That’s for you to decide, but here are some things you might want to consider: Body Language Communication How many times have you sent a text message or email, and someone thought you were angry or upset? We tend to forget that our body language plays a major role in our communication. Body posture and facial expressions are as important as what you say. This is lost in phone conversations and conference calls. Ensure Engagement When is the last time you sat down and talked on the phone without doing anything else? Greater Efficiency Do you find phone calls can drag on forever? That’s because face-to-face meetings tend to be shorter than conference calls. When you are physically with someone in a meeting, there is a greater pressure to get straight to the point so that each party can leave in a reasonable amount of time. Over the phone, there is less urgency to be efficient and a lot of time is actually wasted with little being accomplished. Holding your event during the day saves energy because you won't be using artificial lighting. Avoid water bottles by using a water jug and glasses instead. Require participants to confirm their attendance to minimize excess food ordering and waste. Publicize your event electronically, by email, and in existing publications instead of mass mailings. Email an agenda Create the appropriate atmosphere, dress appropriately and act appropriately. 24 hours in advance. Short and structured meetings get things done. One single hour can make a difference on your planning, so you really need to anticipate time frames. Start and end on time. Set expectations carefully, then deliver.
