The passenger elevator and stairwells at the basement level contain a lockout feature that prevents elevator access unless a valid access card is used. Keep complete, up-to-date records of the distribution of all office keys. Have adequate procedures for collecting keys prior to termination of employees. Establish a rule that keys must not be left unguarded on desks or cabinets. Require that filing cabinet keys be removed from locks and placed in a secure location after opening cabinets. Prevent unauthorized personnel from reporting a lost key and receiving a replacement. A responsible person is in charge of issuing all keys. Clear all desks of important papers. When working alone in the office at night, lock the front door to prevent anyone else from entering. Keep the police, fire department, and building security telephone numbers posted. Double check to see that all doors are securely locked before you leave. Suspicious Persons If you see suspicious or offensive persons in the building, please call the Management immediately. If possible, make note of appearance, clothing, etc. in order to assist building security in locating them. Please be aware of strangers in your Tenant areas and halls. Quite often a question such as “May I help you locate someone?” will be enough to deter a potential thief. Report to the 911 operators the nature of the emergency, along with your address, floor and suite number and the cross streets (Park Sorrento and Parkway Calabasas), and follow the instructions given. Then notify the Building Management Office at (818) 591-9451 or the 24 Hour Emergency Answering service at (818) 593-6804. If You Receive a Bomb Threat by Phone: 1. Attract the attention of a co-worker discreetly and quietly while listening to the caller. Have the co-worker call 911 and request that the call be traced. 2. Get as much information as possible from the caller about the location and type of bomb, its detonation time and the reason for its placement. Ask about the bomb’s appearance and who is placing it. 3. Ask the caller to repeat parts of the message and make notes of any clues that might help police: Is the caller male or female? Adult? Juvenile? Is the voice educated or coarse? Accented or otherwise distinguishable? Does the person seem angry, rational, and deliberate? Make note of background noises. 4. Call the Police Bomb Squad. Dial 911. Describe in detail the information you received on the phone. 5. Call Building Management. Dial (818) 591-9451. Be prepared to assist authorities in search for the device BUT DO NOT TOUCH OR DISTURB ANY SUSPICIOUS OBJECT. Letter Bombs Letter bombs are designed to travel safely but to explode when opened, triggered by either mechanical (spring loaded) or electrical means. One common type of postal bomb consists of 2 to 5 ounces of plastic explosive with a pencil-shaped metal fuse pressed in its center. Size. Is the letter unusually thick? 2. Weight. Is it heavy? An effective letter bomb will weigh over two ounces. Few first class letters weigh as much. 3. Balance. Is it heavier on one end? 4. Feel. Is there any springiness in the sides of the letter? Does it flex, indicating it is filled with folded paper, or is it stiff? 5. Appearance. Are there grease marks on the envelope or wrapping caused by sweating of an explosive? Is the envelope sealed more tightly than usual or taped shut? Does it bear an unusual style of writing? 6. Odor. Is there a smell of almonds or marzipan? If you consider a parcel or letter suspect, DO NOT OPEN IT. The police will be notified. We will keep you informed. Make certain that your office is earthquake safe by having an earthquake kit in your office that at least contains a first aid kit, bottled water, a transistor radio and flashlights with extra batteries, and heavy gloves in case of broken glass. Women should have a pair of rubber-soled shoes on hand. Reduce non-structural hazards by securing top-heavy objects, i.e. bookcases, filing cabinets, etc. Remove all heavy objects from high shelves and secure cleaning liquids and other chemicals on shelves to prevent spillage. Also have a plan for reuniting with your family to reduce your worry and make sure they know what to do. (Refer to your Suite/Floor Warden Manual for more safety tips.) This applies to the reporting of severe thunderstorms, the approach of weather conditions favoring the formation of tornadoes, a hurricane condition, a winter storm condition, etc. A Watch becomes effective when atmospheric conditions are present that can produce the particular weather phenomenon. A Warning means that the weather condition has been spotted and prompt action must be taken to enhance safety. Except in very rare circumstances, the decision to evacuate the building based on the above weather reports will not be made by Building Management, but rather by each Tenant Company. Any delay in notification may delay the installation of your phones. Prior arrangements will also need to be made with the building’s riser management company, Summit Riser Systems. It is very important that you contact Summit Riser Systems in advance and prior to the arrival of your telephone vendor so that a Summit Riser Systems representative can coordinate the necessary service that may include work in the telephone room. Security and After Hour Access Prior to move-in, After Hour Access cards must be obtained from the Building Management Office to allow for after hour access. Please do not smoke at building entrances. The Calabasas City Council unanimously voted to adopt a comprehensive Secondhand Smoke Control Ordinance which limits public exposure to secondhand smoke in public areas within the City. Smoking is prohibited in all public places in the City of Calabasas where other persons can be exposed to secondhand smoke. If there is no "Designated Smoking Area" smokers should select an area at least 20 feet away from any path of travel, doorway, or place where people congregate. Please be sure to distinguish cigarette butts in the ash trays provided.
