets and even seen some get towed every summer for not abiding by the rules we
are telling you about so please make sure they understand this! If you do get a ticket, we cannot
help you because it is a ticket given by the town of Oneonta, not the school!
If your team has a game on or off campus your team will be brought to and from the game by a CBW
shuttle bus, which will pick you up outside of the dorms (small buses for on-sight games, full size buses
for off-sight games). The parents must drive to the off-site games and park in the designated parking
lots of each field.
**Please respect the CBW insurance policy which does not allow for any CBW worker to give a ride to
a parent, coach, player or visit on their golf cart, regardless of their handicap. Liability issues are at
stake and all CBW employees will enforce this rule at all times!
PLEASE GIVE A COPY OF THIS FORM TO EACH PARENT SO THEY ARE AWARE OF THEIR SITUATION!!

Opening Day Rules and Regulations for Parents and Players:
- Always be with an adult
- Stay away from the pond on campus
- Do not bring animals back to the dorms or fields
- Stay out of the construction areas at all times
- No cleats in buildings or buses, on the field only
- No running in the buildings!!! Not in the game room, halls, or rooms
- No water balloons, squirt guns, B.B. guns or fireworks, fart spray, or stink bombs – if we
catch you, you are suspended for 1 game
- Do not touch the fire-alarms or the emergency phones
- Take care of your garbage in the dorms (no trash in the stairwells), and in the dining
hall, put trays where they belong
- Be back in the building by 10 pm, Lights out 10:30
- Game room closes at 10 pm sharp
- You can’t be in the game room without an adult coach or chaperone
- No balls of any kind are to be used in the rooms, hallways, or game room
- No hard baseballs in or outside of the buildings (no pepper)
- If you break something let us know right away
- Golf carts, don’t ask because the answer is NO!
Parents:
- Parents must sign out players when they are leaving and sign them back in at the
front desk when they return
- Your child must be back by 10pm. If they are not, the first time they will get a warning,
the 2nd time they will get an automatic one game suspension the next day!
- Players cannot spend the night outside of the dorms without permission from the infirmary
for medical reasons only – must be signed back in at infirmary by 6am, no exceptions made
- Dining hall is free to players & coaches only - parents must pay to eat at the door
- No alcoholic drinking on campus. Those who are caught will be removed from the
camp on a permanent basis.
- No tobacco at the fields, in or near the buildings
- Parking is available only in student parking for parents
- You should park in Hunt Union parking lot for field 1 (parking lot right next to field) and
at the Field 3 lot for fields 2, 3 & 4 (see directions to fields).
- There is NO parking or driving cars along Blodgett Drive which leads up the hill!
- Parents are not allowed in the dugouts for any reasons!
- Parents are not allowed on the fields or in the dugouts, at any time during game play
to take pictures!!!!
- Any derogatory language at the field may result in your removal from the fields
- Each game may begin 30 mins prior to their scheduled game times so the games
may start earlier so they plan on being their earlier!
- Infirmary is on the 1st floor of Matteson Hall – room 114
- The sales room is on the Main floor of Matteson Hall
- Concession stands at Fields 1 & 3 only
- Please be aware there are bathrooms, either permanent or port-o-johns at Fields 1,
2, 3, 5 & 6 but not at Field 4.
CBW employees are not permitted to give rides to any adults, no matter the reason.

What is the cut-off date for the age groups?
The cut-off date for age requirements is May 1 of that tournament year.
Q:
How does registration and check-in work?
A:
You will check-in on a Saturday, between 10am – 1pm, and checkout on a Friday before
noon. Upon Saturday’s arrival, the only person required to be at registration is the team’s
Manager. He/she will be the only person allowed to officially register and check the team in.
No team or individual shall enter the dormitories prior to the Manager completing the required
registration process.
Q:
What takes place on Saturday after arrival and registration is over:
A:
There is a coach’s meeting and a player’s meeting (held separately) at approximately
3:15pm. All teams must be in full uniform upon attendance to their meetings. All coaches will
meet with the Debra, as well as the Tournament Director and Camp Director to discuss rules,
seedings, and procedures (attendance at this meeting is mandatory). Players will meet with their
team counselor to discuss rules and procedures both on and off the fields. Immediately following
these meetings are individual skill competitions, (e.g. 40 yd dash, catcher’s throw, etc) which will
be held on the corresponding fields, followed by Opening Ceremonies and a Family BBQ..
Q:
What days are the games actually played on?
A:
The games start on Sunday morning and run through the week, with the last game being
played Thursday evening (Friday morning is used as a rain date). The earliest game is 8:00am
and the last game begins at 6:00pm.
Q:
Is there any chance of us not playing 8 games?
A:
There are two different scenarios in which a team(s) might not get 8 games. The first is out
of our hands and that is weather. In 12 years we have only lost 4 games so we are usually very
good at getting the fields back in shape to play but if Mother Nature takes over it may be out of
our hands. The other situation is for a team who is seeded 1 or 2 after the Pool Play. If a 1 or 2
Seed, who received a bye in the first round of tournament play, loses their 1st game, they will be
sent into the losers bracket and will wind up only playing 7 games.
Q:
Do we need to bring our own uniforms?
A:
Yes, each team is required to come with their own uniforms. We ask that each team bring
their own jerseys, pants, socks and hats. If you have more than one set of uniforms you are
encouraged to bring them with you.
Coaches may wear shorts if they prefer, but we ask that they be khaki, navy blue, gray, black or
white. No bathing suit trunks, cut-offs, or denim jeans or denim shorts are permitted during
tournament play. Coaches who do not follow these guidelines will be removed from the playing
field and/or dugout until they are properly dressed.

Q:
Where do we wash our uniforms? Is there a laundry service? Do we have to pay extra for
it?
A:
There will be a laundry service at the park that can be utilized for a fee of $24/person for
the week, and can be signed up for on the Saturday you arrive. If you choose not to utilize the
laundry service, you are required to do your own laundry off campus.
Q:
What do the dormitories look like? Is there air-conditioning? TV? Radio?
A:
There are three different buildings that are utilized for the team lodging (one dormitory per
age group). The rooms are set up with two twin beds in each room, allowing two people to
lodge together per room (three people can be accommodated per room if required).
There is no air-conditioning, TV’s or radios in each individual room, but you are allowed to bring
your own if fan, radio, or TV if you want to. No air-conditioners are allowed!
Q:
Will we be required to bring our own bed linens or will they be provided?
A:
All teams are required to bring their own bed linens or sleeping bag, blankets, and towels.
(Twin size, extra-long beds)
Q:
Do the coaches have to stay with the kids or can a parent substitute instead? Can a child
stay with his parents instead of in the provided housing facilities?
A:
There must be at least two coaches staying with the players in the dormitories (no
exceptions)! For safety and insurance liability reasons, the players are not allowed to sleep
overnight outside of the park with their parents, unless there are extenuating circumstances (child
is sick, hurt, etc.).
Q:
Are there a minimum and maximum number of players allowed per team? Maximum # of
coaches?
A:
You must have at least enough players to field a full team, but it is up to you how many
players and coaches you have.

If we need to change our roster, what is the cut-off date for changes?
You can change your roster up to seven days prior to arrival.
Q:
What do the meals consist of? Are there any provisions, in food, for children with medical
conditions?
A:
Your food consists of 3 balanced meals we provide for you. There will be provisions made
for children whose doctor’s require them to be on special diets. These provisions are only made
with specific instructions from that player’s parents and/or doctor.

Are there any practice fields available?
A:
There are no practice fields available, due to the fact that the fields will be used for the
games. There are batting cages at the fields, and throwing and pitching areas.
Q:
Are there bleachers, concession stands and restrooms at the field?
A:
Yes, there are bleachers available at each of the fields. There is no charge for visitors to
watch the games. Concession stands are located on Fields 1, 3, and 5 (no concessions at the
off-campus field number 7). There are restrooms (port-o-johns) at each of the fields as well.
Q:
Where do the parents stay?
A:
The parents may stay in one of the many Hotels, Bed & Breakfasts, Cabins, or Campgrounds
in the area.
Q:
Do the parents get passes to the Hall of Fame?
A:
No, tickets are only provided to the registered players and coaches. Parents may
purchase tickets directly from the Hall of Fame.
Q:
Who provides the transportation from the airports to CBW?
A:
The participants are solely responsible for providing their own transportation to and from
the airports.

Are metal cleats permitted, or is it rubber only?
Metal cleats are only permitted for 13U, 14U, 15U and 16U age brackets only

Will there be EMS workers on-site?
A:
Yes, the state requires medical staff to be available on-site. There will be medical
technicians at all fields during game time and there will always be someone in the infirmary
(located in the dormitory) if someone needs something.

Alan Lincourt, owner of Pro Image Photo and Cooperstown Action Photography has been the chosen photographer to
shoot the Cooperstown Baseball World tournaments for more than a decade. Having a business in the Cooperstown area
for 25 years, Alan has fine-tuned the art of baseball game action photography. Alan’s passion for baseball and photography
has evolved into a systematic approach to shooting the game, increasing the chances of capturing those once in a lifetime
memorable baseball moments.
Over the years, Alan has photographed the games at historic Doubleday Field in Cooperstown, shooting more than 1 million
photos at just that venue. Other sports clients of Alan’s include the New York State High School Athletic Association,
Cooperstown Baseball World, Orioles Fantasy Camp, National Adult Baseball Association, Men’s Senior Baseball League,
